Welcome Welcome to e-signlive TM. Now, you can invite other people to conveniently and securely sign documents over the web. Your documents can be signed at a fraction of the time and cost compared to pen and paper. As well, using e-signlive reduces signing errors and strengthens your legal and compliance position with the most comprehensive electronic evidence. This e-signlive Help describes how to obtain secure e-signatures for your documents using three easy steps. If you're new to e-signlive, get started by reading Using e-signlive to Obtain Secure E-Signatures. From here, you can refer to other sections of the Help for details about specific steps. Using e-signlive to Obtain Secure e-signatures e-signlive uses a simple, three-step process for obtaining secure e-signatures: Step 1: Create an e-signpackage The e-signpackage TM is a container for the documents you want signed. You add the documents that you want signed by uploading them. Step 2: Add Signers You must identify the people who must sign documents in the package and provide the information necessary to contact them by email. For each signer, you provide an email address, first name, and last name. If multiple signers must sign documents in the package, you can optionally define the order in which they must sign. When you send the package, e-signlive ensures that signers receive the package in this order. Step 3: Prepare Documents After adding documents to the package and identifying its signers, you add signature boxes to documents. Several types of signature boxes are available, each of which obtains a signature differently. For example, a click-to-sign signature box simply requires that the signer click the box. Another type of signature box, capture signature, prompts the signer to draw the signature. In addition to signature boxes, you can add other types of fields while preparing documents. For example, you can add a date field, in which e-signlive automatically fills in the date when the signature is obtained. Send the e-signpackage to Signers After you've added documents to the package, identified signers, and prepared documents, you send the package to signers. Sending a package is as simple as clicking a Send button. e-signlive Help Content Page 4

What Does e-signlive Do Next? Once you send the package, e-signlive takes care of the process of obtaining the e-signatures, digitally signing each signature, and securing the final, signed documents: 1. e-signlive automatically notifies each signer by email that documents are available for signing. The email includes a link to the package. 2. When a signer opens this email message, they click its link to access the documents in the package. Signers may be required to provide additional information that proves they re the intended recipients of the package before e-signlive provides access to the documents. Whether additional information is required depends on options selected by the package owner when creating the package. 3. e-signlive guides the signer through all the documents in the package, identifying the signature boxes where e-signatures are required using yellow sticky notes. Each e- signature is digitally signed. 4. Once all signers have signed their documents, e-signlive completes the package. A completed package is one where all documents have been securely e-signed, with each signature digitally signed by e-signlive, and with a tamper-evident seal. By default, a package is automatically completed when the last signer has signed documents, but, as the package owner, you can change this option if you want to review documents and signatures before the package is completed. 5. e-signlive sends an email message to all signers indicating where they can download a copy of the completed package, including all signed documents. During the process managed by e-signlive, as the package owner, you can check the status at any time. For example, you can check how many signers for an e-signpackage have completed the signing process. e-signlive Help Content Page 5

Access Your Inbox and Other Folders If you're new to e-signlive, you may want to familiarize yourself with the four folders used to organize and provide access to your e-signpackages. For example, the Inbox includes e- SignLive packages that you've sent to signers. Packages in the Inbox may be complete, meaning that all signers have e-signed documents, all e-signatures have been digitally signed, and the documents have a tamper-evident seal. Steps 1. Click the Inbox button or the Drafts button in the e-signlive toolbar, located in the top, right-hand corner of the page after you log in. 2. If you want to access another folder, click its tab. For example, to access the Archived folder, click the Archived tab. Inbox This folder lists the e-signpackages that you've sent. For each package, you can view the status of signatures and the status of the package (such as whether it's been completed). A toolbar contains buttons for managing the package. For example, for a completed package, the toolbar contain a button for downloading the package documents. e-signlive Help Content Page 6

Here, the Inbox shows that two packages have been sent. For the Term Insurance Application package, you (the package owner) were required to sign once, and you have done so. Ann Balak's signature is required in two places, but she hasn t yet signed either one. The second package, Mortgage and Insurance Application, is complete as indicated by the checkmark, meaning that all signers have e-signed documents, all signatures have been digitally signed, and the documents have a tamper-evident seal. Drafts This folder lists the e-signpackages that you've created, but haven't sent. For each package, a toolbar contains buttons for managing the package. For example, the toolbar contains a Trash button to send a document to the Trash folder. Tip: To open a package to add signers or documents, click the package name. Archived Over time, the list of e-signpackages in your Inbox may become long. You can clean up your Inbox by archiving packages that you want to keep a record of, but don't need to access anymore. These packages are available from the Archived folder. For each package, a toolbar e-signlive Help Content Page 7

