Overview esd GURU is both an analytics tool that presents real time data in meaningful ways to help drive instruction and policy and a dataflow automation tool that can share information with authorized third-party products. Unlike traditional dashboards, GURUBoards can be tailored to meet all of your business and reporting needs from a single, personalized interface. The robust Administration module allows GURU Admins to administer access rights, create and share personalized GURUBoards, and empower your staff with data. Districts can easily create and share role-based GURUBoards with administrators, counselors, teachers, coaches and other district staff members to ensure that they have access to the data that they need. In addition, using GURU Zaps, districts have the ability to automate data extracts and imports with many commonly used third-party products, including Google Classroom, Microsoft Classroom, Apple School Manager, Ellevation, Canvas, RightPath, and more. Administration esd GURU s role-based security makes set up quick and easy. Our comprehensive security module offers a number of tools to administer data access rights with precision while protecting sensitive student information, including: Account Management: Associate existing eschooldata accounts to district-defined esd GURU roles. Access Levels: Limit access to only those students for which your administrators, teachers, counselors, advisors, group supervisors, etc. are responsible. Export Details: Customize data exports to include pertinent student information based on each staff member s role. Common Filters: Enable a variety of student filtering capabilities relevant to a Role. Widgets: Limit staff access to only those widgets which are applicable to their role. GURUBoards: Create default GURUBoards to ensure that data is presented consistently to all users associated with a role. GURU Permissions: control the GURUBoards and Widgets permissions by Role. Customizable GURUBoards More than just a data dashboard, GURUBoards are customizable interfaces that can link to your favorite esd pages, RSS feeds, external websites and more, providing a single solution for all of your business and reporting needs. Modify the layout, color scheme, and settings for each board, and add a variety of widgets to create a personalized environment. Expand and collapse details to focus on the information that is important to you. Navigate to a student s profile using the global search tool. Interactive Data Widgets Interactive graphs present student data in meaningful and actionable ways, allowing your staff to easily identify trends, drill into details, and export results. With esd GURU, pre-defined data widgets are available in the Academics, Attendance, Discipline, Enrollment, Health, Portal, and Miscellaneous categories, with more to be added based on user feedback. The material presented in this guide assumes the user has a basic familiarity with the esd System. This guide was formerly named GURU Setup User Guide. District Setup The district setup of GURU involves the following steps: eschooldata main application: Create, assign new Security Group. GURU application: Define Analytics settings. eschooldata Main Application Once GURU is enabled for the district, ALL esd user accounts are automatically GURU Users. District administrators need to decide which users should have access to the GURU Navigation Pane (controlled by a specific Special Permission), and create a new Security Group to assign this permission. 1. Group Maintenance: At the district level, create new Security Group GURU Admin. a. Permission: Select permission Module Level > Special Permissions > GURU Admin. i. Save the Security Group. b. Copy: Copy GURU Admin security group to applicable Buildings. For more information on creating/copying Security Groups and assigning Users, please see the Security: Account Maintenance User Guide. 2. Edit Group Users: Assign applicable Users to GURU Admin security group. GURU Analytics Setup (GURUBoards) 1. Marketplace: Install the Widgets to be used in your district. (Page 14) 2. Security: Define the Roles and assign Users to Roles, by Building. (Page 21) a. Roles: Define a group of Access Levels, Export Details, Widgets, Common Filters, GURUBoards and GURU Permissions. (Page 22) i. Access Levels: Select the Role s Access Level, which limits the students available to the Role. (Page 26) ii. (Page 39) Roles are analogous to, but more powerful than, the permission groups within esd. Widget Specific Filters (applicable to only a few widgets) are defined within the applicable Widgets. Common Filters (applicable to ALL widgets) are selected by Role. Districts have the option to define Roles in one building (including all Access Levels, Export Details, Widgets, Common Filters, default GURUBoards, and GURU Permissions), then copy those Roles to other buildings in the district. Copied Roles will replace Roles with identical names in the destination buildings. eschooldata, LLC Copyright 2014-2018 4

