Getting Started Welcome to the GoToMyPC Corporate Administration Center! As your company s GoToMyPC Corporate administrator, you are responsible for setting up and managing your GoToMyPC Corporate users. The Administration Center is efficient and easy to use, and it will help you set up users, manage user accounts, report user activity and maintain your company s GoToMyPC Corporate account. Logging in to the GoToMyPC Corporate Administration Center To access the Administration Center, you first need to log in to the site. To log in to the GoToMyPC Corporate Administration Center: 1. Open an Internet browser and go to: www.gotomypc.com/managers 2. Enter your email address. 3. Enter your password. 4. Click Log In. Note: To access the Administration Center, you must have received an activation email from your GoToMyPC Corporate Account Manager containing your personalized Administration Center activation link, and you must have already created your Administration Center password. If you have not done so, use the activation email sent to you by your Account Manager to create your Administration Center password. For easy access to the site, you may want to create a bookmark or shortcut. Administration Center Overview The Administration Center is divided into five components: Manage Groups: Create, suspend, unsuspend or delete groups and subgroups to organize users. Manage Users: Add new users and suspend, unsuspend and delete users. You can also view user information such as status and number of computers. Active Connections: Monitor who is currently using GoToMyPC Corporate and view user connection statistics. Generate Reports: View GoToMyPC Corporate account and user reports for any specified period. Reports can be generated in either HTML or Excel (CSV) format. My Account: View your company s plan information or change your Administration Center password. Note: The Administration Center is only intended to help you manage your company s GoToMyPC Corporate account. You will not be able to view or control users computers. 2002 Expertcity, Inc. Manage Groups GoToMyPC Corporate Administration Center Guide Manage Groups enables you to organize users by department or job function, or by any other category that best suits your needs. The Manage Groups feature enables you to create three levels of groups: your account (primary domain), groups and subgroups. You may have only one account, but you may create an unlimited number of groups and subgroups. Users belong to the account and to either a group or subgroup. Account (Primary Domain) Group Subgroup Adding Groups and Subgroups To add a group: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section you will see the top-level domain (name of your company) and, below that, any groups you may have created, at the bottom of the list of groups you will see the Add Group link. If you have not created any groups, you will only see the Add Group link. 2. Click the Add Group Link. 3. On the Add Group page, enter the name for the group you wish to add and click Add Group. To add a subgroup: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the toplevel domain (name of your company) and, below that, any groups you may have created. 2. Click on the green arrow to the left of the group to which you want to add the subgroup and then click the Add Subgroup link. 3. Renaming Groups and Subgroups GoToMyPC Corporate Administration Center Guide To rename a group: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the top-level domain (name of your company) and, below that, any groups you may have created. 2. Click the name of the group you wish to rename. 3. On the Group Administration page in the Name field, type in the new group name and click Rename. 4. The group will be renamed and you will be returned to the Manage Groups page. To rename a subgroup: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section you will see the toplevel domain (name of your company) and, below that, any groups you may have created. 2. Click on the green arrow to the left of the group to view its subgroups. 3. Click the name of the subgroup you wish to rename. 4. On the Group Administration page in the Name field, type in the new group name and click Rename. 5. Suspending, Unsuspending and Deleting Groups and Subgroups To suspend, unsuspend or delete a group: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the top-level domain (name of your company) and, below that, any groups you may have created. 2. Click the name of the group you wish to modify. 3. On the Group Administration page, in the Change Status: drop-down combo box select Suspend Users, Unsuspend Users or Delete and click Change Status. Note: If you choose Suspend Users, all users in the group will be suspended, but the group and users will remain in your company account. Choosing Unsuspend Users will return the selected users to active status. If you choose Delete, the group, subgroup and all users in the group and subgroup will be removed from your company account and you will have to re-create the group and/or re-invite the users if you wish to add them again in the future. If you delete the group, you will receive a confirmation; click Cancel to cancel the status change or Continue to complete the status change. To suspend, unsuspend or delete a subgroup: 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the toplevel domain (name of your company) and, below that, any groups you may have created. 2. Configuring Group and Subgroup Feature-Access Rights Feature-Access Control enables you to grant groups, subgroups and individual users the rights to use the various features of GoToMyPC Corporate. Features for which you can control access include: Viewer Security Time-Out (max is 9999 minutes, default is 15 minutes), Allow user to reduce maximum, Maximum PCs Per User, Remember Me, Remote Printing, Desktop Shortcuts, File Transfer, Whiteboard, Guest Invite, and Chat. Features that you disable for a user will no longer be visible to the user. Changes to a user s feature-access rights that occur while a user is in a GoToMyPC Corporate session will take affect after completion of the active session. Changes will be communicated to affected users via a message on their My Computers page upon next log in. To configure feature-access rights for a group 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the top-level domain (name of your company) and, below that, any groups you may have created. 2. Click the name of the group for which you want to configure feature-access rights. 3. On the Group Administration page in the "GoToMyPC Corporate Features section, select or deselect the features you want to configure. 4. Click Set Features. Note: Changing feature-access rights for a group will reset the feature-access rights for all group and subgroup users. When you create new groups, the new groups will inherit feature-access rights from the company (top-level domain). 2002 Expertcity, Inc. All Rights Reserved. 5

