Introduction Areas Affected by Release This release 3.4 focuses on an updated graphical user interface (GUI), resulting in an improved look and feel. A new color scheme and layout changes are meant to enhance usability Documentation Utilizing this packet will assist you in the use and navigation of these features. User Interface Toolbar The toolbar has been updated and rearranged from its previous layout. Previous With this release, the Home, Support, Spell Check, Language Check, and Save buttons are on the left side of the toolbar. System sign out is on the right. Login and role information now appears above the toolbar. Support Tools Support tools are now easily accessible from the Support link at the top left of the screen. The tools in the menu are different depending on the type of user accessing the system. Support tools include: Contact Information. Phone and email contact information is provided for HR Performance Solutions product support representatives. This information is viewable by Admins only. 4

Performance Pro Knowledge Base. Knowledge Base is a searchable database of helpful articles designed to answer questions on how to setup and use the features of Performance Pro. This link is available to all users and was released mid-august. Clicking on the link will bring you to the Knowledge Base home page. Articles are organized by Performance Pro function (home screen, employee documents, appraisals, reports, etc.) Clicking on a topic or typing in the search box will bring up all related articles. Articles include directions, screen shots, and links to related articles. There are also links to the video library and webinars. Knowledge Base is viewable by Admins only. Videos. A link is provided to Video Tutorials which are short, topic-specific videos, created to help users understand how to perform various tasks in Performance Pro. Videos are available to all types of users. They are found at: http://www.hrperformancesolutions.net/performance-pro-tutorial-videos 5

Help. The Help feature allows users to search by topic or click through the list to find information and guidance on Performance Pro features. This information is viewable by all users. Manager Resources. Manager Resources contains information designed to help managers in various aspects of employee management. Topics include: appraisal process, corrective action, documentation and feedback, goals, interviewing, and termination. This information was previously found on the Home Screen via a button on the right, but has now been moved to the support menu location. These resources can be hidden from appraisers or admins through System Setup, Company Settings, Hide and Show options. 6

User Guides. User Guides that were formerly found on the Home Screen via a button on the right, have been moved to the support menu. These are only available to Administrative Users. They are pdf files, viewable in Adobe Acrobat, and include: Getting Started Guide, User Guide, Suggested Steps, Appraiser Quickstart, Employee Quickstart, and Multi-Appraiser Quickstart. If you would like to make any of these documents viewable to employees in your organization, you must upload them to the Appraiser Files and/or Employee Files folders on the Administration, Storage screen. Once the desired documents are in the folders, you will need to add the Company Files widget to the Home Screen for the documents to be accessible to users. Home Screen widget customization is found on the System Setup, Company Settings, Home Screen tab. 7

Addition of Avatars This feature is optional, but when it is activated by the Administrative User, users may upload an image to be linked to their assigned username. The image will be seen by them and any user that has access to their account including Administrative Users, Appraisers, Upline Managers, and Multi-Appraisers. The image will appear in the top right corner where the login and role information appears. The avatar will also appear in the employee selection tool. If the feature is activated, users will see a generic avatar until they upload their own image. Administrative Users also have the ability to upload an image for a user if they are aliased as that user. To activate the feature: 1. From the main menu, click System Setup, then click Company Settings. 2. From the Appraisal Settings tab, in the Basic Settings area, click in the User Image checkbox. 3. Click Save on the toolbar. 8

To upload an image: 1. Click on the generic avatar that appears in the top right corner of the screen. An Upload Image pop-up box will appear. 2. Insert your cursor in the Upload Image field or click Browse. 3. Navigate to the location where your image file is saved. Double click on the file name. 4. Click OK to upload the image or Cancel to exit the Upload Image box. Employee Selection Tool The employee selection tool was formerly found in the upper left of the toolbar. Previous With this release, it has been given a new look and moved to the interior of the page. Its new location makes it clearer which employee is selected as you view page details. How to select an employee: 1. Click on the search icon in the employee selection box. A list of employees will appear. 2. Type the employee name in the Search Employees box or scroll through the list and select the user you wish to view. Click Select to select the employee or Cancel to exit without selecting an employee. 9

Factor and Goal Evaluation Screens Information on these evaluation screens has been reorganized to make better use of the space and to improve the flow on the screen. Additional navigation tools (Next, Back) have been added to make it easier to move through each Factor/Goal. Users may also select a different Factor or Goal by clicking on the dropdown to the left of the Back button and making a choice. Users can easily see the Factor/Goal that is selected, how it is defined, and how each performance level is defined. Since most users read left to right and top to bottom, this layout encourages better use of the behavioral descriptions (High Performer, Valued Performer, etc.) as they consider what rating to assign the employee. While the layout has improved, basic functionality has not changed. Users still select a Factor/Goal, assign a rating using the score bar, and enter comments. Auto-save is still in place, saving the ratings and comments as you move through the Factors/Goals. Check marks still indicate evaluated items and progress bars still give a visual display of the progress of the evaluation. Previous 11

Employee Goal Tools Information on the Employee Goal Tools screens has also been reorganized. The overall weights have been moved across the top, above the goal selection box. Goal Information and Action Steps relating to the Goal now appear on the left half the screen, while tracking tools (Goal Progress and Goal Notes) now appear on the right half of the screen. Basic functionality of the screen has not changed. Previous 12

Widgets Four widgets: Overdue Appraisals, Overdue Goals, Upcoming Appraisals, and Upcoming Goals are being enhanced to allow users to set parameters determining what is displayed in the widget and when. For example, currently, the Overdue Appraisals widget always displays appraisals that are overdue based on the Appraisal Period End Date. The new widget will allow you to specify if you would like to display overdue appraisals based on the Due Date instead. You can also specify when the appraisal appears in the overdue list. Options are immediately, two weeks after the date, or you can set a specific number of days. You can also specify a number of days after which the appraisal will appear as bolded, indicating a seriously overdue appraisal. 13
