FIRST LOGIN Your username is the email address you receive communication from us on. If you are unsure which email address it is, please call our Support Office on 1300 11 7946 and they will be able to assist you. 1. Fill in your username. 2. Your initial password will be swimming. 3. Click login 4. You will then receive an email from Ezyswim Bankstown with the subject line First login access code Copy and paste this code into the Access Code box on your browser. 5. You will automatically be taken to a new page where you will be asked to change your password and accept the terms and conditions of using Active Carrot. 6. Press continue. Note: should you forget your password, simply click the Forgot Username/Password button on the home page of the portal. You will be sent a new access code and be prompted to change your password again. 2
CUSTOMER PORTAL HOME PAGE When you login, you will be taken to the home page, as pictured below: This page is split into 3 columns: profile section, bookings section, and notification section. Profile Section This is where you can upload a profile photo of yourself or update your personal details with us, by clicking on the My Profile button. Please see page 4 for what changes you can make in this section. Bookings Section This section shows when your child or children last attended a lesson, as well as all your upcoming lessons. You will only see 2 weeks worth of lessons from the current date, including any makeup lessons you have booked. If you have an outstanding amount owing on your account, a notification (as pictured across) will appear in this section as well. More information on your bookings can be found on page 10. Notification Section This section has links to our News section of our website, and any other forms that you may need. Reminders for customers may also be posted here from time to time. 3
PORTAL MENUS My Profile Menu My Profile This section is where you can update all your details. All details are automatically linked to our system and will update in real-time. They come under the following headings: 1. Update Photo You can upload an appropriate photo of yourself if you wish. 2. Edit Profile a. Postal address b. Home Phone c. Mobile Phone d. Contact email address You can also view what birthday we have recorded for you. You will need to call Support Office to update your birthday, or alternatively you can update it in-store. 3. Change Username This is where you can change the email address that you use to log in with (note: this will not update the contact email address we have on file if you wish to do that, you will need to call Support Office to update it). 4. Change Password 5. Facebook Sharing (not currently in use) 4
My Messages You can use this section to contact us. This is an alternative to emailing us directly. Please keep in mind that our turn-around time is 48 hours. My Bookings This page shows you a timetable of the lessons your child/children are enrolled into, including makeup sessions. Note that the Book a Class button is not for lessons. To enrol into a new lesson, please see the Browse Classes section on page 9. 5
My Account All of your payment details are held in this section. You are able to make an online payment, view your recent payments, and update your Direct Debit details. 6
Buy Online Menu Online Store The online store is where you can purchase products such as caps and goggles online, and pick them up instore. Products are grouped by category on the left. Currently, we only have Children s goggles and Swimming Caps available. When you click on the category, all items that are available online will show. To purchase an item, simply add it to your cart using the add to cart button below the item you wish to purchase. Please note that you can add several items to your cart and purchase them all in one go, you do not need to purchase each item individually. To view your cart, simply click on the View Cart button in the top right corner. You can remove items that you no longer wish to purchase from this screen. To finalise your purchase, simply click the proceed to checkout button where you will be prompted to enter card details to finalise payment. To pick up your items, simply bring your confirmation email (printed or electronically), or your order number with you to the centre, show the email to one of our Customer Service Representatives, and they will assist you in finalising your order. 7
Classes Menu Student Profiles All of your students available to be enrolled into classes will be shown on this page. You can edit current students, and add new students should you require. To edit, simply click the button next to the student that requires editing. From here you can update their First Name, Last Name, Date of Birth, Gender, Email Address and any Health Issues & Comments. To add, simply click the button on the top right hand side of the page and fill out their First Name, Last Name, Date of Birth, Gender, Email Address and any Health Issues & Comments. 8
Browse Classes From the Browse Classes screen, you are able to view all the classes we have available to be booked. This is where you can book a new lesson for a new student (for this you will need to set up the student as on page 8), or book an additional lesson for an existing student. Down the left hand side, you can filter by Level, Day, Teacher or Time Range. Once you have found and selected the class you wish to enrol into, simply click the book button. Once you click this, your selection is added to your cart and you are able to hold that spot for 15 minutes without making payment. Payment must be made online in full within those 15 minutes, as well as accepting our Terms and Conditions, for the spot to be confirmed. 9
Current Bookings This page shows all the upcoming bookings that you have - in more detail than the front page. You can see the teacher name, when they first started in that class, the day & time of the lesson, their last lesson (only if you have cancelled their lessons permanently using a departure form), the level and the money owing balance. 10
Notifying Absent & Booking Make-up Lessons From the Current Bookings Screen, you can notify absent for a class up to a week in advance. When you do this, you will be able to book a make-up lesson into the same level at a time of your choice. To do so, simply click the button next to the class you need to cancel attendance for. In line with our Terms and Conditions, you are able to notify absent for up to 8 weeks in advance, or a minimum of 1 hour before the lesson starts. This is the only way to book a makeup lesson. On the next page, just find the lesson you wish to mark absent for, and click the button. If you cancel the wrong date by accident, you will need to call Support Office and ask them to assist you. In the screenshot below, the first class has already been marked as absent, and the orange button to book a makeup lesson has appeared. This makeup will expire 1 year from the date that you mark absent. To book your makeup, simply return to this page and click the button. This will take you to the class booking page (see page 9) where you can select the class you wish to attend as a makeup session. Lessons can only be booked up to 1 week in advance. 11
Class Progress This is the current version of the skills for the level that each student is enrolled into. It will show the date achieved for each skill, and Not Attained if they have not yet attained it. Should a student have all skills attained, they are ready to progress to the next level. Please see your Program Supervisor if you notice this and have not changed levels. 12
