Kewill Customs > Overview of Getting Started Overview of Getting Started Overview Before accessing the Kewill Customs application you must have a valid username and password. Usernames and encrypted passwords are set up in Dashboard. Kewill Customs > Overview of Getting Started > Navigation Kewill Customs Navigation Kewill Customs Navigation Overview From the opening page, the Kewill Customs application can be accessed by using the drop-down menus from the Toolbar at the top of the page or by clicking on one of the icons. Opening Page Icons Icon Name Description Refresh Click on the Refresh icon to reload the page. Key Accelerator: <Ctrl R> or the F5 key Previous page This icon becomes activated (darkens to yellow) when you have gone beyond the Header page on a new shipment. It allows you to return to the previous page. Note: Rather than clicking the icon, you have the option of using the keyboard shortcut of <Ctrl+Left Arrow>. Next page This icon becomes activated (darkens to yellow) when you open a new shipment. It allows you to move on to the next page. Note: Rather than clicking the icon, you have the option of using the keyboard shortcut of <Ctrl+Right Arrow>. New Shipment Click this icon to open a new Shipment Header page. From this menu, you may select New Shipment or New In Bond. If you select New In Bond, the In-Bond pages will display instead of the usual New Shipment pages. Key Accelerator: <Ctrl N> KC-5

New In-Bond Shipment Find Shipment Click this icon to open a new In-Bond Shipment. If you select New In Bond, the In-Bond pages will display instead of the usual New Shipment pages. Click on this icon to open the Select a Shipment page to locate an existing file. Key Accelerator: <Ctrl F> Save Shipment Once a shipment is open, click on this icon to save the shipment data. Key Accelerator: <Ctrl S> New Using EDI Find AII Validate Shipment Duty Calc View Customer Click on the New Using EDI icon to open the Find EDI pop-up window. This allows you to load shipment information from EDI data. Click on the Find AII icon to locate an AII invoice header. When you click on this icon the AII Invoice Header Find pop-up window displays. Once a shipment is open, click on this Validate Shipment icon to validate the shipment data. Click the Duty Calc icon to begin the Duty Calc process. Once a shipment is open, click on this icon to view the Customer Table summary page. No changes can be made to the customer data. For more detail, click on the Cust Maint button. KC-6

Warning/Status Icons Status/Warning icons / Field Color Name Red X Description The Red-X icon indicates an error. If you get this icon, you cannot save the shipment file until it is fixed. Example: Invalid customer warning Yellow Triangle Tip: Hover the cursor over the icon to get a text message about the error. The Yellow Triangle indicates a warning. Although the error may need to be fixed, you can save the shipment data. Tip: Hover the cursor over the icon to get a text message about the warning. Orange Orange Field Color If the field filled with a solid Orange color, it ia a Warning. Red Field Color If the field is filled with a Red color, it is a Fatal error. KC-7

Opening Page Drop-Down Menus Opening Page Menus Menu Name Description File Menu Edit Menu From the File Menu, you can do the following: Save New Shipment New In-Bond Shipment New using EDI Find Shipment Find AII Find Billing Edit User Profile Preferences Exit Click on open files (listed) From the Edit Menu, you can do the following: Refresh page Move to Previous page Move to Next page KC-8

