With integrated custmizable dashbards f key prject infrmatin, SpiraTeam allws yu t take cntrl f yur entire prject lifecycle and synchrnize the hithert separate wrlds f develpment and testing. This guide utlines hw t migrate data t/frm ther tls int SpiraTeam. Fr infrmatin n integrating with ther bug/issue tracking systems, please refer t the separate SpiraTeam External Bug-Tracking Integratin Guide. Fr infrmatin n integrating SpiraTeam with third-party requirements management tls, please refer t the separate SpiraTeam Requirements Management Integratin Guide. This guide assumes that the reader is familiar with bth SpiraTeam and the apprpriate tl being discussed. Fr infrmatin regarding hw t use SpiraTeam, please refer t the SpiraTeam User Manual. 2 Imprting frm Micrsft Excel The web-based interface f SpiraTeam is ideal fr creating and managing requirements, test cases and incidents fr a new prject. Hwever when migrating requirements, test cases, test steps and incidents fr an existing prject frm anther system r Micrsft Office dcument (e.g. Excel), it is useful t be able t lad in a batch f artifacts, rather than having t manually enter them ne at a time. T simplify this task, SpiraTeam cmes with a Micrsft Excel Add-In that can exprt requirements, test cases, test steps and incidents frm a ppulated Excel sheet int SpiraTeam. In additin, the Add-In allws yu t imprt thse same artifacts back int the Excel sheet t make batch updates which can then be used t update the master cpies n the server. Nte that this guide refers t SpiraTeam, but the Excel Add-In can be used with SpiraTest and SpiraPlan as well. The nly difference is that sme f the artifact types may nt be available in SpiraPlan/Test. 2.1 Installing the Micrsft Excel Add-In The first thing yu need t d is t g t the Add-Ons and Dwnlads page f the Inflectra Website (it can be fund in the SpiraTest, SpiraPlan r SpiraTeam sectins), and dwnlad the MS-Office Add-Ins installatin package. There are separate packages fr the fllwing versins f MS Office: MS-Office 2003 Add-Ins these are cmpatible with Micrsft Office 2003 and 2007. They can cnnect t SpiraTeam v2.3 r later. They als require Micrsft.NET 3.5. MS-Office 2007 Add-Ins these are cmpatible with Micrsft Office 2007 and 2010. They can cnnect t SpiraTeam v3.0 r later. They als require Micrsft.NET 4.0. MS-Office 2010 Add-Ins these are cmpatible with Micrsft Office 2010 and later. They can cnnect t SpiraTeam v5.0 r later. They als require Micrsft.NET 4.0. This installatin package will install the add-ins fr Micrsft Excel, Wrd and Prject at the same time. If yu dn t have the crrect versin f Micrsft.NET installed r sme f the necessary prerequisites, yu will be given the pprtunity t install them when yu first run the installatin package. Once yu have the Excel Add-In installed, the secnd thing yu ll need t dwnlad is the SpiraImprtTemplate Excel Sheet. This spreadsheet cntains the necessary pre-frmatted clumns that are needed fr the Add-In t easily recgnize the data and knw hw t handle it. There are three versins f the template available - SpiraImprtTemplate.xls fr the Excel 2003 Add-In, SpiraImprtTemplate.xlsx fr the Excel 2007 Add-In and SpiraImprtTemplate2010.xslx fr the Excel 2010 Add-In. Once yu have dwnladed the template, please duble-click n it t pen it up in MS-Excel. Yu will ntice that there is an additinal tlbar displayed in Excel which is used fr imprting/exprting data t/frm SpiraTeam: If yu are using the MS-Excel 2007 r 2010 Add-In, yu will see a mdified versin f the tlbar that makes use f the MS-Office Ribbn: Page 2 f 59
This tlbar allws yu t cnnect t SpiraTeam, and perfrm the imprt/exprt. The prcess fr using this tlbar is described belw: 2.2 Cnnecting t SpiraTeam The first thing yu need t d is t click n the [Cnnect] buttn t specify the infrmatin used t cnnect t yur instance f SpiraTeam: Please enter the fllwing infrmatin int the dialg bx: Spira URL: Please enter the web address that yu use t access SpiraTeam in yur brwser. This is usually f the frm http://<hstname>/spirateam. Make sure that yu remve any suffixes frm the address (e.g. Default.aspx). User Name: Please enter the username that yu use fr lgging in t SpiraTeam Passwrd: Please enter the passwrd that yu use fr lgging in t SpiraTeam Remember Passwrd: If yu are using this Add-In n a private cmputer, yu can check this ptin t have the system remember yur credentials lcally. Please d nt use this ptin n a public cmputer and it will cmprmise the security f yur SpiraTeam installatin. Once yu have entered the necessary infrmatin, please click [Cnnect] t authenticate with the server. If the lgin infrmatin is invalid, yu will see an errr message appear, therwise yu will be cnnected and the list f prjects and artifacts will be ppulated. If yu want t end yur sessin, yu shuld just click the [Discnnect] buttn and the Add-In will clse yur cnnectin. 