InterCall provides a Lotus Notes Plug-in template that allows you to quickly and easily create, edit and schedule meetings with pre-defined conferencing information right from your Lotus Notes toolbar. No end-users should install this template. The replication goes from the Domino server to the Lotus Notes clients. If an end-user has a replica of the Mail Database on their local computer, they must replicate with the Domino server in order to get the new design included with this template. If an end-user accesses the Mail Database directly from the server through the Lotus Notes client, they do not need to do anything in order to receive the benefits of this template. SYSTEM REQUIREMENTS: IBM Lotus software required - Lotus Domino Version 7 - Lotus Notes Client 7 - Lotus Administrator 7 Operating System - Any supported by Lotus Domino 7 and Lotus Notes 7. Hard disk space - 16 Mb free for the template - Keep enough free space on your hard drive for the email databases of all your users. Administrator rights and permissions - You need administrator privileges in the Lotus Domino server to install this template. Follow these step-by-step instructions to install or uninstall your InterCall Lotus Notes Template. Installing Lotus Notes Template 1 Go to www.conferencextras.com to download the zip file. 2 Copy the Template files to the Lotus Domino Data folder, which is most likely located in <drive>:\program Files\Lotus\Domino\Data (path by default). If you have another path, find the correct folder. 3 Once the file is located in the Domino Data folder, open the Lotus Domino Administrator application. 4 Go to the Files tab and select the Domino Data folder (it appears to be the root directory) where you will find the file you copied in the last step. You can find it by the title InterCall Testing Mail Template'. Select Template Only in the Show Me drop down box. 5 Right-click the file. In the sub-menu, select Sign. 6 When the Sign Database dialog box appears, select Active Server's ID and All design documents and click OK.
7 When the process is finished, verify that there are not errors in the status bar. 8 Open the Notes client and typ CTRL + O to open a database. Be sure to select the correct Server name and find the Template for this plug-in. Then click the Open button 9 When you open this database, you will see the following page: 10 Click on the last link to open the Installation form.
11 Select the destination for the plug-in installation; either Users email databases or Template. 12 If you select Users email databases, you will see a second field, where you can select the names for the users who will install the InterCall Plug-in. 13 After selecting the names, they will appear in the field: 14 Click the Install button. 15 To enter the name of a template or database, return to the previous screen and click the Template button and follow the onscreen instructions. 16 Go to the server console and type in the next command, 'load design'. Wait until you see the 'Database Designer shutdown' message in the console. To validate this installation, follow the steps below: 17 When the 'Database Designer' is finished, open the Lotus Notes Client and open one of the databases modified with the new design.
18 Select the proper server in the dropdown box and search for the Mail folder to find the Mail Databases. 19 When the mail Database is open, click Switch to Calendar. 20 When the calendar opens, click Tools and select Preferences. 21 Select InterCall Conference Preferences. All values will be empty. Seeing this section indicates that the installation was successful. Click Cancel. To verify this, open the calendar and click Schedule a Meeting. You should see the meeting form below when you have the template installed in database.
Template Modifications You will see differences from the Lotus Notes Mail Template while using this template in the calendar section. By clicking Tools and then Preferences, you will see the InterCall Conference Preferences. When an end-user chooses Schedule a Meeting, the template will ask them if the meeting is an InterCall meeting and then they will see a section for the InterCall Audio Conference Information. Uninstalling Lotus Notes Template 1 Go to the server console and type the following: load design Wait for the Database Designer Shutdown message: 2 Follow steps 17-19 in the Installation section (above) and vertify that the InterCall Preferences options are not showing. If it is not showing, the uninstall process was successful. 3 Open the Calendar and click on Schedule a Meeting. The following screen should appear which confirms that the Plug-in is no longer installed on the database. Considerations Before you install this Plug-in make a backup of all the databases to be affected. You do not need to delete any other template on the Lotus Domino Directory in order to install the Plug-in. This Plug-in with not adversely affect any other part of the server. It only impacts those databases that the administrator specifies.. When you replace or refresh the design on a database there is no data loss because the design and the data information within a Lotus Notes database are in different places. You do not need to restart the Lotus Domino Server after doing the installation/uninstallation process.