ABI Menu From the ABI Menu, you can do any of the 38 queries by selecting the query from the menu. A query pop-up screen will display for you to input the query data. Tracing Menu From the Tracing Menu, you can do the following: ISF Status Inquiry Update Dates and Notes POD Entry Prior Notice Inquiry Open Census Warnings Open Document Requests Maintenance Menu From the Maintenance Menu, you can do the following: Import Menu Reference Menu (includes Billing, OGA, Import, System, and ISF submenus) System Menu Tools Menu From the Tools Menu, you can do the following: Report Selection Validate a Shipment Perform Duty Calculation or recalculation. Keystroke Accelerators Keystroke Name Description <Ctrl R> or F5 key Refresh Click the combination of the Control key and the R key or click the F5 key to reload the page. <Ctrl+Left Arrow> Previous page or Next Tab Click the combination of the Control key and the Left Arrow key to return to the previous page or to the previous tab. <Ctrl+Right Arrow> Next page or Next Tab Click the combination of the Control key and the Right Arrow key to move on to the next page or to the next tab. <Ctrl N> New Shipment Click the combination of the Control key and the N key to open a new Shipment Header page. <Ctrl F> Find Shipment Click the combination of the Control key and the F key to open the Select a Shipment page to locate an existing file. <Ctrl+Shift+V> Validates Shipment Click on the combination of the Control key, Shift key and the V key to validate the current shipment selected. <Ctrl S> Save Shipment Once a shipment is open, click the combination of the Control key and the S key to save the shipment data. <Ctrl+Shift+S> Saves all open Tabs Click on the combination of the Control key, Shift key and the S key to save all open Tabs. <Ctrl W> Closes the current Tab Click on the combination of the Control key and the W key to exit the current Tab without saving changes. <Ctrl+Shift+W> Closes all open Tabs Click on the combination of the Control key, Shift key and the W key to exit all open Tabs without saving the changes. <Ctrl E> Quick Switch Editor Click on the combination of the Control key and the E key and the Quick Switch Editor will display allowing you to select which Tab you want to navigate to. An example of the Quick Switch Editor: <Ctrl+Shift+E> Opens the Switch to Editor Screen Click on the combination of the Control key, Shift key and the E key and the Switch to Editor screen will display allowing you to select which Tab you want to navigate to. An example of the Switch to Editor: <Ctrl F6> Switches between open Tabs Click on the combination of the Control key and the F6 key to switch between Tabs. <Ctrl F7> Switches Views Click on the combination of the Control key and the F7 key to switch views from the Tab to the Shipment Menu. <Ctrl M> Maximize Shipment Menu Click on the combination of the Control key and the M key to minimize and maximize the Shipment Menu. <Ctrl Q> Quit Kewill Customs Once a shipment is open, click the combination of the Control key and the Q key to quit the Kewill Customs application. No changes will be saved. KC-12

<Shift + Tab> Go back one field Click the combination of the Shift key and the Tab key to go back one field. <Space Bar> Activate field Remove info from a field Start a new line Space Bar does different things in different places: Activates a field Click the Space Bar key to activate the field that is highlighted (a dark outline around the box or dots around the box). Remove info Click the Space Bar key to remove info from some fields, Start New line In a popup box, the Invoice tab, the Delivery tab, click the Space Bar key to start a new line (ex. A new line for a CREF. Note: this function doesn t work in Notes or Billing unless you tab to the + ) <Up Arrow> Default today s date In any date field, if you click the Up Arrow key, it will default today s date. KC-13

Table Keystroke Accelerators How to use Table Accelerators Table Accelerators are based on the placement of the table on the screen. If the Tables are vertical, the first table will be highest on the screen. If the Tables are horizontal, the first table will be on the left. Keystroke Action Description <Ctrl 1> Add line to first table Click this combination of keys to add a line to the first table on the screen. <Ctrl Shift 1> Delete line from first table Click this combination of keys to delete current line from the first table on the screen. <Ctrl 2> Add line to second table Click this combination of keys to add a line to the second table on the screen. <Ctrl Shift 2> Delete line from second table Click this combination of keys to delete current line from the second table on the screen. <Ctrl 3> Add line to third table Click this combination of keys to add a line to the third table on the screen. <Ctrl Shift 3> Delete line from third table Click this combination of keys to delete current line from the third table on the screen. <Ctrl 4> Add line to fourth table Click this combination of keys to add a line to the fourth table on the screen. <Ctrl Shift 4> Delete line from fourth table Click this combination of keys to delete current line from the fourth table on the screen. <Ctrl 5> Add line to fifth table Click this combination of keys to add a line to the fifth table on the screen. <Ctrl Shift 5> Delete line from fifth table Click this combination of keys to delete current line from the fifth table on the screen. Accessing Help Documentation Available Help Documentation Help is available by accessing user documentation in one of the following ways: 1. From the Help Menu: At the top of the Kewill Customs application, select Help Contents. This will open the User Documentation website. 2. Using the F1 Key: From within a field, press your F1 key. This will take you to the field detail on the particular screen that you are accessing. From the Help Menu: Step Action Description 1 Go to the Help Menu at the top of the Kewill Customs application screen and select Help Contents from the menu. When you select Help Contents, the User Documentation website will open. KC-15

