Preface Thank you for purchasing iw Prepress Manager Select (hereafter referred to as "Prepress Manager"). Prepress Manager is a print task support application that can enable high quality and productivity for print-on-demand tasks by maximizing the functions of high-end Canon multifunction machines (hereafter referred to as "Canon printers"). This guide describes how to use Prepress Manager when it is linked with workflow systems and cautions that must be noted during use in these conditions. Please read this manual before using Prepress Manager to fully understand the features that Prepress Manager offers and more effectively use these functions. After reading this manual, store it in a safe location. iii

How to Use This Manual Target Readers Readers of this manual are assumed to understand the printer operation procedures and have basic knowledge of operation procedures for Windows. Symbols Used in This Manual This manual uses the following symbols to identify safety precautions, handling restrictions and cautions for using this product. IMPORTANT It describes important issues that must be complied with when using this product. Read the descriptions to prevent any trouble caused by erroneous operations. NOTE It describes operation tips and supplemental explanations. It is recommended that they be read carefully. Overview 1 Overview Various work sites in the production division of the commercial printing industry utilize workflow systems that integrally manage output resources including time and cost. These workflow systems can not only implement central management under wide range network environments through a Web based architecture but can also realize the flexible accommodation of customer needs and strategic cost management. When Prepress Manager is linked with such workflow systems, the high availability of Prepress Manager also becomes available in the workflow systems, in turn strengthening your print-on-demand solution. NOTE This guide uses the Helix application as a workflow system example in the description. For more information on how to operate workflow systems, see the manual provided with your workflow system. 1-2 Overview

Features of Linked Prepress Manager The main features that become available when Prepress Manager is linked with a workflow system are as follows: 1 Output to Any Printer When Prepress Manager is linked with a workflow system, it can output not only to Canon printers but also printers from other manufacturers. The hardware resources that are currently available can be effectively utilized thus no new financial investment is required. Auto Startup of Prepress Manager 1 Overview When printing, Prepress Manager simply starts automatically when it is specified from a workflow system. Since each of the applications does not have to be activated separately, making it possible to print with a single flow of operations, improvement of work efficiency can be expected. Selectable Paper Brand For commercial printing, it is indispensable to make use of the distinctive characteristics of each different type of printing paper and enhance the color reproducibility and expression for publications. Since Prepress Manager can automatically obtain paper information possessed by Canon printers that support various types of printing media, you can output high quality printing using the optimum printing media. When Prepress Manager is linked with workflow systems, it obtains paper information from the printer driver and displays it. 1-4 Features of Linked Prepress Manager

System Environment Requirements When using Prepress Manager by linking with a workflow system, the system environments on both sides must meet their respective requirements. For more information on the required environment of your workflow system, see the workflow system manual. Supported Printers 1 Overview For information on supported printers, contact your sales personnel or the retail store where you purchased this product. Job Execution Flow 1 A typical job execution flow used when a workflow system and Prepress Manager are linked is shown below: Overview 1 Access the workflow system. Use the Web browser on the client computer to access the workflow system. 2 Specify a job to edit with Prepress Manager. You can select one or more jobs. 3 Click [iwppm]. When an output printer is selected in the printer selection screen, Prepress Manager starts automatically with the specified job(s) being imported. NOTE Automatic File Download Prior to Prepress Manager startup, required files such as PDF files are automatically downloaded to the client computer from the server computer. 4 Edit iw documents with Prepress Manager. The same operations that are normally performed in Prepress Manager can be performed when it is linked with workflow systems, but some functions are not available. See "Prepress Manager Functions That Are Not Available When Linked," on p. 2-4. 5 Exit Prepress Manager. NOTE Automatic File Upload When Prepress Manager is exited, output files are automatically exported from Prepress Manager and uploaded to the server computer from the client computer. 1-6 Job Execution Flow

Starting and Exiting Prepress Manager Starting Prepress Manager 2 Prepress Manager Operations When you specify and execute Prepress Manager from a workflow system, Prepress Manager starts automatically with the specified job(s) being imported. If the job print settings are not supported by the specified printer's (printer driver) capability, the print settings are automatically changed and a message box is displayed during Prepress Manager startup. If no changes are made in the print settings, the message box is not displayed. IMPORTANT Execution of ActiveX controls is indispensable when linking Prepress Manager with workflow systems. Make sure that you log into the computer with privileges that allow you to execute ActiveX controls. NOTE Prepress Manager starts with the iw document being opened. In this case, the following document name and chapter name are used: - Document name: The file name of the first PDF file or iwd file is used. - Chapter name: The file name is used for the chapter name. When multiple files are imported, a document structure in which each file is divided by chapter is used. Prior to Prepress Manager startup, required files such as PDF files are automatically downloaded to the client computer from the server computer. For job data in which the print settings are described, Prepress Manager starts while these print settings are reflected in the iw document. For more information on specific print setting items, see "Print Setting Items Specifiable from Workflow Systems," on p. 3-2. 2-2 Starting and Exiting Prepress Manager

