Welcome to EZLynx Reports EZLynx reports have a new look and navigation structure, and are now supercharged! The reports you know and love are improved, and we ve added master reports to make retrieving just about any data a breeze. REPORT BASICS Basic Functions Exportable to an Excel or CSV file. Hover over any column header to access drag handles : o To reorder columns, use left handle (green box) to move a column to a new position. o To adjust column width use right handle (red box) to adjust column width. All reports, except Standard Commission reports, reflect account activity through midnight of prior day. See a list of ALL Standard and Accessing Reports A user must have the appropriate permissions to access reports. To add report permissions, contact support@ezlynx.com To access reports, hover over the Reports (graph) icon, and select from the menu. o Menu options vary by user depending on product setup and admin vs. nonadmin status. o Each menu option has three report types: Standard, Master or Custom. TYPES OF REPORTS Standard reports are reports that pull data automatically no need to build the report. A Master Report is used as a starting point to filter very specific data with a wide variety of options. Once the desired data is retrieved, it can be saved and shared as a Custom Report. Custom Reports To create a custom report, select a Master Report, and use the various options outlined in this guide to retrieve specific, detailed data. Save the report as a custom report. Custom reports can also be shared. 5
CUSTOMIZING A MASTER REPORT Here we ll outline the functionality of each Master Report tab. Once specific data is filtered from a Master Report, it can be saved as a Custom Report and shared with everyone in the agency. Filter Tab Select which EZLynx user(s) to include on report - based on the user assigned to an applicant. Change the assigned to user from an applicant s Lead Info tab. Include deleted applicants by checking that box. Options vary based on your account setup: a. Only me d. Specific user: b. Everyone in my agency * select one user in your agency, or c. Everyone in my agency and all subs * more than one by pressing Ctrl key + users Columns Tab Select which columns to display on the report. 1. Check column boxes. a. Select All or None at lower right. b. Actions adds icon for each applicant to the report. From icon you can access contact info, link to applicant account, email or text applicant, or add a note. 2. Click OK to save report changes. Sort Tab Sort report columns, in layers. Example: sort by Carrier Name as the first layer, then sort each carrier by line of business as a second layer. 1. Select column and sort order direction for the first layer; click Add. 2. Add another column and order direction for the second layer; click Add. 3. Add as many layers as necessary. 1. NOTE: To sort ONE column simply click the column header. Click again to sort in opposite direction. Advanced Filter Tab This tab includes a lot of functionality. It allows the user to add comparisons based on =, <, <=, >=, >, date range and more. Example: filter written premium >= (greater than or equal to) $500, or Carrier Name = MetLife. Quick workflow: 1. Select a filter column, comparison and value option; click Add. 2. Add any number of filters; mark each as And or Or. 6
Filter Column Field - select an available column. 1. When selecting certain columns, an icon appears next to the Value field - use it to set the value. 2. Date related columns enable the following Value options: a. Specific Date i. Type a date or use the calendar icon. b. Sliding Date i. Select from the list of sliding dates. o A Custom Report saved with sliding dates updates each time the report is opened. Example: a report with a sliding date last month run in August pulls July data, but run in September pulls August data. Comparison Field - select a comparison operator. 1. Comparison options vary based on the selected Filter Column. 2. Some comparison options enable additional filters. 3. Starts With or Contains = words or numbers 4. Date Range enables specific and sliding date values (see info above) And/Or set these when adding more than one filter. 1. And appears on the left of each filter - click it to toggle And/Or for each filter: a. And = data meets ALL criteria b. Or = data meets EITHER criteria 2. A circle of arrows appears: a. Use up/down arrows to re-order the filters priority. b. Use left/right arrows to group filters together. Group Tab Sort rows into groupings, in layers. 1. Select a Grouping Column for the first layer, and click Add. a. Some groupings will enable additional input controls. 2. Repeat to create any number of grouping layers. 3. Replace/Remove existing group layers. To replace, select a new grouping, then click the layer to replace. 4. Exclude Detail Rows when this box is checked, groups collapse into summary rows; helpful for counts and dollar totals. Aggregate Tab Calculate totals and averages for groupings. 1. Select a Data Column and Aggregate Function; click Add to refresh table. 2. Replace/Remove existing aggregates. To replace, select a new aggregate, then click the aggregate to replace. 3. Aggregate results appear in an extra table row - at top in applicable data column. If Grouping is in effect, aggregate values will also appear at each grouping level in the table. 7
Chart Tab Create a variety of charts, graphs and gauges. 1. To create a Bar chart, click Bar tab at top of. o When selecting Label Column, it s the X-axis. If column is date related, an interval control appears. o When selecting a Data Column; it s the Y-axis/bar height. o Select a Data Aggregation. 2. Click Add to create the chart. Paging Tab Select the number of rows to display per page. 1. Show all rows. Or, if Show Paging is selected, select the number of pages to display per page. 2. Click OK to save report changes. WORKING WITH CUSTOM REPORTS Once a Master Report is customized as outlined above, the report can be saved, shared and/or exported. Exporting Useful for saving the exact details of the current report. Remember, custom reports saved with sliding dates may pull different data each time they re opened. 1. Click Excel or CSV button at upper right, and save report to computer for future use. Saving The filters are saved as a custom report template, so data may change each time the report is opened. 1. Click the Save Report button at upper right. 