Purpose The purpose of this user guide is to provide you with information on various Authorisation related functions on Straight2Bank and how to use them effectively. For information on various other Cash Management products and features available on Straight2Bank listed below, please refer to the respective user guides or contact the bank for a latest copy of them. Product / Feature Payments Initiation Enquiry & Investigations Instant Bank Funds Transfer Cross Border Value Added Payment Services Reporting & Alerts Straight2Bank Mobile Collections Initiation and Reporting Vasco Token User Guide Customer Self Administration Description Provides information on the various payment services offered on Straight2Bank and related capabilities to initiate them Manually or in Bulk. Enquiries and Investigation of payments initiated out of Straight2Bank Web can be performed using the E&I module available on Straight2Bank. The user guide provides relevance and usage of these capabilities. Applicable to Nigeria and Singapore, the user guide provides information on usage of the Instant Bank Funds Transfer payment type Applicable to several markets globally, the user guide provides information on usage of the Value Added Payment Services such as Cross Border Cheque, Cross Border Direct Credit, and similar capabilities. Usage of various reporting features such as Ad-hoc reporting, Customized reporting via Info Manager & Straight2Bank and Email Alerts features are described in this guide. Features and capabilities offered on Straight2Bank Mobile such as Balance Enquiry, Payment Authorisation, Trade Authorisation and Trade Enquiry are covered in this guide. The guide provides information on the Collections initiation and reporting features. Contains information on the usage of Vasco token for user login and transaction authorisation on Straight2Bank. Provides information on the customer self-administration module and the features available in it. Straight2Bank: Approver User Guide Page 3