To configure feature-access rights for a subgroup 1. Click the Manage Groups link in the left navigation bar. In the Groups and Subgroups section, you will see the top-level domain (name of your company) and, below that, any groups you may have created. 2. Click on the green arrow to the left of the group to view its subgroups. 3. Click the name of the subgroup for which you wish to configure featureaccess rights. On the Group Administration page in the "GoToMyPC Corporate Features section, select or deselect the features you want to configure. 4. Click Set Features. Note: Changing feature-access rights for a subgroup will reset the feature-access rights for all the subgroup users. When you create new subgroups, the new subgroups will inherit feature-access rights from the company group. Manage Users GoToMyPC Corporate Administration Center Guide The Manage Users area of the Administration Center allows you to sign up new users; view a user s account status and the number of enabled PCs; suspend or delete a user s account; and access a user s account record. Sign Up Users To sign up new users: 1. Click the Manage Users link in the left navigation bar. 2. Click the Sign Up Users link in the left navigation bar. 3. Enter the email addresses of the new users to invite (include your email address if you want a user account). Enter as many addresses as you like, subject to the maximum number of computers included in your company s plan. If an invited user is already signed up, you will be notified. The user will not be signed up a second time. 4. In the Add Users To: drop-down menu, select the group to which you want to add the users and click Continue. 5. Click Continue to confirm the email addresses. 6. Add a personalized message to the invitation email. You may want to include the following useful user information: Any organizational policies for users to observe. Maximum number and type of PCs to register (e.g., 2 company PCs). Any naming conventions users should employ when naming their PCs. 7. After personalizing your message, click Submit. 8. You will see a message confirming that you have successfully invited users to sign up. Note: The number of computers you can assign to users is based on your company s plan. If you exceed the number of computers in the plan, you will be notified when attempting to sign up additional new users. If users try to add a computer but your company has already reached the plan s limit, users will see a message directing them to contact you about adding additional computers. 2002 Expertcity, Inc. Creating Your GoToMyPC Corporate User Account Although you do not need to have a GoToMyPC Corporate account to function as your company s GoToMyPC Corporate administrator, if you want your own user account you will need to sign yourself up using the Sign Up Users function. If you already have a GoToMyPC Personal account, you will first need to uninstall that version before signing yourself up with the GoToMyPC Corporate version. Inviting Users with Existing GoToMyPC Personal Accounts If an invited new user is already using a GoToMyPC Personal account on a company computer, the user must first uninstall the GoToMyPC Personal software before activating your company s GoToMyPC Corporate account. When the user registers for the GoToMyPC Corporate account via the link sent in your email and attempts to download the software, the InstallShield Wizard will prompt the user to uninstall the existing GoToMyPC Personal software before continuing. A user can also manually uninstall the software from the Control Panel prior to registering. The user will still have the ability to use the GoToMyPC Personal account for other computers as long as the user has other computers associated with the account. GoToMyPC Corporate will prompt the user for the correct account to use when signing in. Uninstalling Previous Versions of GoToMyPC Corporate If GoToMyPC Corporate detects a previously installed GoToMyPC Corporate version during installation, it will prompt the user to update or uninstall the older version. The InstallShield Wizard will prompt the user on how to do this. The user can also manually uninstall the previous GoToMyPC Corporate version through the Add/Remove Programs function. To manually uninstall a previous version of GoToMyPC Corporate: 1. If GoToMyPC Corporate is running in the taskbar status area, right-click the icon and choose Quit. 2. Open Add/Remove Programs in the Control Panel. 3. Click Change or Remove Programs. 4. Select GoToMyPC Corporate and click Remove. 2002 Expertcity, Inc. All Rights Reserved. 8