Kewill Customs Online Documentation Website: User Documentation All the current user documentation can be found on the website. Scroll down to the section of interest and click on the link to view the documentation. Step Action Description 2 Click the Close Window icon in the corner of the screen to close the documentation window. KC-16

Using the F1 Key: Using F1 Help Key The steps below explain how to use the F1 Key on your keyboard to access the online user documentation for the Kewill Customs application. Header Screen: Step Action Description 1 From within any field on a screen, click the F1 key on your keyboard. When you press the F1 key from a field, a window will open with the documentation pertaining to the screen you are on. KC-17

Help Documentation Website: Step Action Description 2 Scroll down to the field in question to read the help documentation for the field. KC-18

Field Level Detail in User Documentation: Fiedl Level User Documentation The field level detail is in the order of the fields as they are laid out on the screen. There are three (3) pieces of information about each field: 1. Field - Name of the Field. 2. Data Entry What data is expected to be entered or action required. 3. Description or Comment Any additional information about the field or how to use. Where a procedure is involved, a table of steps will describe what needs to be done (e.g., Step number, Action required, and a Description or Comment). Step Action Description 3 Click the Close Window icon in the upper right corner of the screen to close the documentation window. KC-19

Kewill Customs > Overview of Getting Started > Logging In How to Log In Overview To access the Kewill Customs application you must log in with a valid username and password. Usernames and encrypted passwords are set up in Dashboard. Procedures The table below describes how to log into the Kewill Customs application. Step Action Comment 1 Double-click on the KCustoms icon from the desktop. The Kewill Customs splash screen will display as the application loads. Next, the welcome to Kewill Customs login window will display. Kewill Application Splash: KC-20

Welcome to Kewill Customs Login pop-up window: Login window The username and password entered on this page must be valid. Click on the Remember username and password box if you would like the application to remember and default your username and password when you open the application. Step Action Comment 2 Enter your username and password. The username and password must be valid. Note: For information on resetting your password, see the Resetting Your Password section. 3 Click on the OK enter the application. button to The opening page will display. KC-21

Kewill Customs > Overview of Getting Started > Resetting Your Password How to Reset Your Password Resetting Password Overview To log in to Kewill Customs, you must have a valid username and password. Usernames and encrypted passwords are set up in Dashboard. The password is updated into the User Profile Maintenance. Tip: Periodically, reset your password in order to increase the security of the system. Procedures The table below describes how to reset your password in the Kewill Customs application. KC-23

Step Action Comment 1 Go to your User Profile in Edit User Profile Maintenance. Select Edit User Profile from the File Menu. The Edit User Profile screen will display. Edit User Profile: KC-24

Step Action Comment 2 Enter the new password in the Change Password field. 3 Enter the new password again in the Verify Password field. To confirm your new password you must re-enter it in the Verify Password field. 4 Click the OK button to save the data. Login pop-up window: Login window After you have changed the password in the Edit User Profile, the login popup will display with your username and will wait for you to enter your password. When it recognizes it as a new password, it will ask you to reconfirm the new password. Step Action Comment 5 Enter your username and your new password. Then click OK. 6 Re-enter the new password. Then click OK. After you click OK, the application will ask you to reconfirm your new password. The application will open and you have successfully reset your password. KC-25

Kewill Customs > Overview of Getting Started > Logging Out How to Log Out Overview To access the Kewill Customs application you must log in with a valid username and password. Usernames and encrypted passwords are set up in Dashboard. To log out you must exit the application. Procedures The table below describes how to log out of the Kewill Customs application. Step Action Comment 5 There are three ways to leave the application: 1. Click on the Exit icon in the upper right corner of the application page. 2. Select Exit from the File Menu at the top of the page 3. Press CTRL+Q. 6 If a shipment is open and you have not saved it, a dialog box will display asking if you would like to save your work. If no shipment is open, or if the shipment has already been saved, the application will close. KC-27

