NOTE: This guide assumes you need a deployment (with Microsoft MSDE 2000) because you do not have Microsoft SQL Server 2000 or 2005. If you have Microsoft SQL Server 2000 or 2005 installed on a machine, DO NOT install MSDE 2000 on the same machine! Please refer to the EventMaster4 PLUS! Read This Before You Install! 1. This guide provides instructions for an EventMaster 4 PLUS! deployment using Microsoft SQL Server, where EventMaster PLUS! is shared among a few or many users on a Microsoft Windows network. 2. Use this guide to install EventMaster4 PLUS! smoothly and easily on your own. If you have any concerns, call CBORD Technical Support at 607.257.3775 or, in Australia, at 02.9325.5300 (identify yourself as an EventMaster user). We will be glad to schedule an installation appointment so we can guide you through the installation over the phone. We provide the support you need 24 hours a day, seven days a week. Support Technicians are available at 607.257.3775 between 7:00 A.M. and 7:00 P.M. Eastern time, Monday through Friday. After-hours support is available at all other times by calling the same number. The on-call technician will return your call within one hour. 3. For this installation or upgrade, you will need the EventMaster PLUS! version 4 Installation/Upgrade CD and a sticker with four codes (strings of numbers and letters). These items should be attached to the inside cover of this booklet. If you cannot find them, please contact CBORD Technical Support. 4. The server running Microsoft MSDE 2000 should be assigned a fixed IP address. 5. You must log in to your server and workstations with Administrator rights for this installation. 6. If your client workstations and server are members of different Windows network Domains, or if they are not members of a Domain but rather members of a Windows, you may need to prepare advanced client and server connections to allow proper SQL Server communication. Please contact CBORD Technical Support if you need more information. 7. Close all other applications before beginning your EventMaster4 PLUS! installation or upgrade. 8. Windows Firewall exceptions for EventMaster and/or Microsoft SQL Server may be required. EventMaster4 PLUS! Page 1

