Introduction Log into your NetBox System Follow this procedure in order to log into your NetBox controller. 1 Open a web browser. 2 Enter the IP address or URL of your system into the Address bar and press the Enter key. Note: The IP address or URL for your system will be specific for your organization. The default IP address of any S2 NetBox controller is 192.168.0.250 3 Enter a user name and password. Note: The default username for your controller is admin and the default password is also admin. 4 Click the Arrow icon. 4/8/16 S2 Security 3

Person Records Accessing Person Records In order for an S2 controller to recognize an individual, they must have a person record stored on the controller. This record holds personal information about that particular person and as well as what they have access to. Follow this procedure to find and display an individual Person Record. 1 Click the Administration toplevel control. 2 Click People Search. 3 Enter the last name of the person whose record you are looking for. Note: You can also search by any of the other fields on this page. 4 Click Search. 4/8/16 S2 Security 5

5 If your search yields multiple results, select the correct person. Otherwise, if your search only returns one person, their person record will automatically Display. Person Record 4/8/16 S2 Security 6

Content of a Person Record The first part of the Person record contains the person s name, ID photo, ID number and the date the record was created. An optional expiration date can be set if required. The last time the record was modified and the person who modified the record are also displayed. 4/8/16 S2 Security 7

The Access Control tab contains information on any access cards the individual has been issued as well as what their level of access is. The Photo ID tab is where you go to import an ID photo and attach it to the Person record. 4/8/16 S2 Security 8

The User-Defined tab is configured upon system set-up to meet any special needs of your organization. The Contact tab contains the individual s contact information. The Other Contact tab has additional space for more telephone numbers. 4/8/16 S2 Security 9

The Vehicle tab contains information regarding the individual s automobile. The Login tab contains the individual s account login info. The Partitions tab displays what partitions the individual is visible in. The Recent Activity tab shows a list of the Activity Log entries the individual has generated. 4/8/16 S2 Security 10

Editing a Person Record To edit a person record start by accessing the record you need wish to change; then simply enter the new information in the appropriate field(s). Make sure to click to Save button at the bottom of the page to save your changes. 4/8/16 S2 Security 11

Adding a New Person Record Follow this procedure in order to create a new Person record. 1 Click the Administration toplevel control. 2 Click People Add. 3 Enter all information required by your organization. 4 Click Save. 5 The new Person record has been created. 4/8/16 S2 Security 12

Assigning User- Roles and Permissions When creating or editing Person records you may be asked to assign a user-role or permission to a specific user. Follow this procedure to assign a user-role or permission. 1 Look up the Person record for the person you wish to assign a user role. 2 Click Login. 3 Enter a username and password. 4 Re-enter the password. 5 Select the appropriate user role or permission from the drop down menu. 6 Click Save. 4/8/16 S2 Security 13

Delete a Person Record Follow this procedure in order to delete a Person record. 1 Click the Administration toplevel control. 2 Click People Search. 3 Enter the last name of the person whose record you are looking for. Note: You can also search by any of the other fields on this page. 4 Click Search. 4/8/16 S2 Security 14

5 If your search yields multiple results, select the correct person. Otherwise, if your search only returns one person, their person record will automatically Display. 6 Scroll to the bottom of the page and click Delete. 7 Click Yes. 8 The Person record is now deleted. Issuing Access Cards/Credentials Issue Credentials Follow this procedure in order to issue a new access card or other credential. 1 Access the Person record for the person you wish to issue a credential 2 Click Access Control. 4/8/16 S2 Security 15

3 Click Add New Credential. 4 Enter the Hot Stamp number of the credential you are issuing. The Hot Stamp number is typically printed on the access credential. 5 Select the correct Credential Format from the drop down menu. Note: The correct choice of Credential Format will vary by organization. Once the Hot Stamp number and Card Format are entered correctly, the Encoded Number field will auto-populate. 6 If your organization is equipped with an enrollment reader there is an alternative method to enter the required information. 7 Select the appropriate Enrollment Reader from the drop down menu; then click Go. Note: You must now present the access credential to the enrollment reader. 8 All required fields should now be entered. Note: You have the option of entering an expiration date for the access credential. 9 Next, make sure that the status drop down menu is set to Active. 10 Click Save. 4/8/16 S2 Security 17

