Centerpointe Massachusetts EVR User's Guide CVR's Massachusetts Electronic Vehicle Registration (MA EVR) provides an electronic link to the Massachusetts Registry of Motor Vehicles (RMV). This link allows your company to process title and registration transactions, issue license plates, decals, and print registration certificates and reports. About this User Guide To find help on a specific topic, browse the Table of Contents menu, or use the Search feature by typing in a specific subject. For more help on how to use this User Guide, continue to Using MA EVR Help. Using MA EVR Help This User Guide contains the following features, which can be accessed from the top horizontal toolbar: Contents: When clicked, this button will display the Table of Contents menu in the left-hand margin. (The Table of Contents is already displayed by default when the User Guide is launched). The Table of Contents displays help topics, organized by subject. Clicking on a topic from the Table of Contents will display the information here in the main window. Index: When clicked, this button will list the help topics in alphabetical order, in the left-hand margin Search: You can search for help on a specific topic by typing in key words into the text entry box on the top toolbar. For example, entering "plate page" into Search field will display a list of topics related to the Plate page. Glossary: The glossary contains a list of terms found in this User Guide, along with their definitions. Print: You can use this button to print out the current help topic which you are viewing. Note: You can download a printable version of the entire User Guide from the Printed User Guide section. Return to Main Page 2

Getting Started Getting Started Introduction Once the MA EVR software is installed, the next step is to configure the software and set the system options to their proper settings, based on your dealership needs. Before processing transactions, make sure you have performed the following: Completed the Company Setup Screen Set up the Printer(s) Set up Communications Relayed the MA EVR Security Code to CVR You may also review the system requirements needed to run MI EVR on your computer workstation. 3

CVR Massachusetts EVR Online User's Guide Company Setup When MA EVR is installed for the first time, the Company Maintenance window will automatically display before the program is started. Click on any button or data field for an explanation of its purpose. Enter the following information in the window, using the Tab key or the mouse to move between fields. When you have finished entering all required data, click the Save button, then click Exit. The MA EVR application will then open to the User Sign On window. If you are processing deals for more than one company from this workstation, you can add another company by clicking the New button and repeating the data entry steps. Next Topic: User Sign On 4

Getting Started User Sign On Double click the Massachusetts EVR icon to launch the program. The product splash screen will appear, then the User Sign On window will display: Enter your CVR assigned User ID and click OK. If you do not have a User ID, contact CVR Client Support Central at 1(800) 333-6995. Note: Only users who have completed RMV training are allowed to process transactions. If you have more than one company setup in the application, you can switch the company for which you will be processing using the Active Company dropdown list. (For information on adding an additional company, see Company Maintenance.) The default company at sign-on will be the company that was last active when the program was closed. CVR Massachusetts EVR Online User's Guide Printer Setup Before processing transactions, you must designate which printer(s) will be used to print your various certificates and reports. From the MA EVR horizontal menu bar, click Tools > Printer. The Printer Setup window will display: The Printer dropdown list will contain all installed printers recognized by Windows. Using the dropdown lists, select the individual printers to be used as your Registration Certificate, RMV-1, RMV-3, and Pull Ticket/Reports printers. The paper source for your selected printers will automatically be selected by default. However, you can manually select a paper source by from the Paper dropdown list. You may also set the top and left margins for the printer by entering the value in the Pre-Printed Margins fields. Once you have made your printer selections, click OK to save your selections and exit. Next Topic: Communication Setup 6

Getting Started Communications Setup Another vital step in the setup is to configure MA EVR's communication settings. These settings control how your MA EVR workstation will transmit registration data to the RMV. To set your communication settings: From the vertical toolbar, click the Communication tab. Click the Setup button. The Communications Configuration window will display: Start with the Active Session dropdown. - If you connect to the internet using a high-speed or broadband connection (such as DSL, cable internet, T1, etc.): Set the Active Session to CVR Host WWW. - If you connect to the internet using a modem (a dial-up connection): Set the Active Session to either CVR Host Production Portmaster or CVR Host Production Direct. (In the event of busy signals or slow connections, you may switch between the two sessions to attempt to find a faster connection.) Make sure the modem in use is selected from the Modem dropdown list. If you have any dialing prefixes (for example: if you must dial "9" to connect out), enter the prefix in the Dialing Prefix field. The Time Zone should be set to Eastern Standard Time. The time zone can be adjusted by clicking the dropdown list, and selecting the proper time zone. When you have finished, click OK to save your configuration settings. 7

