Overview VERSION 11.08 CodeRed is an emergency notification system created by Emergency Communications Network (ECN) that is designed to notify large groups of people within minutes. Some examples of CodeRed s possible uses are: send evacuation notices, warnings, and to initiate first responders. With CodeRed, Dispatchers can send both express, on the fly alerts as well as predefined scenarios to various audiences. The CodeRed module allows users to send out mass alerts at a moment s notice. Users can send express alerts through Report Exec s custom Alert Express tab or predefined scenarios at a moment s notice. The express alerts allow users to create their own message and send it out as one of three types to any number of audiences that they wish; meanwhile, the predefined scenarios allow users to send automated messages to the audiences that the scenario is affiliated with. While simple, CodeRed has the capability of greatly increasing mass alert effectiveness across organizations. Setting up CodeRed Integrating CodeRed in to Report Exec Enterprise and Dispatch is a very simple process. In order to get CodeRed integrated in to an organization s Report Exec software, customers must first provide a Report Exec Support Representative with their unique CodeRed launch code. The support representative can then use the launch code in order to integrate CodeRed into both Report Exec Enterprise and Dispatch. Enterprise Setup Once the launch code has been implemented by a Report Exec Support Representative, users are then able to be granted access to the CodeRed functionality. Granting access to users is done through the roles section of Enterprise s Admin side. Once logged into the Administrative side of the program, navigate to System Wide Setup, Roles, and then Role Permissions. Upon reaching the Role Permissions screen, users will be presented with a role permission labeled CodeRed Mass Notification Access. Note: This Role Permission must be active to even be able to see anything CodeRed related. 2
VERSION 11.08 Dispatch Setup Once the launch code has been properly implemented and a user has been given the Role Permission to have access to CodeRed, they can then reach the settings within Dispatch. In order to reach the settings, users must first click the Setup button at the top of the program and then navigate to Supervisor Settings under the Global Settings tab. The CodeRed specific options can then be found at the bottom of the window. It is here that organizations can enter their username, password, and URL 1. 1 Important Note: Users will not be able to access CodeRed from either Report Exec Enterprise or Dispatch unless the proper username, password, and URL are present. Currently this information can only be entered through Dispatch or by a support representative. Functionality to allow these fields to be edited within Enterprise will be added at a later date. 3
Accessing CodeRed Once the proper username, password, and URL have been entered in, users can begin to access CodeRed in both Report Exec Enterprise and Dispatch. CodeRed in Enterprise VERSION 11.08 To reach the CodeRed functionality within Enterprise, users must navigate to the Mass Alert tab located between the Themes and Logout buttons on the navigation bar. CodeRed in Dispatch CodeRed can be accessed in Dispatch by simply clicking on the Alerts button on the navigation bar, located between the Setup and Logout buttons. Sending Alerts Overview The CodeRed module allows users to send mass notifications in two different ways: express alerts and predefined scenarios. Express alerts allow users to create their own custom messages on the fly and send them to the audiences of their choosing; predefined scenarios are messages that are setup within the program to send automated messages to pre-selected audiences. Express Alerts The Express Alerts function is Report Exec s answer to custom alerts through CodeRed. Alerts sent through this method are designed to allow users to deviate from the predefined scenarios in order to create custom, on the fly messages for any situation that may arise. Note: These messages are meant to be used on a situation by situation basis and are therefore not saved to CodeRed after being sent. After opening the CodeRed module, users will automatically be brought to the Alert Express tab. From this tab, users can send any combination of three different types of messages: Phone (TTS) Calls the selected audiences with a voice recording of the message that the user typed in to the message text. Email Sends an email to the selected audiences with the desired text. Mobile Text (SMS) Sends a text message to the mobile device of all members in the selected audiences with the desired text. 4

Sending an Alert In order to send a message, users must first select the desired audiences that they want to receive the message. Users can select as many audiences at once as they like, but at least one must be selected in order to send a message. After selecting the target audiences, the user must then select the message type; again, users can select as many message types as they want, but at least one must be chosen in order to send the message. Dispatch Note: If the user selects Email, the Sender and Subject lines will become active. If Email is not selected, those fields will remain inactive. Once the message types are selected, users can then enter in the desired message text. If the message is an emergency, users can check the Emergency box and the messages will be marked 5
VERSION 11.08 as an emergency when the recipients receive it. When all of the steps are completed and the user is ready to send the message, they must then click the Send button. The message will then process and send to all of the targeted audiences. Predefined Scenarios Predefined Scenarios in CodeRed are messages that have already been assigned text and audiences. After creating a scenario, it will stay within the CodeRed system and will be able to be sent out at any point in time. Predefined Scenarios can be found on the second tab of the CodeRed module. When a predefined scenario is sent, the scenario will automatically send out its programmed message to the audiences that the scenario is set to send to. Users can send as many predefined scenarios at once as they would like, but at least one must be selected if they want a message to send. To send a message, the user can simply select the scenario(s) they desire and then click the Send button.