Understanding the User s Setup Experience GoToMyPC Corporate Administration Center Guide After you send the activation email, your new users can immediately download and install the GoToMyPC Corporate software by clicking on the activation link in the email. To set up a host computer for remote access: Step One: Download the Software 1. Make sure the user is at the computer to be remotely accessed; this will be the host computer. 2. Open the activation email. 3. Click on the activation link in the email. 4. On the New User page, enter the user s email address and account password and click Log In. This will log in the user to the GoToMyPC Corporate Web site. 4. For a first-time user or a user who does not have a computer(s) already set up, click Click Here in Step Two of the process overview. For a returning user who already has a computer(s) set up, click Add Computer. 5. Click Yes or Grant to begin downloading the GoToMyPC Corporate software and to begin the installation process. Step Two: Set Up the Software 1. The InstallShield Wizard will begin automatically. Select the default destination for the GoToMyPC Corporate software installation and click Next. 2. Verify that the check box is selected to launch GoToMyPC Corporate after installation and click Finish. 3. When prompted, enter the user s email address and account password and click OK (the user will use this information to log in to the GoToMyPC Corporate Web site). 4. When prompted, enter a computer nickname for the host computer; if needed, select the account to which this computer should belong. Give the computer an access code, confirm the access code and click OK. 5. On the Setup Complete notification box, click OK. The user s computer is now set up and ready to access remotely. If you are assisting users with the setup, remind them that they must keep their host computers turned on and connected to the Internet and also have GoToMyPC Corporate running in order to use the service. Your users have limited GoToMyPC Corporate Web-site functionality and can only change their account passwords. Users do not have the ability to: Change their email addresses. Access any of your company s payment and plan information. Note: If users have already registered for their own GoToMyPC Personal accounts, they will receive a slightly different email explaining that they can choose which account to use when they log in. 2002 Expertcity, Inc. The Manage Users Page The Manage Users page gives you the ability to view user information for all your user accounts, change user status, move users between groups and access a user s account. To view the Manage Users page: 1. Click the Manage Users link in the left navigation bar. Manage Users page field definitions Name: Name of the user Email: The registered email address for the user s account PCs: Number of PCs that user has enabled Status: Shows the status of the user s account Manager users page status field definitions Active: Invited: Suspended: The user has activated the account and is enabled to use GoToMyPC Corporate. An active status does not necessarily indicate that the software is installed on the user s computer You have invited the user to use GoToMyPC Corporate but the user has not activated the account. You can re-invite or suspend the user at any time You have temporarily suspended a user s account 2002 Expertcity, Inc. All Rights Reserved. 10

Suspending, Unsuspending and Deleting a User s Account To suspend, unsuspend or delete a user s account: 1. Click the Manage Users link in the left navigation bar. 2. Using the search or pagination options, search for and find the users whose status you wish to modify. 3. To the left of the user s name field, select the check box for each user you wish to modify. 4. In the Change Status: drop-down menu, select Suspend, Unsuspend or Delete and click Change Status. Note: If you choose Suspend Users, the selected users will be suspended, but the users will remain in your company account. Suspending a user s account temporarily denies access to GoToMyPC Corporate (e.g., if an employee takes a leave of absence). Suspending an account does not open another available computer within your plan. Suspending an account is convenient because you do not need to re-establish the user s account to reactivate it and the user does not need to reinstall the software or register again. Choosing Unsuspend Users will return the selected users to active status. If you choose Delete, all selected users will be removed from your company account and you will need to re-invite the user if you wish to add the user again in the future. All active users will receive an email when you suspend, unsuspend or delete their accounts. Moving a User to a New Group or Subgroup To move a user to a new group or subgroup 1. Click the Manage Users link in the left navigation bar. 2. Using the search or pagination options, search for and find the users you wish to move. 3. To the left of the user s name field, select the check box for each user you wish to move. 4. In the Move User To: drop-down menu, select the group or subgroup to which you want to move the user and click Move User. 2002 Expertcity, Inc. All Rights Reserved. 11

Viewing an Individual User s Account Viewing an individual user s account record will enable you to change the user s status, move the user between groups, view detailed information about the user s PCs and delete the user s PCs. To view a user s account record: 1. Click the Manage Users link in the left navigation bar. 2. Select the user to view or search for a user by using the search feature: a. Type the information to search by in the Find field. b. Select where to search with the In field. c. Select which status state to search in the Status field. d. Select the Group to search in the Group field. e. Click Search Users. 3. Click the user s name. The User Administration page will appear. 2002 Expertcity, Inc. All Rights Reserved. 12