1. Understanding Transaction Authorisation 1.1. Overview Straight2Bank provides you with multi-level authorisation control for your Payments, Collections, Custody and Trade Finance transactions. The below provides you with a high-level summary of the Transaction Authorisation feature and controls available for the various products and services available online. Product / Service Payments Collections Trade Finance Custody Services Description Up to 8 levels of authorisation can be setup for Payments on Straight2Bank (e.g.) A, A+B, A+B+C, etc. By default, the Authorisation Matrix is setup at an Account level. Optionally it may also be setup at Payment Type or Payee / Beneficiary. Individual payments as well as Payment Batches are supported for authorisation. Collections transactions can be setup for One level of authorisation (i.e.) upon creation of a Collections batch, any user with the necessary access profile will be able to authorise the Batch and send to Bank for processing. Authorisation is always at a Batch level. Trade finance products such as Letters of Credit, Guarantees, Invoice Financing, etc support up to 5 levels of authorisation (e.g.) A, A+B, A+B+C, etc. By default the authorisation is at Company level and can optionally be setup at Product level as well. Authorisation is normally at individual instruction level. Custody transactions follow a similar authorisation matrix setup and sign combination like Payments and Trade transactions. Authorisation setup is available at Settlement Amount, Securities & Portfolio Account and Message Type and the transactions may be at Batch or Instruction level. 1.2. Vasco Token Authorisation of transactions on Straight2Bank can be done only by using a Vasco Token. A Vasco Token is a physical device provided by the Bank to each Authoriser on Straight2Bank. The token provides 2FA (Two Factor Authentication) for Login 1 and Authorisation functions on Straight2Bank and the same device can be used for both the functions. Each authoriser will require their own Vasco Token to authorise the transactions before they can be sent to the bank for processing. Transactions when digitally signed using a Vasco Token conform to the highest Data Encryption Standards and can be securely transmitted over the internet. Note: 1 Login to Straight2Bank using a Vasco Token is mandatory in Hong Kong, Singapore and United States of America. Login with a Vasco Token is Optional in other countries. 1.3. Availability & Control Control of entitlement to authorise transactions on Straight2Bank is configured at a user level. Segregated access (at a Function level) is available for Payments, Collections, Trade Finance and Custody transactions. Authorisation access is controlled at a) Function Level and b) Data Level. - Function level control is to enable one or more users with the access to the menu option to authorise transactions (e.g.) User A may have access to Payments and Collections authorisation whereas User B within the same organization may have access only to Payments authorisation. - Data level control is to restrict / allow a user to authorise transactions based on the accounts / Company, depending on the service. These controls may be changed by the Customer Administrator or the Bank Administrator. 2. Transaction Authorisation & Related Functions 2.1 Authorising Payment Batches A Batch in Straight2Bank normally contains more than one transaction. Transactions are optionally Batched for convenience before Authorisation to enable multiple transactions to be authorised in one go. Batching can be done manually or automatically. Refer to the Payments Initiation User Guide for more information on Batching. You will receive an automated email (if subscribed for email notifications) from Straight2Bank to authorise Payment Batches that you are eligible, based on the Authorisation Matrix. Refer to a separate section in this user guide on how to subscribe to this email notification service. Authorisation of Batches can be done via Straight2Bank Web or Straight2Bank Mobile. This section will provide you information and steps to Authorise Payment Batches via Straight2Bank Web. Note: While this section provides information on Authorisation of Payment Batches, Authorisation of Collections and Custody Batches follow similar steps. 1. The list of Payment Batches awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Batches. Alternatively, the Authorise Batches option can be found under the Payment Tasks. 2. This screen has various data fields that may be customized optionally by clicking on Edit Columns and related actions. a b c d e f g h i j k l m Screen Reference a b c Description of the Field Allows you to select one or more batches to Authorise. Only one batch can be selected to Reject. System generated Batch Reference. Clicking on the Batch Reference will provide a Batch Detail screen. d e f g h & i j & k l & m The unique Authorisation Matrix ID for the Batch is indicated here. The authorisation matrix and threshold defined for this Matrix ID will apply for Authorisation. Each Batch could have a different Matrix ID or the same Matrix ID based on the setup of the Authorisation controls. The status of the Batch; this could be either Batched or Partially Signed on this screen. Batched indicates that none of the authorisers have authorised so far and Partially Signed indicates one or more authorisers have authorised and pending further authorisation. The sum of the payment amount in Base Currency Equivalent (BCE). The Base Currency is setup as part of the initial setup by the Bank. The payment amount of the payment with the highest value in Base Currency Equivalent. This determines the Authorisation Matrix applicable for the authorisation workflow for the Batch. Similar to the previous fields, these two fields indicate the amounts in Authorisation Currency Equivalent if a different currency has been setup. Else, this will be in the same currency as Base Currency. These fields indicate the user who had created the batch and the date the batch was created. These fields indicate the last user who had authorised the batch, if the status is in Partially Authorised along with the date. This will be blank of the status of the batch is Batched. 3. One or more payment batches may be selected for Authorisation from the batch listing screen. Upon clicking Authorise Batch, you will be provided with a view of the various authorisers who have authorised the payment batch. 4. From this screen, the Save button will prompt you with the Challenge and Response screen. Please refer to the Appendix 1 on usage of the Vasco token for the Authorisation. 5. It is highly recommended that you click on the Batch Reference of the batch to view the details of the Batch before Authorising. Option to authorise the payment batch will be available on this screen as well. 6. Upon successful authorisation, the status of the Batch will change to Partially Signed or Fully Signed based on the authorisation matrix setup. 2.2 Authorising Payment Instructions Payments can be authorised directly without the need to create a Batch. This will however be more relevant for a small number of payments but not for a large number where batching provides a more efficient authorisation process. This section will provide you information and steps to Authorise Payment Instructions via Straight2Bank Web. Note: While this section provides information on Authorisation Payment Instructions, Authorisation of Collections and Custody instructions follow similar steps. 1. The list of Payment Instructions awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Instructions. Alternatively, the Authorise Instructions option can be found under the Payment Tasks. 2. This screen has various data fields that can be customized using the Edit Columns capability. The key fields are described below; a b c d e f g h i j k l m Screen Reference a b c d e f g h i j k & l m Description of the Field Allows you to select one or more payments to Authorise. Only one payment may be selected to Reject. System generated Payment Reference. Clicking on the Payment Reference will provide a Payment detail screen. Reference as provided by the maker (or auto generated if not entered) during payment creation. Type of payment. Status of the Payment; this would normally be Complete if none of the authorisers have authorised this yet, or Partially Signed when at least one authoriser has authorised this payment. Indicates the Beneficiary Name. The Payment / Value date as provided during the creation of the payment. Payment currency as provided during creation of the payment. The Authorisation Matrix ID for the payment; this is system derived based on the authorisation matrix setup by the Bank. Indicates the FX Rate for the payment. This depends on the Payment and Debit currencies and the FX Rate Type that was provided during the payment creation. Indicates the debit account number and the debit currency. This is the debit amount in base currency equivalent. The Authorisation Matrix is normally identified based on this amount and the signing combinations as setup for this would apply for the authorisation workflow. 3. One or more payment instructions may be selected for Authorisation. Upon clicking Authorise This Payment, you will be prompted with the Challenge and Response screen. Logon to your Vasco token to generate the response for the challenge and key it into the Straight2Bank screen. Please refer to Appendix 1 on the detailed usage of the Vasco token for transaction authorisation. Straight2Bank: Approver User Guide Page 7

