This application guide will provide you with all the necessary information to create a profile within our job application system and to apply for a position with the City of Richmond. If you experience problems during the application process, please call 604-276-4105 or email hr@richmond.ca with your information, your issues and the position you are trying to apply to. NOTE: This phone line is only monitored during regular business hours (8:15 a.m. to 5:00 p.m., Monday to Friday). PLEASE READ THIS GUIDE COMPLETELY BEFORE YOU APPLY. It is important that you read and understand the following information before you begin the application process: Applications will only be accepted through the City of Richmond s online application system. Applications received via email, fax or hard copy will NOT be accepted. Follow the instructions in this guide carefully to ensure that you have completed the application properly and have included all of the required supporting documentation at the appropriate time. Incomplete applications, including applications without the requested supporting documentation if necessary, will not be accepted. An active email address is required to submit your application. It is important to use an email address that you check regularly. Communication to you throughout the recruitment process will be primarily through email. Depending on the position, it is estimated that it will take 15 minutes or more to complete your online application. Give yourself adequate time; do not rush. Answer each question carefully and make your application count. Most postings close at midnight on the closing date assigned. Ensure you give yourself ample time to apply for the position before the closing date/time. NOTE: Our application system is not compatible with Safari and/or Apple products. If you are using Safari or an Apple product, you may experience log in errors or application errors. BEFORE you create a profile or apply to a position ensure you have the following: Read the job posting thoroughly and ensure you meet all the minimum qualifications for the position. Have all the information you will need to complete the application ready and available. Be prepared to complete your application in one sitting. A period of inactivity will cause the online system to time out and indicate that you have already applied. You will not be able to go back into the system to re-apply. Ensure that you have an updated resume. Word format is preferred; our system has a hard time uploading PDF documents and may indicate that they are too small or too large to upload. If you have a cover letter, add it into your resume document so that it is all one document. If the posting indicates, ensure that you have your Driver s Abstract and all supporting documents (transcripts, certificates etc.) available when you apply and in a format that you can upload. Make sure you upload all supporting documentation including your Driver s Abstract, transcripts, certificates etc. at the time of your application. Once you are in the online application system, ensure that you do not go back or press the Back or Refresh button on your browser during the application process. Use the online system navigation buttons provided Previous or Next. Clicking Back or Refresh will cause the application system to submit your incomplete application, and you will not be able to re-submit. During the Application Period if you need to make changes or add information to your application after it has been submitted, you can update you information by logging back in to your candidate profile at http://www.richmond.ca/careers/ourcareers/city-opportunities/currentpostings.htm and navigate to the My Account tab. From there, any information you update will be automatically reflected within any job posting you have applied to. Creating a Candidate Profile Please follow these steps to assist you in making your application. Before applying, ensure you have adequate time to complete the application and upload all relating documents; applications usually take about 15 minutes to complete. You cannot save your application and continue later, it must be completed in full at the time of application. NOTE: Ensure that you do not go back or press the Back or Refresh button on your browser during the application process. Use the online system navigation buttons provided Previous or Next. If you press the Back button on your browser to return to a previous page, your application will be submitted with only the content you have completed. Do not attempt to re-apply; instead navigate to the My Account tab and update any missing information. Before applying to a position with the City of Richmond, you will need to create an online candidate profile within our job application system. To do this you will need to visit our website and navigate to the Careers section. From the careers main page, use the left hand menu and hover your mouse over the Our Careers tab, then hover your mouse over the City Career Opportunities tab, followed by clicking on the Current Postings tab. 5055481 Page 3
Once at the main Current Postings page; scroll down to where it says First time visiting us? and click on the Register link. To register an account with our applicant tracking system, use your personal email address to create an account and click the Submit button. 5055481 Page 4
You will be prompted to upload a resume, or link your profile to one of your personal online profiles (LinkedIn, Facebook or Google+). NOTE: You cannot skip this step; you must upload a resume at this time. You will have the opportunity to upload other supporting documentation later on in the process. The profile creation system will pull information from your resume and place it in to the corresponding fields of the profile system, ensure this information is correct while proceeding through the process and fill in blank areas as necessary. 5055481 Page 5
Read the City of Richmond Application Disclaimer page thoroughly, select Accept and then click Next. If you do not accept, you cannot proceed through the profile creation process and eventual job application process. 5055481 Page 6
Fill in your profile information as necessary by following the instructions and proceeding through the pages by clicking Next at the bottom of each page. 5055481 Page 7
Upload your additional documents in the Documents page; this includes your cover letter, if separate from your resume and any supporting documentation you wish to be included within your profile. Once you have uploaded your documents click Next. On the Employment page, review or input your employment history. Once completed, proceed to the following page by clicking Next. 5055481 Page 8
On the Education page, add and/or review your education information. If you are applying to a position which requires more than two certifications, these can be uploaded within your My Documents section later on in the process if you have not already done so. 5055481 Page 9
On the General Profile page, enter all the information required indicated by the red asterisk then click Next at the bottom of the page. 5055481 Page 10
On the Job Agent page, you can choose to select which Department you wish to receive job posting notifications for. To select more than one job category, hold Ctrl and click on your areas of interest. Once you finish your profile creation, you will see the Your Registration is Complete page. You will now be able to submit a job application for a position in your area of interest. To apply for a position, stay logged in to your account and proceed to the View Jobs tab. Click on your position of interest, and click apply now ensure that you are carefully reading the job description and submitting all relevant information for the position during your application. Proceed to the following section of this guide for a step by step application outline. NOTE: The system will automatically pull the information from your profile and fill in the categories as necessary. Applying for a Position with the City of Richmond Ensure that you are logged in to your online candidate profile. Navigate to the View Jobs page. 5055481 Page 12
Click on the position you are interested in applying to, and review the job description to ensure that you meet the minimum qualifications for the position, as well as have any additional documents ready for your job application. Once you have everything you need ready to apply, click the Apply Now button in the top left hand corner of the job description page. 5055481 Page 13
Review the Disclaimer page and follow the prompts to the next page if you accept the terms. NOTE: If you do not accept the terms, you will not be able to apply for a position with the City of Richmond. 5055481 Page 14
Review your contact information page and ensure that all of the information is up to date and correct. Review the General Profile page and answer any of the necessary information. 5055481 Page 15
Review the Employment page and enter and/or update any necessary information. Review the Education page and enter and/or update any necessary information. 5055481 Page 16
On the My Documents page, upload any additional documents that you may need for your job application. These documents include your Cover Letter, any necessary certifications requested or any additional documents you wish to be included with your job application. On the following pages, if the job requires, you will be asked to complete a series of job related questions. Ensure that you are reading the questions carefully and selecting the answers that most closely fit with your experience. Some positions do not include a job related questionnaire; in this case you will see a page that says Thank you for your Application. To ensure that your application has been submitted, you can navigate to the My Account tab and review the Application History section. If you have any questions or concerns about your job application, you can email Human Resources Department from the Contact Us tab. You can update your profile information at any time. To do so, log in to your profile and navigate to the My Account tab. Any information updated within the My Account tab will be automatically updated and reflected within any job posting you have applied to. 5055481 Page 17