esd recommends the following order for defining Analytics Roles and assigning Users: 1. Create the Role. (skip, for default Roles) 2. Assign an Access Level to the Role. (assigned for default Roles) 3. Select the Widgets for the Role. (assigned for default Roles, but can be changed) 4. Select the Common Filters for the Role. 5. Define the default GURUBoard for the Role. 6. Select the GURU Permissions for the Role. 7. Assign Users to the Role. 8. Define the Export Details for the Role. The Reset Password screen may be displayed, if the district is enforcing a password reset upon first login, or if the user s Password has previously expired or will expire today. For more information on the Reset Password screen, see Reset Password on page 12. Upon login, GURU defaults to the user s GURUBoards. When districts are first setting up GURU, there will be no default GURUBoards defined, and the user will be warned that their default GURUBoard is missing. Simply Close the warning. For information about setting default GURUBoards by Role, see GURUBoards on page 33. The GURU screen has a top Title Bar and a side Navigation Pane. The Title Bar identifies the User logged in (far right) and the user s current Building (on left). Users with access to more than one building can select the applicable building from the Building menu. To logout, select Logout from the User menu. For information on the Preferences and Reset Password options, see User Menu on page 11. Click the logo to launch the eschooldata application. Click Back to return to GURU. When the side Navigation Pane is collapsed, open the GURU destination. menu to choose the desired Click the Expand Pane icon to expand the side Navigation Pane. Click the Full Screen icon toolbars. on the Title Bar to enter full screen mode and hide the browser If needed, click Allow in the browser popup to confirm full screen mode. Click the Exit Full Screen icon to exit full screen mode. User Menu The User Menu allows users to set their Preferences, Reset Password, and Logout of GURU. Set Preferences Click the Preferences icon from the User menu to open the Preferences menu. The Preferences menu allows users to choose a Fixed header (default: On), Fixed menu (default: Off), Collapsed menu (default: Off), and the default Color Pallete. Make the desired changes, then click the Preferences icon again to close the menu. Fixed header keeps the Header visible as the user scrolls down the page. Fixed menu and Collapsed menu control the actions of the Side Menu, which is visible only for users who have the GURU Admin permission. Fixed menu keeps the side Menu visible as the user scrolls down the page. Collapsed menu presents the side Menu collapsed by default when the user logs in. eschooldata, LLC Copyright 2014-2018 11

Reset Password Click Reset Password from the User menu to reset your password. The Reset Password screen displays the Password Requirements (in red). Enter your Current Password and your New Password (in the New Password and Confirm New Password fields), then click Reset Password. As each Password Requirement is met, it disappears from the page. Once the password has been reset, the user is redirected to the Login page to login using the new password. eschooldata, LLC Copyright 2014-2018 12

Analytics Setup The following sections will cover the steps involved in setting up GURU to use the Analytics tool. 1. Marketplace: Install the Widgets to be used in your district. (Page 14) 2. Security: Define the Roles and assign Users to Roles, by Building. (Page 21) a. Roles: Define a group of Access Levels, Export Details, Widgets, Common Filters, GURUBoards and GURU Permissions. Marketplace The GURU Marketplace allows users to install pre-defined Widgets (pre-defined data analysis tools) and Zaps (pre-defined data export tools). Administrators can return to the Marketplace at any time to install any Widgets or Zaps that were not previously installed. The Marketplace defaults to the Widgets tab, which allows administrators to Install Widgets (see page 15) to the currently selected Building. At the district level only, administrators can also install widgets simultaneously to multiple Buildings (Install Widget to Schools, see page 20). The Zaps tab allows administrators to Install Zaps from any Building, which are then available for all Buildings. For a list of all available Widgets, with descriptions, see the GURU Widgets, Zaps and API Integrations User Guide. Widgets Tab For EACH district Building whose Type is Public, esd has pre-installed ALL Widgets from the Marketplace; however, users still need to install any desired widgets at the district level. Once widgets have been installed, the Marketplace will list the selected Building s Installed Widgets. Users can Search the list of Installed Widgets, or filter the list by Category. esd recommends installing ALL Widgets to ALL district schools. Access to the Widgets will be restricted by Role, when Widgets (and Users) are assigned to Roles. Install Widget Click Install Widget to select and install new widget(s) to the selected Building only. This option is useful for Districts that wish to roll out GURU gradually. eschooldata, LLC Copyright 2014-2018 15