CVR Massachusetts EVR Online User's Guide Note: If you are transmitting using high-speed internet (CVR Host WWW) and your dealership has specific security/network restrictions on internet access (such as a proxy server), you must configure them on the Sessions tab. To enable proxy server configuration, check the Use Proxy Server box, and enter all information required for internet access through your network. (Please consult your computer/it administrator if you are unsure of any these settings) Next Topic: Security Code 8

Getting Started Security Code Before your MA EVR workstation is fully functional, your computer s Security ID must be on file with CVR. To view your workstation's Security ID: From the vertical toolbar, click the Communication tab, and click Setup. The Security ID will appear on the General tab, next to the Active Session field. MA EVR Menus and Workspaces Horizontal Menu Bar Horizontal Menu Bar The horizontal menu bar (located just beneath the CVR Massachusetts EVR title) contains the following menus: File Menu User Log On - Allows you to log off as the current user, and log in to MA EVR as a new user. Close - Closes the current active window. Import - Imports F&I deal files exported from your DMS. (Your system must be configured for deal import). Exit- Closes the MA EVR program. View Menu Log File - Allows you to view system log files generated by MA EVR for troubleshooting purposes. Communication Log- Allows you to view data communication logs for troubleshooting purposes. Tools Menu (Additional information is located in the Tools and Maintenance section.) Recover - Allows you to retrieve a completed transaction from the CVR host, using the transaction s Control Number. Backup - Allows you to create a backup of your MA EVR data. Restore - Allows you to restore your MA EVR system data from a backup file. Table Maintenance - This tool can rebuild and repair a damaged database data on your workstation, but must be used with caution. Purge Days - Allows you to set the amount of time transaction data is retained on your computer's database before deletion. Purge - Allows you to manually purge MA EVR s registration database. Printer - Use this menu to select and configure printers System - Use this menu to configure your DMS import and software download options. Default Location - Allows you to adjust your default processing location. Messages 11

MA EVR Menus and Workspaces Log File MA EVR contains system log files which can assist with technical support and troubleshooting. These files are primarily reserved for Technical Support use. MA EVR Menus and Workspaces Process Toolbar The Process Toolbar contains the following buttons: Registration - Opens the Registration Selection window, used to start title and registration transactions. Inquiry - Opens the Inquiry Selection window, used to start an RMV record inquiry. Inventory - Opens the Inventory Selection window, where users can manage inventory. Registration forms for completed transactions can be reprinted here. Inventory Summary - Launches the Inventory Summary Report Inventory Detail - Launches the Inventory Detail report. Bundle - Bundle Reports can be printed using this window. Click on one of the toolbar buttons for more information. MA EVR Menus and Workspaces Password Update The Password Update feature allows users to change or update their password at their convenience. When the Password Update button is clicked, a Communications window will display prompting you to enter your CVR User ID, Old (current) Password, and New Password of your choice. New passwords must be between 6-8 characters, and contain a combination of both letters and numbers. You may not reuse a password previously used within the last two years. After clicking the OK button, you will be prompted to confirm your new password by re-entering it. Once entered, clicking the OK button will complete your password update. CVR Massachusetts EVR Online User's Guide Maintenance Toolbar The Maintenance Toolbar contains the following buttons: Company Maintenance - Allows you to create and edit your company s CVR user information. Insurance Maintenance - Allows you to save and edit frequently used insurance company information. Owner Maintenance - Frequently used owner and lessor information can be saved to your database here. Lien Maintenance - Allows you to save and edit frequently used Lienholder records. (Registration) Templates - Allows you to create and edit data entry templates. Templates can ease data entry in the Registration pages by pre-populating commonly used fields. Click on one of the toolbar buttons for more information. Managing Inventory Inventory Introduction This section explains how to manage your inventory within MA EVR. This section contains the following topics: (select a topic to continue) Adding New Inventory Modifying Inventory For information on inventory reports, see the following topics (located in the Reports and Reprints section): Inventory Summary Inventory Detail Report Note: Each CVR client is responsible for the safekeeping, tracking and control of all physical inventory, such as license plates, year stickers, and registration cards. 25

