Intrductin CampaignBreeze User Guide This guide prvides an verview f the main features in CampaignBreeze and assumes yu have access t an activated CampaignBreeze accunt alng with yur lgin URL, username and passwrd. 1. What is CampaignBreeze? CampaignBreeze is a pwerful web-based email marketing tl. An email campaign is very similar t an email yu wuld send frm yur everyday email accunt. The tw main differences are that campaigns are created and edited frm templates using an HTML editr, and yu can access a significant amunt f data abut yur campaigns via reprting statistics. Once a campaign has been sent, yu can access details abut wh has viewed, clicked and replied t yur campaign. With this infrmatin, yu can then refine yur future marketing strategy. This is the hme screen yu will see after lgging int yur CampaignBreeze accunt: Page 2 f 27

2. Hme Page The hme page is the first page yu will see upn lgging int yur accunt. The tp f the hme page includes three sectins t prvide easy access t the mst cmmnly used areas f the site fr yur cnvenience: Getting Started Create a Campaign launches the campaign creatin prcess Imprt Cntacts launches the imprt cntacts windw Check Reprts takes yu t the Reprts sectin f yur accunt Manage Cntent launches the Cntent Library Templates takes yu t the MyTemplates sectin f yur accunt Prfiles launches the Prfiles windw t add r edit prfiles T D Pending Apprvals takes yu t the Apprvals sectin f yur accunt (if any) Updates lists recent updates made t the system The hme page als includes panels that can be mved r hidden based n yur preference. T mve a panel, click and hld the icn. T add r remve a panel, click the dwn arrw icn. The Recent Campaigns Panel cntains includes multiple tabs. Click the title f a campaign t access additinal infrmatin, r fllw the Jump T links available in the In Prgress and Pending Apprval tabs. 3. Campaigns The Campaigns page displays the same infrmatin as the In Prgress tab, listing a full page f items (nt nly the mst recent 5). Create a Campaign Click the Create a Campaign buttn at the tp right f the page t begin the campaign creatin prcess. Selecting a template is the first step f the campaign creatin prcess. Yu will see a table f templates t chse frm, rganized by categry per the templates available t yu. The My Templates categry includes templates that have been created by yu r fr yu. Click the Preview link t preview hw the template will appear, and click the Use link nce yu have selected yur template. Enter a title. This is a required step befre yu can begin editing. Enter a title, and click the Create buttn. Page 4 f 27

Cntent Step Everything yu need t create yur campaign is lcated n this single page. Use quick links t jump t anther step at any time. Use these buttns t save yur wrk regularly. Access advanced ptins, including replies Familiar wrd prcessing editing tlbar. Frm Prfile By default all accunts will have at least ne sending prfile already setup with yur name and email address. Nte that if it has nt already been entered, yu will need t enter yur physical address as a part f yur prfile details s that the infrmatin can be autmatically ppulated at the bttm f all f yur campaigns t ensure cmpliance with anti-spam regulatins. Additinal prfiles can be created t alter the frm name and email address used t send yur campaigns. T add r edit prfile details, click the Manage Prfiles text link. Yu can als access this windw by clicking Prfiles in the Manage bx n the hme page. Page 5 f 27

Click the dwn arrw icn next t a prfile t edit, use, r delete a prfile. Click the Add Prfile buttn t enter the details fr a new prfile. All fields are required except fr Street 2, Phne, Fax, Mbile and Website. Once yu have entered the prfile s infrmatin, click Add. Subject This is the text that will appear in the subject line in the recipient s inbx. Yu can persnalize the subject line by selecting fields frm the Mail Merge drp dwn menu. Advanced Click the Shw text link t view additinal ptins fr the campaign. The sending dmain(s) available fr yur accunt will be shwn as will reply management. There are tw ptins fr hw replies are handled by the system. Yu can have ne r bth f these ptins running in yur accunt: Mde 1: Managed: Stre replies and ptinally frward This is the default setting. Replies are ruted t ur system s that they can be tracked and displayed in Reprts (Interactin tab). Replies can als be frwarded t additinal email address(es). Mde 2: Direct: Send replies directly nly Replies are nt ruted thrugh ur system r displayed in Reprts. Instead they are sent directly t the email address f yur chsing. T mdify the settings fr a particular campaign, yu can select r de-select yur desired reply ptins in this area. T mdify the settings fr all campaigns: Click Admin r Settings in the upper right f yur accunt. Any changes made under Admin will affect all users in yur client/grup. Any changes made under My Settings will nly affect yur accunt. Click the Email text link. Navigate t the "Replies" sectin. Click a setting name t change it: Email Reply Optin - default methd fr reply handling when starting a new campaign (nly required when bth Managed and Direct are set t On) Email replies t be ruted back t the system - turn Managed mde n r ff fr all campaigns Frward managed replies t prfile email - with Managed replies, autmatically frward all replies t the prfile address used t send the campaign Default frward t address fr managed replies - with Managed replies, autmatically frward all replies t a designated email address(es) Managed replies CC address - with managed replies, autmatically CC all replies t a designated email address (es) Email replies direct t an email address - turn Direct mde n r ff fr all campaigns Default email address fr direct replies - Direct replies are autmatically frwraded t the prfile address used t send the campaign unless yu enter a different email address here and it will be used instead Page 6 f 27