2. At Save As, enter a report name. 3. At Description, enter a report description. 4. At Who should see this report?, decide whether to share the report. 5. Click Save. Report is saved Custom Reports area. Editing When editing an existing Custom Report, the system saves the edited version as a new Custom Report without deleting the prior version of the report. 1. Locate the Custom Report, and click the Edit link on the right. 2. Make changes, and click Save Report at upper right. 4. At Save As, give report a different name than the current version. 5. At Who should see this report?, decide whether to share the report. 6. Click Save. Report is saved as a NEW Custom Report. Delete the prior version, if desired. Deleting Shared reports cannot be deleted must remove shared access before deleting the report. 1. Locate the Custom Report. 2. Click the Delete link at the right. a. If there is a share (people) icon instead of a Delete link, click the share (people) icon. b. At Who can see this report? click Only Me and Save. Now use the Delete link. 8
ALL EZLYNX STANDARD AND MASTER REPORTS ACTIVITY Consumer Quoting Activity - leads from the agency website s via Consumer Quoting; includes submitted and incomplete applications. Incomplete application data is useful for follow-up purposes. Product Usage - EZLynx billing history and account status, and agency s use of the pay-per-use products. EZLynx User List - active EZLynx user accounts. Agency Activity Master - all of an agency s notes and tasks. APPLICANT Active Policyholders - all policyholders with at least one active policy; includes their active policy count and premium sum. All Applicants - all applicants and their lead information. Birthday - applicant birthdays by date and applicant type. Inactive Customers - former customers who currently do not have any active policies. Can be used to start former customers on a win-back drip campaign. Leads - all leads based on the applicant accounts created date. Useful for monitoring lead channels or identifying prospects. Applicant Master - all of an agency s applicants; includes contact, lead, and policy count information. COMMISSION Approved Commissions - commissions marked as approved based on the statement date. The report displays the amount each producer will be paid based on your commission rule setup. The commission amount must be approved to appear on this report. Commissions by Producer - all commissions aggregated by producer. It contains the option to report on an individual producer. Paid Commissions by Carrier - paid commissions aggregated by carrier. This originates form the direct bill commissions report. Paid Commissions by Transaction Type - paid commissions aggregated by transaction type. Commissions by Carrier - View all commissions aggregated by carrier. Commission Statement Details by Carrier all commission statement details aggregated by carrier. It has the option to report on individual carriers. Commissions Statement Overview by Applicant all commission statement aggregates by carrier. It contains the statement number, date, status, and comments plus premium and commission amounts. Commission Statement Master - all of an agency s commissions. Commission Statement Detail Master - all of an agency s commissions; by transaction. Commission Statement Detail Payment Master - all of an agency s commission payments; by transaction. 9
POLICY MANAGEMENT Active Policies - current active policies; includes policy and customer contact information. Agency Customers with No Policy- applicant accounts without any associated policies (active or inactive). Book of Business - current book of business for all lines; includes insured and policy data. Book of Business Commercial - current book of commercial business; includes insured and policy data. Book of Business Personal - current book of personal business; includes insured and policy data. Cancellation Transactions - cancellation transactions with an effective date that falls within the given date range; does not include reinstated or rewritten policies. Cross-Sell Auto No Home - customers with an active auto policy that do not have an active home policy. Cross-Sell Home No Auto - customers with an active home policy that do not have an active auto policy. Cross-Sell Home and Auto No Umbrella customers with an active home and auto policy that do not have an active umbrella policy. Inactive Policies an agency s inactive policies; can filter by carrier. New Business Transactions - new business transactions within a given date range; the start and end date use the download or entered date. Policy Change Transactions - policy change transactions with an effective date that falls within the given date range. Policy Expirations - policy expirations that fall within the given date range. Renewal Transactions - renewal transactions with a date that falls within the given date range; does not include Renewal Quote transactions. Rewrite Transactions - policy rewrite transactions with effective dates within the given date range; to identify policies that are being moving to different carriers. Transactions By Line Of Business - policy transactions within a given date range; by carrier and LOB. Unknown Policies - policies with an unknown status; important to work these so management system information is complete and up-to-date. Cross-Sell Master - cross-sell report based on active policy information. Policy Master - all of an agency s policies; includes active, inactive, and deleted policies. Policy Transactions Master - all of an agency s policy transactions. QUOTES Applicant Quotes - returns all the applicants input into EZLynx based on the selected filter criteria such as: LOB, date created, etc... Also provides options for an applicant quote summary or a list of all applicants. A great report to use for mail-merge. Quotes All Quotes based on selected filters; such as LOB, date range, carrier(s), user(s),e tc Agent Quote Summary - summary of quotes by agent (EZLynx user) that fall within the given date range. Agent Quote Detail - detailed quote information by EZLynx user that fall within the given date range. Applicant Quote List - applicants quoted within the given date range. Quote Summary By Carrier - quotes by Master Company; both quotes run in EZLynx and manually added. Quote Summary by Line of Business - quotes by LOB; both quotes run in EZLynx and manually added. Quote Master - all of an agency s quotes; includes quotes run in EZLynx and manually added. 10
