SECTION 1: INSTALLATION OVERVIEW Please read the setup instructions before attempting to install the PerTrac Analytical Platform application. You can download our software and other components at www.pertrac.com. You will need a PerTrac license number to download software and information from our website. PerTrac Analytical Platform requires various components in order for the application to run. 1. Software Key - A PerTrac software activation key or software key will be issued by PerTrac. The key is used to validate that the user has a current PerTrac subscription. The validation process takes place once you have launched the application. Communication between your machine and the PerTrac Hosted Key Server finalizes the validation, at which point the PerTrac Software is ready for use. Soft keys are available in two forms: Standard software keys (for most installations) Concurrent software keys (for Citrix, Terminal Server or Virtual Machine installations) 2. Database Server This is a specific server where PerTrac database files reside. All PerTrac users will open and edit these database files through the PerTrac Analytical Platform application installed on their own client computers. You may also choose to place database files on a client computer rather than a central database server, provided all other client computers can access that machine via the local network. Database creation and setup instructions are included in Section 5. 3. Client Software Each client user needs to have the PerTrac Analytical Platform application installed on his or her local machine. This is the front-end software allowing the client to connect to and use PerTrac databases. PerTrac requires read/write permissions to various directories and the client application must be installed with the user logged on as Local Domain Administrator. If you are not logged in properly, PerTrac will not function correctly. Client installation instructions are included in Section 2 (Single User Installation Layouts) or Section 3 (Multi-User Installation Layouts). 4. Single User Installation - Installing the PerTrac Analytical Platform Client Software The PerTrac Analytical Platform application is installed locally on the client computer. PerTrac pulls data from a Microsoft SQL Database. The database can be located on the local computer or on a server. The client computer needs read/write privileges to this database. PerTrac s data is updated via downloads from the internet, therefore some proxy/firewall information may need to be added for PerTrac to function properly and/or download data. While PerTrac Suite applications may or may not exhibit specific issues using non-english operating system versions, customers should be aware that PerTrac has not internationalized or localized its applications to non-english languages. PerTrac does not currently quality test its applications in non-english environments, or provide specific product support for questions or issues arising from non-english installations of PerTrac products. Note: The PerTrac Analytical Platform application is tested on the following regional settings: English UK, Italian, French, German, Spanish and Japanese. Each client computer using PerTrac needs the following Folder Permissions: Folders - Full Control*: Local User Folder We write files to user profile and public documents. In addition, we grant permissions to Public Application Data Folder. *Be sure to click on Advanced when setting the permissions and cascade permissions down by selecting Replace permission entries on all child objects shown here that apply to child objects, then clicking Apply. **Server Versions if applicable (Citrix and/or Terminal Server Environments) PerTrac Analytical Platform Installation Instructions Install the application on each individual client computer. We recommend that you install the client application on one computer first and verify that all programs are working properly before installing on other client computers. a. To download PerTrac Analytics 7.x, go to www.pertrac.com and click on the "Live Support" link. b. Next, click on the "PerTrac Analytics Client Login" link (Client Login) c. Next, you will be prompted to enter the License Number, in order to gain access to the download page. d. From the download page, click "Download for Analytics 7 SQL Version Setup Guide 8 3/21/2013
e. Save the file to your selected destination f. Double click the file PerTrac 7.x Enterprise Setup.exe to launch the installer IMPORTANT: You will have to be logged on as a Local Administrator to perform the installation. If you are installing as a Local Admin for another user, launch PerTrac, PerTrac Reports, and PerTrac Publisher to ensure that the programs register properly. This will begin the installation process, which will guide you through the necessary steps. It is advised that you select the default settings during installation. *See Section 7 for default file locations Important Note! If Windows Installer 4.5 must be installed (Windows XP & Vista), it is installed immediately without user prompting. Upon completion of that sub-install, the user is prompted to restart the computer, but the PerTrac 