PDF Ebook Preparation & Submission Guidelines May 2014 (version 1.1) Ebook Preparation and File Submission Overview Step 1: Properly format and name the ebook PDF Step 2: Bookmark each section of the ebook PDF, including the Cover, Front Matter, TOC, Chapters, and Back Matter. Step 3: Prepare the cover image file (JPEG, GIF, or PNG) for submission with the ebook PDF. Step 4: Submit the full ebook PDF with bookmarks and the cover image file using the Project MUSE uploader. Step 1: Ebook PDF Formatting and File Naming 1.1 Filenaming Name the ebook PDF by the eisbn (electronic ISBN) Example: 1234567890123.pdf 1.2 Omitted Content Include disclaimers for omitted images by removing the image, page, chapter, or section and inserting a page with the following text: To view this content, please refer to the print edition of this book. [INCLUDE PAGE RANGE] 1.3 Blank Pages Please stamp blank pages with the text: This page intentionally left blank. 1.4 Password Protection/File Encryption Do not password protection or apply any security features in Acrobat.

Steps 1.5 through 1.9 use the settings window in Adobe s Distiller program. 1.5 PDF Compatibility To ensure backward compatibility, use the setting no higher than Acrobat 8.0 (PDF 1.7) to create PDF documents suitable for reliable online viewing and printing. These PDF documents can be opened with Acrobat and Reader 8.0 and later. Please do not use a setting lower than Acrocat 5 (PDF 1.4). In the Distiller Program this can be done from: Settings > Edit Adobe PDF Settings > General. Choose the settings shown below from each of the drop-down menus.

1.6 Image & Graphics Resolution Images that are improperly embedded or that are rendered at less than our minimum resolution requirements, may not be legible online or in print. For Position Only (FPOs) are not permitted. In the Distiller Program you can set the image resolution from: Settings > Edit Adobe PDF Settings > Images Set the sampling size for each type of image to 300 pixels per inch.

1.7 Fonts/Text Project MUSE cannot accept PDFs created from images. Such files are incompatible with our production process and result in an end-product that is not useable. To avoid this problem, All fonts MUST be fully embedded. Embedding prevents font substitution when readers print or view pdf files. DO NOT subset fonts. Subsetting fonts may cause problems when extracting text for the chapter snippets (small portions of each chapter that are visible in the book s online table of contents.) In the Distiller Program you can embed fonts from: Settings > Edit Adobe PDF Settings > Fonts Click Embed all fonts. Once the PDF has been created in Distiller and opened in Acrobat, you can check to make sure that the fonts are Embedded: File > Document Properties > Fonts. Make sure the list of fonts displayed indicates Embedded and NOT Embedded Subset..

1.8 Color Color settings should be set as RGB. In the Distiller program, go to the Adobe PDF Settings: Standard screen: Settings > Edit Adobe PDF Settings > Color. Choose Convert All Colors to srgb from the drop-down menu under Color Management Policies.

1.9 Other Settings Advanced and Standard setting should be set to the defaults as shown below. In the Distiller program, go to the Adobe PDF Settings: Standard screen: Settings > Edit Adobe PDF Settings > Advanced. Steps 1.10 through 1.12 use Adobe Acrobat. 1.10 Page Display PDFs must be created with the following page display settings: Show: Page Only Page Layout: Default Magnification: Default This can be done from: File > Documents Properties > Initial View

1.11 Pagination Project MUSE requires unique page labels for each page of the book PDF. The Acrobat page label should match the pagination of the ebook. Be sure to give specialty sections a unique page label scheme so that the section does not interrupt the pagination in the following section. This can be done from: Advanced > Document Processing > Number Pages 1.12 Cropped Pages PDFs should be cropped and free of registration and printer marks. Pages must be uniformly cropped throughout the ebook to maintain the ebook s print size margins. This can be done from: Document > Crop Pages

Step 2: Ebook PDF Bookmarking You must bookmarks all content of your ebook PDF, including the cover (if you have appropriate permission to include the cover), Table of Contents, front matter, body, and back matter. The bookmarks that you create will become the electronic table of contents on MUSE and will be visible to users. Therefore, it is imperative that you place and label the bookmarks according to the chart that follows. Ebook PDF Bookmarking Step A: Determine the parts of the book. Step B: Determine where the bookmarks should be placed, using the instructions below. Pay special attention to whether an item must be bookmarked separately or whether it must be grouped with other similar items. Type Category Separate Bookmark? Endnotes at the end of a chapter are treated as part of that chapter and do not receive separate bookmarks. Step 3: Preparing the Cover Image If you have the appropriate permissions to include the cover image for the ebook, you must load a separate cover image as a JPEG, GIF, or PNG file to Project MUSE along with your ebook PDF. This cover image file must be named using the electronic ISBN or eisbn and have the appropriate file extension:.jpg,.gif, or.png. Do not supply a separate PDF of your cover, as this could cause our system to overwrite your ebook PDF file. Step 4: Submitting the Ebook PDF and Cover Image Once you have formatted and bookmarked your ebook PDF and prepared your cover image according to the Steps 1-3, you are ready to submit your files to Project MUSE using the online uploader: 1. Go to the uploader: http://pilot.muse.jhu.edu/publisher/upload-books.cgi 2. Login 3. Either drag and drop your files to the uploader window or click Add Files and choose the files ready for upload 4. Click Start Upload 5. Verify that you received and email confirmation of your upload If your attempt to upload fails, try your upload again. If it fails three times, please contact museproduction@press.jhu.edu.
