EntraPass WebStation Reference Manual Overview Introduction The new EntraPass WebStation allows the operator to login to the remote EntraPass Server and administer all the cards. The operator can add, delete or modify a card. System Architecture Description The EntraPass WebStation is a simplified access to the EntraPass application that doesn t require the user to be directly at the EntraPass workstation to add, modify or delete cards. When logging into the EntraPass WebStation, the end user will be able to see and perform card operations, modifying, searching cards and selecting available access profiles. User login will determine which features are accessible. This is the same approach used with the EntraPass workstation user profiles, where the functions, sites, card, and other parts of the system available to the end user are specified by the user profile when created by the administrator. 2

Card Management Security Minimum Requirements EntraPass WebStation Reference Manual The Card Management page allows you to easily manage the EntraPass cardholder database remotely. Here are the tasks that can be performed on the Card Management page: Define and issue cards as well as perform card-related tasks (find, modify or delete existing cards), Import pictures into cards. Security between the EntraPass WebStation and the EntraPass Server will be handled in the same manner as any other connection. Security at the EntraPass WebStation level is handled by the configuration of the Microsoft IIS Server. It is up to the administrator to decide on usage and restrictions related to IIS encryption and/or SSL Certification. Task List Table 1 lists the procedures required for the installation of the EntraPass WebStation. 1- Registering the WebStation at the EntraPass Server 1. From the EntraPass Server, go to Connection > System Registration. 2. Take note of the SmartLink installation code. It will be required in Procedure 3 on page 7 for the SmartLink installation. Note: If there is no Installation Code listed for SmartLink, refer to the corresponding EntraPass Reference Manual. 3. Click on the WebStation component. 4. Click on the button: Click here to install components. 5. Enter the Option serial number written on the certificate. 6. Contact Kantech Technical Support to obtain the Registration confirmation code for the option you want to register with the system. The OK button is enabled only when you have entered both numbers. 7. Click OK. 5

2- Adjusting the Connection Timeout for the EntraPass WebStation at the EntraPass Workstation 1. From the EntraPass workstation, go to Devices > EntraPass Application. 2. Select the SmartLink application and go to the SmartLink WebStation tab. Note: The SmartLink WebStation tab will only display if the WebStation system component has already been registered at the EntraPass Server, see Procedure 1 on page 5. 3. Choose the connection timeout on idle (mm:ss) of the EntraPass WebStation. This is the amount of time that will we allowed to the operator to add or update a card through the EntraPass WebStation. The time range value is between 00:30 to 20:00 minutes. When the connection timeout on idle has expired, you must log back in. 4. Click on the floppy icon to save. 5. Click Close. 6

3- Installing the SmartLink and the EntraPass WebStation Installing the SmartLink 1. Quit all programs on the computer. 2. Insert the EntraPass CD-ROM in the CD drive. Double-click on the Setup icon. 3. The Welcome window displays. Click Next. 4. Choose the setup language and click OK. Note: The Choose Setup Language will not display if you are installing the SmartLink on a computer where EntraPass has previously been installed. 5. Select Install EntraPass system components. 6. Select SmartLink and click Next. 7

3- Installing the SmartLink and the EntraPass WebStation (continued) 7. Enter the SmartLink Installation code from the EntraPass Server System Registration and click Next. 8. Read and accept the terms of the license agreement. 8

Click Yes to start the installation of the EntraPass WebStation. Note: The Microsoft Internet Information Services (IIS) 5.0 or higher and.net Framework 2.0 are required and should have been already installed. The installation program will detect if they are missing or below minimum requirements. If you get a warning message indicating that the Windows Web Server is missing or is below minimum requirements the Welcome to the InstallShield Wizard for the Entra- Pass WebStation window then go to Step 16. Step 25. 16. When the Microsoft Internet Information Services (IIS) 5.0 or higher is not installed, a warning message displays. Contact your network administrator for assistance. Note: The Windows CD-ROM is required to install Microsoft Internet Information Services (IIS) 5.0 or higher. 17. When the.net Framework 2.0 is not installed, a warning message displays. if you click Yes, the program should start downloading the.net Framework 2.0 program to your computer. The amount of time can vary depending of your network connection and the installation will take several minutes. Contact your network administrator for assistance. 11

3- Installing the SmartLink and the EntraPass WebStation (continued) 18. At the end of the.net Framework 2.0 installation, it is highly recommended that you download and install the latest service packs and high priority updates concerning.net Framework as recommended by Microsoft. 12