7.x installer doesn t autorestart after the computer restarts. After rebooting, launch the PerTrac 7.x installer again to install the application. Once PerTrac Analytical Platform is successfully installed and launched for the first time, you will be prompted to enter your license number. Please choose Software Activation. Software Activation: Select this option and enter in the requested information that was provided by PerTrac. PerTrac will now prompt you to select a database. Choose one of the following: PerTrac Blank Database, PerTrac Index Database, or an existing database. Software Activation: PerTrac issues two types of soft keys; standard and concurrent keys. Details on software keys can be viewed in Section 8. Standard Software Key: This is the most common key and a single key code is issued to each named user of the software. Enter each individual key per installation of the PerTrac Client Software along with the required information. Concurrent Software Key: This key is typically issued for clients installing PerTrac on Citrix, Terminal Server or Virtual Machines. One key is issued at the company level. Enter the Concurrent key per installation of the PerTrac Client Software along with the required information. PerTrac will now prompt you to Connect to SQL Server Database. See Section 5 for database creation instructions. SQL Version Setup Guide 17 3/21/2013
SECTION 4: VERIFYING PERTRAC FUNCTIONALITY In order to verify that the PerTrac Analytical Platform has been given the appropriate permissions to function correctly, you can run the PerTrac Publisher and PerTrac Reports modules. 1: Go to the Reports menu, and then select PerTrac Publisher. PerTrac Publisher windows should open. 2: Double-click on any one of the report generation icons in the left pane to launch the report customization window. If this window opens without any problems, you may close PerTrac Publisher. 3: Go to the Reports menu, and then select PerTrac Reports. PerTrac Reports windows should open. If this window opens without any problems, you may close PerTrac Reports. If problems arise during any of these steps, then the PerTrac Analytical Platform was not granted proper permissions during installation and needs to be reinstalled. SECTION 5: CONFIGURING AND UPDATING DATABASES The following instructions will take you through the setup of a new PerTrac SQL database. SQL Server Requirements: MS SQL Server 2005 or higher 2GB RAM 1GB Free Hard-disk Space Create a new database in SQL Server using SQL Server Management Studio (SSMS): 1. In Object Explorer, connect to an instance of the SQL Server Database Engine and then expand that instance. 2. Right-click Databases, and then click New Database 3. In New Database, enter a database name. 4. To create the database by accepting all default values, click OK; otherwise, continue with the optional settings. PerTrac 7.x Enterprise application will create the proper table structure automatically by running an upgrade utility on the newly created SQL database on the very first connection. Therefore, the user who connects the very first time to the SQL database needs to have db_owner rights on the database. Afterwards, db_owner rights can be replaced with db_datareader and db_datawriter permissions as all PerTrac users need to be granted, at minimum, db_datareader and db_datawriter permissions on the database (granting PerTrac users with db_owner rights is preferred). Database Permission Setup window in SQL Server: Run the PerTrac Enterprise installation program and follow the instructions on the screen (this should have been performed in Section 3). We suggest that you accept all the defaults. Icons will be added to your Start menu and Desktop for PerTrac Enterprise. The installation file can be found on our website at www.pertrac.com. Once the PerTrac Analytical Platform is successfully installed and launched for the first time, you will be prompted to Connect to SQL Server Database SQL Version Setup Guide 20 3/21/2013
I. Data Manager Visit http://support.pertrac.com/public_kb.asp?problemid=371 for detailed information on updating databases including instructions for Bloomberg tasks. PerTrac 7.x includes a redesigned Data Manager for updating and merging your data. Once configured, Data Manager will run as process on your computer and will update your selected databases automatically. Every day at a specified time (the default is set at 12:00 am), the process will check the Last Updated dates on your databases. If a new database has been posted to our site, the system will download and merge it automatically. The Settings link on the form below provides an option to set the time of day you want the service to run. Note: Your computer must remain on for the service to run. You can lock your computer and the service will continue to run. (If your network administrator requires an overnight profile log out, please contact support for set up assistance) Data Manager can be launched from the Tools tab on the menu bar (it is also in your system tray). When launched, the following window will appear: 1. New Update: The first time you run Data Manager, click +PerTrac to set up and schedule your database updates. 2. Data Manager Settings: Click the Settings link near the lower right corner of the Data Manager window above. This form provides the option to: a. Enter a Download Folder to store your download only databases. b. License key: Entered automatically except when you get a new license number c. Username: For downloading subscription databases d. Password: For downloading subscription databases e. Check for updates: Set the time of day for the Data Manager update process f. Delete databases after successfully merging: Deletes the new database file after its contents have been merged into the existing database. SQL Version Setup Guide 21 3/21/2013
