Employer Billing Functions From the online group leader account homepage, you have complete flexibility and control over all aspects of your organization s account information. Clearly labeled navigation tabs take you straight to what matters to you most. This self-service functionality allows you to do a variety of tasks; in particular you are able to view your detailed billing statements, check adjustments against your summary billing statement, and download billing data for your records. In this step-by-step guide, we ll walk you through the billing functions from your account. Keep reading! CURRENT INVOICE DOWNLOAD: 2. On the right under Invoices and Receipts, click on View Current Invoice. 3. Use the Invoice Date or Invoice Period to determine the most current invoice or compare the Invoice ID to the number on your 4. Click on the Invoice ID number of your most current invoice. 5. Scroll to the bottom of the page and click Show All Records. 6. At the top of the page, click on Download Subscriber List. 7. Due to the sensitive billing information, a security warning may pop up. Click I accept or Allow Access and then click Run. 8. Another security warning regarding Java may pop up. Click Yes. 9. To save the file, click on Browse. Then, in the File name field of the Save File box, delete the asterisk, re-name your file along with the.csv ending (IE: October Invoice Data.csv ), and click Save.
10. When you have chosen the File Name with Complete Path, click Ok. 11. The download is complete when you see, Data Successfully Written 12. To open the file, go to the folder where it was saved and double-click on the file name. You can set your settings to open as an Excel file. HOW TO RECONCILE YOUR SUMMARY BILLING TO YOUR ONLINE DETAILED BILLING: 1. Follow the steps above for downloading your current invoice data. 2. Total the last column in Excel. The total number will match the Current Amount Due on the Summary Billing Statement. 3. To match adjustments, go to the Current Invoice page. Make sure to use the Invoice Date or Invoice Period to determine the most current invoice or compare the Invoice ID to the number on your 4. HOW TO ADD/TERMINATE A SUBSCRIBER: 2. On the right under Invoices and Receipts, click on View Current Invoice. 3. Use the Invoice Date or Invoice Period to determine the most current invoice or compare the Invoice ID to the number on your 4. Click on the Invoice ID number of your most current invoice. 5. Scroll to the bottom of the page and click Show All Records. 6. Click the button at the bottom of the page, Adjust Invoice. 7. From this page, you can click Add Subscriber or check a box next to a current subscriber to update/terminate. 8. To Add a Subscriber: a. Click the Add Subscriber button. b. Fill in all the required information. c. Confirm information. d. The newly added subscriber information will appear on the next invoice. 9. To Terminate a Subscriber: a. Check the box next to the subscriber you wish to adjust. Click Continue. b. From the dropdown menu under Adjustment Reason, select Terminate Subscriber. c. Click the Adjust button next to the dropdown menu. In the pop up box, fill in the date of termination and the reason for termination. Indicate Yes or No regarding whether you are enrolling the subscriber in COBRA. Click Continue. d. Review the summary information for terminating the subscriber. If the information is correct, click Complete Enrollment. Note the reference number for your records and click Close. e. At the bottom of the page, click Continue. Review the Summary of Adjustments and click Finish to confirm. You can print a copy of this page for your records. f. Click Home to return to your Billing Home page.
VIEW ADJUSTMENT DETAILS: 2. On the right under Invoices and Receipts, click on View Current Invoice. 3. Use the Invoice Date or Invoice Period to determine the most current invoice or compare the Invoice ID to the number on your 4. Click on the dollar amount highlighted in blue in the fifth column Amounts. 5. To view adjustments, select any of the following options from the dropdown menu under Invoice Details and click View: a. Premiums, Fees, Discounts: This option shows you the detail break out for Stop Loss and Dental if applicable, by the number of subscribers and dependents, current amount, retro adjustment, and the net amount that is listed on your summary billing statement. Since this option breaks down the premium by plan, it is useful for your bookkeeping to keep track of what each coverage plan costs. Additionally if there is ever a one-time fee (one time printing) or discount (premium credit for group) it would show here. b. Current Subscriber Breakdown: This option provides a comprehensive view of the billing statement, broken up by current subscriber categories. The breakdown details a list of fees and show how they add up to the total subscriber amount billed for each member. You would use the current adjustment breakdown to review any adjustments for the current billing cycle. If the billing is for 11/1-11/30 and there was a change to a member that occurred during that time frame, it will show here. c. Retro Subscriber Breakdown: This option lists any retroactive adjustments being made on the invoice. It breaks down these adjustments by coverage. The retro adjustment breakdown will show adjustments that are reflected on the 11/1 bill but for billing period prior, for example a termination for 9/1 that wasn't completed in the system until 10/15 will appear as a retro adjustment on the 11/1 bill. d. Net Subscriber Breakdown: This option is similar to the current subscriber breakdown and shows another comprehensive view of the billing statement, broken down by all subscriber categories-both retro and current, and indicates coverage data as well. If there are retro adjustments, they are broken down by the month they apply to. BONUS: This great feature for viewing your company s member s plan coverage benefit information is available from your Billing Home page. 1. From the Billing Home page, click View next to View Subscriber Roster. a. This option will show you who will be shown on a future invoice, based on current eligibility calculations.
2. From this page, click on the Family icon for any of your employees. a. This option shows a detailed list of the dependents and their eligibility for an employee. 3. Click on the Heart icon for any of the dependents. a. The Plan Coverage page shows which plans and levels of coverage the employee has chosen to participate in. 4. Click on the Medical plan link, highlighted in the second column. a. This Benefits Information page provides a comprehensive view of the plan coverage details for the member. From here you can see Copays & Coinsurance information, Deductible Accumulators, and Limits. 5. From this page, you can click on View Plan Description for further benefit and plan descriptions.