4. It is highly recommended that you click on the Payment Reference of the payment to view the details of the Payment before Authorising. Option to authorise the payment will be available in the payment details screen as well. Upon successful authorisation, the status of the Payment will change to Partially Signed or Fully Signed based on the authorisation matrix setup. Straight2Bank: Approver User Guide Page 8

2.3 Reject Payment Batches With an Approver profile, you will also be able to Reject payment batches on Straight2Bank. Doing so, all instructions within a Batch will be rejected from any further authorisation related function (i.e.) Authorisation or Rejection by others, and the status of the Batch will appear as Rejected by Approver. This section will provide you with instructions on Rejecting a Payment Batch on Straight2Bank Web. 1. The list of Payment Batches awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Batches. Alternatively, the Authorise Batches option can be found under the Payment Tasks. 2. This screen has a number of fields as explained earlier in this user guide. a b c d e f g h i j k l m 3. Unlike authorisation, only one batch may be selected at a time for Rejection. You will be able to Reject only those payment batches that are in Batched status (i.e.) not authorised by any authoriser yet. 4. A reason for rejection must be provided and this will be available to the Maker or any other user who has access to view the payment for further action such as edit and re-submit or delete the payment. A confirmation will be provided when the batch has been successfully Rejected. 5. The status of the Batch will change to Rejected by Approver and from the list-view screen, the instructions within the batch can be copied to re-submit the payment after necessary changes. The rejected batch and instructions within it however cannot be re-submitted. Straight2Bank: Approver User Guide Page 9

2.4 Reject Instructions within a Batch Instead of rejecting a whole batch, you will be able to reject selected instructions within a Batch. Doing so, allows you to process rest of the payments within the Batch without any impact in sending them to the Bank for processing. This is a useful feature when there are a number of transactions within a batch and maybe one or two instructions do not appear correct. This section will provide you with information on Rejecting one or more Instructions within a Payment Batch on Straight2Bank Web. 1. The list of Payment Batches awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Batches. Alternatively, the Authorise Batches option can be found under the Payment Tasks. 2. This screen has a number of fields as explained earlier in this user guide. From this screen, click on the Batch Reference to view the details of the Batch. 3. You will have an option towards the end of the screen to Reject Instructions. One or more instructions may be selected from the list across multiple pages that need to be Rejected. Only payment instructions within batches that are in Batched status will be available for Rejection. Straight2Bank: Approver User Guide Page 10

4. A reason for rejection must be provided when one or more payment instructions within a Batch are selected for Rejection. 1 2 5. A confirmation will be provided when selected payments within the batch have been successfully Rejected. The status of the rejected payments will change to Rejected by Approver while the status of rest of the payments will remain unchanged and can be subsequently authorised. 1 2 2.5 Un-Reject Instructions within a Batch This feature allows you to undo a previous action of Rejecting one or more transactions within a Batch. The Un-Reject instructions feature allows you to undo a previous rejection and make the entire batch available for further authorisation. This section will provide you with information to Un-Reject one or more Instructions within a Payment Batch on Straight2Bank Web. 1. The list of Payment Batches awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Batches. Alternatively, the Authorise Batches option can be found under the Payment Tasks. 2. This screen has a number of fields as explained earlier in this user guide. From this screen, click on the Batch Reference to view the details of the Batch. Straight2Bank: Approver User Guide Page 11

