CHARTING This section includes changes done in the Charting section. ENHANCED ANTEPARTUM FEATURE InSync Product Release Notes v8.6.6 The Antepartum feature is enhanced to be more user-friendly and intuitive. Here are some functionalities that are introduced in this release. CARRYING FORWARD DETAILS TO NEXT ENCOUNTER IN PLAN/COUNSELING The details that you record in the Plan/Counseling section of Antepartum Form now will carry forward to next encounter. Figure 1: Carrying Forward Details to Next Encounter in Plan/Counseling AUTOMATICALLY SAVING ANTEPARTUM DETAILS On the Antepartum Form, earlier, the details were saved only upon clicking Previous and Next buttons. ADDED NEW FIELD PREGNANCY TYPE IN POSTPARTUM TAB In the Postpartum tab, a new field Pregnancy Type is added. You can record one of the following options: Single, Twins, Triplets, and Quadruplets. According to the option selected in the Pregnancy Type field, you must record corresponding details, for example, when you select Twins option, it is mandatory to enter 2 records. CHANGING NORMAL VISIT TO ANTENATAL VISIT WHEN ACCESSING CHARTING ELEMENTS At the time of accessing charting elements for a patient, you may want to change encounter type. For example, you are accessing a patient with Encounter Type as Follow Up Visit when you come to know that patient is pregnant and you need to change the visit type to Antenatal. System has introduced a new icon in the list of icons in top right corner of charting element name. Figure 3: Changing Normal Visit to Antenatal Visit When Accessing Charting Elements FACILITATED ORDERING LABS/RADIOLOGY MANUALLY FROM FACESHEET Previously you could order manual tests for labs and radiology only from the Treatment Plan. Now, system allows you to order manual tests also from the Facesheet. ORDERING LABS/RADIOLOGY MANUALLY FROM FACESHEET When you accessed Facesheet, you had only 2 options; Order Lab and Order Radiology that helped to place orders electronically. So, the naming conventions for these 2 buttons is changed to Order elab and Order eradiology. Now, the 3 rd option Order Manual Lab / Radiology is introduced for placing orders manually. To order labs/radiology tests manually from Facesheet: 1. On the top menu bar, select Facesheet. 2. Select a patient. 3. On Facesheet, expand the Pending Services panel. 4. Locate a newly introduced button; Order Manual Lab / Radiology. 5. Also notice that, The Order Lab caption is changed to Order elab. The Order Radiology caption is changed to Order eradiology. 6. Click the Order Manual Lab / Radiology button. 7. On the Manual Lab/Radiology Screen, do the following: a. Select the Order Set from drop down list. b. 2 panels are displayed: Labs and Radiology. c. Notes: InSync Product Release Notes v8.6.6 d. Select the tests that you want to order. e. Additionally, you can select CPT macro from the drop down list. Accordingly, the CPT codes and their modifiers are automatically selected on the screen. The Order Set drop down will show all the active order sets that you have configured in Treatment Plan Configuration. Make sure that CPT macro is configured in Administration > CPT > Macro tab. And the same CPTs should be part of your order set in Administration > Treatment Plan. Manual orders placed from Facesheet will not appear on the SOAP note. The manual lab/radiology order functionality works similar to Treatment Plan manual ordering. CUSTOMIZING SOAP NOTE HEADER InSync Product Release Notes v8.6.6 Currently system prints the common header information on the SOAP note for all the providers. Providers may want to print headers on the SOAP note according to their requirement. System now allows you customize the provider-wise SOAP note header. CONFIGURING SOAP NOTE HEADER In order to print different header on the SOAP note, you must first configure it for the Note Type / Note from the Administration section. System first considers header configuration in the Note section. If it is not done there, system considers header configuration in the Note Type section. If the header is not configured at both the places, system prints all the items in header according to the existing workflow. To configure SOAP note header: 1. From the left menu items, select Administration > EMR > SOAP Note & Letters. 2. On the SOAP Note Header Configuration screen, select a particular Note Type. 3. The Notes section shows all the notes configured for different facilities and providers. 4. Locate the Header Configuration column in the extreme right side in the table. 5. - The gray color wheel icon indicates that SOAP note header is not yet configured for this facility/provider. 6. Click the wheel icon. 7. The SOAP Note Header Configuration screen opens up with all the fields selected. 8. Clear the check boxes for the fields that you don t want to show on SOAP note header. 9. Click Save. Notes: Once the SOAP note header is configured, the gray color icon turns to orange color. You can also notice the Header Configuration column in the Notes Type section. When the SOAP note header is not configured for particular note in the Notes section, system considers its parent note from the Note Type section for header configuration. DISPLAYING HEADER ON SOAP NOTE Once you configure the SOAP note header for specific facility and provider, you can customize your SOAP note header. For example, locate that Patient Age and Sex are not printed on the following SOAP note. OTHER CHANGES IN CHARTING This section includes other changes done in the Charting section. InSync Product Release Notes v8.6.6 ABILITY TO PICK BOTH DATE AND TIME WHEN DESIGNING CUSTOM CLINICAL FORM When designing custom clinical form, you can now print date and time on the form. In order to print date and time, a new Date/Time picker option is introduced on the Administration > Form Builder screen. Once configured Date/Time option in Form Builder, you can use it when charting. If required, you can change the date and time when designing the form. Figure 8: Ability to Pick Both Date and Time When Designing Custom Clinical Form INTRODUCED TRASH FOLDER FOR MESSAGES The Messages feature on Dashboard facilitates exchanging messages between practice users. Previously when you deleted messages, system permanently deleted them at first instance. Now, when you delete messages, system first moves them to Trash folder. You can access the Trash folder to view all temporarily deleted messages. Whenever required, you can remove them from the Trash folder. Figure 9: Introduced Trash Folder for Messages ABILITY TO DELETE ATTACHMENT FROM ORDERS System now allows you deleting attachment from the Orders (Labs/Radiology/Special Studies). When you delete the attachment, it is also deleted from Document Manager, however system prompts a warning message prior to deleting an attachment. ABILITY TO RULE-OUT DIAGNOSIS Sometimes the providers may want to record a suspected condition or disease of patient but may not want to consider it for the billing purpose. System now allows recording such diagnosis by introducing the rule-out option. On the Diagnosis screen, when you add diagnosis, you can locate a new column Rule-out in the table. To record ruled-out diagnosis: 1. From the top menu items, click Patient Search. 