InfrmatinNOW Standardized Tests Abut this Guide This Quick Reference Guide prvides an verview f the ptins available fr tracking standardized tests in InfrmatinNOW. Creating Standardized Tests T create a standardized test in InfrmatinNOW, perfrm the fllwing steps. 1. G t System Preferences Setup. 2. Select Standardized Tests frm the available list and select Refresh. Existing tests will display. 3. T enter a new test, chse Add. 4. Cmplete the fields. Required fields are indicated with an asterisk (*). *Name: Enter the name f the test. Since the date that the student tk the test may be entered n the student s recrd, it is nt recmmended that users name the test with the year r date as part f the test name (i.e., d nt use ACT 2010). *Display Text: The display text will print n the transcript and the transcript-landscape reprts. Grade Level: Select the grade level f students wh will be taking this test. Cde: Enter a unique identifier fr this test. State Cde: Where applicable, enter the apprpriate cde fr this test fr state reprting purpses. SIF Cde: If a SIF cde is required fr state r ther reprting, enter the crrespnding SIF cde fr this test. NCES/Other: If an NCES r ther cde is required fr state r ther reprting, enter the crrespnding cde fr this test. Descriptin: Enter a brief descriptin fr this test. Display n Transcript: Check if this test is t be displayed n student transcripts. Users als have the ability t select this ptin n the individual student recrds. 5. Chse Create. WARNING! If the user checks r unchecks the Display On Transcript ptin and selects OK, this will verwrite any ptins that have been set n: - The scres that have been created n the Scre Type tab f the standardized test. - The individual student s standardized test recrd. 6. The recrd will be saved. Use the Test Cmpnent and Scre Type tabs t enter the varius types f scres that may be recrded fr this test. These elements must be created befre a test result file frm the testing facility may be imprted. Test Cmpnents: Enter the varius sectins f the test fr which a student may receive a scre. Fr example, t imprt the E/LA, Math, Science r Scial Studies scres fr the ACT, users shuld create cmpnents fr each f these fur sectins. If using the Imprt Student Test Scres ptin, users will nt be required t imprt every sectin. Users may select which sectins t imprt at that time. See Imprt Student Test Scres n page 7 fr mre details. Scre Type: Enter the varius scre types that a student may receive fr a test. Ex. Cmpsite, Mean. If using the Imprt Student Test Scres ptin, users will nt be required t imprt every sectin. Users may select which sectins t imprt at that time. See Imprt Student Test Scres n page 7 fr mre details. Nte: If the user selects the Display n Transcript bx when creating/editing a standardized test, the Display n Transcript bx fr each scre type will als be checked. 7. Select OK t save the changes. Assigning Tests t Students Nte: If the district has received a test result file frm a testing facility and uses the Imprt Student Test Scres instructins t imprt student test results, it is nt necessary t assign tests t students befre imprting scres. The test recrds will be created fr the student during the imprt prcess. By Grup A test may be assigned t a grup f students. T assign a test t a grup f students, perfrm the fllwing steps: 1. G t Students Mass Manage. 2. Select Standardized Test. 3. Review the steps and select Next. Nte: A message will display if n standardized tests have been created. T create standardized tests, g t System Preferences Setup. Select Standardized Tests frm the lkup list and chse Refresh. Chse Add t insert a new recrd. Als, if a schl is t be assigned t the test recrd indicating the schl at which the students tk the test, the schl must be selected frm the available list. The drp list cntains schls that are created frm the student s transcript recrds. T add a schl, g t a student under Students Student Maintenance. Search fr and View the student. Select Transcript under the Manage menu n the left. Select t + Add Transcript Term. Under the Schl field chse Find. Select t Add a new schl. 6. The resulting list f students will display. Use the Add >, Add All >>, < Remve r << Remve All buttns t mve students t the right hand side f the screen wh are t be assigned the test. 7. Chse Next. 8. Select the test be assigned t the select grup f students. Required fields are indicated with an asterisk (*). *Standardized Test: Select the test t be assigned t the students. *Date: Enter the date the test was taken r is t be taken. Grade Level: A grade level may be assigned t the student s test recrd indicating the grade level f the student at the time