CVR Massachusetts EVR Online User's Guide Adding Inventory Whenever a new inventory batch is received from RMV, the inventory information must be entered into your MA EVR workstation before it can be issued in a title & registration transaction. To add inventory: From the Process toolbar, click the Inventory button to launch the Inventory Selection window. Click the New button to add a new batch of inventory. The Password Entry window will appear: Enter the daily inventory password, then click OK. (To obtain the daily password, call CVR at 1-800-333-6995, option 3) The Add Inventory window will display. 26

Managing Inventory Enter the following information as it pertains to the new inventory batch, then click OK.. (Different fields will be required based on inventory type). Type - Select the type of inventory being added using the dropdown listing. Series - Select the series for the inventory if applicable (e.g.- Passenger special plate type, Decal year, etc.) Month - (Passenger plates) Select the plate month Beginning Serial - (Plates only). Enter the starting serial number in the inventory batch. Ending Serial - (Plates only). Enter the ending serial number in the inventory batch. Batch Count- Enter the quantity of the inventory being added. Location - If you have inventory allocated in more than one Location, select it from the dropdown. Upon successfully adding a new inventory series, the Add Inventory window will reset. If you are adding multiple inventory batches, repeat the process, clicking OK after entering each inventory batch. When you have finished adding all new inventory batches, click Cancel to return to the Inventory Selection window. NOTE: Inventory batch information must be recorded by CVR before it can be issued. After loading your inventory in MA EVR, be sure to fax the inventory packing slip to CVR at 714-228-3088. Next Topic: Modifying Inventory 27