2.3 Chsing the Prject and Artifact Once yu have successfully cnnected t SpiraTeam, yu shuld nw chse the apprpriate Prject and Artifact in the system that yu will be imprting / exprting: Or Page 3 f 59
The artifact chice will match the name f the Excel sheet in the template, s if yu are ging t be imprting/exprting Requirements, yu shuld chse Requirements frm the drpdwn list and then click n the Requirements tab inside the Excel imprt template. Once yu have selected the prject and artifact, there are three buttns that yu can nw use: Imprt: Clicking this buttn will retrieve the data frm the SpiraTeam server and use that t ppulate the spreadsheet. Exprt: Clicking this buttn will take the data in the spreadsheet and use it t add/update items in SpiraTeam. Clear: This buttn allws yu t quickly clear the data in the imprt template while leaving all the necessary headings and ther infrmatin that the Add-In needs t be able t imprt/exprt data. Optins: (Only in MS-Excel 2007/2010 Add-Inx). This buttn allws yu t change sme f the imprt/exprt ptins. 2.4 Imprting / Exprting Data The Excel Add-In is capable f either imprting data frm SpiraTeam int the Excel template r exprting data frm the Excel template t SpiraTeam. Hwever it is imprtant t understand hw the system knws whether t add new items t SpiraTeam r whether t update existing items: If yu start with a blank imprt spreadsheet and enter items int it, they will nt have a value set n their ID clumn in the spreadsheet (this is always the first clumn in each sheet). When yu perfrm an Exprt, it will add these as new items in SpiraTeam If yu start with a blank imprt spreadsheet and chse t Imprt data frm SpiraTeam, thse rws will include the ID f the item in the first clumn f the spreadsheet. Yu can either update thse rws r add new rws in between. Any rws that have the ID clumn ppulated will be updated in SpiraTeam when yu chse Exprt, whereas any newly added rws will be inserted in SpiraTeam. 2.4.1 Imprting/Exprting Releases T imprt/exprt releases, first yu need t click n the Releases tab in the Excel sheet: Next if yu want t imprt the list f existing Releases frm SpiraTeam, yu shuld click n the [Clear] icn t first remve the sample infrmatin frm the spreadsheet, then click [Imprt] t lad the list f existing releases int the sheet. 2.5 Changing the Imprt/Exprt Optins In the MS-Excel 2007 and 2010 Add-Ins, yu can change hw the imprt/exprt wrks by clicking n the Optins icn. This brings up the Optins dialg bx: 2.5.1 Rich Text Setting When yu imprt artifacts frm SpiraTeam int MS-Excel, if they have a frmatted descriptin, by default all the HTML tags that are used t describe the frmatting will be laded int the Excel cell. This is useful if yu plan n making changes and then updating SpiraTeam (since it will preserve the frmatting). Hwever if yu want t be able t mre easily read the descriptins in Excel and d nt plan n updating SpiraTeam, yu can select the ptin t Remve the Frmatting, which will cnvert the descriptins t plain-text befre lading them int Excel. 2.5.2 Test Run Date Setting If yu set a date fr the Test Run Date, the imprter will use that date t be the date the test runs were executed n, rather than the current date/time, which is used by default. 3 Imprting frm Micrsft Excel (Office365) If yu are using Office365 in the clud (via a web brwser) r if yu are using Micrsft Office 2016+, yu can use the dedicated Office365 Micrsft Excel add-in. 3.1 Installatin T install the add-in, g t the insert tab in Excel. Click n Office Add-Ins and in the windw that pens navigate t the stre tab. Enter SpiraTeam Excel 365 Integratin int the search bar and search. When yu see the crrect add-in develped by Inflectra, click n the Add buttn assciated with it. Yu shuld nw see the SpiraTeam icn labeled Shw add-in in yur hme tab. Click n it t begin. 