the test was taken. Fr example, if the test was taken when the students were in 10 th grade, select grade level 10 here. Schl: A schl may be assigned t the student s test recrd indicating the schl at which the test was taken. Fr example, if the test was taken at Anytwn High Schl, select it frm the list. Nte: Schls must first be created under Schl/District Schl. 9. Chse Assign. The recrds will be added t the students. T verify, g t Students Student Maintenance. Search fr and select t View the student. Select the Standardized Tests link frm the Manage menu n the left. Nte: Duplicates will nt be assigned where Standardized Test, Date, Grade Level and Schl are the same as an existing student standardized test recrd. When duplicate recrds are encuntered during the assignment prcedure, the student will be skipped. By Student T assign a test t a single student, perfrm the fllwing steps: 1. G t Students Student Maintenance. 2. Search fr and select t View a student. 3. Select Standardized Tests under the Manage menu n the left. Existing tests will display. 4. T insert a new recrd, chse Add. 5. Select the test t be assigned t the student by selecting the name f the test that appears as a blue link r by bulleting the test and chsing Next. 6. Name, Display Text and Descriptin will display and may nt be edited. Cmplete the fields. Required fields are indicated with an asterisk (*). Date: Enter the date the student tk the test r use the ellipsis buttn t select the date frm a calendar view. Grade Level: Select the grade level f the student at the time the test was taken. Schl: Chse Find t search fr the schl at which the student tk the test. Schls must first be created under Schl/District Schl befre it may be selected here. Display n Transcript: Check if this test is t appear n this individual student s transcript. Imprt Student Test Scres Create the Imprt Layut T imprt student state-assigned ID numbers, the imprt layut must be created. G t Utilities File Imprts. Select the Tests tab. Nte: A delimited, fixed width r XML file must be btained frm the testing facility. The district must als btain the layut fr the file in rder t create the imprt layut in InfrmatinNOW. The file must cntain a unique student identifier that crrespnds with ne f fur student numbers in InfrmatinNOW (Alternate, SSN, State ID Number r the system-assigned Student Number). During the imprt, the recrds will be matched t the student based n ne f these numbers. All Standardized Tests that have been entered under System Preferences Setup will display. File Type: Select the type f the file that was received frm the testing facility that cntains the student scres t be imprted (Delimited, Fixed, XML). Based n the type f file selected, varius fields will becme active thrughut the screen. Delimited: Delimited indicates a file that cntains ne rw per student. The data elements within the rw have been separated by a delimiter such as a cmma r cln. Sample Cmma-Delimited File: Ntice each field is separated by a cmma. If Delimited is selected, use the Clumn Index clumn in the layut sectin f the screen t enter the clumn r field # that cntains the data t be imprted. Fixed: Fixed indicates a file that cntains fields that are a specified width. The data elements within the rw are typically nt separated by a delimiter such as a cmma r cln. Sample Fixed Width File: Ntice hw there is n delimiter between each field. Each field has the same starting psitin (i.e., 90, 93, 90 and 81 all line up directly in the same clumn). If Fixed Width is selected, use the Start Psitin and Length fields t indicate the starting psitin and the length f each field that cntains data that is t be imprted. XML: XML indicates a file that cntains fields that are dented with XML tags. Sample XML File: Ntice hw each field is surrunded by an identifying tag (ex. <<SNUM>>) If XML is selected, use the XML tag clumn t indicate the tag surrunding the data t be imprted. It is nt necessary t enter the << r >> characters. Only the name f the field (ex. SNUM) needs t be entered in the fields prvided. Delimiter: If the file type t be imprted is delimited, enter the field delimiter in the field prvided (ex. a cmma(,) r a semi-cln (;)). *Student Identifier: Select the student ID number in InfrmatinNOW that is t be used t match up student recrds frm the file t be imprted. Select Alternate Student Number, Scial Security Number, State ID Number r Student Number. Overwrite Existing: Check if the imprt file was previusly imprted and user is re-imprting the file and wishes t verwrite any existing test result recrds fr the selected test. Header Recrd: Check if the file being imprted cntains a header rw. If checked, the