CVR Massachusetts EVR Online User's Guide Modifying Inventory You will occasionally need to modify the status of an inventory item to account for missing, damaged, or returned plates. Once the inventory has been loaded into the system, you can modify its status in the Inventory Selection window. To modify status on a plate: From the Process toolbar, click the Inventory The Inventory Selection window will display. button to launch the Inventory Selection window. In the Range panel, click on the Series of plates in which you need to edit. In the Detail panel, double-click on the individual plate you want to modify. The Inventory Detail window will appear as shown below: Select the new status from the dropdown listing. (Note: You must enter the CVR daily password before you can modify inventory. To obtain the password, call 1(800)333-6995, option 3.) Click the Save button to confirm the status change, then click Exit to return to the Inventory Selection screen. Performing an Inquiry Inquiry Selection The Inquiry feature allows you to verify information about vehicles purchased and traded-in, owner and registration information for plates being transferred. Performing an Inquiry Inquiry Data Input MA EVR allows you to perform an inquiry on either a plate number, Vehicle Identification Number (VIN), or Title Number. If you would like to transfer the results of your inquiry to a registration transaction, check the Transfer to Registration box, and (if necessary) enter the control number to be used for the registration. Processing Transactions DMS Import Registration data can be imported from deals created on your F&I Dealer Management System (DMS) such as ADP, Reynolds & Reynolds, etc. Before MA EVR can retrieve your F&I deals, the deals must first be exported using your DMS program. (For instructions on how to export a transaction, contact your DMS provider.) To import a record from your DMS: Once the deals have been exported from your DMS, click the Import button on the Registration Selection window. The Import Registration window will display transactions available to import. Select the records you want to import by double-clicking the record. Records selected for import will stay highlighted in bright blue. Click Import button to import the selected deals. By importing a deal, the registration data will be automatically transferred into CVR's data-entry pages. (Required) Year/Make - The vehicle Year and Make fields will be automatically entered upon entry of a valid VIN. Vehicle Year - 2 digits representing the vehicle model year. Make - If the vehicle make does not automatically appear, select the proper make from the dropdown listing. Model Name - The vehicle model name will be automatically entered when a valid VIN is entered. The model name may also be entered in manually. Model Number - The vehicle's model number may be optionally entered. Body Type - The body type will be automatically populated after entering a valid VIN. Otherwise, select a valid body style for the vehicle using the dropdown listing. Primary Color - Select the primary color of the vehicle from the dropdown list. Secondary Color - If the vehicle has a secondary (trim) color select it from the dropdown list. Number of Cylinders - Enter the number of cylinders in the vehicle's engine. Number of Doors - Enter the number of doors on the vehicle. Transmission Type - Select the vehicle's transmission type (Manual or Automatic) from the dropdown list. Gross Weight - (For Commercial vehicles only.) Enter the total carrying capacity the customer will use the vehicle for. The entry must be greater than 1000 lbs - there is no upper limit. Fuel Type - The vehicle fuel type will automatically populate when a valid VIN is entered. Otherwise, select the type of fuel used for the vehicle from the dropdown list. Stock # - (Optional).You may enter the Dealer's Stock # for this vehicle. Wheels - Enter the number of wheels on the vehicle Passengers - Enter the number of passengers the vehicle supports. Net Sales Price - (Depending on your Company Type, this field may labeled as Gross Price). Type in the purchase price of the vehicle (in dollars and cents) paid by the new owner. Trade-In Allowance - If a vehicle trade-in is involved with this transaction, enter the dollar amount given towards the trade-in vehicle. Taxable Sales Price - This field will automatically be calculated. The filed will display the net price used to calculate the sales tax. Sales Tax - The vehicle sales tax will automatically be calculated after the transaction is successfully transmitted. Tax Exemption - If the buyer is exempt from sales tax for this transaction, select the reason from the dropdown list. Trade-In VIN - If the buyer is trading in a vehicle, enter it's Vehicle Identification Number (VIN) here. Trade-In Year/Make - These two fields will automatically be filled in upon entry of a valid Trade-In VIN. Otherwise, enter the 2-digit Model Year of the Trade-In vehicle and select the make of the vehicle from the dropdown list. Trade-In Model - The vehicle model name will be automatically entered when a valid VIN is entered. 38

Mailing Address City/State - The owner's mailing address city and state will automatically populate when a valid Zip code is entered. Mailing Address Zip - Enter the Zip code of the owner's mailing address. Entering a valid Zip code will automatically populate the Mailing City and State fields. Garage - Using the dropdown list, select the jurisdiction in which the vehicle will be garaged. (Usually the city of residence.) Owner Residence Address - Enter the vehicle owner's residence address. Residence Address City/State - The residential address city and state will automatically populate when a valid Zip code is entered. Processing Transactions Insurance/Lien Page Data Entry Fields The Insurance/Lien Page includes the following data-entry fields. Required fields will vary based on the transaction. Effective Date - Enter the date (MM/DD/YYYY) on which the insurance coverage on the vehicle came into effect. Insurance Change Date - Enter the date (in MM/DD/YYYY format) on which the owner's insurance policy was changed to include this vehicle (usually the current date). Insurance Code - Using the dropdown list, select the code of the insurance company providing the coverage. Selecting the Insurance Code will automatically populate the Insurance Company name. Insurance Company - Using the dropdown list, select the insurance company providing the coverage. Selecting the Insurance Code will automatically populate the Insurance Company name and vice versa. Policy Number - Enter the owner's Insurance Policy # here. Insurance Agent - Enter the name of the insurance agent who provided the policy. Lienholder Name - If you have saved any frequently used lienholders in your Lien database, you can select them using the dropdown list. Otherwise, enter the name of the lienholder. Lienholder Code - Enter the lienholder's RMV code. If you have previously saved the code in your Lien database, the code will automatically be entered when the lienholder is selected. Lienholder Address - Enter the Lienholder's Address. If the information was saved to your Lien database, it will automatically be entered when selecting a lienholder record. Lienholder Address City/State - The city name will automatically populate when a valid Zip code is entered. If the information was saved to your Lien database, it will automatically be entered when selecting a lienholder record. Lienholder Address Zip - Enter the Zip code of the lienholder address. Entering a valid Zip code will automatically populate the City and State fields. If the information was saved to your Lien database, it will automatically be entered when selecting a lienholder record. Lien Information Verified - By checking this box, the user confirms that the lienholder information entered has been verified to be accurate. This box must be checked before the registration can be transmitted. 45

