Workshop: Reporting Dashboards Driving the ViewPoint Business Intelligence Module, Dashboards transforms your Pivots and Analytics Reports for quick access on-demand graphic visualization tools. Logon to Multiview Username: IMUG17 Password: imug17 Business Case #1: Revenue Analysis As Controller, the Board of Directors have asked you to provide revenue analysis that covers the following: Identify the departments generating the lowest/highest revenues Track the states where revenue is generated Revenue peaks by month Trend analysis of revenue Reviewing the Data Sources From the My Reports Screen we will be reviewing the following reports: Revenue by State IMUG2017 (Analytics) Revenue Analysis IMUG2017 (Pivot) A report must run/refresh from the My Reports screen before it can display results in a dashboard Revenue by State IMUG2017 Page 1 of 18

Creating a new Dashboard Navigate to Multiview -> ViewPoint BI -> My Reports Select Report Design at the top of the screen and choose New Report A list of report types will display. Select Dashboard and hit Next Choose New Report From Scratch and hit Next Enter the Report Name: Revenue Dashboard IMUG2017and hit Next Review your New Report settings and hit Finish You will be taken to the Dashboard Report Editor Page 3 of 18

Edit Data Sources Edit Data Sources determines what data is available for graphic visualization in our dashboard. Each analytics and pivot type reports available under your My Reports screen should be available for selection as data source. Located from the top of the Dashboard Report Editor, click on Edit Data Sources. A new window will pop-up. Click the Add DataSource button and select Revenue by State IMUG 2017 report. Click the Add DataSource button and select Revenue Analysis IMUG 2017 report. Hit OK. Page 4 of 18

The 1 st time you use an Analytics Report in a dashboard, you will be notified that you enable the report. Press OK. Then OK again. Adding a Chart to the Dashboard Choose the Chart dashboard item from the Home tab of the ribbon bar. This will add a section to display your chart in the dashboard. Use the Data Source drop-down located on the left side of the screen to select the data to be used in the chart. Select Revenue Analysis IMUG 2017. When selecting a Pivot data source, any fields that were used in your Pivot Drag Revenue to the Value section. Page 5 of 18

Drag Business Unit to the Argument. You now have a bar-chart graph that depicts Revenue by Business Unit. Since this Company reports in numerous departments, you may dissect the top or bottom values for further analysis. Right-click on Business Unit in the Data Items section and select Top N Click the Enabled checkbox. Make sue a Mode of Top is selected and a Count of 5. Then press OK. Your graph will now reflect to display the Top 5 Revenue-generating departments On the other hand, by choosing the Mode of Bottom this will produce the Bottom 5 Revenuegenerating departments Making sure you are selected in your Chart, click on the Design tab. This will affect how the data is shown. Click on Edit Names to name your bar-chart Revenue by Department Click on the Rotate button to see the graph change from vertical to horizontal bar chart. Click again to revert back to the vertical setting. Click on the Y-Axis Settings button. In the pop-up window, choose Custom Text and delete the word (Sum) from after the word Revenue. Click OK. Click on the Show Legend box hide the legend. Page 6 of 18

Click Save on the Home tab. Note that the Save button on the Multiview menu bar is to save data changes and dashboards DO NOT affect the Multiview data. Adding another Data Pane for a Choropleth Map Dashboard A choropleth map uses shades or patterns in relation to the measurement or variable displayed to identify key areas of interest. In this example, the map will identify the states generating the highest revenues. Navigate to the Home tab to choose Choropleth Map. The default map is the world but our area of interest is USA. We can drill our map further down by right-clicking anywhere on the map area and selecting USA under Default Map options. Under the Data Source drop-down from the far-left of the screen, select Revenue by State IMUG 2017. Page 7 of 18

As an Analytics data source, the column fields have yet to be updated to identify their respective parameters. Thus dependent on the design of your Analytics report, the fields available could mean something different. For our report the fields are: o Row Data = Account Number (rows) o Row Data 2 = State RAD (2nd row) o Measure 1 = Current Month Actual Base US (1 st data column) Drag Row Data 2 to the Attribute. This field links the data to the graph. Drag Measure 1 to the Value. Right-click on the Choropleth Map, select Edit names to rename Dashboard item name to Revenue by State. Navigate to the Design Tab and select Show Color Legend to display a legend of the color values. Click anywhere on the map and use the scroll wheel on your mouse to zoom in/out or click-and-drag to change the position of your map in the pane. Right-clicking and selecting the Full Extent button will return to the full map view. Selecting Lock Navigation from the Design Tab prevents the zoom and scrolling functions of the map. Can you name/identify all 50 states? Luckily you don t have to by clicking on the Shape Labels function, where a pop-up window appears to further specify the label type on your map! From the Title attribute drop-down select POSTAL and click on the magnifying glass to preview the attribute selected and compare against the other options. Click OK. Page 8 of 18