contains buttons for managing the package. For example, the toolbar contains a Download button to download documents in a completed package that's been archived. Note: Only the document owner can download documents from an archived package. These packages are no longer accessible to signers. Trashed This folder lists the e-signpackages that you've deleted. For each package, a toolbar contains buttons for managing the package. For example, if you trash a package in the Inbox by mistake, you can recover it using the Recover button in the toolbar. You can also permanently delete a package using the Delete button in the toolbar. The package is no longer accessible or recoverable. You will need to recreate the package if it s needed. About the Package Toolbar in Folders In the Inbox, Drafts, Archived, and Trashed folders, each document has a toolbar for managing the package. Three Steps for Obtaining Secure e-signatures Step 1: Create an e-signpackage for Your Documents Create a New e-signpackage An e-signpackage contains the documents that you need securely e-signed. You must create this package before you can add documents to it. e-signlive automatically includes the Electronic Disclosures and Signatures Consent document in all packages. With the exception of the package owner, all signers must agree and accept the terms of this Consent Agreement before accessing documents for signature. If you don t want to include this Consent Agreement in your packages, contact support@e-signlive.com. The following procedure describes how to create a package, define its name and, optionally, defined a description. Advanced package options are also available. Steps 1. Click the NEW E-SIGNPACKAGE button. 2. Click the Package Details tab if it isn t already selected. 3. In the Name box, type a name for your package. Ensure that the name meaningfully identifies the contents of the package, such as "Mortgage Renewal Documents". 4. Optionally, in the Description box, provide an explanation of the purpose of the documents or why they must be signed. 5. Click the Create Package button. Upload Documents After creating an e-signpackage, you add the documents that you want securely e-signed. A package can include three types of documents: Adobe Portable Document Files (.pdf) Microsoft Word documents (.doc or.docx) Open Office documents (.odt) e-signlive Help Content Page 9

e-signlive automatically displays the page you use to add documents after you create a package. From this Signers and Documents page, the documents in the current package are displayed in the Documents list. e-signlive automatically includes the Electronic Disclosures and Signatures Consent document in all packages. With the exception of the package owner, all signers must agree and accept the terms of this Consent Agreement before accessing documents for signature. If you don t want to include this document in your packages, contact support@e-signlive.com. The maximum file size for each document is 10MB. However, for a positive user experience in terms of performance, try to keep the size of each document under 5MB. Signers must sign documents in the order they re listed in the Documents list, although signers can preview all documents in a package before starting to e-sign. Steps 1. From the Signers and Documents page, click the Add Document button. 2. Browse to the document location and double-click the document. If you want to add more than one document from the same location, select all documents and click the Open button. Selected documents are added to the Documents list, along with the Electronic Disclosures and Signatures Consent document. 3. If you want to add documents from other locations, repeat Steps 1 and 2. e-signlive Help Content Page 10

4. If you want to change the order that documents are listed, do the following: In the Documents list, hover your mouse over the bar to the left of a document's name: The cursor changes to a crossbar. Drag the bar to move the document to the new location in the Documents list. About the Document Toolbar and Progress Bar Each document in the Documents list has a toolbar and a progress bar: With the exception of the Consent Agreement, the toolbar contains three buttons for working with the document, described in order: The Prepare button provides quick access to the document preparation where you define signature areas and required signers. Document preparation is described in "Step 3: Prepare Documents". The Edit button lets you change the name or description of the document. The document name is based on the file name, and no description is provided by default. The Delete button removes the document from the Documents list. The progress bar shows you how many signers have e-signed their documents or accepted the Consent Agreement, if included in this package. Until you send the documents for signing, the progress bar indicates 0 of 0. Search for Previously Uploaded Documents To quickly add a document that you've previously uploaded to the Documents list, you can search by name. In the Documents Search box, type any consecutive alphanumeric characters of the document name to display a list of matching documents, from which you select the one you want. e-signlive Help Content Page 11

The following example shows the characters "app" in the Documents Search box. The search results automatically show all previously uploaded documents with the consecutive characters "app" in their name. Edit e-signpackage Details When you create an e-signpackage, you provide a name and, optionally, a description. You can change these details when adding documents or signers. You may also want to define advanced options for a package. These options include: Expiry date By choosing an expiry date, you indicate to all signers that the documents are to be e- signed by a specific date. For example, you would probably set an expiry date for documents related to an interest rate that s expected to change. A reminder is automatically sent to signers three days before the expiration date. The expiry date is used to assist you to manage your packages. The package remains open after the expiry date. Email message You can include a message to all signers in the email message notifying signers that documents are available for e-signing. For example, you may want to include a message that thanks signers for taking the time to review and sign the documents. Your message appears after the link that provides access to the documents. Note: When adding a signer, you can also define a message for that individual. The message to the individual signer overrides this package email message. In Person signing For convenience, documents in a package can be signed by the package owner and all signers on the same device. For example, a life insurance agent may visit clients in their homes. Using a mobile device such as a tablet, the agent can prepare the insurance package while meeting with the clients, and both the agent and the clients can e-sign documents during one meeting. e-signlive Help Content Page 12

