Section 1. Overview Designed with Financial Institutions in mind, Enterprise Instant Messenger or EIM allows employees to effectively communicate safe and secure manner. Organizational users can share information and communicate with members of the their workgroups in a fast and flexible way. Employees can even share documents with peers or send a screenshot without using email. With Expert Locator, Passageways EIM can automatically route users to employees within the organization with an expertise in a certain area. Expert locator can drastically increase service levels across your organization. Organizational users can dictate their current status by using away messages which can be created on the organization or individual basis. Employees can use the same login information as the Portal, receive Portal alerts and work within existing workgroup infrastructure Section 2. Section 3. The EIM Toolbar The EIM toolbar has four different menu items to utilize and configure the Enterprise Instant Messenger. The menu items are My EIM, Windows, and Help. The My EIM menu item has options to send messages, start conferences with multiple individuals, send a document or image, launch the Passageways portal, change your status, and configure the EIM settings. A. Send Instant Message 1. Click My EIM; 2. Click Send Instant Message ; 3. In the Send Instant Message window, Choose a person; 4. Use the Message Window, see page 7; You can quickly send an instant message by double clicking an on-line person s name in the EIM Interface. This will bring up the Message Window. 3 Enterprise Instant Messenger
B. Start a Conference Conferencing allows a group of people to all share in a messaging discussion. 1. Click My EIM; 2. Click Start a Conference ; 3. Type conference name; 4. Type conference description; 5. Add a person, persons, or entire workgroup; 6. Click Start Conference; 7. Use the Conference Message Window, see page 8. When you start a conference, everyone on your list will get a Conference Invitation that they must click Yes to be able to join your conference. You can also start a conference for the Message Window, see page 7. This allows for a quick group collaboration from a one-on-one discussion. Enterprise Instant Messenger 4
C. Send a Document or Image EIM allows you to send a document or image file directly to an on-line person. 1. Click My EIM; 2. Click Send a Document or Image ; 3. Choose a person; 4. Click Browse ; 5. Choose a file; 6. Click Open; 7. Click Send File. D. Launch Portal Using the Launch Portal option on the EIM Toolbar will open an internet browser window straight to your portal. You can also open the portal using the Launch Portal button at the bottom of the EIM Interface. E. My Status Status allows other people to know if you are available to communicate via EIM. It is possible to create your own different Status notifications to let others why you are not available and when your will return. The Status feature also allows you to hind yourself from a given workgroup. 1. Click My EIM; 2. Click My Status; 3. Click on a listed status or; 4. Click on New Status ; 5. Type a status name and message. You can also use the Status Setting Tool at the top of the EIM Interface to quickly change your status. 5 Enterprise Instant Messenger
F. Hide Offline Users The Hide Offline option allows you to clear your EIM Interface of anyone who is not currently on-line. This is really helpful to quickly choose the people who are on-line without have to scroll though the off-line people. G. Settings The Settings feature allows you to change different options to customize EIM. The General Tab allows you to change if EIM launches automatically when you log in to your computer and how TIM reacts when you minimize the EIM interface. The Server Tab allows you to configure EIM to connect to the EIM server. (WARNING: Do not change the values in this tab. Allow your EIM Administrator to configure this to work properly.) The Appearance Tab contains different settings for Font, Font Color, and Highlight Color. This can be used to change the display of messages to make them easier to read or to just make them more visually interesting. The Away Message Tab had the option to set a message that people will receive if they attempt to send you a message while you are not logged into EIM. The Windows menu contains the Always On Top setting for EIM allowing the EIM Interface to be on top of every other open program And the Help menu contains the About option which displays the version information about EIM. Section 4. The EIM Message Window Messages are sent and received through the EIM Message Window. The Message Window not only sends and receives text, it allows for formatting of messages, inserting Emoticons, sending a document or image, sending a screenshot, starting a conference. The EIM Message Window also creates tabs for multiple communications all in one window. The Create Message Window allows you to type a message to the Active Message Recipient. The Receive Message Windows displays the current discussion between you and the Active Message Recipient. Section 5. The EIM Conference Window EIM allows for multiple people to communicate with each other in a conference format. See page 4, Start a Conference, for instructions how to set-up a conference. The EIM Conference Window functions similarly to the EIM Message Window. The Attendee Window allows conference members to see who is in the conference. Attendee Window The EIM tab system allows for multiple conversations to occur at the same time. These can me individual messaging sessions, multiple conferences, or a combination of both. Section 6. Expert Locator The Expert Locator tab in the EIM Interface allow you to instantly communicate with an expert on a given topic. By double clicking on a listed subject, an EIM Message Window will open with the topic s expert. The EIM Administrator creates the list and assigns the experts to the topics. 9 Enterprise Instant Messenger
Section 6. The EIM System Tray Icon Then EIM is launched, an EIM Icon will be displayed in the system tray of Microsoft Windows. This icon serves two main functions. First it lets you know if you are logged into EIM. If the EIM Icon is gold are logged into EIM. If it is grey then you are not logged into EIM. then you know that you Secondly, by right clicking the gold EIM Icon, you get a list of different options.
