Introduction to PowerPoint 2007 PowerPoint is one of the programs included in the Microsoft Office suite. It s used to create presentations, also called slide shows, that are typically displayed via a projector for an audience. Slide shows may also be displayed on the web. This class will cover creating a simple presentation, including: o choosing a design o adding and editing slides o inserting images o adding special effects o basic design guidelines o displaying your slide show o printing and saving the presentation Getting Started and start the program by double- On the desktop, find the PowerPoint icon clicking. The program typically starts with a new blank presentation. Tip: At any time, you can create a new presentation by clicking on the Microsoft Office button and selecting New/Blank Presentation/Create. Starting at the Top The large Microsoft Office button at the top left contains file commands such as Open, Save and Print. Your work will be done from the ribbon, a set of tabs along the top of screen. These replace all the dropdown menus and toolbars found in Office 2003. The Home, Insert, Design and View tabs are the ones you ll use most. The small Quick Access Toolbar in the far upper left corner contains three commands: Save, Undo, and Redo. You can add more commands by clicking the tiny arrow at the right, which opens the Customize the Quick Access Toolbar menu. TIP: Here s one thing you might want to change. Since the ribbon takes up a lot of space on your screen, you can keep it minimized until you select a tab. On the Customize Quick Access Toolbar menu, select Minimize the Ribbon. Choosing a Theme PowerPoint 2007 and 2010 have a number of fairly good looking design themes that are easy to modify.

2 o Click on the Design tab in the ribbon. Mouse over the themes to preview them. You can view more themes by clicking the small scroll buttons on the side. Click on a theme to select it. All slides in your presentation will incorporate this design, which includes background, type fonts, and colors. o Try changing your theme s color scheme. Click on the Colors menu, and experiment with different options. o Click on the Fonts menu to change your theme s font. Slide 1. Slide Layouts Each theme comes with a set of pre-formatted slide layouts. Most presentations begin with a title slide, which it what you should now see in the work area on the right side of the screen. Add text to your title slide. Click in the top, or title, text box (also called a placeholder) and type: Fun with PowerPoint Now click inside the subtitle placeholder and type today s date. Slide 2: Title and Bulleted List Create a new slide in one of the following ways: o on the Home tab in the ribbon, click on the New Slide icon o right click in the Slide Pane at the left side of the screen o type ctrl-m Select the Title and Content layout and click OK. Click in the Title placeholder and type: Why Use PowerPoint? Now click in the body placeholder. Type each of the following bullet points, pressing the Enter key after each line: highlight key points display graphics create handouts share on the web Now, increase the size of the text. Select all the body text by clicking and dragging the mouse. On the Home tab, click on the Increase Font Size button one or more times until the font size looks good. If you go too far, click the Decrease Font Size button.

3 Tip: Body text is set up as an unnumbered (bulleted) list. If you just want to type text, turn off the bullets by clicking on the bullets icon on the Home tab of the ribbon. Slide 3: Adding images Create a new slide. Select the Title and Content layout again. In the center of the screen, you ll see options for a variety of graphics you can insert along with your text. In the title box, type: Things to Avoid In the text box below, type the following: Too much text Too many bullet points Fonts that are too small Bad clip art Increase the font size by selecting the text and clicking the Increase Font Size button Now let s add some bad clip art! Select the Insert heading from the ribbon, then choose Clip Art from the Illustrations options. Choose an example of bad art from one of the categories. Click on it to insert it on the slide. Extra credit: Draw an arrow pointing to clip art From the Insert tab on the ribbon, click on Shapes. Choose Block Arrow, then select the arrow pointing to the right. The cursor will form a crossbar. Position the crossbar on the slide next to the clip art and pull to extend the arrow. You can rotate the arrow (green circle) or click and drag to move it around the slide. Slide 4: Modifying your design You can customize a slide s background by changing its color, or adding texture, gradient or a picture and/or remove your theme s background art to create a blank slide. Create a new slide by typing ctrl-m

4 Select the blank slide layout. Right click inside the slide and select Format Background Under Fill, select Gradient and check the box marked Hide background graphics. Now choose a gradient (a pattern that shades from light to dark) from the gallery of options. Let s undo this change and try something else. Click on the Undo button on the Quick Access toolbar. Under Fill, select picture or texture fill. Make sure that Hide Background Graphics is checked. Choose File, and select a picture from one of your computer s folders or from the Internet. You can resize the image, or check Tile Picture as Texture to fill the whole slide (this doesn t always look good). Click Close. In PowerPoint, all text must be contained in a text box, so let s add one. On the Insert tab on the ribbon, click on Text Box. Click and drag the mouse to create a dotted-line text box on the screen. Click inside the box. On the Home tab, select a font style and point size. Start with 28 points you can always adjust the size. Type Always do what you are afraid to do. Ralph Waldo Emerson Move the text box around by clicking the mouse at the top center until the cursor becomes cross-shaped. Adjust the size and font until you are happy with your design. Duplicating slides Once you re created a layout that you like, you can easily duplicate it: From the main menu, click Home New Slide Duplicate Selected Slides A copy of the current slide will be inserted immediately following it in the slide show. Working in the Slide and Outline panes When working in PowerPoint s Normal View, tabs on the left side of the screen let you quickly write, edit or reorder slides. In the Outline Pane, you can edit or write text directly into the slide.

5 In the Outline Pane, click on the first slide, and change the date to September 1, 2010. In the Slide Pane, you can move slides around, add new slides, and delete slides. Delete the duplicate slide that we just created. The Slide Sorter In the lower right corner of the screen are shortcuts for PowerPoint s different views. Click to shift from Normal View to Slide Sorter View. Here you can easily view and reorder your slides. Setting Up Your Slide Show: Now add animation effects: On the ribbon, click the Animation tab. Choose a transition style from the gallery this will determine the transition effect from one slide to another, or between all slides. Use the scroll bar to view more options. Exercise 7: Running a slide show You can run a slide show from the beginning in any of these ways: Press F5 On the ribbon, click Slide show Start Slide show In the Slide View, make sure the first slide is selected, then go to the ribbon and click either From Current Slide or From Beginning. Press the Enter key, the right arrow key, or click the mouse to advance the slide show. Press the left arrow key to go back. To quit the show, press the Escape key, or right click the mouse, then select End Show. Exercise 8. Printing slides On the Office Button, select Print. In the lower left corner, note that you can select what to print: slides, handouts, notes pages or outlines. If you print slides, you ll get one slide per page. Select handouts from the drop-down menu, then, to the right, choose four slides per page. Exercise 9. Save your presentation On the Menu Bar, select File Save As. Save the presentation in My Documents, using your initials as the file name. Resources online

Let s build a simple black and white template. Click the Office Button and Select New, then Create at the bottom of the right pane We re going to create a master slide. To do this, we ll click on the View on the ribbon, then choose Slide Master View: Right click outside a text box and select Format Background. Select Picture or Texture fill. Select an image file or texture from an image file saved on your hard drive. Once the image is inserted, you can resize it. If the picture is too bright, you can fade it by sliding the transparency bar. If necessary, change the text color to harmonize with your background picture. Click Apply to All, then Close. Save your master slide. On the Edit Master tab, click Insert Slide Master, then Preserve. On the View tab, click Normal View. Now type ctrl-m to create a new slide. Note that your master design is now applied to all new slides. ph/aug 2011
