CONFERENCING & COLLABORATION WEB CONFERENCING CISCO WEBEX CLOUD CONNECTED AUDIO How to Update Previously Scheduled Meetings to CCA SP Audio Once WebEx Cloud Connected Audio is enabled on your Cisco WebEx account, you will need to update the join information for your previously scheduled meetings. The instructions included in this guide have been broken down depending on how and what type of meeting was scheduled. Update a Meeting Center, Training Center, Event Center or Personal Room Session Scheduled Via the Productivity Tools (Back To Top) Note: Use the instructions below to update a Meeting Center session the same steps will apply for a Training Center session or an Event Center session. Additional steps have been included for Personal Room sessions. 1. Open the appointment in Outlook and click on the Cancel WebEx Meeting button. Then select the Save (disk) icon in the upper left hand corner to remove the old audio and WebEx join information from the appointment. For scheduled Personal Room sessions, click on the Cancel Personal Room button. Then select the Save (disk) icon in the upper left hand corner to remove the old audio and WebEx join information from the appointment. 2. Once the old join information has been removed, select the Add WebEx Meeting button to reschedule the WebEx portion. For Personal Room sessions, select the Add Personal Room button and skip to step 4 to send updated invitations. Cisco WebEx Cloud Connected Audio 2
3. On the WebEx Settings window that appears confirm that the Audio connection type is set to WebEx Audio and that any other necessary settings are in place and click on the OK button to continue. 4. Select the Send Update button to send the new audio and WebEx join information to your participants. RECURRING MEETINGS Follow the same process above to update recurring meetings. Otherwise, be sure that you choose to edit the entire series when doing so. This will ensure that the changes made will filter down to future meetings under the same meeting number. Update a Meeting Center Session Scheduled Via Your WebEx Site (Back To Top) 1. Log into your WebEx site and under the Meeting Center Session Type tab select the My Meetings link on the left hand side of the page. 2. Locate the meeting you want to update and click on the meeting Topic. 3. On the meeting information page that appears select the Edit link. 4. On the Schedule a Meeting page that appears scroll down to the Audio conference section and click on the Change audio conference link. Cisco WebEx Cloud Connected Audio 4
5. On the Audio Conference Settings window that appears expand the Select conference type drop-down menu, select WebEx Audio, and click on the OK button. 6. You will be taken back to the Schedule a Meeting page. Select the Save Meeting button towards the bottom to save your changes. 7. A Send updated meeting information window will appear, select the To all invited attendees radio button and click on the OK button. Cisco WebEx Cloud Connected Audio 5
Update a Training Center Session Scheduled Via Your WebEx Site (Back To Top) 1. Log into your WebEx site and under the My WebEx tab select the My Meetings link on the left hand side of the page. 2. Locate the meeting you want to update and select the meeting Topic. 3. On the Session Information page that appears select the Edit button towards the bottom of the page. 4. On the Edit Scheduled Training Session page that appears scroll down to the Audio Conference Settings section and expand the Select conference type drop-down menu, then select WebEx Audio, and click on the Update This Event button. 5. Scroll towards the bottom of the page and select the Update button. 6. A pop-up window will appears asking you to Send updated session information. Select the To all invited participants radio button and click on the OK button. Cisco WebEx Cloud Connected Audio 7
Update an Event Center Session Scheduled Via Your WebEx Site (Back To Top) 1. Log into your WebEx site and under the Event Center Session Type tab select the Site Events link on the left hand side of the page. 2. Locate the meeting you want to update and select the meeting Topic. 3. On the Event Information page that appears select the Edit Event button towards the bottom of the page. 4. On the Edit Event page that appears scroll down to the Audio Conference Settings section and expand the Select conference type drop-down menu, then select WebEx Audio, and click on the Update This Event button.