Change the Status of an Access Card The need may arise to change the status of someone s access credential, such as in the case of a lost or damaged access card. Follow this procedure in order to change the status of an access card. 1 Access the Person record for the person whose access card you wish to edit. 2 Click Access Control. 3 Select the new status from the drop down menu. Note: Some people have multiple access cards. Make sure you select the correct card. 4 Click Save. 5 The card status is now updated. 4/8/16 S2 Security 19

Temporary Access Cards Follow this procedure to issue and manage a temporary access card. 1 To Issue a Temporary Access Card: Access the Person record for the person you wish to issue a temporary access card. 2 Click Access Control. 3 Click Issue Temporary Credential. 4 Select the appropriate Enrollment Reader from the drop down menu; then click Go. Note: You must now present the temporary access credential to the enrollment reader. 5 All required fields should now be entered. Note: An expiration date is automatically entered. 6 Next, make sure that the status drop down menu is set to Temporary. 4/8/16 S2 Security 20

7 Click Save. The temporary access card is now ready to use. 1 To Extend a Temporary Access Card: If a temporary access card expires, but still needs to be used, it may be extended, depending on the enduser s system rules. Click Extend Temporary Credential and re-scan the temporary access card at the selected enrollment reader. 2 Click Save. 1 To Return a Temporary Access Card: Click Return Temporary Credential. 2 Click Save. 4/8/16 S2 Security 21

Assigning and Removing Access Levels The need may arise to add or remove access levels from a person s record, such as when a person s job changes. Follow this procedure in order to change a person s access level. 1 Access the Person record for the person whose access levels you wish to change. 2 Click Access Control. 3 To add an access level, select the appropriate access level from the Available list. 4 Click the right-arrow button. 5 Click Save. 4/8/16 S2 Security 22

6 To remove an access level, select the appropriate access level from the Selected list. 7 Click the left-arrow button. 8 Click Save. 4/8/16 S2 Security 23

Cancel an Access Card If you need to cancel an access card (because someone is leaving the company, or is transferred to another facility, for example) follow this procedure. 1 Access the Person record for the person whose Access credential you wish to cancel. 2 Click Access Control. 3 Click the - icon next to the access credential to be canceled. 4 Click Yes. 5 The access card has been canceled. 4/8/16 S2 Security 24

Badging Upload a Photo ID Layout The design of an ID badge is contained in a special layout file that has a.dgn file extension. The layout file is required for printing ID badges. Follow this procedure in order to upload an ID layout file into your NetBox system. 1 Click the Administration toplevel control. 2 Click Utility. 3 Click Photo ID Layout Upload. 4/8/16 S2 Security 25

4 Click Choose File. 5 Select the file you wish to upload; then click Choose. 6 Click Save. 7 The new layout file is uploaded. 4/8/16 S2 Security 26

Capturing ID Badge Photos Your NetBox system may be equipped with a peripheral digital camera capable of taking ID photos. If so, follow this procedure in order to take an ID badge photograph. 1 Access the Person record for the person you want to photograph for an ID badge. 2 Click Photo ID. 3 Click Photo ID. 4 Click Capture Image. 4/8/16 S2 Security 27

5 If prompted, select the appropriate capture device. Note: The correct capture device is typically a camera linked to the EPI software drivers as depicted here. 6 Click OK. 7 Compose your photograph and click Take Picture. 8 Click Save Image. 4/8/16 S2 Security 28

Attaching an ID Photo to a Person record Follow this procedure in order to upload an existing ID photo and attach it to a person record. 1 Access the Person record you want to add an ID photo to. 2 Click the Photo ID tab. 3 Click Attach ID Photo. 4 Click Choose File. 5 Browse to and select the picture file you wish to use. 6 Click OK. 4/8/16 S2 Security 29