3- Installing the SmartLink and the EntraPass WebStation (continued) 19. Check the option: Install SmartLink as NT/2000/XP/2003 service. 20. Click Next to complete the SmartLink installation. 21. You will be asked if you want to install another application. Click No. 22. At this step, you should be restarting the computer but if you must install Microsoft Internet Information Services (IIS) 5.0 or higher and/or.net Framework 2.0, please proceed and then restart the computer. 23. Repeat Windows Update until there are no more service packs and high priority updates to install concerning.net Framework. Warning: The installation of the service packs and high priority updates could take up to 30 minutes. 24. Right-click on the EntraPass CD-ROM and select Explore. Go to Install > WebStation. Select Setup to start the WebStation installation. Note: If the SmartLink is already installed on the computer, the EntraPass WebStation can also be installed by selecting Update installed applications in EntraPass Setup, see Step 5. 13

3- Installing the SmartLink and the EntraPass WebStation (continued) 25. Click Next to start the installation. 26. Read and select I accept the terms in the license agreement. 27. Click Next. 28. Click Install to start the installation. 29. Enter the SmartLink IP address or the SmartLink Domain name of the computer where the SmartLink is running. 30. Click OK. 31. A black command window displays very quickly and then a confirmation appears. Click Finish. 32. Check the option: Install SmartLink as NT/2000/XP/2003 service. 33. Click Next. 34. You will be asked if you want to install another application. Click No. 35. Restart the Windows Web Server. 14

3- Installing the SmartLink and the EntraPass WebStation (continued) If you are installing on then go to Microsoft Windows Server 2003 or XP SP2 Procedure 4 on page 16. Microsoft Windows Vista Step 36. 36. From the Windows Start menu, go to Settings > Control Panel > System and Maintenance > Administrative Tools > Internet Information Services (IIS) Manager. 37. Click on the EntraPassWebStation and then click on Enable. 38. Click on the SmartWebService and then click on Enable. 39. Click on Application Pools and then click on WebStation. 40. Right-click on WebStation and select Basic Settings. 41. From the Edit Application Pool, select Classic. 42. Click OK. 15

4- Registering the SmartLink with the EntraPass Server After an EntraPass application has been installed on a computer, communication with the EntraPass Server must be established between the two computers. The following steps will assist you in configuring and establishing the first communication between the SmartLink and the EntraPass Server using the proper protocol. Note: Before you proceed, make sure that the EntraPass Server is online. If it is not, launch it. 1. From the Windows Start menu, click on Start > Programs > EntraPass Global Edition or Corporate Edition > SmartLink > SmartLink. You can also start the SmartLink from the shortcut on the desktop. Note: The system automatically launches the registration program when an application attempts to connect to the EntraPass Server before it has been registered. The Server registration window also appears when you launch an application before the EntraPass Server is online. When this happens, simply start the EntraPass Server. 2. Click to select the communication protocol that is used between the EntraPass Server and the SmartLink. TCP/IP: Enter the TCP/IP address of the computer where the EntraPass Server is installed. The EntraPass Server TCP/IP address appears in the EntraPass Server status bar. Local: Enter Local when registering a component on the same computer as the EntraPass Server. This option will take the address from the EntraPass Server. 3. Check the Provide local TCP/IP address button if the SmartLink connects to the EntraPass server using a VPN (Virtual Private Network) connection. Type the IP address used by the VPN application. This address is provided by the VPN application and is usually accessible by clicking on the minimized VPN icon found in the system tray. 4. Enter the Authentication Password and click OK. If the server registration is successful, a confirmation displays. If the server registration fails, a message displays. Contact your network administrator for assistance. 5. Click Close. 16

5- Enabling the Addition of Cards without Card Numbers (Optional) This procedure is required if you intend to add new cards without card numbers through the EntraPass WebStation. 1. From the EntraPass Server, go to Options > System Parameters. Note: This procedure can also be performed at the EntraPass workstation. 2. From the Credentials tab, check the Migrate to enhanced user management option. 3. Click OK. A warning message displays. From now on, cards will be handled by user names instead of card numbers, a backup of the system database will be performed. 4. Click Yes. 5. Click OK. 17

6- Choosing the Card Format(s) for the EntraPass WebStation at the EntraPass Workstation (optional) Attention: Any changes in the card format will affect all EntraPass applications associated with this EntraPass workstation. 1. From the EntraPass workstation, go to Options > Card Format. 2. Select the card format that the EntraPass WebStation users will be allowed to enter as card format. 3. Click OK. 18

Card Management Adding a New Card Login 1. Start the browser on your computer. 2. Enter the IP address of the Windows Web Server and press Enter. Example: http://10.38.193.192/entrapasswebstation/ 3. Enter the User Name and Password and click Login. Note: The maximum connection timeout on idle is 20 minutes. This parameter can be configured at the EntraPass workstation. See Procedure 2 on page 6. Warning: New card information will be lost when the connection timeout has expired. 19