3.2 The Template Dwnlading and Applying: When yu first pen the add-in, yu shuld see the fllwing in yur welcme screen: Click n the Dwnlad Template buttn t begin the dwnlad. If yu are using Excel Online, yu will need t uplad the file t yur OneDrive. Yu can get t OneDrive quickly by clicking n the menu icn in the tp left crner f Excel Online and selecting OneDrive. Yu shuld nw see the fllwing in yur Excel Windw: At this pint please click n File and Save As. Create a new cpy f the template and name it after the prject yu plan n wrking n. Remember t d this befre making any changes t the template r lgging in t avid verwriting yur riginal template. Fr a full descriptin list f the template fields, please refer t the table in sectin 1.3.2. The nly differences are the (temprary) exclusin f the linked requirements and cmments fields, as well as the 30 CUS-01 style custm fields. This add-in will lad yur custm field names dynamically. T d this, yu must nw lg in. 3.3 Cnnecting t SpiraTeam Once the template is laded, click n the SpiraExcel add-in ribbn icn t shw the exprter and fill in the Page 19 f 59
fllwing fields: Yur Team s Spira Url: The web address that yu use t access SpiraTeam in yur brwser. This is usually in the frm https://<hstname>/spirateam.cm. Make sure t remve any suffixes frm the address (e.g. /Default/aspx). The url must be an https address, if yur url des nt begin with https:// it will nt wrk. Yur Username: The username that yu use fr lgging in t SpiraTeam Yur API key: The API key assciated with yur SpiraTeam accunt Yu will be ntified if there is an issue with yur url r the user infrmatin yu prvided. If yur lg in is successful, yu will see the fllwing screen where yu can select a SpiraTeam prject t lad infrmatin frm: Select a prject and an artifact t ppulate the fields in the template that have drp dwn lists assciated with them (e.g. users, releases, cmpnents, etc.) and ppulate the list f custm fields assciated with the prject. Yu are nw ready t begin creating requirements. 3.4 Creating Requirements After yu have selected yur prject and an artifact (currently nly requirements are available) Yu may start filling ut yur wrksheet. The ID # field shuld be left empty fr new requirements. If the field is nt empty the rw will be ignred. This is t avid affecting any existing requirements. Custm Fields: If yu have selected yur prject and artifact type, yu shuld see the custm fields assciated with yur prject in the custm fields sectin f the template (it will be empty if yur prject has n custm fields fr requirements). Yu must knw what data the custm field will accept. Fr a list f acceptable data types fr different fields, refer t the template field chart in sectin 1.3.2. Page 20 f 59
Indenting and Hierarchy: Indents are handled with a > symbl. The farther in a requirement needs t be indented, the mre > symbls are required. The first requirement will always be at the rt level. 3.5 Saving the Wrksheet and Lgging Out Make sure yu had previusly created a new file by selecting Save As s yu dn t verwrite yur template. Name the wrksheet the same as yur prject s it is easy t keep rganized. Excel will then either aut save any changes yu make r yu can save the wrksheet the same as any ther wrksheet in Excel. 4 Imprting frm Ggle Sheets The web-based interface f SpiraTeam is ideal fr creating and managing all aspects f yur prjects. Hwever when migrating requirements, release, tasks, and test cases with test steps fr an existing prject frm anther system, it is useful t be able t lad in a batch f artifacts, rather than having t manually enter them ne at a time. T simplify this task we ve created a Ggle sheets add-n fr SpiraTeam that can imprt requirements, releases, tasks, and test cases with test steps frm a generated spreadsheet int SpiraTeam. *This guide assumes yu have a Ggle accunt with access t Ggle Drive and persistent access t the internet. It als assumes yur instance f SpiraTeam (r SpiraTest, r SpiraPlan) is accessible ver the internet s that Ggle Sheets can send data t it. 4.1 Installing the SpiraTeam Ggle Sheets Integratin Add-n Like mst Ggle services installatin is very simple and straightfrward as lng as yu have a Ggle accunt. 1. Open a new spreadsheet, navigate t the add-n menu, and click the Get add-ns ptin. 2. Frm there the Add-n stre will launch, simply search fr SpiraTeam and yu will find the SpiraTeam Imprt Tl Add-n. 3. Click install and authrize the add-n t wrk with dcuments related t yur accunt. 4.2 Cnnecting t SpiraTeam Befre cnnecting t SpiraTeam with the add-n make sure that yu re wrking n the first tab in the spreadsheet. 1. Launch the add-n frm the add-n menu with the Start ptin. The add-n will launch int a windw dcked t the side f yur current spreadsheet. Page 23 f 59