Upgrading from a Previous Version of EventMaster PLUS!? 1. If you are upgrading from an EventMaster PLUS! version before 4.0, please see the document titled EventMaster4: Upgrading from EventMaster3 for upgrade and data conversion instructions. This PDF document is available in the Documents folder on your EventMaster PLUS! version 4 Installation/Upgrade CD. The EventMaster4 PLUS! installation should not be directed to the folder that contains a previous version of EventMaster PLUS!. Note: If you are upgrading from one EventMaster4 PLUS! version to another for example, from version 4.4 to version 4.5 -- you can install in the same folder you are already using. Also, you will be able to skip steps 4, 7, and 8 in the pages that follow. 2. If your current EventMaster PLUS! version is 1.6.006 through 2.0.047, you must first upgrade your data to version 3.3.003 or later. Please contact CBORD Technical Support for assistance. 3. If you have modified WaterMark document templates, you will need to copy those files (*.dot) from their current location to the custom reports folder you will specify in Section 8. Creating EventMaster4 PLUS! Companies and Facilities. 4. If you will be deploying EventMaster4 PLUS! using Windows Terminal Services or Citrix MetaFrame, please review the EventMaster4 Hardware Requirements included on your installation media. Installation Overview There are 8 stages in your EventMaster4 PLUS! installation or upgrade. This document has one section for each stage. (For an upgrade within version 4 there are only 5 stages.) Follow the sequence of steps presented in this document. We suggest you allow approximately two hours to complete the installation or upgrade. 1. Verifying Hardware and Software 2. 1. Verifying Hardware and Software Complete the following checklist to verify that your computer meets the minimum requirements for EventMaster4 PLUS! to run successfully. Then proceed to Section 2. Installing EventMaster System Files. Hardware Requirements for EventMaster4 PLUS! EventMaster4 PLUS! is compatible with Windows 2000 and 2003 Server and may be installed on Windows XP in a peer-network environment. MSDE 2000 is provided with your EventMaster4 PLUS! media. The MSDE Server and the Application Server may be the same server or separate machines. Equipment Minimum Requirements Optimal Requirements Database Server: Operating System Microsoft Windows Server 2003, Windows 2000 Server, Windows XP Microsoft Windows Server 2003 or Windows 2000 Server Database Server: Hardware Exact hardware requirements depend on how many concurrent users you expect and how you use EventMaster PLUS!. CBORD can advise you on the hardware and database platforms best suited for your operation. Processor: Xeon 2.6 GHz or better. Memory: 2 GB Storage: 18 GB SCSI hard drive. Network Card: 10/100/1000 Mbps Ethernet card. Processor: Dual Xeon 2.6 GHz or better. Memory: 4 GB per CPU core Storage: RAID-5 four 36 GB SCSI hard drives. Network Card: 10/100/1000 Mbps Ethernet card. Database engine MSDE 2000 (Provided on EventMaster4 media) or Microsoft SQL Server 2005 Express Edition (Free download from Microsoft) Microsoft SQL Server 2005: or Standard Editions Tape backup Hardware: 12/24 GB DDS-3 tape backup unit Software: CA Arcserve or Symantec Backup Exec. Check with CBORD for more information and options. Internet access to support CBORD s WebEx remote support tools. High speed Internet connection to support CBORD s WebEx remote support tools. Note: Microsoft Windows 95, Windows 98, Windows ME, Windows NT 4, and Windows XP Home Edition are NOT supported in an EventMaster4 PLUS! deployment. Please see the EventMaster4 Hardware Requirements document for complete hardware and network requirements. 2. Installing EventMaster System Files Install the EventMaster4 PLUS! program files on the Application Server console. 1. Create a shared folder named Apps on the drive of the Application Server where you will install EventMaster4 PLUS!. Then create a subfolder named EventMaster_4 in the shared folder you created. In this document, we refer to the EventMaster_4 folder as the Application Folder. Notes: Every EventMaster PLUS! user must have full control in the Application Folder and its subfolders. That means you must make sure the Apps file s Properties window shows: o Full Control under Permissions on the Sharing tab (network share) and o Full Control on the Security tab. The Application Folder does not have to reside on the Application Server s system drive (typically named C:\). You can use another drive if you wish. Examples: Create C:\Apps\EventMaster_4 or D:\Apps\EventMaster_4 where Apps is the name of the shared folder on the Application Server. 2. Insert the EventMaster4 PLUS! Installation/Upgrade CD in your CD-ROM drive. The CD will AutoRun if that feature is enabled. If it does not AutoRun: a. Go to Start and select Run. b. Browse to your CD-ROM Drive (usually the D:\ or E:\ drive). c. Run SETUP.EXE. 3. The InstallShield Wizard opens. Click Next to begin. 4. Accept the terms of the End-User License Agreement (EULA) and click Next. 5. The Destination Folder window opens. IMPORTANT: Make sure the installation folder named in this window ( Install EventMaster 4 to ) is the shared Application Folder you created in step 1, above. If it is not, click the Change button and change the entry. After confirming that the Destination Folder entry is the Application Folder, click Next to continue. EventMaster4 PLUS! Page 6

6. Click Install to begin the installation of the program files. The screen names each step of the installation process as it occurs. The whole process may take several minutes to complete. 7. The License Activator (Activator Wizard) window should open before the Setup Complete window appears. Proceed to Section 3. Licensing Your System. EventMaster4 PLUS! Page 7

This section activates your two system licenses. 3. Licensing Your System Both licenses are required: a Runtime license and a Data Connector license. To register for these licenses, you need two pairs of special codes in all, four strings of letters and numbers. These codes should be recorded on a sticker attached to the inside cover of this booklet. If you cannot find them, please contact CBORD Technical Support. 1. In the Activator Window, record your Runtime codes: a. Type your Runtime Product Code in the Code box. b. Type your Runtime Product Key in the Key box. c. Click the More button. 2. The Activator Window clears (that is, all boxes become blank). Record your Data Connector codes: a. Type your MSSQL Connector Product Code in the Code box. b. Type your MSSQL Connector Product Key in the Key box. c. Click the Finish button. 3. The Activator Window closes. 4. In the InstallShield Wizard window, click Finish. The wizard closes. Proceed to Section 4. Installing Client Tools. EventMaster4 PLUS! Page 8