header rw will be ignred during the imprt prcess. This setting will be ignred if imprting a file type f XML. Test Date: If the imprt file cntains the date f the test and it is t be imprted, select the type f date. Fr example, if the imprt file date t be imprted is in MM/DD/YYYY frmat, select Standard. If the date within the imprt file is in a separated frmat where the date is brken dwn int multiple fields separated by a cmma, select Separated. If the test date is nt in the imprt file, select Nt In File and enter the test date in the field prvided. Assign t Currently Enrlled Schl: If selected, the schl in which the student is currently enrlled will be assigned t the Schl field n the test recrd as it is created during imprt. If the student is enrlled in multiple schls, the schl with the mst current enrllment date will be assigned. Grade Level: Layut Current Grade Level: If selected, the student s current grade level n their Main tab will be will be assigned t the test recrd when created. Grade Level Attached T Test: If selected, the grade level assigned t the test will be assigned t the student when the test recrd is created. T see the grade level assigned t the test, g t System Preferences Setup. Select Standardized Tests frm the drp list and chse Refresh. Select t View the test t view the Grade Level assigned t the test. This is the grade level that will be assigned t the test recrd that is created fr the student during the imprt. In File: If selected, the grade level frm the imprt file itself will be assigned t the student test recrd. Select In File and then use the Grade Level fields belw t indicate Clumn (delimited), Starting Psitin and Length (fixed) r XML tag (XML) based n the type f file being imprted (delimited, fixed r XML). Student Identifier: Defines the lcatin f the student number n which the recrds are t be matched during the imprt prcess. If the file type is Delimited, enter the Clumn Index at which the student identifier is lcated. If the file type is Fixed, enter the Start Psitin and the Length f the student identifier. If the file type is XML, enter the XML tag used t categrize the student identifier (ex. <<STUNUM>>). Recrd Type Identifier: If the imprt file cntains multiple tests and users wish t nly imprt results fr ne specific test, criteria may be entered t clarify the single test t be imprted. Fr example, if the file cntains multiple tests but the schl nly wishes t imprt the Language scres, users may enter the identifier within the imprt file that identifies the lcatin f Language scres. All ther test scres wuld be ignred. If the file type is Delimited, enter the Clumn Index at which the test identifier is lcated and enter the Recrd Type Identifier in the field prvided. Fr example, if clumn 4 has the wrd Language, indicating that this rw is the student s language test results, enter a 4 in the Clumn Index field. Enter the wrd Language in the Recrd Type Identifier field. This indicates that if the clumn 4 has the wrd Language, the recrd is t be imprted. All ther recrds will be ignred. Select OK. Test Date: If the file type is Fixed, enter the Start Psitin and the Length f the test identifier and enter the Recrd Type Identifier. Fr example, if the field lcated at starting psitin 44 and length f 15 has the wrd Language, indicating that this rw is the student s language test results, enter a 44 in the starting psitin and enter a length f 15. Enter the wrd Language in the Recrd Type Identifier field. This indicates that if psitin 44 has the wrd Language, the recrd is t be imprted. All ther recrds will be ignred. If the file type is XML, enter the XML tag used t identify the type f test and enter the Recrd Type Indicatr. Fr example, if recrds with the XML tag f <<Categry>>Language are t be imprted, enter the XML tag f <<Categry>> and enter the Recrd Type Identifier f Language. This indicates that any recrd with the XML tag f <<Categry>> that cntains the wrd Language is t be imprted. All ther recrds will be ignred. Standard: Enter the lcatin f the Standard Date. Only enabled when Test Date f Standard is selected. Mnth: Enter the lcatin f the mnth prtin f the date in the imprt file. Only enabled when Test Date f Separated is selected. Day: Enter the lcatin f the day prtin f the date in the imprt file. Only enabled when Test Date f Separated is selected. Year: Enter the lcatin f the year prtin f the date in the imprt file. Only enabled when Test Date f Separated is selected. Scres: A list f all the cmpnents (Ex. Math, Science) and scre types (Ex. Cmpsite, Mean) fr the standardized test displays. Cmpnents and Scre Types are set up when the test is created under System Preferences Setup Standardized Tests