2. When the add-n fully lads yu will be able t enter yur SpiraTeam lg in credentials. Spira URL : Please enter the web address that yu use t access SpiraTeam in yur brwser. If the lgin infrmatin is invalid, yu will see an errr message appear, therwise yu will be cnnected and the list f prjects and artifacts will be ppulated. 4.3 Chsing the prject and artifact Once yu have successfully cnnected t SpiraTeam, yu shuld nw chse the apprpriate Prject and Artifact in the system t which yu will be imprting int SpiraTeam. As yu make yur selectins mre buttns will be enabled. Please nte that there is currently n way t get data frm SpiraTeam: this is planned fr a future release. After the prject and artifact have been selected yu will be able t lad the apprpriate template nt the first sheet f yur Ggle Sheets wrkbk. 4.4 Lading yur Template The SpiraTeam Ggle Sheets Integratin add-n dynamically generates a template fr each artifact with the click f a buttn. After a valid prject and artifact have been selected the [ Lad ] buttn will be enabled. Click this buttn t generate the required template. **Warning: make sure all data is saved befre lading a template. Page 25 f 59
4.5 Filling in The Template The abve template is fr requirements. Fields which have list f values t select frm have drpdwns t make chsing the right values easy. Fr an artifact t be created successfully in SpiraTeam it has t have certain fields filled in. These required fields are highlighted in bld black text. Fr example, the abve screensht is fr requirements, where bth the Name and Type field are required. Different artifacts have different factrs t take accunt f when entering the data: Requirements: SpiraTeam allws a hierarchy f requirements (where each requirement can have children, wh can, in turn, have child requirements f their wn). T designate the hierarchy level f requirements, use the > character. Fr example: Parent Requirement > Child f Parent > Anther child f parent >> Child f Anther Child A secnd parent requirement Releases: are als hierarchical, and this is set n the sheet in the same way as requirements Test Cases with Test Steps: The screensht belw shws the basic template fr Test Cases. After the crrect/required fields have been entered, click the [ Send t SpiraTeam ] buttn t send yur data t SpiraTeam. Yu will see a ppup shwing verall prgress. When the artifact has been successfully created an ID number will be placed in the ID clumn. This is the ID straight frm SpiraTeam. If there are any errrs fr a particular rw (eg if required fields have nt all been filled in, r if there was sme ther prblem with the data r n the SpiraTeam server) that rw will be highlighted with a cmment in clumn A explain the prblem. MS-Office 2010 Add-Ins these are cmpatible with Micrsft Office 2010 and later. They can cnnect t SpiraTeam v5.0 r later. They als require Micrsft.NET 4.0. This installatin package will install the add-ins fr Micrsft Excel, Wrd and Prject at the same time. Hwever when migrating requirements and tasks frm an existing prject, it is useful t be able t lad in an existing prject plan in batch and have SpiraTeam be able t interpret the data. T simplify this task, SpiraTeam cmes with a Micrsft Prject Add-In that can exprt requirements, releases and tasks frm a ppulated MS-Prject plan int SpiraTeam. In additin, the Add-In allws yu t imprt thse same artifacts back int the MS-Prject plan t make batch updates which can then be used t update the master cpies n the server. Nte that this guide refers t SpiraTeam, but the MS-Prject Add-In can be used with SpiraPlan as well. 6.1 Installing the Micrsft Prject Add-In The first thing yu need t d is t g t the Add-Ons and Dwnlads page f the Inflectra Website (it can be fund in the SpiraPlan r SpiraTeam sectins), and dwnlad the MS-Office Add-Ins installatin package. There are separate packages fr the fllwing versins f MS Office: MS-Office 2003 Add-Ins these are cmpatible with Micrsft Office 2003 and 2007. They can cnnect t SpiraTeam v2.3 r later. They als require Micrsft.NET 3.5. MS-Office 2007 Add-Ins these are cmpatible with Micrsft Office 2007 and 2010. They can cnnect t SpiraTeam v3.0 r later. They als require Micrsft.NET 4.0. Clear: This buttn allws yu t quickly clear the data in the current Prject file s that yu can imprt a clean versin frm the server. 