Kewill Customs > Overview of Getting Started > Copying User Classes How to Copies User Classes Overview Once you have built the first User Class, you can copy the User Class record to create the other User Class ID s. This will speed up the process of building your User Classes. Procedures The table below describes how to copy from one User Class to another in the Kewill Customs application. Step Action Comment 7 Select Copy User Class from the Tools Menu. When you select Copy User Class, the Copy User Class pop-up window will display. KC-28

Copy User Class pop-up window: Step Action Comment 1 To copy a User Class, enter the User Class ID in the Copy from User Class field, or you can do a lookup to the table by clicking on the Info icon. The User Class ID must be a valid User Class. 2 In the Copy to User Class field, enter the new User Class ID. 3 In the Name field enter the name of the new User Class. 4 Click on the checkboxes of the options you would like to set up: Copy Menus Copy Printers Copy Forms Copy Security Copy Preferences 5 When you are ready, click the OK button. This description will display whenever the User Class ID is entered. You have the option of copying none, some or all of the settings from the original User Class. This includes the menus, printers, forms, security settings, and preferences. When you click on OK, the new User Class will be created. 6 Go to User Class Maintenance to review the settings for the new User Class and modify any settings that are different from the original User Class or are missing. KC-29

Kewill Customs > Overview of Getting Started > Changing User Classes How to Change User Classes Overview Once you have logged on to the Kewill Customs application, you can change the user class, by clicking the File Menu and selecting Change User Class. Note: You can only change to alternate user classes that your User Profile is set up to access. This is a security feature of the Kewill applications. Procedures The table below describes how to change from one user class to another in the Kewill Customs application. Step Action Comment 7 Select Change User Class from the Tools Menu. When you select Change User Class, the Change User Class pop-up window will display. KC-30

Change User Class pop-up window: Step Action Comment 8 To change the user class, highlight the new user class on the grid and click the Change User Class button. When you click on the button, the application will change to the new user class. Note: You may only change to a valid alternate user class set up in your User Profile. KC-31

Kewill Customs > Getting Started > Edit User Profile Edit User Profile Edit User Profile Page Overview The Edit User Profile page is accessed from the File menu. It allows users to make changes to their own login information and to periodically change their password for security purposes. Procedures The table below describes the fields on the Edit User Profile pop-up. KC-32

Field Name Data Entry Comment Login ID Enter the login ID. This login ID will be used when logging into the application. Change Password Enter the password. This is the password that will be used when logging into the application. Note: The Password is case sensitive. Verify Password Re-enter the password. This field is to confirm the password. User Name Enter the user name. This is the user name associated with this user profile. Profile User Name Enter the full profile user name. Address & Phone Enter the address and phone number associated with the user profile. Address City OK button Click on the OK button to save the changes made and close the screen. State Zip Country Code Phone Number, and extension When you click on the OK button, any changes made will be saved and the popup will close. KC-33

Kewill Customs > Getting Started > How to Use Tracing Mode How to Use Tracing Mode Using the Tracing Mode Overview The Tracing Mode allows you to open a file in read-only mode. No editing can be done to the shipment file while in Tracing mode. Note: If a shipment file is already open, and you try to open it in Tracing mode, the application will naviagate to the opened Shipment tab. If the file number specified is for a shipment that is already open but open in Edit mode, then an informational message will display indicating that the shipment file is already opened in Edit mode and cannot be opened in Tracing mode. KC-34

File Menu The Tracing Mode is opened from the File Menu by selecting Open Shipment in Tracing Mode from the menu: Procedures The table below describes how to open a shipment in Tracing Mode. Step Action Comment 1 Select the Open Shipmen in Tracing Mode option from the File drop-down menu. The Header tab page will display. Open Shipment in Tracing Mode pop-up: Step Action Comment 2 In the File No field, enter the shipment file number. KC-35

Step Action Comment 3 Click the Open continue button to The shipment file will open unless it is either an invalid file number or the shipment file is already open. If the file is already open in Edit mode, a dialog box will display and the application will navigate to the open Shipment tab. Header page in Tracing Mode: Tracing Mode Note that the shipment file opens in read-only mode with all the fields greyedout. No editing can be done to any of the data fields for the shipment. Step Action Comment 4 To leave Tracing Mode, just close the shipment file. KC-36
