1.0 Introduction At AECOM ProjectWise is part of an enterprise level project collaboration and Document Management system, which is used to manage content from complex CAD files and BIM data to Microsoft Office documents and emails. ProjectWise enables AECOM to share work globally in virtual project teams that include external parties such as joint venture partners, subs, and clients. The ProjectWise web browser gateway enables external parties to access project content through web internet connections without the need to install ProjectWise Explorer, while still providing a high level of security and content control. If you are working with large files or CAD /BIM data it is recommended that ProjectWise Explorer be installed as opposed to using ProjectWise web browser. The ProjectWise web browser makes it convenient to access project data from smart devices such as phones and tablets in addition to laptops and workstations. This manual is an introduction to the use of ProjectWise at AECOM and only covers the basic functions available and how they have been configured for use at AECOM. Support Levels Your point of contact for the project you are accessing is the project PWPA (ProjectWise Project Administrator). For technical issues or connection issues please contact Bentley systems at: AECOM Web Gateways http://selectservices.bentley.com Check with your PWPA regarding which ProjectWise gateway you should access your project from. Some projects use multiple gateways, typically for project Federation from multiple geographies. NA North America https://projectcollaboration.aecomonline.net AU Australia http://projectwise.au.aecom.com/ EU Europe http://pw.eu.aecom.com/ ProjectWise Explorer ProjectWise Explorer provides more functionality than the ProjectWise Web Gateway and is recommended when working with CAD or BIM data. If you are unable to connect to an AECOM cache server you can change the Network Settings in ProjectWise to connect directly to an AECOM gateway. Check with your PWPA for the correct gateway settings. The DNS and Datasource Listing settings should be set the same. 2.0 Login to ProjectWise Web Gateway ProjectWise is a secure environment to work in so you will be required to login when you wish to use documents stored in ProjectWise. Accessing ProjectWise When you open the web gateway URL you will be required to type in your username and password. If you do not have a username and password contact your PWPA. Next you will be required to select the datasource your project is located in. When you have accessed the datasource you will only see the projects that you have been granted permission to see. If you don t see any projects contact your PWPA for this access. Page 4

3.0 ProjectWise Web Interface The ProjectWise browser Interface is similar to the Windows Explorer interface. There is a folder tree in the left pane and a document tree in the right pane. ProjectWise Web Interface Window Panes There are two main areas in the ProjectWise web interface. Datasource Pane - The Datasource Pane is located on the left side of the ProjectWise web browser window. This Pane will list all the projects and folders you have access to in the Datasource. Document Pane The Document Pane is located on the right in the ProjectWise web browser window. This Pane displays subfolders and documents. When a folder is selected in the Datasource Pane the contents of that folder are displayed in the documents Pane. This is where documents are opened, closed and manipulated. Page 6
ProjectWise Toolbars Search There are two search areas. The search bar - where documents can be searched. Wild cards can be used in this search area. Advanced Search where searches can include document properties, folder properties, full text and environment attributes. Menus Folder Menu The Folder menu contains functions to create and manipulate document folders Page 7
Document Menu The Document menu contains functions to manipulate documents. This Menu can also be accessed by right clicking on a document. New Create new document Upload Load documents into ProjectWise New Version Create a new version of a document Open Open document for editing Open as Read Only Open the document but you will not be able to edit the document Markup Used to redline documents. An overlay document will be created to contain redline comments. The overlay will be referenced to the original document Check Out Checkout the document for editing Check In Return the document to ProjectWise and releases it for others to checkout. Free Release a document you have checked out without saving any changes Copy Out Copy the document to your local computer; do not reserve the document so others can still modify the original. Your copy becomes a new document. Purge Local Copy Remove local copies of documents on your computer Export Check document(s) out to a local or network folder, either a managed (similar to Checkout) or unmanaged (similar to Copy Out) Import Replace exported document(s) in ProjectWise. managed copies will be checked in and updated. Unmanaged copies will create a new document Move Change location of document(s) in ProjectWise Delete delete the selected document Page 8
Change State Move a document from one workflow state to another, final state locks the document so only your PWPA can unlock it Properties Display document attributes Tools Menu Select All Group selected document(s) by placing a fence over them Unselect All Unselect all currently selected documents Copy web link Copy the URL web link to a document so it can be pasted in an email or other document Copy ProjectWise link Copy the document URN link so it can be pasted in an email or other document (preferred method) Change working Directory Do not use this option Page 9
5.0 Documents Document Icons In the Documents Pane there are two icons next to each document. The first indicates what application is associated with the document. The second indicates the current permissions and status of the document. Pencil This icon indicates the document is checked in, and you have permission to modify the document (File Read and File Write privileges) Open book You have read-only access to this document, either because your Write and File Write privileges have been turned off for this document, or because the document is not the active version Lock Document is either checked out or exported by another user. You can still open this document as read-only Check mark Document is checked out to you Diskette Document has been exported by you Final Document is in Final Status, which locks the file from editing Document Menu Right clicking on a document will open the document menu.