n the Test Cmpnent and Scre Type tabs. The set up f the test layut is nw cmplete. Place a check next t each cmpnent and scre type t be imprted. At least ne scre must be selected. Based n the file type selected, enter the Clumn Index (Delimited), Start Psitin/Length (Fixed) r XML tag (XML) t indicate the lcatin within the imprt file fr the data t be imprted. Requirement Minimum: If a student scre is t be marked as Meets Requirement based n criteria within the imprt file, enter the minimum the student must receive in rder t be marked as Meets Requirement. Fr example, if the student must receive a Math Cmpsite scre f 80 r higher t meet the requirements enter an 80 in the Requirement Minimum field next t Math Cmpsite and select Numeric under the Requirements Minimum ptin t the right f the field. Any students with a math cmpsite scre f 80 r higher will be marked as Meets Requirement fr the math cmpsite scre. If the imprt file cntains the wrd PASS t indicate that the student met the requirements, enter PASS in the Requirement Minimum field next t Math Cmpsite and select Text under the Requirements Minimum ptin t the right f the field. Any students with a math cmpsite scre f PASS will be marked as Meets Requirement. Imprting Scres frm a File T imprt an electrnic test results file fr a standardized test, perfrm the fllwing steps: 1. 3. Select a Test t be imprted. Only tests that were created under System Preferences Setup Standardized Tests will display. 4. Select Imprt. The fllwing cnditins will cause a scre t fail t imprt: If the student has an existing recrd fr the selected test and date and Overwrite Existing is nt selected, a message will display indicating There is already a pre-existing scre fr this student. If the numeric requirements minimum is selected and the scre field is nt numeric, a message will display indicating The scre is nt numeric, cannt determine if scre meets requirement minimum. If the student identifier in the file des nt match an existing student recrd, a message will display indicating The student identifier des nt match an existing student. If a required field (student identifier, test date, scre) is missing frm imprt recrd, a message will display indicating A required field is missing frm the imprt recrd. 5. Chse Print t print the page f results. 6. Chse Dne t return t the Test Imprt screen. Nte: The imprt file layut must first be created. See Create the Imprt Layut n page 7 fr mre details. Manually Entering Student Standardized Test Scres Scres may be manually entered fr a test fr a single student. T enter scres, perfrm the fllwing steps: 1. G t Students Student Maintenance. 2. Search fr and select t View a student. 3. Chse the Standardized Test link under the Manage menu n the left. 4. T insert a new test recrd fr the student, select Add. 5. Select the test by chsing the test name that appears as a blue link r by bulleting the test and selecting Next. 6. Cmplete the fields prvided. Required fields are indicated with an asterisk (*). *Date: Enter the date the student tk the test. Grade Level: Select the grade level f the student at the time the test was taken. Schl: Chse Find t search fr the schl at which the student tk the test. Schls must first be created under Schl/District Schl befre it may be selected here. 7. Select Create. 8. Select the Text Cmpnent(s) fr which scres are t be entered and chse View. This screen will vary depending n the test that was created under System Preferences Setup. 9. Cmplete the fields as needed. 10. If desired, check if the student Meets Requirements fr this cmpnent based n the scre received. 11. Chse OK. Standardized Test Reprt The standardized test reprt is available frm the fllwing menus: Reprts All Reprts Student Maintenance Reprts Student Maintenance Select t View a student Reprts menu n the left. Student Filter: Select the filter f students t be included n the reprt. If n filter is selected, all currently enrlled students will be included. Nte: The filter ptin is nt available when printing frm the individual student screens. Start/End Date: T nly include tests with a specific date, enter the date range in the Start and End fields. Test: T print fr nly a select test(s), select it frm the list r select t print fr All. Cmpnents: T print fr nly a select cmpnent(s), select it frm the list f select t print fr All. Meets Requirements: Select t include students wh have met the requirements (Yes), have nt met requirements (N) r all (Bth). ID T Print: Select t include Alternate Student Number, Scial Security Number, State Student ID r Student Number. Grup By: Select t grup the reprt by Display Name, Grade Level, Hmerm, ID Selected, Test r Date (Ascending).