4. Installing Client Tools Every workstation that will use EventMaster4 PLUS! must install the EventMaster4 Client Tools. If you are upgrading from a version of EventMaster4 PLUS! before 4.5.100, you must reinstall Client Tools! The following components are configured by EventMaster4 Client Tools. Each component must be installed or created on each client workstation, including the Application Server in a Citrix or Terminal Services deployment: Crystal Reports Viewer version 9 Microsoft.NET 2.0 framework (if it does not exist) WaterMark version 1.9 A shortcut to launch EventMaster4 PLUS! in Start > Programs 1. From Start > Run or in Windows Explorer, browse to the network location where you created the Application Folder in Section 2. Installing EventMaster System Files. Note: If, instead, you specify the network location by typing a path, make sure you use the UNC (Universal Naming Convention) to show the network path for example: \\CaterServer\Apps\EventMaster_4. (Exception: specify a mapped network drive if you use a version of Room Viewer earlier than 7.2.) 2. Open the Client_Tools folder. 3. Locate and run the file named setup.exe. 4. The EventMaster4 Client Tools InstallShield opens. Click Next to begin the installation. 5. Accept the end-user license agreement (EULA) and click Next. 6. Accept the default shortcut and click Next. Exception: If you are running the EventMaster4 Client Tools InstallShield from a location other than your Application Folder, browse to your Application Folder on your server and specify it as the application directory. 7. From the Installation window, click Install. As the installation proceeds, the screen names each step of the process as it occurs. The whole process may take several minutes to complete. Note: You may be prompted to restart your computer after the Microsoft.NET framework installation. The EventMaster Client Tools installation will restart automatically after you restart the workstation. 8. When the installation completes, click Finish. Proceed to Section 5. Installing MSDE 2000 Database Engine. EventMaster4 PLUS! Page 9

5. Installing MSDE 2000 Database Engine This section explains how to install the MSDE 2000 Database Engine for EventMaster4 PLUS!. If you already have MSDE 2000 installed, you can skip this step. The MSDE 2000 installation must be performed at the Database Server. NOTE: If you have Microsoft SQL Server 2000 or 2005 installed on a machine, DO NOT install MSDE 2000 on the same machine! Please refer to the EventMaster4 PLUS! Enterprise installation guide, which is available as a PDF document on your installation CD. The MSDE 2000 database engine will install application files and system database files to the Program Files folder on your server. EventMaster4 PLUS! database files and utilities are installed to the folder C:\em_msde, unless you specify a different installation folder (see step 4 in Installing the MSDE database engine, below). Files and Locations for MSDE 2000 with EventMaster PLUS! Installing the MSDE database engine 1. Go to Start > Run and browse to your CD-ROM drive (typically this is the D:\ or E:\ drive). 2. Locate and open the folder MSDE2K. 3. Run the file SETUP.EXE, which is in the MSDE2K folder. 4. The MSDE 2000 InstallShield opens. It prompts you to select an installation folder for database files. The default is C:\em_msde. a. To change the default database folder, browse to another folder on the server. b. The database files may exist on a drive or volume other than C:\. c. A data folder will be created beneath the folder you select, and this data folder will contain the physical database files. EventMaster4 PLUS! Page 10

5. When the MSDE 2000 installation finishes, the SQL Server Service Manager may start automatically. If it does not: a. Go to Start > Run and type SQLMANGR in the Open field. b. Click OK to start the SQL Server Service Manager. 6. The SQL Service Manager window opens. 7. The entry in the Server field (as illustrated above) is the SQL Server Name. The name format should be [Server_Name\EVENTMASTER_DB] where Server_Name is the name of the server running MSDE 2000. You will need to provide this name in Section 7. Connecting to the EventMaster4 PLUS! Database. For convenience, record the SQL Server Name here: Server Name:. 8. Close the SQL Server Service Manager window. Note that the SQL Server Service appears in the system tray of the server, as illustrated here: Microsoft SQL Server Service Manager In the future, you can open the SQL Server Service Manager by double-clicking the icon. Proceed to Section 6. Creating the EventMaster4 PLUS! Database. EventMaster4 PLUS! Page 11

6. Creating the EventMaster4 PLUS! Database This will create the default user and database for your MSDE 2000 EventMaster4 PLUS! deployment. If you are upgrading from EventMaster3 PLUS! and you currently use MSDE as your database engine, please refer to the document titled EventMaster4 Upgrading from EventMaster3. This PDF document is available in the Documents folder on your EventMaster PLUS! version 4 Installation/Upgrade CD. 1. From Start > Run or with Windows Explorer, browse to the C:\em_msde folder (or, if you specified another installation folder in step 4 of Section 5. Installing MSDE 2000 Database Engine, browse to that folder). 2. Locate and select em_msde.bat. Double-click to run this batch file. a. This creates the default user and password for your MSDE 2000 database. b. When this process is finished, the results of the SQL query creating the SQL Server login and database will be included in a log file in your installation folder (typically C:\em_msde). If you have any problems or any error messages are displayed in the log file, please contact CBORD Technical Support. Proceed to Section 7. Connecting to the EventMaster4 PLUS! Database. EventMaster4 PLUS! Page 12