3. You will have an option towards the end of the screen to Un-Reject Instructions. One or more instructions may be selected from the list across multiple pages that need to be Un-rejected. 4. Only payments that are in Rejected by Approver status can be Un-Rejected. Upon selecting one or more payments and un-rejecting them, the status of the selected payments within the Batch will change to Batched while the status of rest of the payments will remain unchanged and can be subsequently authorised. 1 2 Straight2Bank: Approver User Guide Page 12

2.6 Un-authorise Payment Batches The Un-authorise Batch feature allows you to un-authorise payment batches that have been Partially Authorised or Fully Authorised. This will allow you to modify the batch based on your user credentials and submit it again for authorisation and further processing by the Bank. This section will provide you with information to Un-authorise Batch on Straight2Bank Web. 1. The list of Payment Batches awaiting your authorisation will be available under Cash Management > Transactions > Authorise > Payment Batches. Alternatively, the Authorise Batches option can be found under the Payment Tasks. 2. This screen has a number of fields as explained earlier in this user guide. You may click on the batch reference of any payment batch that is in Partially Signed or Fully Signed status from this screen. 3. You will have an option at the end of the screen to Un-authorise Batch. A confirmation will be provided when the batch has been unauthorised successfully. Straight2Bank: Approver User Guide Page 13

4. The status of the Batch will be updated as Batched and further actions such as Undo Batch and Edit Batch will be available. 2.7 Remote Authorisation of Payment Batches and Instructions Remote Authorisation is an optional feature available on Straight2Bank that allows an authoriser to nominate another Straight2Bank user to input the Vasco Response on Straight2Bank for Payments authorisation at times the authoriser does not have access to Straight2Bank. The nominated user will only be able to key-in the Vasco Response on behalf of the authoriser generated out of the authoriser s Vasco device. This Remote Authorisation feature is available only for Payments (Batches and Instructions) and not Payee, Templates or other products such as Collections, Trade and Custody. This section will provide you information on how to use the Remote Authorise Payment Batches feature on Straight2Bank Web as a nominated user of the Authoriser. The steps are similar for the Remote Authorise Payment Instructions feature. 1. The Remote Authorise Payment Batches option will be available under the Cash Management > Transactions > Authorise > Remote Authorise Payment Batches. Alternatively, the option can be found under the Payment Tasks. 2. This screen has same set of fields as in the case of Payment Batches Authorisation and the fields in it may be customized using the Edit Columns option. Straight2Bank: Approver User Guide Page 14

3. Choose any of the listed Batches or Instructions. You may select one or more records and click on Remote Authorisation. The subsequent page will provide a summary of the selected records and prompt you to choose one or more authorisers for whom you are acting on their behalf. This list will be based on the authorisers who have the necessary permissions and profile to authorise the record. You will need to choose the authoriser for whom you are acting on behalf of from the list and key in the Vasco Response as generated on the authoriser s token [Refer to the Appendix 1 for the usage of the Vasco Token] based on the Challenge. 4. On the Remote Authorisation Challenge / Response screen, there is an option to print the Batch information. This will include details of the Batch as per the authorisers user profile and provision to physically write the Vasco Response and send it back to the user who will then input it onto Straight2Bank. 5. Upon providing the Vasco Response, a confirmation will be provided on successful authorisation or an error message in case of any validation failure (e.g.) invalid response provided, invalid authoriser chosen, etc. Straight2Bank: Approver User Guide Page 15

2.8 Request for Authorisation The Request for Authorisation feature will be available at the completion stage of a Payment Instruction or when a Batch is created. This feature is useful to notify authorisers via email of urgent payments requiring their action as the built-in system notification feature to receive email notifications for all payment batches requiring authorisation may not have been enabled by them. Subsequently, the list of eligible authorisers as per the authorisation matrix for the select payment instruction / batch will be listed from which the authorisers can be chosen to send an email notification. This feature will over-ride the user level setting for the email notification that the system would normally generate and send. Refer to the section on Email notification for Approvers for more details on this and how to change the settings. Straight2Bank: Approver User Guide Page 16