g. Back up destination database: Automatically create a copy of your existing database in the update process h. Configure internet proxy settings 3. User Information: The User Information window will open. Your license number will automatically be entered into the License Number box. The window also asks: Have you subscribed to any databases? Click Yes or No. If you select Yes, new fields will appear on this window for you to enter your User Name and Password. Note: A single User Name and Password will be used for all databases you subscribe to. 4. Database Selection: Based on your answers in step 2 above the database selection window lists all available databases. If you selected Yes above, Data Manager will list your User, complimentary, and subscription databases based on your license. If you selected No, Data Manager will display your user and complimentary databases. TIP: By default, the Type box listed just above the database list on the left side of the window is set to All. This option displays all User databases (represented by the very light blue icon), complimentary databases (represented by the mid-range shade of blue), and the subscription databases (represented by the darkest shade of blue). If you only want to view certain databases, change the option to Complimentary Databases, Subscription Databases, or User Databases. a. Merge Options: The merge options include Limit by Universe if you only want to merge a specific universe with a database, Include User Data when merging that universe, and Overwrite instead of merging performance. Check any you prefer. Click Next. TIP: The databases listed in the Available Databases window list all databases that have been selected in the past. If your database is not visible, you have the ability to select and add databases to the Available Databases window by clicking the database icon with the green plus sign left of the Reorder button on the right hand window. When clicked, the following window will open. Select your database, SQL or Access. If you would like to add this database to the list of databases check the box in the lower left: Add Connection to Available Databases. 5. a. Automated Update: The automated download works similar to the old Data Manager in PerTrac 6 where the selected databases will be downloaded and merged with your PerTrac database. When this radio button is selected, you must select a destination database by clicking the Select button. This opens the database selection window, which is set for a SQL database by default. When your SQL database has been configured click Apply and then OK. b. Download Only: Use this option to download the selected database(s) to a download folder. TIP: The download folder path location is selected on Data Manager Settings form, explained in step 2 above. c. Job Name: This allows you to give the task a name that is meaningful to you. d. Destination Database: Select the destination databse to update. (A destination database does not need to be selected if Download Only is chosen. Click Next. 6. License Agreements: When you select subscription databases that require a license agreement, or our complimentary databases which also require a license agreement, this step allows you to accept all agreements at once. When all required agreements have been agreed to, click Finish. 7. Finish: Closes the wizard and posts your saved download process as a new job listed in the Data Manager home window. At any point you have the options, per the icons on the right hand side, to Run the update by clicking the green arrow, Edit your task with the edit icon, or Delete the process with the red X. SECTION 6: USING IMPORT UTILITIES TO ENTER DATA The following instructions will explain using a PerTrac Excel Import Utility to transfer data to a PerTrac database. If you currently use the excel import utility with version 6.0.19 or older, you need to copy your information to the new excel import utility that will be downloaded with version 7.x 32-Bit Operating Systems: Located - C:\Program Files\PerTrac Financial Solutions\PerTrac7\Import Utilities 64-Bit Operating Systems: Located - C:\Program Files(x86)\PerTrac Financial Solutions\PerTrac7\Import Utilities The PerTrac Analytical Platform has Excel Import Utilities that can import performance information into a PerTrac compatible Microsoft Access database. If Import Utilities have not been provided with your PerTrac installation, please call our support group. Support email addresses and phone numbers can be found at www.pertrac.com. Each of the Import Utilities is an Excel workbook containing an instructions sheet and a sheet with example funds. Note There are several different versions of the Import Utility with varying functions (daily data, monthly data, quarterly data, NAV functionality, funds managed). You must choose the correct version for your purposes for the import to work correctly. Import Utility This utility enables you to send monthly or quarterly performance into a PerTrac compatible database. There are a few mandatory entries that PerTrac needs to calculate monthly performance properly. The mandatory entries are: 1. Investment Name 2. Datavendor Name 3. 