Closing Calendar NOTE: This is a custom add-on utility to Select. This utility will allow users to manage a closing calendar within Select. The Closing Calendar will appear as an icon on the ProForm Ribbon. To access, select the Calendar icon from the ribbon. An order will auto populate the Closing Calendar if there is a Settlement Date entered with a specific time AND an escrow officer has been assigned. If the Settlement Date is entered and the time reads 12:00 AM, the calendar WILL NOT automatically populate. Closing Calendar Page 1 of 10 1/27/2016
Any Escrow Officers/Closers that are associated with the active profile will be listed to the left of the grid. Double clicking in a colored scheduled closing area will open up that specific order in Select. Hovering over a colored scheduled closing area will display more information regarding the order. The Closing Calendar menu bar allows the user to view closings: for a particular date for a particular Profile for a particular Closer or for a particular closing location. Closing Calendar Page 3 of 10 1/27/2016
To schedule a closing directly in the closing calendar, right-click anywhere on the calendar and select Schedule Closing from the list. The search feature allows the user to search for an order by Order Number or Property Address. Select the order that requires the closing to be scheduled by single clicking on that line. If a closing has already been scheduled for that file a warning will appear. Closing Calendar Page 4 of 10 1/27/2016
Once the order is highlighted, indicate the Closing Date and time, set the Duration time, select the Closer and Location and click the Schedule button. The green checkmark indicates that the closer is available. A yellow exclamation point indicates that the closing date is not during the closer s working hours. If a closing is scheduled outside of a closer s normal working hours, an automated email will be generated to the closer indicating that a closing has been schedule outside of his/her normal business hours. A red time. will warn the scheduler that the closer is already scheduled for another closing at that exact If the Estimated checkbox is checked, the scheduled closing will appear on the schedule as transparent. The offsite checkbox indicates that the closing is taking place outside the office. Offsite closings will appear with diagonal lines across the block and travel time will be included in the closing block. To schedule time that is not connected to a closing, right-click anywhere on the calendar and select Add Non Closing Block from the list. Complete the fields as needed and select Save. Blocked off time will appear as a tan color on the schedule. Right-clicking anywhere in a colored scheduled closing area and selecting Update Closing Schedule will allow the user to change and/or amend the scheduled closing date/time. Make the appropriate changes to the Date, Duration, Closer and/or Location and select the Schedule button. Any changes made here will flow back to the associated order. Right-clicking anywhere in a colored scheduled closing area and selecting Cancel Scheduled Item will allow the user to cancel scheduled closing date/time. Closing Calendar Page 7 of 10 1/27/2016
This DOES NOT cancel the order, this action will clear (F2) the settlement date field in the order. To set preferences for individual closers, right-click anywhere on the closers line and select Update Closer Configuration. From within a Select order The user can jump to the closing calendar by selecting the Ctrl + Alt + S keys at the same time. If scheduling a closing directly in the order, the closing location is located in a new custom look-up table called the Closing Location Look-up Table. This table is found in any order on the Order Information screen under custom fields. Press the F9 key from the Closing Location Look-up Code field. This will launch the lookup table and the user can select the location of the closing by double clicking the entry or by selecting the entry from the lookup table and selecting Retrieve Entry.