2.9 Payments Template Authorisation Payment Templates are available on Straight2Bank to ease in the payment creation process as well as to prevent changes to certain parts of the payment instruction such as the Debit Account or Beneficiary Account information. Setting up of Payment Templates has been detailed in the Payments Initiation User Guide and in this section will explain how Payment Templates can be approved before they are used. Payment templates are required to be authorised only when the dual control for payment templates has been setup by the Bank. This is an optional feature and is not the default behaviour. The default behaviour allows the payment templates to be created and used without any approvals. 1. Payment Templates that are pending authorisation may be accessed via the Payment Template Statistics in the Payments screen or through the Maintain Templates under the Payment Tasks. 2. From the list of Payment Templates, choose any template (click on the template name) to view and approve / reject the same. The option to approve or reject the template is available at the end of the screen. 3. Approving the template will change the status of the template to Approved and will be available for use. Rejecting a template will mandatorily require a reason to be provided for the maker to be aware of. Straight2Bank: Approver User Guide Page 17

2.10 Payee / Beneficiary Authorisation An optional control is available on Straight2Bank to authorise payee / beneficiaries before they can be used. This will provide increased control when doing payments on Straight2Bank. By default, payees created by users with the necessary entitlements will be available during payment creation. Please contact the Bank if you require this control to be enabled. Creation of Payees on Straight2Bank is based on your user entitlement. Refer to the Payments Initiation User Guide for instructions on how to create a Payee on Straight2Bank. This section will provide you information and steps to Authorise a Payee created by another user on Straight2Bank Web. 1. Payees that are pending authorisation will be available in the Payee / Beneficiary Maintenance screen under Cash Management > Transactions > Cash Static Reference. 2. The Payee Beneficiary Maintenance screen will list all the existing payees available. This screen has various data fields that may be customized optionally by clicking on Edit Columns and related actions. 3. The data field Status will indicate the status of the authorisation. Possible values for this are N indicating UNAUTHORISED and A indicating AUTHORISED. 4. The options Authorise All or Authorise Selected available on this screen may be used to authorise the payee. 5. It is however recommended that you click the on the Payee ID filed to view the details of the Payee and then take the appropriate action of Authorising or Rejecting the record available in the View Payee / Beneficiary screen. 6. A confirmation will be provided upon authorisation of the Payee and the status of the Payee will change to Authorised. The Payee will now be available to make payments. 7. A confirmation will be provided upon rejection of the Payee and the status of the Payee will change to Rejected. Subsequently, the Payee may be deleted or modified by a user with the required entitlements for further action. Straight2Bank: Approver User Guide Page 19