Configuring a User s Feature-Access Rights GoToMyPC Corporate Administration Center Guide Feature-Access Controls enables you to grant groups, subgroups and individual users the rights to use GoToMyPC Corporate configurable features. Moving a user to a new group or subgroup will reset the user s feature-access rights to those of the new group or subgroup. Deleting a User s Computer(s) You can delete a computer(s) from a user s account to free up additional computers for your company. To delete a user s computer: 1. Click the Manage Users link in the left navigation bar. 2. Using the search or pagination options, search for and find the users whose computers you wish to delete. 3. Click the user s name to access the user s detail page. 4. To the left of the PC Nickname(s) for the PCs you want to delete, select the check box for each PC you wish to delete. 5. Click Delete. 6. The user s computer is deleted from the account. Active Connections The Active Connections feature enables you to monitor all active user connections. To view active connections: 1. Click the Active Connections link in the left navigation bar. 2. In the Connection Activity For: drop-down menu box, select the group you wish to view and click View Connections. 3. The Active Connections report will run and you will see a listing of all users for the selected group who are presently using GoToMyPC Corporate to remotely connect to their host PCs. End an Active Connection You can end a user s active connection at any time. Ending an active connection will immediately cancel the connection. To end an active connection: 1. Click Active Connections. 2. Locate the connection you want to cancel and click End. Generate Reports You can get summary and detailed information for your company and users by using the Generate Reports feature. This reporting feature allows you to view various statistics for your account for any date range in either HTML or Excel format. To generate a report: 1. Click the Generate Reports link in the left navigation bar. 2. In the Report: drop-down menu, select the report you want to generate. Options include: Snapshot: Summary of connections and users. Detail: Detail by user for every connection. User: Summary of a specific user's connections. Feature Configuration: Detail of feature-access rights by users and groups. 3. In the Group: drop-down menu, select the group for which you want to generate the report. 4. Select the date range. 5. Select the report format. Options include: HTML or Excel (CSV) 6. Click the Generate Report button. Your report will load in a new window. Note: When a user is changed from one group/subgroup to another with the Group Creation feature, any connections the user makes while in one group will always be reported in relation to that group. For example: If Joe is a member of group A on Monday and is moved to Group B on Tuesday, any connections he made prior to Tuesday will always be found in the Group A reports. My Account You can view and change information for your company s GoToMyPC Corporate account by using the My Account feature. To access your account page: 1. Click the My Account link in the left navigation bar. Your Company Account page will load Note: Blocked IP Addresses are the IP addresses or IP address ranges of company computers that you have blocked. Employees who have GoToMyPC Personal accounts, or who have GoToMyPC Corporate accounts other than the one assigned by you, will not be able to register or install GoToMyPC on these computers. Through our no-cost Authorization Management Service, GoToMyPC Corporate will gladly work with you to block selected Internet-visible IPs while still enabling authorized GoToMyPC Corporate account access. To use this service, please contact your Account Manager or email GoToAccounts@expertcity.com. Change Your Administration Center Account Password For increased security, it is recommended that you change your Administration Center password regularly. GoToMyPC Corporate requires your password to be at least eight characters in length and to have a combination of both letters and numbers. To change your Administration Center password: 1. Click the My Account link in the left navigation bar. 2. Click Edit. 3. Enter your current password. 4. Enter your new password. 5. Re-type your new password. 6. Click Submit. 2002 Expertcity, Inc. Additional Tips One of the primary benefits of using GoToMyPC Corporate in your organization is the simplicity and ease of installation. Here are a few suggestions to help you implement GoToMyPC Corporate. Security Suggestions Do not share the Administration Center URL with others and be sure to keep your Administration Center user name and password secure. Encourage users to create account passwords that differ from their computer access codes. Encourage users to maintain password security by regularly changing their passwords and by not sharing their account with others. If a user wants to grant others access to a computer, the Guest Invite feature should be used. This feature is accessible from the taskbar status icon and provides one-time access per invitation to a user s computer. When granting access, a user can determine whether to grant full privileges or view-only privileges. If you are using GoToMyPC Corporate to help administer several computers, make sure you register each computer with a different password and computer access code. Do not share these passwords and computer access codes with others. For internal security, users running Windows NT and Windows 2000 can log off their computers and GoToMyPC Corporate will continue running. These users can remotely unlock their workstations by using the Send Ctrl-Alt-Del menu command from the GoToMyPC Corporate Tools menu. Users running Windows 95/98/Me can use a screensaver password to secure their computers while maintaining their connections to the GoToMyPC Corporate servers. Configuration Suggestions Your users can add additional computers (up to the limit specified by your plan) to their accounts without your assistance. If you want to restrict the number of computers that users register, you will need to discuss this with them. We suggest outlining your internal policies in your initial invitation email. If your company account has reached its plan limit, however, users will be sent an automated email informing them to contact you about adding additional computers to their accounts. Users can update their version of GoToMyPC Corporate by right-clicking the MYPC icon in the taskbar status area and clicking Check for Upgrade. If you forget your Administration Center password, you can create a new one by clicking Forgot your password? on the Log-In page. You will be sent an email with a link directing you to a Web page for changing your password. Please note that for your security, a new password cannot be sent to you by email.