2. Click Facesheet drop down and select in-progress encounter or start a new encounter. 3. Click Diagnosis from the charting elements ribbon. 4. Add few diagnosis. 5. Select check boxes against the suspected diagnosis in the Rule Out column. Notes: Ruled-out diagnosis, Appears on the SOAP note indicated with ruled-out tag. Is not carried forward to Treatment Plan or Heath Information Report, and most importantly, it is not carried forward to the billing section i.e. New Charge. Similar to other diagnosis, ruled-out diagnosis, Is Auto copied to problem list upon appropriate check box selection. Is Carried forwarded to next encounter. Figure 10: Role-out Diagnosis ORDERING MULTIPLE PROCEDURES IN SINGLE CLICK USING CPT MACROS In order to make it easier for you to order multiple procedures at a time, you can now use CPT macro when ordering procedures using manual order entry. A new drop down CPT Macro is introduced on the Manual Order screen that opens from Treatment Plan and Pending Services (Facesheet). In Treatment Plan, CPT macros can be used from following places: Labs, Radiology, Visit & Procedure Codes, Special Studies, and Preventative Health. Note: Make sure that CPT macro is configured in Administration > CPT > Macro tab. And the same CPTs should be part of your order set in Administration > Treatment Plan. BILLING This section includes changes done in the Billing section. ENHANCED AUTHORIZATION MODULE Authorization module is enhanced to make it more user-friendly and intuitive. InSync Product Release Notes v8.6.6 ALLOWED RECORDING SAME AUTHORIZATION NUMBER WITH DIFFERENT NAME Previously when you entered same authorization number again, system didn t allow you to do so. Instead, now, system allows you enter same authorization, however, additionally you need to provide the name too. You must ensure that the dates are not conflicting when entering same authorization number. Authorization screen can be opened from the Book Appointment and the New Charge screens. ALERTED USER CONTINUING WITH ENTERED AUTHORIZATION WHEN BOOKING APPOINTMENT Once you configure a particular authorization number, system alerts you upon entering the same number when booking an appointment. If you wish to continue using the same number, you can go ahead, or you can cancel the action and enter different authorization number. If you wish to continue using the same number, you can go ahead, or you can cancel the action and enter different authorization number. Note: Previously, system alerted when you left the Authorization Number field, instead, now system alerts when you validate or save the charge. Figure 14: Alerted User Continuing with Entered Authorization when Creating Charge CONSIDERED VISIT DATE / DOS FOR AUTHORIZATION When you enter authorization number at the time of booking an appointment or creating a charge, and if it is not configured already, then system automatically configures that authorization. Previously when you entered authorization, system considered the current date for that authorization. Now, system considers visit date when you enter authorization from the Book appointment screen, and considers DOS when you enter authorization from the New Charge screen. OTHER CHANGES IN BILLING This section includes other changes done in the Billing section. InSync Product Release Notes v8.6.6 FILTERING DETAILED PAYMENT REPORT BASED ON ADJUSTMENT CODE A new filter option Adjustment Code is now introduced on the Detailed Payment Report. You can now select adjustment code based on which you want to generate the report along with other selections made. From left menu items, select Reports > Reconciliation Report > Detailed Payment. ADDED MRN TO CLAIMS SUBMISSION REPORT On the Claim Submission Report, a new MRN column is added in the excel file when you generate any of these reports: Detailed Claims Submitted Report with Payment Info / Claims Submitted Detailed Report. From the left menu items, select Reports > Billing Reports > Claim Submission. Figure 18: Added MRN to Claims Submission Report SHOWING ZERO-BALANCE LINE ITEMS ON PATIENT STATEMENT Currently, patient statements do not display the line items for which the patients do not have to pay anything to the practice, i.e. when patient balance is zero $ for particular line item. Instead, the patient statement will now also show zero-balance line items, however, in order to view zero-balance line items, patient selection becomes mandatory when filtering patient statements. SHOWING RESPONSIBLE DATE AS DEFAULT ON PATIENT STATEMENTS On the Patient Statements screen, you will now see the Responsible Date as default in the Aging Method field. Previously, the Date of Service was the default option which is now changed to Responsible Date. Figure 20: Showing Responsible Date as Default on Patient Statements UPDATED TAXONOMY CODES AS PER WPC GUIDELINES As per the recent update from WPC Guidelines, Taxonomy Codes are accordingly updated in InSync. GENERAL CHANGES This section includes general changes done applicable for Charting and Billing sections. ALLOWED ADDING CANADIAN POSTAL CODES The practices having patients from Canada now can add Canadian Postal Codes in the system. You can select Canadian postal codes when adding/updating patient details in the system. Using the red color icon next to the Postal Codes field, you can also configure postal codes. When configuring postal codes, you must ensure that the codes you enter are followed with the Canadian guidelines. Call 877-346-7962 for customer service or e-mail us at support@insynchcs.com.
