USER REFERENCE GUIDE Welcome to Connected Office Voice! This guide describes the user features of your new VoIP services and is intended for all users of our Emerge product. This Guide will help you: Use your new IP phone Set up your voicemail Personalize your phone Quick Reference Guide for CBB Business Communicator, IM&P Installation on a Phone 1. Go to Google Play or the Apple App Store. 2. Search for CBB and then select CBB Unify. 3. Select Download and installation. 4. Start the CBB Unify application. 5. The client also asks for a user name and password. For these, use your Evolve login credentials. Installation on a Desktop 1. The Desktop client is available at: CBB.net/SmallBusinessSupport 2. Double-click on CBB.win-xx.x.x.xx.exe or CBB.macxx.x.x.xxx.dmg and then follow the installation instructions. 3. Start the CBB Business Communicator application. 4. The client also asks for a user name and password. For these, use your Evolve login credentials. Start and Sign In If you have enabled automatic login (Sign-in automatically), then after the client starts, you will automatically go to your Contact List. If you have not enabled automatic login, then click OK in the Sign-in window. The previously-used user name is automatically remembered. The password can be automatically remembered as well. Page 1

User Interface Layout of the Desktop Client Important Icons Click this left-pane icon to change your presence, including your avatar. You can also see your detailed presence. My Room is your permanent communication room. Participants can dial in to your audio bridge. Click this left-pane icon to view your contacts. Click on History view in the left pane to look at previous chats and calls. You can easily start communications here. Show all contacts in the full enterprise directory. Use the dial pad to send DTMF tones, such as conference PINs. Use Filters in the contact list to see only online, favorite, or conference contacts. Add a contact to the Contact List, which also appears in the search results. Start a chat session. Make a call using the Desktop client (VoIP call). Make a call using your desk phone. Make a video call. When you start the client for the first time, your contact list is empty. You can use the search field to find people and then directly add them from the search results to populate your Contact List. You can also manually add contacts using the Add Contact button. Page 2

User Interface Layout of the Android Client Making Audio Calls You can make audio and video calls from the: Contact list Contact card Call history Dialer Android Desktop The Contacts tab displays your buddies, local, and directory contacts. You can add, edit, and delete buddies, or search for contacts in the enterprise directory. The Call tab displays the dial pad. From the dial pad, you can call any given number. A long press on 1 on the numeric pad calls your voice mail. The Chat tab shows chat messages. You can exchange chat messages with other users. The Call History tab shows your call history. You can filter between all calls and missed calls. During a call you can: Adjust the volume. Provide (DTMF) tones. Mute the microphone. Put a call on hold. Adjust Desktop Client Microphone and Loudspeaker Settings In the desktop client, to choose an audio device, you choose Preferences in the main menu (on bottom right of client in Windows and on the Main menu on a Mac). You can also select a different default audio device in Windows using the Control Panel. On Mac, it is in the System preferences for Sound. Page 3