Click on any button or data field for an explanation of its purpose. Using the Trans Type dropdown list, select the type of registration you will be processing. MA EVR supports the following title & registration transactions: New Plate - A new title and registration is issued with a new plate and sticker Transfer - An existing registration and plate are transferred to another vehicle. No new plate or sticker are issued. Transfer with Reassignment - An existing registration is transferred to another vehicle, and plate is reassigned. When all required fields have been completed, click the Validate button to prepare the registration for transmission. If no required fields are missing, the Transmit button will become enabled. The Transmit button will not be enabled until all required fields have been completed. The registration Expiration Date will be calculated by RMV, and will populate when the transaction is successful. Issue Date - The Issue Date is automatically set to the current date. Plate Color - Using the dropdown list, select the color of the plate assigned to this transaction. Issue Date - The Issue Date is automatically set to the current date. Expiration Date - The registration's expiration date will automatically be returned by the RMV when the transaction is successful. Title Fees - Any applicable title fees will be displayed here when the transaction is successful. Registration Fees - The applicable registration fees for this transaction will be displayed here when the transaction is successful. Plate Transfer Fees - Any applicable plate transfer fees will be displayed here when the transaction is successful. Lien Attached? - Type in Y (Yes) or N (No) to indicate if a lienholder is attached to this transaction. 47

(Note: In order to process a plate cancellation with MA EVR, the plate must still be associated with a vehicle on the RMV plate record.) To perform a plate cancellation: From the Registration Selection window, click the Plate Cancel button. CVR Massachusetts EVR Online User's Guide Bundle Reports A Bundle Report is generated during MA EVR s overnight processing, which occurs at the end of a reporting day, or prior to new transaction processing the following day. The Bundle Report is a listing of all transactions completed on the specified day. It contains customer and fee information, and may be used as a source document of transactions processed. When you have completed title applications for a particular day, you must print a copy of the Bundle Report. Using the Bundle Report as your guide, collect all the deals that were completed the previous day and batch the supporting documents to RMV. To print a Bundle Report: From the left-hand vertical toolbar, click the Reports tab. Click the Bundle The Bundle Reports window will display: button. Click the requested report date from the list provided. To display the report on-screen, click the View button. To begin printing immediately, click Print. If the requested work date does not appear on the list, you can re-generate the report, provided the transaction data has not yet been purged from your workstation. To do so, click the Recreate button. At the Enter Work Set Date prompt, enter the work date for which you need the report, then click OK. 58