7 The ID photo is now attached to the Person record. 8 Use the Change or Delete buttons to change or delete the ID photo. 4/8/16 S2 Security 30

Printing an ID Badge Follow this procedure to print an ID badge. 1 Look up the Person record for the person you want to print an ID badge for. 2 Click Photo ID. 3 Click Photo ID. 4 Click Print Photo ID. 5 Select the appropriate printer and click OK. 4/8/16 S2 Security 31

Reporting Run an Access Level Report An Access Level report gives you information about the different access levels that are set up in your system. Follow this procedure to run an Access Level report. 1 Click the Administration toplevel control. 2 Click Reports. 3 Click People. 4 Click Access Levels. 4/8/16 S2 Security 32

Run a Credential Audit Report A Credential Audit report returns information regarding access cards that have been set up in your system. Follow this procedure to run a Credential Audit report. 1 Click the Administration toplevel control. 2 Click Reports. 3 Click People. 4 Click Credential Audit. 4/8/16 S2 Security 34

5 Select the access card status you are interested in from Available list. Note: You can choose more than one status by holding down either the Control key (PC) or the Command key (Mac) 6 Click the Right-Arrow button to add the selected card status (or statuses) to the Selected list. 7 Optionally, you can limit your report to only credentials that have not been used for a certain number of days, by typing a number into the appropriate text entry field. 8 You can also choose to have your report span all partitions in your system by clicking the appropriate check box. 4/8/16 S2 Security 35

Run a Photo ID Request Report A Photo ID Request report is useful to the person responsible for creating photo ID badges. It displays all of the requests for photo ID badges that need to be created. Follow this procedure in order to run a Photo ID Request report. 1 Click the Administration toplevel control. 2 Click Reports. 3 Click People. 4 Click Photo ID Requests. 4/8/16 S2 Security 37

Run a Roster Report A Roster report gives a list of all people currently in your system. Follow this procedure in order to run a Roster report. 1 Click the Administration toplevel control. 2 Click Reports. 3 Click People. 4/8/16 S2 Security 39

4 Click Roster. 5 If desired, click the checkbox to show people that are built into other partitions that are visible to your partition. 6 Click Go. 4/8/16 S2 Security 40

Scheduled Actions What is a Scheduled Action? A scheduled action is a planned temporary override of the normal access control schedule. For example, a scheduled action can be created that will lock a portal for a future period time when it would normally be unlocked. A scheduled action could also be created that will grant access to an elevator that is usually restricted from public access. Scheduled actions can be created for a number of different resources including: Portals Portal Groups Elevator Floors Floor Groups Inputs Outputs Scheduled actions can be created for portals, portal groups, elevator floors, floor groups, inputs and outputs. 4/8/16 S2 Security 42

Creating a Scheduled Action Follow this procedure in order to create a scheduled action. 1 Log into your S2 NetBox controller and click the Configuration top-level control. 2 Click Scheduled Action. 3 Click the arrow next to the desired type of resource. 4/8/16 S2 Security 43

4 Click the + icon to select a specific resource. Note: Resources that already have scheduled actions created will already be listed. 5 Select the desired resource from the drop down menu. 4/8/16 S2 Security 44

The Calendar now shows the schedule for the selected resource. In this example, the light green represents the unlock time spec for the selected portal group. Resource Schedule Selected Resources 4/8/16 S2 Security 45

6 Click and drag with the mouse to highlight the time you want to override the regular schedule. 7 A pop-up window will appear. Notice that the lock/unlock state of the scheduled action being created defaults to the opposite of the normal schedule, and the time of the scheduled action corresponds to the date and time selected on the calendar. You can enter a description or manually adjust the timing of the scheduled actions using the fields in this pop-up window. Note: You can also call up this pop-up window and manually create a scheduled action by clicking the blue + icon. 4/8/16 S2 Security 46