3. Releasing payments to the Bank for Processing Upon full authorisation of the payment instructions and/or batches (i.e.) authorisation by all approvers based on the authorisation settings, you will need to release them to the Bank for processing. Until the payments are released to the Bank, manually or automatically, the payments will not be processed any further and the status will remain as Fully Signed. This is the default behaviour. You may alternatively choose to have payments sent automatically upon full authorisation without manually releasing them. Please contact the Bank or your Relationship Manager to opt for this feature. 3.1 Send to Bank The Send to Bank feature on Straight2Bank allows you to select one or more payment instructions / batches to be released to the Bank for further processing. This function is controlled at a user level and may vary based on the user profiles. In this section, you will understand how to release payments manually to the Bank for processing. 1. The Send to Bank option is available under Payment Tasks list (i.e.) Cash Management > Transactions > Payments > Home. This option is available based on your user profile as setup by the Bank or your Administrator. A Vasco token however is not required to release the payments to the bank. 2. The Send to Bank screen will list the payments that can be released to the Bank. Similar to other list view screens, the columns on this screen can be customized. 3. One or more payment batches may be selected and released to the Bank. Alternatively, Send All to Bank option can be used to release all of the listed payment batches to the Bank. 4. Clicking on the Batch Reference will provide you with the details of the payment (based on your access profile) and on this screen as well, you will have the option to send the batch to the bank. 5. A confirmation screen will be provided upon successful action of Send to Bank. Further updates on the status of your instructions such as Processed, Under Processing, Rejected, etc will be available under Payment Statistics section of the main page of the Payments module or the Homepage. 3.2 Send to Bank with the Option to Perform Request for Quote (RFQ) In countries that are enabled with an Online Request for Quote (RFQ) feature for cross currency payments (Refer to Appendix 2) you will be able to Book an FX rate for the payment instructions / batches after all approvers have authorised the payment, prior to doing a Send to Bank and subsequently send the payments to the Bank for processing. This feature to Book an Online FX Rate and Send Payments to bank is available by Default to all users. However, this can be controlled at a User level and turned off is necessary. In this section, you will understand how to Book Online FX and subsequently release payments manually to the Bank for processing. 1. The Send to Bank option is available under Payment Tasks list (i.e.) Cash Management > Transactions > Payments > Home. This option is available based on your user profile as setup by the Bank or your Administrator. 2. The Send to Bank screen will list the payments that can be released to the Bank. Similar to other list view screens, the columns on this screen can be customized. 3. For Payments that are eligible for an Online FX (based on various criteria such as Currency Pair, Tenor, etc) you will see an option in the list view to Book FX Now. Clicking on this will allow you to Book an Online FX for this Batch. You may alternatively skip this and send the batch to the Bank as described in the previous section for the Bank to apply the FX rate when processing these transactions. 4. Upon clicking Book FX Now, you will be able to choose the Tenor for the Payment and Request for an Online FX Rate. TOD applies for current value date payments (T+0), TOM applies for next day value payments (T+1), and SPOT applies for payments value dated two days in advance (i.e.) T+2. 5. Upon requesting for a quote, you will have 20 seconds to Accept and Send the Payments to the Bank or Reject (Cancel) the FX Rate provided by the Bank. Subsequent to accepting the FX Rate, the payments will be automatically Sent to Bank for further processing. 6. Clicking on Cancel will not release the Payments to the Bank and you will have Option to either release it without booking an Online FX or Book Online FX at a later time. 3.3. Check RFQ Status after Send to Bank When you perform a Request for Quote during the Send to Bank stage and in the rare instance of no response from the system (possibly due to network latency) you may check for the status of the deal via the Check RFQ Status as illustrated below before attempting to request for quote again. Note: You will require the Request for Quote function access entitlement to perform Online RFQ and related actions. Otherwise, the Check RFQ Status option will not be available. 1. Select Check RFQ Status from the Payment Tasks. 2. Select from the drop down list of Batch References where the RFQ was not successful. Click on Check RFQ Status & Send to Bank. 3. If the FX rate was successfully booked, the batches will be sent to bank immediately and the confirmation screen below will be displayed. 4. If the Online FX was not booked, then the user will have the below options; a. To request for another quote and either accept or reject, thereafter, or b. Skip Online FX and let the bank assign FX when the payment is processed (i.e.) Bank assigned FX Rate Straight2Bank: Approver User Guide Page 22

4. E-mail Notification For Approver Subscribe/ Unsubscribe Straight2Bank authorisers can choose to receive an e-mail alert notifying them to logon to Straight2Bank to review and authorise transactions. Users will receive notification only after they have subscribed to this feature. No confidential information will be contained in the email message and authorisers are able to subscribe and unsubscribe from receiving e-mail alerts at any time on Straight2Bank by performing the steps listed below. 1. The option to subscribe / unsubscribe to this service is available under Payment Tasks. 2. Click on the Subscribe / Unsubscribe Email option. 3. Choose Subscribe and click on Save to start receiving notification (and Unsubscribe to stop receiving notifications). By default, this is set to Unsubscribe. Appendix 1 How to use a Vasco Token for Authorisation A Vasco token is a light-weight physical device as shown here. To authorise a transaction follow the below steps; 1. Turn on the Vasco token by pressing the 3 button. 2. Enter your personalised PIN setup during Token activation to logon to the Token. 3. The screen will display APPLI _ upon successful login. 4. Press the button 2 to select Transaction Authorisation. 5. Input the Challenge (into the token) that you are presented with on the Challenge and Response screen on Straight2Bank. 6. The Token will generate and display a Response. 7.
