Installing the WHI Virtual Private Network (VPN) for WHIX Users Updated 12/16/2016 Note: Please read the FAQ section at the end of this document. I. Overview The way in which you connect to the WHI network to access WHIX is changing. Here are the highlights: In a nutshell, the browser version of your VPN software is being replaced with a version that runs directly on your computer. This will change the way you get to the WHI Menu and WHIX. Currently, you go to the website at www.whiops.org and log in to the WHI Menu, then run WHIX from that menu. The menu page at www.whiops.org is being replaced with a new menu page on the WHI sharepoint site. You will no longer log in on a web page. Instead, you will first click on a desktop icon to log in to the WHI network. After you are connected, you will go to the new menu and click the WHIX link. There are step-by-step installation instructions below. After you install the new VPN software, you will not be able to access webmail.whi.org until the CCC enables it to work while the new VPN is running. Notify me or Wei Lin immediately after installation so he can enable your email. Here s a comparison of the old and new procedures to log in to the network and access WHIX: Old Procedure 1. Opened browser and went to a web page at www.whiops.org. New Procedure (after installation) 1. Click the Dell VPN Connection icon on your computer s desktop and log in to the WHI network 2. Logged in on that page to get the WHI Menu. 2. Open your browser and go to https://www.whi.org/data. 3. Used the menu link to access WHIX. 3. Use the menu link to access WHIX. 4. The VPN connection required that the WHI Menu web page must remain open in your browser. 4. The VPN connection is a program running in the background on your computer. It is not associated with the web browser in any way. Page 1 of 10
II. Installation The installation may require a restart of your computer. Be sure to save any open documents. Step 1. Uninstall the old VPN software. If the computer has never had the WHI VPN installed, skip this step. From the Start menu, open Control Panel. In the Control Panel window, navigate to Programs\Uninstall a program (this might be Programs and Features, depending on your version of Windows. In the list of programs, find the programs which begin with either Aventail or Dell SMA (it will be one or the other). There will be 2 or 3 programs, depending on which version you have. Uninstall the programs one by one by clicking the program name, and then clicking Uninstall on the menu at the top of the list. It does not matter what order you uninstall them. Repeat for the other Aventail or Dell SMA programs. Step 2. Determine if you have a 32-bit or 64-bit computer. If you already know this, skip to Step 3. From the Start menu, open Control Panel. In the Control Panel window, navigate to System and Security\System. The System Type item in System window tells you whether it is a 32-bit or 64-bit computer. Step 3. Download the correct installation file for your computer with one of the links below (hold down the ctrl key and click the link). The download is a zip file. Save it to a folder (or the desktop) on your computer, and be sure to take note of where you save it. If you are not sure where it went, check the Downloads folder. Step 4. Extract (unzip) the files from the downloaded zip file. If you already know how to unzip files and find them, unzip them to a folder and skip to Step 5. 4a. Open Windows Explorer (or Mac equivalent). Go to the location (folder or desktop) where you saved the zip file. Double click on the zip file to open the zip program. Click the Extract To icon. 4b. In the next window, take note of the Destination path, which is the folder location where the files will be extracted (see highlight below). Click OK. After the files are extracted, this window will close. Page 3 of 10
Step 5. Run the VPN installation program. In Windows Explorer, go to the folder where the installation files were unzipped (see Step 4b). Start the VPN installation program by double clicking on the runme.bat file. When the Setup Wizard appears, click Next to continue the installation. When the installation finishes, click Close. If you are prompted to restart the computer, click Yes to restart now. If you are not prompted to restart, continue to Step 6. Page 4 of 10
Step 6. The first time you start the VPN connection, you will be prompted to verify the network settings. This is a one-time only step. Double click the Dell VPN Connection icon on your computer s desktop. On the VPN Connection Setup Wizard window, click Next. Page 5 of 10
Confirm that the host name is dieno.whiops.org, as shown. If not, enter it as shown. Then click Next. Confirm that the login group is WHI. If not, enter it as shown. Page 6 of 10
Click Finish. The setup window will close and the log in window will open. On some computers, the login window might not open. Continue to Step 7 either way. Step 7. Log in to the VPN. If the login window did not open after step 6, click the Dell VPN Connection icon again to open it. Type your your WHI network username and password (which you previously used to log in to the WHI Menu) and click Connect. Page 7 of 10
You might be prompted to set the Network Location. If so, click Work network. You will only see this window once. The installation process is finished. When the VPN is running (meaning you are connected to the WHI network), you will see an icon similar to the one below in the notification area in the lower right of your computer screen. If you want to disconnect the VPN Connection, right click on the icon shown below and choose Disconnect. Page 8 of 10
III. Accessing WHIX 1. Make sure you are logged in to the VPN. If you are, skip this step. Log in to the VPN by clicking the Dell VPN Connection icon on your desktop. Use your WHI network username and password (which you previously used to log in to the WHI Menu). You can leave the VPN connection running during the workday even if you sign in and out of WHIX. If you do not shut down your computer at the end of the day, please log out of the VPN connection (see Step 7). 2. Open Internet Explorer (or the browser you use for WHIX) and go to the new Database Menu at https://www.whi.org/data. Click on the WHIX link. Tip: Add https://www.whi.org/data to your Favorites or Bookmarks for easy access to the WHI Database menu. Please read the FAQ section on the next page. Page 9 of 10
FAQ When should I install this? You should install the new VPN as soon as possible. Our goal is to have all WHIX users upgraded before December 25. What happens on December 25? December 25 is the date when the VPN server at the CCC will be upgraded. In the meantime, the new VPN software on your computer will work with the existing VPN server at the CCC. To minimize overlapping issues and troubleshooting, we approached this in two steps: Upgrade the user computers first, then upgrade the VPN server. What if I don t install the new VPN? If you do not install the new VPN software before December 25, and attempt to log in to the old WHI Menu, you will most likely be prompted to install an update of the browser version of the VPN software. Based on our experience with VPN upgrades, we cannot guarantee that it will work. If you find yourself without the new VPN installed after the 25 th, contact us and we ll help you install it. Web-based Email access after installation After installation, the CCC must enable your web-based WHI email account (webmail.whi.org) to run with the new VPN connection. Our network staff will do that as soon as you alert us that you ve upgraded the VPN. Please use an alternative email method to send a message to mtenny@whi.org and wlin@whi.org us after you ve installed the VPN and the Email We won t do it until then because it will preveny your emal from working with the old VPN software. Why is there a new Menu? The old WHI Menu is a web page hosted directly on the VPN server at whiops.org. The web page itself was an automatic login mechanism for the VPN connection. This is called an on-demand connection and runs like a plug-in in your browser. Because it runs in the browser, this type of connection has been a challenge to support given the various browser versions, settings and security policies among WHIX users. The new Database Menu is a normal web page on the WHI Share Point site. It has nothing to do with connecting to the VPN. The new VPN connection runs directly on your computer, not in the browser. You can visit the new menu page whether or not you are connected to the VPN. However, to access WHIX, you first have to connect your computer to the VPN. If you don t, the menu link will return a page not found type of error. Does this affect how I upload case files? No, the case upload process does not change. If you used the link on the old menu, use the link on the new menu. If you used a desktop icon provided by Wei, continue to use that icon. If you are using the new upload feature in WHIX, that works the same (although it is terribly slow for some of you, and we re working on that. Do I still need to sign in to Share Point to see the RC Operations page? Yes, you need to sign in to access that page, whether or not the VPN connection is running. Page 10 of 10