7. Connecting to the EventMaster4 PLUS! Database This will create the default connection to your EventMaster4 PLUS! database. You will only have to do this once, from any one workstation. If you are upgrading from a previous version of EventMaster4 PLUS!, you can skip this step. 1. Launch EventMaster4 PLUS! from a workstation using the shortcut created during the Client Tools installation. 2. You will be asked to create a database connection: 3. Click OK. 4. The Default Connection window opens. 5. For the Database, enter cbord_eventmaster. (Note: This entry is not case-sensitive.) 6. For the MSSQL Server, enter the SQL Server name you recorded in step 7 of Section 5. Installing MSDE 2000 Database Engine. This entry should be all capital (uppercase) letters. Example: SERVER\EVENTMASTER_DB. EventMaster4 PLUS! Page 13

7. For the MSSQL Login (= User ID), enter eventmaster (use lowercase letters). 8. For the MSSQL Password, enter emaster01 (use lowercase letters). Also enter emaster01 in the Confirm Password box. 9. Leave the Use Windows Authentication checkbox blank. OR If your DBA (database administrator) wants to set up system access through Windows Authentication: -- Assign privileges into the EventMaster database through Windows user accounts and/or Windows user groups. -- Make sure that the database owner is SA. -- Put a check mark in the Use Windows Authentication checkbox in the EventMaster Default Connection window. 10. Click OK. 11. When the Create EventMaster Data Schema window opens, click OK. 12. The screen names each step of the creation process as it occurs. 8. Creating EventMaster4 PLUS! Companies and Facilities If you are upgrading from a previous version of EventMaster4 PLUS!, you can skip this step. Once the database schema is updated (see Section 7. Connecting to the EventMaster4 PLUS! Database), the EventMaster Login window opens: 1. Use the super-user login for EventMaster4 PLUS!: User Name = emadmin (or EMAdmin, as in the illustration above) Password -- leave the Password box blank (Later, you can assign a password for this user and any other users. See step 7, below.) 2. This logs you in with System Administrator rights in EventMaster4 PLUS!. The Select Facility window opens: 3. Select (Company Management) and click OK. EventMaster4 PLUS! 4. The Company Management window opens, where you can update the entries for the default Company. 5. Change the Company Name box to reflect your business s name. 6. The entry in the Company Custom Reports box should be the path to a shared folder for your custom reports. EventMaster4 PLUS! Page 16

7. In the Users pane, click the New button to open the Add User window (or select a user and click the Update button to open the Update User window, which shows the same information). In the Access Role box, assign the user the System Manager access role. (For explanations of Access Roles and how to assign them, click the window s Help button.) Click OK to close the Add User or Update User window and return to the Company Management window. 8. Now that you know how to add a user, add more users (who are not System Managers) until you have included each person who will be using EventMaster PLUS!. For each user, assign an access role. The Help topic on Access Roles describes how to create access roles as well as how to assign them. EventMaster4 PLUS! Page 17

9. In the Company Management window s Facilities in Company pane, select the choice Default Facility and click the Edit button. 10. The Facility Management window opens for the Default Facility. EventMaster4 PLUS! Page 18

11. Change the information as follows: Facility Name: Rename the facility as necessary. Facility Custom Reports in: Specify a custom report folder for this facility. If your company has only one facility, the Facility Custom Reports folder can be the same as the Company Custom Reports folder. 12. When you re finished, click OK to save your changes and close the Facility Management window. 13. You return to the Select Facility window. 14. If you are converting data from EventMaster3 PLUS!, please go to Section 1 of the EventMaster4: Upgrading from EventMaster3 instructions now. If you have received a database from CBORD Database Services, please review the database management instructions you received with your database files from CBORD Database Services now. If you have any questions, please contact CBORD Technical Support before proceeding. If you are installing EventMaster PLUS! for the first time, you may begin entering data in your system now. You do not need to convert EventMaster3 PLUS! data to use EventMaster4 PLUS!. The initial cbord_eventmaster database is ready for you to begin setting up your system defaults, inventory, customers and events. 15.