Adding a Range Filter to the Dashboard A Range Filter dashboard item allows further specifications to other dashboard items to identify data trends or narrow results to filter key areas of interest. Navigate to the Home Tab and choose Range Filter. Given the number of Dashboards created, the spacing might seem limited. By using the drag-and-drop function, we can maximize our space by modifying the location and size of each pane. Click-and-drag on the four-way arrow located at the top-left portion of any pane to change the position on the screen. A black shadow or bar indicates the position once you unclick. Place the Rang Filter to be both below the Bar and Choropleth Map. To further increase our working space in Design Mode, let s try the following: From the Home tab, click on the Title button. From the pop-up window uncheck Visible and click OK. There is no need for an overall heading as each Pane has been specified. Right-click anywhere on the Icon or Ribbon Bar and select Minimize the Ribbon. This hides the Ribbon bar until you double-click on any of the Ribbon bar tabs or clicking on the drop-up/down arrow located on the top-right of the screen just below the Exit Icon. Page 9 of 18

Using our Range Filter Dashboard While selected under the Range Filter Pane use the Data Source drop-down from the left-side of the screen to choose Revenue Analysis IMUG 2017 for this chart. Drag Revenue to the Value section. Drag Month to the Argument section. Right-click on the Month in the Data Items section and choose Day-Month-Year. While selected under the Range Filter pane, navigate to the Design tab. Click on Edit names to give your range filter a name of Current Year Revenue. Click on Show Caption to display the name on the dashboard. Click on Full-Stacked Area Series Type to fill the area beneath the Revenue amount Use the scroll handlebars in the range filter to target a particular date range. As you may notice the respective values on the dashboards are updated to reflect the time period selected from the range filter. Hit Save on the Home tab. Close the Dashboard Report Editor. Navigate back to the My Reports screen, find your Revenue Dashboard IMUG 2017 report from the grid listing. The dashboard is viewable from the Results tab in Panel grid. Double-clicking on the Choropleth map drills-back to the VPA report Revenue by State IMUG 2017. Double-clicking on the Bar Graph or Range Filter drills-back to the Pivot source Revenue by Department IMUG 2017. Close the Pivot Reports to return to My Reports screen. Business Case #2: Monitor Accounts Payable As AP Manager, you d like full oversight and management of your AP activity and balances. Ideally you would like to be able to visually track: Total amount of outstanding payables Track and compare payables on a monthly basis Open vouchers Amount of vouchers to be paid from each bank account Reviewing the Data Sources From the My Reports screen we will be reviewing the following reports: IMUG 2017 AP CM LM (Analytics) IMUG 2017 AP Open Items (Pivot) A report must run/refresh from the My Reports screen before it can display results in a dashboard Page 10 of 18

IMUG 2017 AP CM LM IMUG2017 AP Open Items The design of your Pivot doesn t affect how it can be used in Dashboards. As long as you have the desired fields available in the Pivot, it too can be used in the Dashboards. Hence, if you added more fields and kept them in the filter area, they will be available in Dashboards. Creating a new Dashboard Navigate to Multiview -> ViewPoint BI -> My Reports Select Report Design at the top of the screen and choose New Report A list of report types will display. Select Dashboard and hit Next Choose New Report From Scratch and hit Next Page 11 of 18

Enter the Report Name: AP Dashboard IMUG2017and hit Next Review your New Report settings and hit Finish You will be taken to the Dashboard Report Editor Edit Data Sources Edit Data Sources determines what data is available for graphic visualization in our dashboard. Each analytics and pivot type reports available under your My Reports screen should be available for selection as data source. Located from the top of the Dashboard Report Editor, click on Edit Data Sources. A new window will pop-up. Click the Add DataSource button and select IMUG 2017 AP CM LM report. Click the Add DataSource button and select IMUG 2017 AP Open Items report. Hit OK. Add Cards Report Type to the Dashboard The Card dashboard item displays a series of cards. The cards depict the difference between two values. Ideally useful for tracking budget to actuals or month to month comparables, etc. Select Cards as your dashboard item from the Home tab of the ribbon bar. This will create a new section to display your cards in the main grid. From the Data Source drop-down on the left side of the screen select IMUG 2017 AP CM LM to use this report for your Cards. When using an Analytics Reports source, the column field definitions are referencing the Measures from the Cube Definition: o Row Data = Account Number (1 st column of Analytics Report) o Measure 1= Relative Period Current Month Actual Base USD (2 nd column of Analytics Report) o Measure 2 = Relative Period Previous Month Actual Base USD (3 rd column of Analytics Report) Page 12 of 18