Exiting Prepress Manager When Prepress Manager is linked with workflow systems, an output is automatically executed when Prepress Manager is exited. This process varies depending on the output destination printer specified in the workflow system. 1 Select the [File] menu [Exit]. You can also click the (Close) button to exit Prepress Manager. When the output destination printer is a Canon printer: Specify the number of copies and sets of copies in the [Print] dialog box of Prepress Manager and then click [OK]. When the output destination printer is a non-canon printer: There are no operations to perform. The file is output. 2 Prepress Manager Operations Starting and Exiting Prepress Manager 2-3

Editing iw Documents 2 Operations to edit iw documents are the same as normal edit operations in Prepress Manager. However, some functions as shown below are not available when Prepress Manager is linked with workflow systems. Menu Commands Restricted Functions File New Open Close Save As Select Printer Print Print (Printer + Near-Line Finisher) Since Prepress Manager starts automatically with the file specified in a workflow system being imported, you cannot create another new file. The printer that can be selected in Prepress Manager has already been determined during Prepress Manager startup. It cannot be changed to another printer. When the output destination printer is a Canon printer: It is displayed automatically when Prepress Manager is exited. You can only specify the number of copies and sets of copies. When the output destination printer is a non-canon printer: It is not available. It is not available. 2-4 Editing iw Documents

Specifying Paper Even when Prepress Manager is used by linking with a workflow system, you can select the desired paper from the paper types available in the printer. 2 Specifying the Paper Type Prepress Manager Operations Selecting the paper type is the same as the normal paper selection operation in Prepress Manager. Select the paper type in the [Paper Source] sheet in [Settings for Entire Document], [Settings for Chapter] or [Settings for Page] according to the range for which the paper type is applied to. 1 Select [Paper Type] from [Select by]. 2 Click [Settings] in [Paper Type]. The [Paper Type Settings] dialog box is displayed. 3 Select [All], [Standard] or [Custom] from [Display Paper Category]. The corresponding paper type(s) are listed in [Paper Type]. 4 Select the paper type to use from [Paper Type] and then click [OK]. 2-6 Specifying Paper

Configuring Custom Paper Size In Prepress Manager, you can set custom paper size for both finishing size and output sizes. When you use Prepress Manager by linking with a workflow system, registration of a custom paper size is performed on the workflow system side. For more information on how to register custom paper size, see the documentation for your workflow system. NOTE Prepress Manager retrieves the paper size information from the printer driver and displays it. In addition, if the paper size information is described in job data, the paper size is displayed in the setting screen of Prepress Manager. If a paper size that is not supported in the selected printer is described in the job data or if it is set to iwd file, it will be changed to the default paper size of Prepress Manager. 2 Prepress Manager Operations Specifying Paper 2-7

Outputting Documents 2 Prepress Manager Operations When Prepress Manager is linked with workflow systems, iw documents edited with Prepress Manager are automatically output (printed and exported) when Prepress Manager is exited. However, this process varies depending on the output destination printer specified in the workflow system as shown below: When the output destination printer is a Canon printer 1 Select the [File] menu [Exit]. Alternately, click the (Close) button. Click [Yes] when a message confirming whether or not you want to save the file is displayed. The [Print] dialog box is displayed. 2 Specify the number of copies and sets of copies in the [Print] dialog box of Prepress Manager and then click [OK]. The file is output. When the output destination printer is a non-canon printer 1 Select the [File] menu [Exit]. Alternately, click the (Close) button. The file is output. 2-8 Outputting Documents

For jobs for which custom paper size is specified for the paper type, the specified custom paper size is automatically registered during Prepress Manager startup and automatically deleted when Prepress Manager is exited. 3-2 Print Setting Items Specifiable from Workflow Systems

Restrictions Prepress Manager Startup Related Prepress Manager exits without starting up in the following conditions: - When the printer specified in a workflow system is not installed in the computer - When the printer specified in a workflow system cannot be used as an output destination printer in Prepress Manager If more than one PDF file is specified, they are divided into chapters; each file becomes a chapter, when Prepress Manager starts. The chapter order is the same as the file order specified in the xml by the workflow system. Prepress Manager does not start when you press cancel in the license authentication dialog box. When a message confirming whether you want to restore the iwd file or not is displayed during Prepress Manager startup and you execute the iwd file restoration, Prepress Manager starts again and opens the restored iwd file. Prepress Manager starting in this case is not linked with any workflow systems. Therefore, the link functions described in this guide are not available. 3 Appendix Printer Related You cannot change the output destination printer after Prepress Manager is started. Even when you specify an iwd file as a job, the printer specified by the workflow system is used as an output destination printer. Do not delete the printer that has been selected in the workflow system from the computer (OS). If you delete the selected printer or perform an action equivalent to deletion, Prepress Manager operations are not guaranteed. Restrictions 3-3

Output/Export Related Prepress Manager does not delete exported data. It is performed by the linked workflow system. When you specify saddle stitch stapling and separate volume printing in the print settings, Prepress Manager divides the job when it is exited. 3 Appendix 3-4 Restrictions