4. Monthly/Quarterly Dates 5. Monthly/Quarterly Performance 6. (Optional) NAV, Funds Managed, etc. Fund Name, Datavendor Name, Datavendor ID The Data tab in this sheet can be used to enter and store Investment Name, Datavendor Name, Datavendor ID, Monthly/Quarterly date range and Monthly/Quarterly Performance. The Investment Name is the name that you want PerTrac to display when referencing the investment in the database. The Datavendor Name is a name like User that PerTrac uses to reference qualitative description files per groups of investments. The Datavendor ID is a unique alphanumeric ID per investment within a Datavendor Name. There can be thousands of investments within PerTrac with the same Datavendor Name, but each investment needs its own unique Datavendor ID. The Data tab in this sheet has an example of one investment. The Investment Name is in cell B1 (ABC Fund), the Datavendor Name is in B2 (User), the Datavendor ID is in B3 (1). The Datavendor Name User can be used many times, but Investment Name and Datavendor ID need to be unique within the database. Columns A-IV can be used to upload unique investments into PerTrac. *Refer to the image on the previous page Dates and Performance Cells A4-A10000 must be used for the monthly or quarterly date range. This range can be used for every investment that you import. The start date in cell A4 should be the first performance date of any fund that you want to import to a PerTrac compatible database. Columns B4-IV4 can be filled with each fund's performance, NAV, and funds managed that you wish to import to the database. Each performance time series must have a unique Investment Name and Datavendor ID, and a Datavendor Name. Instructions To get monthly data into the PerTrac Analytical Platform you must do the following: 1. On the Data tab, copy and paste your monthly dates starting in cell A4. The dates should be the last date of the month. 2. On the Data tab, copy and paste the names of all of your investments in cells B1-IV1. (Only use the number of cells appropriate for the funds you are entering.) 3. On the Data tab, copy and paste the Datavendor Name "User" from B2-IV2. (Only use the number of cells appropriate for the funds you are entering.) 4. On the Data tab, enter a unique alphanumeric ID for cells B3-IV3. This ID must be unique per investment. the database you will overwrite that data. (Only use the number of cells appropriate for the funds you are entering.) 5. On the Data tab, enter the monthly performance for each investment for cells B4-IV4. The performance should be in the format listed on the sheet, formatted as %. (Only use the number of cells appropriate for the funds you are entering.) 6. Save this import utility. If your version of the PerTrac Analytical Platform stores data in a Microsoft SQL database, refer to the Instructions tab from the Import Utility. To get quarterly data into the PerTrac Analytical Platform you must do the following: 1. On the Data tab, copy and paste your quarterly dates starting in cell A4. The dates should be the last date of the quarter (Mar 31, June 30, Sept 30, Dec 31). 2. On the Data tab, copy and paste the names of all of your investments in cells B1-IV1. (Only use the number of cells appropriate for the funds you are entering.) 3. On the Data tab, copy and paste the Datavendor Name "User" in cells B2-IV2. (Only use the number of cells appropriate for the funds you are entering.) 4. On the Data tab, enter a unique alphanumeric ID in cells B3-IV3. This ID must be unique per fund. If you use an ID, Investment Name and Datavendor Name that already exists in the database you will overwrite that data. (Only use the number of cells appropriate for the funds you are entering.) 5. On the Data tab, enter the quarterly performance for each investment for cells B4-IV4. The performance should be in the format listed on the sheet, formatted as %. (Only use the number of cells appropriate for the funds you are entering.) 6. Save this import utility. If your version of the PerTrac Analytical Platform stores data in a Microsoft SQL database, refer to the Instructions tab from the Import Utility To get daily data into the PerTrac Analytical Platform you must do the following: 1. On the Data tab, copy and paste your daily dates starting in cell A4. The dates should not contain weekends or holidays. 2. On the Data tab, copy and paste the names of all of your investments in cells B1-IV1. (Only use the number of cells appropriate for the funds you are entering.) 3. On the Data tab, copy and paste the Datavendor Name User in cells B2-IV2. (Only use the number of cells appropriate for the investments you are entering.) SQL Version Setup Guide 26 3/21/2013