Apply the Measure 1 field to the Actual and Measure 2 field to the Target. Drag Row Data to Series. What you notice from the graphic result is our payables are less than the previous month but the red values indicating a negative result. Click on the Gears Icon next to Measures from the Data Items section. From the pop-up window, change the Result Indication setting to Less is good and click OK. The value now indicates a RED value indicating NEGATIVE results. Click anywhere on the Card to remain selected in that Chart and click on Design tab. Select Edit Names to rename Values to AP CM vs. LM. Click Show Caption to hide the name on the dashboard. Make sure you Save by clicking on the Home tab. Adding More Cards to the Dashboard Select the Cards dashboard item located in the Home tab of the ribbon bar. This create a new pane to show your new card in the dashboard. Select IMUG 2017 AP Open Items from the Data Source drop-down located on the left-side of the screen to choose the Report Source. Select Invoice Amount and drag to the Actual field. Right-click on Invoice Amount and choose Count to show the number of invoices outstanding. While remaining selected under the graph pane, choose the Design Tab. Choose Edit Names and rename the Values to # of Open Invoices Select Show Caption to hide the name on the dashboard. Page 13 of 18

Make sure you select Save located in the Home tab. Adding a new Grid to the Dashboard Select the Grid dashboard item located in the Home tab of the ribbon. This will create a new pane in the main dashboard grid. Select IMUG 2017 AP Open Items from the Data Source drop-down menu located on the left side of your screen to choose the desired report source. Move the Grid to display directly under both cards. Drag-and-drop the following measures to the New Column area of the Data Items, in order: o Company Id o Vendor o Due Date o Invoice Amount To modify the date format, right-click on Due Date from the Data Items section and choose Day-Month- Year. To modify the number format, right-click on Invoice Amount and choose Format. Change the values to: o Format type: Currency o Unit: Ones o Precision: 0 o Include group separator: Select Page 14 of 18

Your grid should appear as below: From the Data tab select the Drill Down button. The Grid collapses down by the 1 st Column, Company. To drill-down further on the grid, click on Company and this will now display your Open invoices based on Vendor (2 nd column). Clicking on Vendor will allow you to drill-down further to see more details. The order of the columns affects your ability to drill-down and see the details so it s best practice to choose high-level fields first followed by more detailed ones thereafter. You can drill-up on your data by click on the up arrow located on the right-hand corner of the grid pane. Navigate to the Design Tab. Choose Edit Names. Rename the dashboard to AP Open invoices. You can also choose to rename the other columns if you wish. Make sure you select Save located in the Home tab. Adding a Pie Chart to the Dashboard Select the Pies dashboard item located in the Home tab of the ribbon bar. This will create a new pane in the main dashboard grid. Select the IMUG 2017 AP Open Items from the Data Source drop-down menu located on the left side of your screen to choose your desired report source. Move Invoice Amount to the Value field. Move Bank Id to the Argument field. This gives us a visual breakdown of the payables by Bank: Page 15 of 18

While remaining selected under the Pie chart, navigate to the Design tab. Select Edit Names to rename your dashboard item to AP Open Items by Bank. If you wish, you can also remove (Sum) from the end of the Invoice Amount field. Select the Data Labels button from the Design tab and choose Argument, Value, And Percent. Change Style to Donut Make sure you select Save located in the Home tab. Add an Image to the Dashboard Select the Image dashboard item located in the Home tab of the ribbon bar. This will add a new pane to your main dashboard grid. The image dashboard pane is located in the main grid by default. We could drag the Image pane towards the top-left section of the main dashboard grid. While remaining selected under the Image pane, select the Design tab from the Ribbon bar. Select Load Image. Navigate to Desktop-> MV_Interface to find the IMUG 2017 logo and choose Open. Select the Squeeze button from the Ribbon bar to modify the size of the Image to fit the pane. Uncheck the Show Caption button. Make sure you select Save located in the Home tab. Page 16 of 18

Adding a Text Box to the Dashboard Select the Text Box dashboard item located in the Home tab of the ribbon bar. This will create a new pane in the main dashboard grid. Move the Text Box pane to display across the bottom of the dashboard. While selected under the Text Box pane, select Edit from the Design tab of the Ribbon bar. The the following in the Edit Text window: Information in this dashboard was gathered from IMUG 2017. It is updated daily at 8 AM. Please see Renay or Dave for more information. Uncheck the Show Caption icon from the Ribbon bar. From the Home tab, select the Title Icon and uncheck the Visible box. Click OK. Make sure you select Save located in the Home tab. Your final dashboard should look something like this: Page 17 of 18

Close the Dashboard Report Editor The Text Box mentions the Dashboard is updated daily at 8 AM. To schedule this automatic refresh, navigate to the My Reports screen, select the IMUG 2017 AP Open Items report and click on Edit Report Settings from the menu bar. Change the Refresh Type to Once a Day and the Refresh Time of Day to 08:00 AM. Click OK. Page 18 of 18