Tools and Maintenance Tools and Maintenance Introduction Many of MA EVR's system options and utilities can be accessed from Tools menu (located on the horizontal menu bar) and Maintenance toolbar (located on the vertical toolbar). Tools Menu Recover - Allows you to retrieve a completed transaction from the CVR host, using the transaction s Control Number. Backup - Allows you to create a backup of your MA EVR data. Restore - Allows you to restore your MA EVR system data from a backup file. Table Maintenance - This tool can rebuild and repair a damaged database data on your workstation, but must be used with caution. CVR Massachusetts EVR Online User's Guide Recovering a Transaction On occasion, a registration record may be missing from the Registration List, or be missing information, if your workstation s data has been corrupted. This can be fixed by connecting to the CVR host system and "recovering" the transaction data back to your workstation. To recover a transaction: From the horizontal menu bar, click Tools > Recover. The Recover List window will display. Click the Control field, type in the control number of the transaction to be recovered, then press Enter. If you have more than one transaction to recover, repeat the process by typing in additional control numbers. Click the Transmit button to submit the request. You will be prompted for your CVR User ID and Password. When the completed transaction(s) have been successfully recovered, the status in the Message window will be updated. Click Exit to return to the Registration Selection window. Note: If the Registration Selection window was open when recovering the transaction, you may need to refresh it in order to view the recovered transaction. Simply exit the window and then reopen it. Tools and Maintenance Backup This utility allows you to create a backup of your workstation's registration data. In the event that your computer's drive data is lost, or you are re-installing MA EVR on a replacement machine, you may restore your data using the backup created here. To backup your MA EVR data: From the horizontal menu bar, click Tools > Backup. The MA EVR Backup window will display. Using the Drives and Directories windows, specify the drive and/or folder where you would like the backup to be created. You may also specify a specific name for your backup file by entering it in the text entry field beneath the Backup To: indicator. Click OK to create the backup file. To restore your MA EVR data: From the horizontal menu bar, click Tools > Restore. The MA EVR Restore window will display. Using the Drives and Directories windows, specify the directory and disk drive where the backup file is located. If more than one backup file exists in the location specified, select the specific backup file by clicking on the file name in the File window. Click OK to restore your workstation data. Caution: Restoring your data from a backup will overwrite your existing database files. Any data currently in your database will be replaced with the data contained in the backup file. Tools and Maintenance Table Maintenance This utility allows you to rebuild and repair damaged database files. This tool can often repair corrupted data on your workstation, but must be used with caution. Caution: This utility should be used under the direction of a CVR Account Executive or Client Support Representative. From the horizontal menu bar, select Tools > Purge. The following confirmation will appear: Click Yes to complete the purge process. Database records are automatically purged on a regular basis, as part of your workstation's Overnight Processing. Records are purged based on the number of days set in the Purge Maintenance window. CVR Massachusetts EVR Online User's Guide Printer Setup Choosing the Printer from the Tools menu will open the Printer Setup window shown below: Using the dropdown listings, select the printers to be used as your Registration Certificate, RMV-1, RMV-3, and Pull Ticket/Reports printers. The paper source for your selected printers will automatically be selected by default. However, you can manually select a paper source by from the Paper dropdown list. You may also set the top and left margins for the printer by entering the value in the Pre-Printed Margins fields. Tools and Maintenance System Maintenance Using the System Maintenance menu, you can configure your workstation for DMS deal imports, automatic software downloads, and other features. To access the System Maintenance menu: From the top horizontal toolbar, click Tools > System. The System Maintenance window will display, starting with the General tab. Inventory Issue Method: You can choose to issue PAN and PAS plates either by plate month, or in the order that they were received (oldest plates issued first). DMS Import: The Import/Export area will enable the F&I deal import feature. Select your DMS provider from the dropdown list. The Import Path is the location in which MA EVR will look for your exported DMS files. To change this location, use the Browse button. If you need assistance with your import directory, consult CVR Client Support. For more information processing registrations with imported deals, see DMS Import. Options: - MA EVR will automatically log off users if there is no activity within the minutes specified. You can adjust the amount of time using the arrows. - MA EVR will display a warning window if your year decals fall below the specified number. You may adjusting the warning level using the arrows. You may also add or edit records in this database as needed. To access the Insurance Maintenance screen: From the left-hand vertical toolbar, click the Maintenance tab. Enter the company name and code into the blank data fields. When you have finished, press Enter or Tab key to save the record to the database. Templates save time and data entry by pre-populating commonly used fields with the values defined in the template. For example, a user who processes only used vehicles can save time by creating a template which sets the default Vehicle Type to "Used". Commonly used leasing,rental, insurance companies, etc. can be pre-populated using a template. To create or edit a template: From the vertical toolbar, click the Maintenance tab. Click the Templates button. The Registration Template window will display: To create a new template, click the New button. The Registration Template Entry window will launch. Move through the registration data-entry pages (Vehicle, Owner, Insurance/Lien etc), and set any values you wish to appear by default. Create a name for the template, and enter it in the Template Name field. Click the Save button to save the template in the database. To edit an existing template: Highlight the template name that you wish to edit, then click Open. The Registration Template Entry window will launch. Move through the registration data-pages (Vehicle, Owner, Lien etc), and adjust any values that you wish to appear by default. Click the Save button to save changes to the template. To use a template for a registration, select it during the Registration Wizard screen at the start of a new transaction. 78