6.4 Imprting/Exprting Data The MS-Prject Add-In is capable f either imprting data frm SpiraTeam int the prject file r exprting data frm the prject file t SpiraTeam. Hwever it is imprtant t understand hw the system knws whether t add new items t SpiraTeam r whether t update existing items: If yu start with a blank MS-Prject file and enter tasks int it, they will nt have a value set n their Text1 custm field. When yu perfrm an Exprt, it will add these as new items in SpiraTeam If yu start with a blank imprt MS-Prject file and chse t Imprt data frm SpiraTeam, thse tasks imprted will include the ID f the item in SpiraTeam as their Text1 custm field. Yu can either update thse tasks r add new tasks in between. Any tasks that have the Text1 custm prperty ppulated will be updated in SpiraTeam when yu chse Exprt, whereas any newly added tasks will be inserted in SpiraTeam. 6.4.1 Imprting frm SpiraTeam The Add-In will imprt the tasks frm SpiraTeam int the MS-Prject file based n the fllwing rules: Any Releases/Iteratins in SpiraTeam will be added as zer-effrt (milestne) tasks in the MS-Prject plan. Any Requirements in SpiraTeam that have at least ne task under them, will be added as summary tasks in the MS-Prject plan. Their indentatin in the prject plan will match the requirements indentatin in SpiraTeam Any Tasks in SpiraTeam will be added as tasks in the MS-Prject plan. The tasks will be nested directly under their parent requirement s equivalent task in MS-Prject. Any Requirements in SpiraTeam that have n tasks under them, will be added as zer-effrt (milestne) tasks in the MS-Prject plan. Their indentatin in the prject plan will match the requirements indentatin in SpiraTeam 6.4.2 Exprting t SpiraTeam The Add-In will exprt the tasks in the MS-Prject file int SpiraTeam based n the fllwing rules: Any summary tasks r tp-level tasks in the MS-Prject file will be treated as Requirements when being exprted t SpiraTeam. Any nn-summary tasks that have zer-effrt (milestnes) that are nt riginally Releases/Iteratins will be treated as Requirements when being exprted t SpiraTeam. Any nn-summary tasks that are NOT at the tp-level will be treated as Tasks when being exprted t SpiraTeam. They will be attached t the requirement that is their parent task in MS-Prject. The exprt functin des nt update any f the Release/Iteratin items. They need t be updated in SpiraTeam. If yu want t prevent an MS-Prject Task frm being imprted int SpiraTeam simply set the value f its Text1 clumn t the text IGNORE (withut the qutes). Page 35 f 59
Be careful when yu indent/utdent a task in MS-Prject. If yu take a nn-summary item (which wuld be represented by a Task in SpiraTeam) and make it a summary item by adding child tasks, when yu next run Exprt, it will get added as a new Requirement in SpiraTeam, with the child tasks added as Tasks. It assumes that yu already have a wrking installatin f SpiraTest v3.0 r later. If yu have an earlier versin f SpiraTest yu will need t upgrade t at least v3.0 befre trying t migrate prjects. The Windws installatin package can be dwnladed frm the Add-Ons & Dwnlads sectin f the Inflectra website. Once yu have btained the Windws Installer package, simply duble-click n the package t begin the installatin wizard which shuld display the fllwing welcme page: Click the <Next> buttn, accept the sftware license, then click <Next> again t chse the flder t install the migratin tl t: Page 37 f 59