Auto-completion of the package By default, once all signers have e-signed their documents, the package is completed. A completed package cannot be changed without breaking the tamper-evident seal. You can change the default such that the package remains open until you explicitly choose to complete it manually. For example, you may want to review the package and its signed documents before completing it. For information about how to manually complete a package, see Steps for the Package Owner. Steps 1. From the Signers and Documents page, click Edit Package Details above the Signers list. 2. On the Package details tab, change the package name or description, if necessary. 3. Click the Advanced options tab. 4. If you want to set an expiry date, click the Expiry date box and click the appropriate date. If you want to remove a previously selected expiry date, click Clear. 5. If you want to include a message to signers in the email notifying signers that documents are available for e-signing, in the Email message box, type your message. 6. If you want the package owner and signers to e-sign on the same device, select the In Person checkbox. e-signlive Help Content Page 13

7. If you want to keep the package open after all signatures have been obtained, select the Do not auto-complete the package checkbox. 8. Click the Save button. Step 2: Add One or More Signers Add a Signer You add the people who need to e-sign documents as signers for the e-signpackage. By default, you are listed as a signer because you re the package owner. You add signers one at a time. The signers for the current package are displayed in the Signers list. Authenticate the Identity of the Signer Before e-signlive provides access to a package, each signer must be authenticated as the person that the package is intended for. You choose the authentication method for each signer when adding the signer. You can use different methods for different signers. Three authentication methods are available: Email The identity of a signer is verified based on their ability to access the email message indicating that documents are available for signing. A signer can only receive this email if they can log in to their email account. This authentication method depends on the security of the email system. The Q&A and SMS authentication methods provide an enhanced level of security. Email is the default method of authentication, and you don t need to do anything to use this method, except provide the required information about the signer. e-signlive Help Content Page 14

Q&A The identity of a signer is verified based on their answers to one or two questions when attempting to access the package. If the signer can provide the correct answers, then they re verified as the correct recipient of the package. You define both the questions and answers when selecting this method. A minimum of one question and answer is required. You can choose to mask the answer that's provided by the signer, where each character is represented by an asterisk (*). Masking answers is a good practice if the package will be accessed in a public location to ensure that no one else can see the answers provided. To see how these questions appear to the signer, see Steps for Signers Authenticated by Q&A. SMS The identity of a signer is verified based on their ability to provide a code when attempting to access the package. You provide the signer's mobile phone number when selecting this method. e-signlive automatically sends the code to this number when the package is sent. Include a Personal Message in the Email Notification that Documents are Available for Signing When you send an e-signpackage, e-signlive sends signers an email message to notify them that documents are available for signing. You can define a personal message for this signer that's displayed in this email message, below the link used to access documents. If you defined an email message for the e-signpackage, this personal message is displayed instead. The email message for the package is used only when a personal email message hasn t been defined for a specific signer. Include Signed Documents as Attachments to the Email Notification that a Package is Complete Once a package is complete, e-signlive sends an email message to all signers. This email message includes a link that signers can use to access the package and download copies of the signed documents for their records. The package remains available to all signers until you archive or delete it. In addition to this download option, you can choose to also include the signed documents as attachments in the email message notifying signers that the package is complete. Change Signer Option You can allow a signer to assign someone else to sign the e-signpackage instead of the original signer that s defined by you. The signer will be asked to enter the email address and full name of their delegate, along with an optional email message to the delegate. You are notified when signers have been changed, and copied on the email message (if used). Steps 1. From the Signers and Documents page, click the Add Signer button. 2. Click the Signer tab if it isn t already selected. 3. In the Email box, type the email address of the signer. 4. In the First name and Last name boxes, type the first and last names of the signer, respectively. 5. Optionally, do the following: In the Title box, type the job title of the signer. In the Company box, type the name of the company that the signer works for. 6. Click the Advanced tab. e-signlive Help Content Page 16