On the Install Widget tab, users can view All widgets, Uninstalled widgets (default), or Installed widgets. The Navigation tools indicate the range of widgets displayed and allow users to select other pages of widgets, when applicable.. When users select All widgets or Installed widgets, previously installed widgets will display Installed between the widget name and description, and cannot be selected again.. When installing Widgets to multiple schools, the previously installed Widgets will NOT display Installed. Instead, the previously installed widgets will be skipped (for the applicable buildings) during installation. Users can Search the list of displayed widgets by keyword. Click Go to display the results. Users can also filter the list by Category. eschooldata, LLC Copyright 2014-2018 17

Click each desired Widget to select it. Selections will be maintained as users navigate to additional pages. When finished, scroll to the bottom and click Next. esd recommends installing ALL widgets. Access to the widgets will be restricted when the widgets are assigned to Roles. Selected Widgets will be lightly shaded and display a green checkmark. Click a selected Widget again to deselect it. On the Widget Information tab, users can customize the selected widgets Title, Theme, and Description, and view the Available Widget Specific Filters. Click the arrows at right to expand/collapse the displayed widget information. When finished, click Next. Widget Specific Filters (applicable only to some widgets) are listed in the applicable Widgets. The Date filter options of This Week, This Month and This Year have the following default date ranges: This Week: First date of this week through today s date; This Month: First of this month through today s date; This Year: 7/1 of this school year through today s date. Common Filters (applicable to ALL widgets) are selected by Role. District defined codes (student status, program services, etc.) are included in the corresponding common filters. On the Widget Configuration tab, click Finish to complete the installation of the widgets. eschooldata, LLC Copyright 2014-2018 19

Install Widget to Schools At the district level only, users can click Install Widget to Schools to select and install new widget(s) to the specified buildings. On the Select Schools tab, select the buildings for widget installation, then click Next. Selected Buildings will be lightly shaded with a green checkmark. The remaining tabs (Install Widget, Widget Information, and Widget Configuration) function the same as the Install Widget tabs (see page 15). Widgets already installed (in one or more buildings) will be skipped during installation, for the applicable building(s). Security In the Security menu group, click the desired menu (Roles or Users) to navigate to that page. Roles and Users are set up by Building. Roles can be copied to other Buildings (see Copy Role on page 43). eschooldata, LLC Copyright 2014-2018 21

Roles Roles allow administrators to define a group of Access Levels, Export Details, Widgets, Common Filters, default GURUBoards and GURU Permissions for the Users associated to the Role, by building. District Level For EACH district, at the District level, esd has created the default Role District Admin, with Access Level Administrator (all students in the district) and all Widgets and Common Filters assigned to the Role. Administrators must define the Export Details, default GURUBoards and GURU Permissions for the District Admin Role, and assign Users to the Role. Roles are analogous to, but more powerful than, the permission groups within esd. District-level default Roles (other than District Admin) have NOT been defined. Users will need to define other applicable Roles at the District level. Administrators can Edit default Roles, and add New Roles, by building. Default Roles should not be deleted. Building Level For EACH district Building whose Type is Public, esd has created the following default Roles, with Access Levels and Widgets assigned to each Role. The default District Admin Role CANNOT be renamed or deleted, since various actions and permissions are tied to it. In each Building, for each default Role, Administrators must define the Export Details, Common Filters, default GURUBoards and GURU Permissions, and assign Users to the Roles. Administrators can Edit default Roles, and add New Roles, by building. Default Roles should not be deleted. Add Role Click New Role to add a new Role. When users add a New Role (beyond the default Roles), they must define the Access Level, Export Details, Widgets, Common Filters, default GURUBoards and GURU Permissions for the new Role, and assign Users to the Role. esd recommends defining Export Details LAST, after defining the Role s Access Level, Widgets, Common Filters, default GURUBoard, GURU Permissions and Users. eschooldata, LLC Copyright 2014-2018 23