Chse the flder t install t, and then decide whether the applicatin shuld be accessible by all users n the wrkstatin r just the current user. Once yu have entered this infrmatin, click the <Authenticate> buttn and the list f pssible dmains and prjects will be ppulated. Select the QualityCenter dmain and prject that yu want t imprt frm and click the <Lgin> buttn: Assuming that the user name selected has permissin t access this prject, yu will be prmpted with a message bx indicating that the lgin was successful. Nw chse the types f artifact yu want t imprt and then click the <Next> buttn t mve t the next page in the imprt wizard: Page 38 f 59

Yu shuld nw lg int SpiraTest using the same user name and passwrd that was used fr the imprt t view the imprted prject. 8 Prject Backup and Migratin This applicatin allws an entire prject t be exprted t a backup file, fr archiving and ffline strage f SpiraTeam prjects. The base minimum SpiraTeam versin required is 3.2 (014), and there is sme data that is nt backed up, see the sectin 5.5 fr details. Als there are separate versins f the backup and migratin tl fr SpiraTeam v3.2, v4.x and v5.x, and yu need t use the apprpriate versin that matches yur installatins. The migratin tl des nt supprt upgrading versins, i.e. yu need t have the same versin f SpiraTeam fr bth the imprt and exprt phase. If yu have tw different versins f SpiraTeam, yu must first upgrade the lder installatin t the same versin as the newer ne. 8.1 Main Screen When running the applicatin, yu will see the main screen, which gives yu three main ptins: Exprt, Imprt, and Transfer: 8.2 Prject Exprt Clicking the Exprt buttn will start the Exprt wizard, allwing yu t save the prject t a file. On the first screen, enter in the SpiraTeam server URL, and the administratr accunt passwrd. The administratr accunt must be used, s make sure that it is an active accunt (Active: Yes) in the applicatin. When clicking the Next buttn, it will verify the server and lgin infrmatin. The secnd screen gives yu the selectin f the prject t exprt. Select the prject, and then click the Next buttn. On the third screen, select the lcatin and name f the file yu wish t exprt the prject t. If the file already exists, it will be verwritten. The next screen is the verificatin screen make sure yu wish t start the exprt, and then click the Next buttn. Once started, yu cannt cancel r change any ptins. T change an ptin, click the Back buttn at any time befre starting the prcess t g back a screen. Page 42 f 59
Once finished, yur utput file will be created. Yu can stre and backup the file as yu need. 8.3 Prject Imprt T imprt a prject file int a new prject in SpiraTeam, select the Imprt buttn n the main screen. This will start the Imprt wizard: On the first screen, enter in the SpiraTeam server URL, and the administratr accunt passwrd. The administratr accunt must be used, s make sure that it is an active accunt (Active: Yes) in the applicatin. When clicking the Next buttn, it will verify the server and lgin infrmatin. Page 43 f 59
The secnd screen allws yu t enter in a name fr the prject created. Yu can enter in the name f an existing prject, but a new prject by that name will be created it will nt imprt the prject int an existing prject. The third screen is nly present n the SpiraTeam v4.0 versin f the migratin tl. This is because the SpiraTeam 4.0 API requires that new user s be created with passwrds f specific strength. Any user in the prject file that is nt present in the destinatin system will be created with the passwrd that yu specify: Yu shuld enter a passwrd, click the Test buttn t make sure it will be accepted by SpiraTeam, and then click the Next buttn. The furth screen will let yu select the PRJ Prject file. Select the file by clicking n the flder buttn, and the applicatin will verify the integrity f the file befre perfrming the imprt: The last screen will let yu verify yur settings befre starting the imprt. If any errr ccurs during imprt, it s nt recmmended t use the prject created in the applicatin, althugh yu can lg in and view the data that was imprted. 8.4 Prject Transfer Selecting the Transfer buttn will start the transfer wizard, which cntains screens frm bth the Imprt and Exprt wizards, abve. The first tw screens will let yu select the SpiraTeam applicatin t pull the prject frm, fllwing the same infrmatin as the first tw screens in the Exprt wizard. The next three screens will ask fr the new SpiraTeam applicatin t create the prject in and the default passwrd fr any new users that need t be created. These three screens fllw the first three screens f the Imprt wizard, abve.