7. If you do not want to use Email as the authentication method, click the method that you want to use to verify the identity of the signer: Q&A or SMS. For the Q&A method, define at least one question and answer, and indicate whether you want the answer masked when provided by the signer. For the SMS method, type the mobile phone number that you want the SMS code sent to. 8. If you want to include a personal message in the email notification that the documents are available for signing, in the Message box, type the message. 9. If you want to include signed documents as attachments in the email notification that the package is complete, select the Delivery checkbox. 10. If you want to allow the signer to assign a delegate to sign the documents, select the Change Signer checkbox. 11. Click the Save button. The signer is added to the Signers list. About the Signer Toolbar The package owner and each signer in the Signers list have a toolbar: The toolbar contains two buttons, described in order: The Edit button lets you change the signer information. This information includes the signer's email address and names, as well as advanced options such as the authentication method. The Delete button removes the signer from the Signers list. The toolbar for the package owner is not intended for use. Search for Previously Added Signers To quickly add a signer that you've previously added to the Signers list, you can search by name. In the Signers Search box, type any consecutive alphanumeric characters of the signer's name to display a list of matching names, from which you select the one you want. e-signlive Help Content Page 17

The following example shows the character "b" in the Signers Search box. The search results automatically show all previously added signers with the character "b" in their name. You can type more than one character, such as "br". The search results would show only Robert Brown. Define a Signer Workflow By default, signers can e-sign in any order. If more than one document is included in the package, each signer must e-sign documents in the order they re listed in the Documents list. If it's important that e-signatures are obtained in a specific order, define a signer workflow. For example, as the package owner, you may require that other signers e-sign before you do. When a signer workflow is defined, e-signatures are obtained from signers in the order they re listed in the Signers list. Here, Sally must sign first. Ann receives the package only after Sally has signed. Robert receives the package only after Ann has signed. e-signlive Help Content Page 18

Steps 1. From the Signers and Documents page, click the Define a signer workflow checkbox. 2. In the Signers list, hover your mouse over the bar to the left of a signer's name: The cursor changes to a crossbar. 3. Drag the bar to move the signer to the new location in the Signers list. Step 3: Prepare Documents Open Documents in the e-signlive Package Once you have created an e-signpackage and added at least one document, you can prepare documents. Preparing a document includes: identifying the e-signatures required for each signer by adding signature boxes adding other fields, such as title and date boxes, if necessary You prepare documents on the Preview page. When you indicate that you re ready to prepare documents in the e-signpackage, e-signlive opens the documents and displays the first one in the Preview page. If the package contains more than one document, you can view additional documents using the navigation arrow in the Preview page toolbar. e-signlive Help Content Page 19