Enter the Name and Description (optional), then click OK. Edit Role Click Roles > Action > Edit for the applicable Role. eschooldata, LLC Copyright 2014-2018 24

Make the needed changes to the Name and/or Description, then click OK. Delete Role Click Roles > Action > Delete for the applicable Role. Default Roles, and Roles with assigned Users or Widgets, should not be deleted. Click Yes to confirm the deletion. Deleting a Role will delete all Access Levels, Export Details, Widgets, Common Filters and GURUBoards associated to the Role and remove all User associations to the Role. This action cannot be undone. Best Practice: esd strongly recommends that Roles NOT be deleted. Instead, the Role s Users should be associated to other Roles, and the Role s Name edited to indicate it is inactive (add Do Not Use to the Name). This retains all defined Access Levels, Export Details, Widgets, Common Filters and GURUBoards, so the Role can be reactivated and assigned to Users in the future. eschooldata, LLC Copyright 2014-2018 25

Access Levels Access Levels (or Restrictions) define the students to which the user has access. There are five Access Levels: Administrator: access to all students in this administrator s building Teacher: access to students on this teacher's roster for the selected school year Counselor: access to students currently assigned to this counselor Advisor: access to students currently assigned to this advisor Group Supervisor: access to students currently assigned to groups supervised by this user The following Common Filters are disabled by default for the specified Access Levels: Administrator: none Teacher: Building, Teacher Counselor: Building, Counselor Advisor: Building, Advisor Group Supervisor: Building, Group Supervisor Click Roles > Action > Access Levels to define or change the Access Level for the applicable Role. Users with School Selection permission, or Cross Building Assignments, will be able to select the applicable Buildings using the Building menu on the Title Bar. eschooldata, LLC Copyright 2014-2018 26