Adding a New Card (continued) Welcome Page The Welcome page introduces you to the EntraPass WebStation. From the Welcome page, you can select functions through the pull-down menus or the rotating symbols. In EntraPass 4.0, the Card symbol gives you access to the Card Management features. Other displayed symbols, Operation, Schedule and Holiday are examples of upcoming features. Card Menu 1. Click the Card symbol to access the Card Management menu or select Card Management from the Card menu. 20

Adding a New Card (continued) 2. Click the Add Card icon located in the upper right side of the window to open the Card dialog. 3. Enter the User Name. You can enter up to 31 characters. Note: Clicking the Add or Update buttons or pressing the Enter key on your keyboard will close the Card window and display all the cards. You will need to click on the Pen icon next to the user name of the incomplete card in order to continue. 4. Enter the number printed on the card, if available, in the Card number field. The card number must be between 7 and 16 digits, but if no card number is available, field must remain empty. If the card number already exists, a warning message displays: the card number already exists. 5. Select the Card state from the scroll-down list. Valid: the card is functional, Invalid: the card is NOT functional, Stolen \ Lost: the card is NOT functional, Pending: the card is not yet functional (Note) Expired: the card has reached its expiry date (Note). Note: The Pending and Expired card states are directly related to the Start/End Date tab settings. If the Start Date has not occurred, it will automatically change to Pending. If the End Date has occurred, it will automatically change to Expired. 21

Adding a New Card (continued) 6. Select the Card access group from the scroll-down list. The card access group list will display only the one(s) configured in EntraPass. Pre-programmed card access groups allow quick selection of access levels for various sites of the system. Note: If you don t want to change the card access group, select -----------. 7. Select the Card type from the scroll-down list. The card type is used to group cardholders. 8. Click on the Information tab. Fill in the User info #1 to #10 fields. These are user definable fields. They are used to store additional information regarding the cardholder. For example, you could use User Info #1 to store the employee number; User Info #2, the department; User Info #3, the address. Card information fields may be used to index reports, customize the cardholder lists and so on. You can enter up to 50 characters per field. 22

Adding a New Card (continued) Note: All fields labels (User Info #1 to #10) can be modified from the EntraPass workstation, go to Users > Card > General tab. 9. Move to the Start/End Date tab. 10. Enter the start and end dates. 11. Check the Use end date box if applicable. When the end date is reached, the Card state field is set to Expired. Note: When creating a card with a limited access time of 24 hours of less, for example a Day Pass, the card will expire at midnight. This expiration may take up to one minute to register in the system. 12. Check the Delete when expired option (if applicable). This option can only be used with the Use end date option. When selected, the card information will automatically be deleted on the expiry date (using the end date specified), otherwise the Card state field will be modified to Expired. Note: A deleted card is a card that is not active in the system database. Even if a card was deleted, previous events generated by this card are still stored in the EntraPass archive file. 23

Adding a New Card (continued) 13. Move to the Miscellaneous tab. 14. Check the Extended delay option if your are issuing a card for a cardholder with disabilities. To enable this option in the system, you have to define appropriate delays in the EntraPass Door definition. This option is also available when defining visitor cards. 15. Check the Trace option if you want to monitor the use of a particular card. Selecting this option will cause the EntraPass Card traced event to be generated each time this card is presented to a card reader. For example, you can request and generate an EntraPass report containing the card traced event in order to verify user actions. 16. Check the Disable passback option if you want the card to override the passback option when defined in EntraPass. 17. Check the Wait for keypad option to force users to enter a PIN on keypad to access all doors. Then in the editable PIN field, enter the PIN that users will be required to enter. Note: Selecting Wait for keypad will delay access to a door for this card until the correct PIN has been entered on a keypad. This only affects doors defined with both reader and keypad in the EntraPass Door Definition menu (Devices > Doors). The keypad schedule must also be valid for this door. 18. Move to the Comments tab to enter any additional comments. You can enter up to 240 characters. 24

Adding a New Card (continued) 19.Click on the Browse button to locate and assign a picture from a file. Note: Files with the following extensions are supported: GIF, JPG, JPEG and PNG. Editing a Card 20. Click Add to save. 1. Click on the Card symbol or select Card Management from the Card menu. 2. Click on the Pen icon next to the User name you wish to edit. 25

Searching for a Card 1. Click on the Card symbol or select Card Management from the Card menu. 2. There are three different ways to find a card: Click on view all cards and navigate through the pages with the arrows at the bottom of the page. Alphabetical quick search: click on the 1st letter of the user name. With the Find user name or Find card number with Start with or Contains and click GO. Deleting a Card 1. Click on the Card symbol or select Card Management from the Card menu. 2. Click on the Garbage can icon next to the User name you wish to edit. 3. A confirmation will display. Click OK to delete. Note: Although a deleted card is removed from the card database, it remains in the EntraPass card history; all events involving that card remain in the EntraPass event messages database. 26