Step From the Signers and Documents page, click the Prepare button. Add Signature Boxes to a Document Signature boxes define where each signer must e-sign the document. You can include more than one signature box for the same signer on a document. You do not have to add a signature box for a signer. When adding signature boxes, you may realize that you forgot to add a signer to the Signers list. For convenience, you can quickly define a new signer from the Preview page using the Add Signer button. Steps 1. Click the arrow in the Signers List box to open the list and click the signer. By default, the package owner is selected. 2. Click the Add Signature button. 3. Drag the signature box to the location where you want it to appear in the document. 4. About the Signature Box Menu Each signature box includes a menu. This menu is useful for managing signature boxes after they've been added to the document. You display the menu by hovering your mouse over the signature box and clicking the Edit button. The menu contains four options, described in order: Signer lets you change the signer represented by this signature box. Type lets you change the signature box type. Remove deletes the signature box from the document. Add Field lets you add other types of information to the document, such as a date field that automatically displays the date the signer signed the signature box. For information about adding fields, see Add Fields to a Document. Clear All Signature Boxes in a Document You can quickly remove all signature boxes (and other fields) in a document using the Clear All button in the Preview window toolbar. Add Fields to a Document You can add fields to a document, in addition to signature boxes. For example, you can add a date field for a signature box. After the signer e-signs the signature box, e-signlive automatically displays the current date. Fields are associated with a specific signer, and are not displayed when documents are provided to other signers. For example, if you include the Signer Name field and a Checkbox field for the signer "Ann Balak", these fields are not displayed in the documents displayed to the package owner for e-signing. Fields include: Signing date. When the signer e-signs the signature box, e-signlive automatically fills in this field with the current date. Signer name. When the signer e-signs the signature box, e-signlive automatically fills in this field with the signer's first and last name. You provided these names when adding the signer to the Signers list. Signer title. When the signer e-signs the signature box, e-signlive automatically fills in this field with the signer's title, if you provided this when adding the signer to the Signers list. If the signer's title was not provided, the field remains blank, and is not visible on the document. Signer company. When the signer e-signs the signature box, e-signlive automatically fills in this field with the signer's company, if you provided this when adding the signer to the Signers list. If the signer's company was not provided, the field remains blank, and is not visible on the document. Textfield. A textfield provides a box where the signer can type information. Textfields are useful when you want to allow the signer to provide additional information at the time of signing, such as the reasons why they are applying for your services. Checkbox. A checkbox is an option that the signer can click to display a checkmark, and click again to remove it. A checkbox is useful to indicate that the signer has completed an action. For example, a document may include text such as "Have you applied for a mortgage with another financial institution?", with the text "Yes" or "No". You can include one checkbox beside "Yes" and one checkbox beside "No". Important: When a document is presented to the signer for e-signing, the signer must provide the information for textfields or select checkboxes before signing. Textfields and checkboxes are not editable after e-signing. If the signer has an e-signlive account, fields such as the Signer name and Signer title will be automatically filled in even if not provided by the sender. Steps 1. For the signature box for which you want to add a field, hover your mouse over the box and click the Edit button. Click the Add Field option. 2. Click the field you want to add. 3. Send the e-signpackage After you've prepared the documents in the e-signpackage by adding signature boxes and any other fields, you're ready to send the package to signers. Steps 1. Editing a Package After Sending It If you need to make changes to a package after sending it, you can edit the package. For example, you may need to add a signer or a document. When you choose to edit a package, e-signlive moves it from the Inbox to the Drafts folder. Signers can no longer access the documents. If a signer clicks a link in an email notification to access the documents or if a signer is currently signing documents, e-signlive displays a message indicating that they re no longer available. Any documents where at least one signature has been obtained cannot be modified. For example, if you add a signer, you cannot add a signature box for that signer to any documents where at least one signature has already been obtained. However, you can add another document to the package, and prepare it using all signers, including the new one. Once you've completed your changes, you can send the document again. Note that e-signlive doesn t send another email notification to signers. Steps 1. Go to the Inbox. 2. For the package, click the Edit button in the toolbar. 3. Click the OK button. 4. Obtain and e-sign Documents About Sticky Notes and Signature Boxes Each required e-signature is identified using a signature box. The visual differences between unsigned and signed signature boxes help signers quickly identify where their e-signatures are required on documents. Before e-signing a Signature Box When a document is open for signing, yellow sticky notes identify the signature boxes where the current signer must sign. Every signature box includes text to indicate the action required to e- sign. In this example, the signer clicks the signature box to e-sign using initials: In addition to this click-to-initial signature box, two other types of signature boxes prompt signers to either click to sign by name (click-to-sign) or to draw a signature (capture signature). If you are the signer, you access the documents, providing any necessary authentication information first. You can sign any of your signature boxes before reassigning the remaining signatures to your delegate. To reassign signatures, you provide the contact information of the delegate. This information is required by e-signlive to send the package to your delegate. e-signlive Help Content Page 37

If you are the delegated signer, e-signlive notifies you by email that documents are available for signing, and who has assigned their signing permission to you. The email includes a link to access the documents. You are not required to provide any authentication information because the signer's identity was confirmed previously. Download e-signed Documents After all signers have e-signed documents in a package, e-signlive completes the package. A completed package is one that has been securely e-signed and digitally signed, with a tamperevident seal. Any attempt to tamper with (change) the documents in the package or their signatures breaks the seal and the signatures are no longer legally binding. e-signlive sends an email to all signers indicating that signing is complete, and identifies the name of the package. The email message includes a link that signers click to download the package with its secure, e-signed documents. The email may also include the documents as attachments, depending on options selected by the package owner when creating the package. e-signlive Help Content Page 41

Signers aren't required to download documents. They remain available for download until the package owner archives or deletes the package. However, it's a good idea to download documents to ensure that signers have a copy for their records. Note: The last signer may have already downloaded documents. When the last signer completes their e-signatures on all documents, e-signlive provided an option to download the documents immediately. Signed documents are provided as PDFs, each of which includes visual indicators and messages that signers can use to review the validity of the documents and their e-signatures. Steps 1. Click the link in the email message. 2. Do one of the following: If you want to download all documents at the same time, including the Consent Agreement (if included in this package), click the Download All button in the top, right-hand corner of the page. If you want to download only some of the documents, click the Download button in the toolbar for each document. Follow the prompts to open or save the document. Review e-signed Documents After downloading a package, you can review its documents. Each document in a package is available as a PDF that you can open to see your own signatures and signatures for all other signers. When viewing a document using Adobe Reader, you can verify that a document and its signatures have not been tampered with.