Select the applicable Access Level (defaults to Administrator for new Roles), then click OK. Widgets Users can view assigned Widgets and assign additional widgets to an individual Role (below), or assign widgets simultaneously to multiple Roles (see Assign Widget to Roles, page 30). View/Assign Widgets to an Individual Role For each new Role, click Action > Widgets to select and assign the Widgets to be available for that Role. The page displays any Widgets previously assigned to this Role. Users can Search or filter the assigned Widgets list by Category. Click Edit to edit an assigned Widget, or click Unlock to unlock the Widget to Delete it. Click Assign New Widget to assign widgets to the Role. Click each desired Widget to select it. Selections will be maintained as users navigate to additional pages. When finished, scroll to the bottom and click Next. The selected Widget(s) will display a green checkmark. On the Widget Information tab, users can customize the Widget s default Title, Theme and Description, and specify the Widget Specific Filters that should be available for the Role. Widgets can be assigned to a Role multiple times, with different customizations each time. Users will be warned if a Widget with the same Name has already been assigned to the Role. Users can specify the default Range for numeric filters by dragging the start/end markers. Users can also select a Filter option to restrict the Role to only the selected filter option. If no selection is made, the users assigned to that Role can make their own selections. Drag the Sort Filters icon to sort the order of the Widget Specific Filters. Tip: Sort the slider filters above the menu filters to insure tooltips do not impair utilization of slider filters. When finished, click Finish to assign the Widget(s) to the selected Role. Assign Widget to Roles begins with the same two tabs as assigning Widgets to a single Role, and adds a third tab to select the applicable Roles. On the Assign Widget to Roles tab, select the Roles to which the Widgets should be assigned, then click Finish to assign the Widgets. Common Filters Click Roles > Action > Common Filters to select the Common Filters that will be available to the Role. Enable the Common Filters that are applicable for the Role. When finished, click OK. All Common Filters are disabled by default. Enabled filters are green. In the GURUBoards window, the Role s default GURUBoard (if any) will be listed. Users can Edit or Delete the assigned GURUBoards. Click New GURUBoard to assign a GURUBoard to the Role. Select the desired Layout (default is 2 equal columns), then click Finish. The new GURUBoard will open, with the board s Name and (Role) at top left, and the GURUBoard tools at top right. Click Back to Roles to return to the Roles page. Change Layout Users can change the Layout of the board after it is created. Tools Menu The Tools menu allows users to Edit Guruboard. Click Back to Roles to return to the Roles page. Edit Guruboard allows users to change the Name and Description of the currently displayed board. Add Widget Click Add Widget to add widgets to the board. Click Back to Roles to return to the Roles page. Users can view the list of the Role s assigned Widgets, and Search or filter the list by Category. Users can add a single widget, or multiple widgets simultaneously, to the board. To add multiple widgets simultaneously to the board, click the desired Widgets to select them, then click Add Widgets. Selected widgets display a green checkmark. Click a selected Widget again to deselect it. Users can select and add widgets on multiple pages, from multiple categories. When Add it Now or Add Widgets is clicked, the board will refresh and add the Widget(s) at top left. Users can customize the Widget s display using the tools at the right end of the widget s title bar (see Widget Tools on page 38). Widget Tools Once a Widget has been installed on a GURUBoard, the output can be further customized using the Widget tools. Users can Move the widget to a new location or Resize the widget (Up or Down ). Opening the Tools menu, users can Collapse or Expand the widget, Edit the Name and Description of the widget, change the Color of the widget, Delete the widget from the board, and Refresh the widget display. Edit the Link List widget to add Links and/or Vendors. Collapsed widgets display only the widget title bar. Users can also double-click (or double-tap) the Title Bar to Expand/ Collapse the widget. GURU Permissions GURU Permissions allow administrators to control the Create, Delete and Update permissions for GURUBoards and Widgets by Role. Click Roles > Action > GURU Permissions to set the GURU Permissions for the applicable Role. All permissions are checked by default. Click the checkmark next to Resource to deselect all permissions. Click the checkmark next to GURUBoards or Widgets to deselect all permissions for that Resource, or click the individual permission checkmarks to deselect each. When finished, click OK. All esd User IDs in the specified Building will be listed, with the user s First/Last Name, along with Users who have the School Selection permission. The logged-in user displays the Me icon. Use the Search field to find a specific user for the specified Role. The Automatch feature will find all users whose User ID, First Name or Last Name contains the entered text. Automatch works without clicking Go. Automatch will NOT match if more than one word is entered in the Search field. Check the checkbox to the left of the User ID column header to select all users, or check the individual Users, then click OK to assign the selected Users to the Role. Export Details Click Roles > Action > Export Details to set the Export Details for the applicable Role. Check the fields that the Role s Users will be allowed to export to Excel. Fields with (List) appended to the field name allow users to specify the values that can be exported. Click the Arrow icon to open the list. Copy Role Once the Role has been set up, with assigned Widgets, GURUBoards, Access Levels, Export Details, Common Filters and GURU Permissions, administrators can Copy the Role to other buildings. Click Roles > Action > Copy to copy the applicable Role to other buildings. Copy Role copies all defined settings for the Role (Access Levels, Export Details, etc.) EXCEPT Users. Administrators must assign Users to the Role in the destination Buildings. Click the buildings to which the Role should be copied, then click Copy. Selected Buildings will be lightly shaded with a green checkmark. Click a selected Building again to deselect it. The screen will return to the Roles page and briefly display the Success message. Users The Users page lists the esd user accounts for the selected Building, and the GURU Roles that have been assigned to each. Use the Search field to find a specific user. Assign Roles Click Users > Action > Assign Roles for the desired User. Assign the applicable Role(s), then click OK. Users can be assigned to multiple Roles. Proxy Login Click Users > Action > Proxy Login for the desired User. The Title Bar indicates the Proxy Logged in as user. Open the User menu to Exit Proxy Login. If the Proxy Logged in as user does not have the GURU Admin permission, the left Navigation Pane will not be displayed.