4. On the Data tab, enter a unique alphanumeric ID in cells B3-IV3. This ID must be unique per investment. If you use an ID, Investment Name and Datavendor Name that already exists in the database you will overwrite that data. ((Only use the number of cells appropriate for the funds you are entering.) 5. On the Data tab, enter the daily performance for each investment in cells B4-IV4. The performance should be in the format listed on the sheet, formatted as %. (Only use the number of cells appropriate for the investments you are entering.) 6. On the Preferences tab, change the name of the Market Database appropriately. C:\pertrac\market holidays.hdb is the default. 7. On the Preferences tab, click the refresh market list button. Select the proper market holiday table. USA Holidays is the default. 8. Save this import utility. If your version of the PerTrac Analytical Platform stores data in a Microsoft SQL database, refer to the Instructions tab from the Import Utility. SECTION 7: DEFAULT FILE LOCATIONS System files include the PerTrac executable and supporting.dll files required for the PerTrac program to operate. By default these files are installed to the locations below but can be changed during the installation process. Windows (x86): C:\ Program Files/PerTrac Financial Solutions/PerTrac7 (32 bit) Windows(x64): C:\Program Files(x86)/PerTrac Financial Solutions/PerTrac7 (64 bit) User specific settings are stored in xml files in the user profile. These files control the user s default options which do not need to match for each user who uses the machine. In previous versions of PerTrac this information was stored in the system registry. These file locations cannot be modified. These files are stored in the Public documents area of windows. By default all windows users will have full control to this folder. SECTION 8: SOFTWARE ACTIVATION TECHNICAL INFORMATION The following information outlines the activation process of both the Standard Keys and Concurrent Keys: Standard Key (Standard Software Keys can only be used on one named user computer at a time.) Upon launching PerTrac, the PerTrac Software License is activated by the PerTrac application contacting the license server. The PerTrac license server s URL is: http://activation.pertrac.com. The authentication verifies that the key you are using is valid and has not expired. It will also confirm that the key is readily available and is NOT active on another computer. Concurrent Key (Concurrent Software Keys are used mainly for Citrix, Terminal Server and Virtual Machine Installations. This key can be used on multiple computers, but is limited to the number of available authorized users to access the application.) Upon launching PerTrac, the PerTrac license is activated by the PerTrac application contacting the license server. The PerTrac license server s URL is: http://activation.pertrac.com. The authentication verifies that the key you are using is valid and has not expired. It will also confirm that the key has NOT exceeded the number of available users programmed to concurrently access the application. The PerTrac Application will actively communicate with the PerTrac Hosted Key Server at http://licensemanagement.pertrac.com, approximately every 5-10 minutes in order to monitor the number of users actively using the key. Upon closing the application on a computer that had PerTrac running, a message is then relayed to the PerTrac license server, releasing the user from the active list and allowing another named user to open the application. Solution: The license must be released from the named user computer before it can be used on another named user computer. This situation may occur if you use a desktop and a laptop computer. Releasing is accomplished by clicking File, from the application toolbar, and selecting Release License and Exit. If it is unknown which computer was last assigned the license, please contact PerTrac Support. SA15 - Invalid Activation Key. Error Number SA15 The PerTrac Software License is activated by the PerTrac application contacting the license activation server. The PerTrac activation server s URL is: http://activation.pertrac.com. If this is the first time you are attempting to launch PerTrac with a software key, it is likely that corporate security settings may be blocking PerTrac s access to the activation server. Activation may be blocked by, firewall, proxy server, and/or occasionally an antivirus package. Solution: Add the http://activation.pertrac.com to the trusted sites and enter the proxy account settings in PerTrac configuration interface. The proxy account settings should be entered on the License Configuration window under Configure Proxy Settings area. SA2 (Concurrent Keys Only) All licenses are currently in use. You have exceeded the number of available users programmed to concurrently access the application. Solution: The license must be released from one of the named user computers actively using PerTrac.