PLACING/RECEIVING CALLS Answer a Call Pick u p the handset or Press the Answer Soft Key, press the Speaker phone Key. Dialing a Number or Extension 1. Pick u p the handset, press the Answer Soft Key, or press the Speakerphone Key. 2. Dial the n u mber or extension, and press the Soft Key. Note: You may switch to a different call mode during a call in progress by pressing the Speaker phone Key or picking up the handset. Put a Call on Hold While you are on a call, press the Hold Key, or, select the Hold Soft key. To resume the call, press the Hold Key or press the Resume Soft Key. End a Call Hang u p the Handset, or press the End Call Soft Key. Do Not Disturb Polycom 550/650 Press the Do Not Disturb Key Polycom 450 1. Press Men u Key 2. Press 1, press 1 again. To turn off Press the Menu Key, Press 1, and Press 1 again Soft Key = Screen Button Key = Physical Button TECHNICAL SUPPORT Transferring a Call (Consulted, Blind) Consulted Transfer 1. During the call, press the Transfer Key or Transfer Soft Key. 2. Dial the number or extension you wish to transfer the call, press the Send Soft Key then announce the caller. 3. Press Transfer Key or Transfer Soft Key again to connect the parties. If the party is unavailable press the Cancel soft key to bring the caller back to you. Blind Transfer 1. During the call, press the Transfer Key or Transfer Soft Key. 2. Press the Blind Soft Key and enter the number or extension you want to transfer the call 3. Enter Send. 4. Hang u p Sending a Call to Voicemail 1. During the call press the Transfer Key or Transfer Soft Key. 2. Press *55, enter the extension of the desired person and press the # Key. Headset Use: if you will be using a headset for fulltime or temporary use refer to Page 3 for setting up your headset. Placing a Conference Call Basic Conferencing/3 way 1. Call the first party then press the Conference Key or Conference Soft Key to place the new call idle. 2. Call the second party when the second party answers press the Conference Key to join all parties. Pressing the Split Soft Key will split the conference into two calls on hold. You may use the arrow keys to toggle between parties. To join parties again; Press the More Soft Key followed by the Join Soft Key and all parties will be connected. Placing the conference on hold from the originator's phone will place the other parties on hold. Ending a call on from the originator's phone will allow the other parties to continue the conference. Note: A conference may be created during an active call, or a call on hold (same line or another line). Call Forwarding 1. Press the Forward Soft Key. 2. Use the Arrow Keys to Highlight Call Forward Always, Call Forward No Answer, or Call Forward Busy. 3. Press the Select Soft Key 4. Enter the Contact phone number and press the Enable Soft Key. Call Pick-Up from a Different Extension 1. This feature allows you to pick up a call of any phone that is ringing from your own phone. 2. Press *97, then the extension number of the phone that is ringing. 3. Press Send Soft Key or Dial Soft Key to pick up the call. Page 4

Park a Call You may Park a call on any extension, including your own. 1. Press the Transfer Key or Transfer Soft Key. 2. Press *68 and follow the prompts. 3. Dial the desired extension number followed by the (#) Key. To park to your extension dial the (#) Key. To Retrieve a Parked Call 1. Press *88 and follow the prompts 2. Press the extension number the call was parked against followed by the "Dial" Soft Key. Adding Contacts to Your Directory Polycom 550/650 models 1. Press the Directories Key, then highlight or Press 1 (Contact Directories) 2. Press the Add Soft Key - enter the First and Last name using the d al pad, press the 1/A/a soft Key to toggle between the upper and lower case text and n umbers. 3. Enter the Contact n umber and Speed Dial if desired and press Save. 4. Press Men u Soft Key to return to the idle Screen. Push to Talk This feature code allows for immediate communication useful for quick conversations between callers. The call will be answer available. 1. Press *SO, then press Dial Soft Key (you will hear a stutter dial tone after pressing *50) 2. Enter the extension. Note: Push to talk is a premium seat feature PERSONALIZING YOUR IP PHONE Change the R ing Tone 1. Press the Men u Key 2. Press 3 (Settings) or use the Arrow key to highlight and press the Select Soft Key. 3. Press 1 for Basic 4. Press 4 for Ring Tone 5. Scroll through the list of ring types using the Arrow Keys. Press the Play Soft Key to hear the ring Press Select Soft Key to put a check in the box. Press Back to return to Men u. Adjust the Contrast on your LCD Screen 1. Press the Men u Key and then Press 3 (Settings) 2. Use the Arrow Keys or Press 1 (Basic) 3. Either use the Arrow Keys or Press 2 (Contrast) 4. Use the Up or Down Soft Keys to the desired contrast level. 5. Press OK Soft Key to accept change. Page 5

PERSONALIZING YOUR IP PHONE Change the R ing Tone 1. Press the Men u Key 2. Press 3 (Settings) or use the Arrow key to highlight and press the Select Soft Key. 3. Press 1 for Basic 6. Press 4 for Ring Tone 7. Scroll through the list of ring types using the Arrow Keys. Press the Play Soft Key to hear the ring Press Select Soft Key to put a check in the box. Press Back to retu rn to Men u. Adjust the Contrast on your LCD Screen 3. Press the Men u Key and then Press 3 (Settings) 4. Use the Arrow Keys or Press 1 (Basic) 3.