Pages Optins The pages menu bar includes ptins fr the Page yu are wrking n as well as links Print Friendly, Plain Text, and Add New Page. Each campaign must have at least ne page. Click the dwn arrw icn next t a page name t access ptins fr the page: Rename rename the page Cpy add a new page with the same cntent as the current page Change Template select a different template frm thse available in yur accunt Reset relad the page with the cntent frm the last time it was saved, remving any changes yu have made since that last save Delete delete the page Nte: yu cannt delete the first page f a campaign. A print friendly page can be created fr each campaign. It is nt a required cmpnent, but yu can insert print friendly cntent if yu wish t include a link t a print friendly versin fr yur recipients. Click the Print Friendly text link in the menu bar, and insert yur cntent in the space prvided. Yu als must use the Add Link icn frm the editing tlbar t create a link t the print friendly page (Add Link > Other Pages > Print Friendly). The plain text page represents the plain text cntent fr the campaign. Every campaign is sent frm the system as a multi-part message including bth HTML cntent and plain text cntent. Which cntent displays fr any given recipient is determined by the settings n their email client and/r device. Click the Plain Text link in the menu bar t review the default plain text message. T edit the plain text cntent fr a specific campaign, make yur changes directly t the text displayed. Nte that the view tag and the pt ut tag must be included smewhere in the plain text cntent s that recipients have access t view and unsubscribe. Click the Insert View Tag r Insert Opt Out Tag buttn t place these elements. T edit the default plain text cntent used fr all campaigns: Click Admin r Settings in the upper right f yur accunt. Any changes made under Admin will affect all users in yur client/grup. Any changes made under My Settings will nly affect yur accunt. Click the Email text link. Under the Cpy sectin, click the Plain Text Cpy setting t edit it. T add a new page t yur campaign, click the Add New Page text link. Enter a name fr the new page, and click the Add and Edit buttn. A new page will be added t the campaign using the default cntent fr the template used in the page yu are wrking n. Nte that in rder t view pages beynd the first page f any campaign, yu will need t add links t cnnect the pages using the Add Link icn frm the editing tlbar (Add Link > Other Pages > select the page). Cntent The main area f the page is where yu can edit yur cntent. T make changes t yur campaign, yu will need t wrk within the editable areas. Editable areas are identified by a red dtted utline. Cntent utside f an editable area cannt be changed. Click inside any editable area t begin mdifying the cntent f yur campaign. The editing tlbar prvides a hst f features t make editing yur HTML cntent easy. The editing tlbar is similar t many wrd editing sftware prgrams. There are a few features that are very useful in creating a campaign: Save ( ) Remve Frmat ( ): Highlight cntent, and then click this icn t remve all backgrund HTML cde. Use this icn if yu are having truble frmatting text. Set Tlbar Psitin ( ): Select where the editing tlbar appears n yur screen: Fllw Me (default): The tlbar will appear abve the editable area yu are wrking in. Flat at the tp: The tlbar will stay at the tp f the page and flat dwn if yu scrll the page dwn. Stay where I put yu: The tlbar will stay where yu place it. Yu can mve the tlbar by clicking and dragging. Add Link ( ): Insert a link in yur campaign t a URL, Email Address, Other Pages, Surveys, and Scial Netwrks. Remve Link ( ): Highlight a link, and then click this icn t remve the link frm the cntent. Insert Image r Attach File ( ): Launch the Cntent Library t uplad images and/r files. Yu can uplad multiple images and files at nce. Prperties ( ): Select an image r area, and then click n this icn t display the prperties fr the selected item. Yu can als access the prperties by right clicking the selected bject. HTML Mde ( ): Display and edit the HTML cde fr the area. IMPORTANT TIP When yu have text in an external surce (such as Micrsft Wrd r a website) that yu wish t use in a campaign, yu shuld first highlight/select the specific text yu want t bring int the campaign, cpy it and paste it int Ntepad r anther plain text editr. This will remve all f the backgrund HTML frm the cntent and leave yu nly with the text cntent. This is imprtant because if yu paste cntent directly frm an external surce such as a webpage r wrd prcessing prgram yu risk pasting backgrund HTML that may cause prblems with yur campaign. Cntent Library The cntent library stres all f yur images and files that yu wish t use with yur campaigns and surveys. Access the cntent library by clicking n the Cntent text link under the Manage sectin n the hme page, r by clicking the Insert Image r Attach File icn ( ) in the editing tlbar while in the Cntent step. Yur cntent library may include: Images and Files add and edit yur images and files Shared access images and files shared by ther users External access cntent frm anther system Click the >> r << icn t shw r hide flders fr rganizing yur files and images. Click the Add Flder text link t add flders t rganize yur images and files. Navigate t ther flders by clicking the flder s name in the list n the left. Click the dwn arrw icn next t a flder name t access ptins fr the flder: Rename rename the flder Sharing share the flder with ther users Delete delete the flder Click the Add Images and Files buttn t brwse and uplad cntent. Yu can select multiple items t uplad at nce. Yu can mve files and images t different flders by clicking and dragging the r file name. icn next t the image Use the Display drp dwn menu t filter the cntent shwn by type (e.g. audi r vide files). Use the View drp dwn t change between list and thumbnail views. Page 9 f 27

Cntent Optins Hver ver the name f the image r file t view additinal infrmatin. Yu can als use the Jump T links t Preview r Use the cntent in yur campaign. Click the dwn arrw icn next t an image r file name t access ptins: Edit edit the image, and chse t verwrite the existing image r save the changes t a cpy Reset Image und any changes yu have made Crp select a size frm the drp dwn menu, click Enter Size t enter yur wn dimensins, r drag/resize the shaded bx t adjust dimensins Resize (default selectin) select a size frm the drp dwn menu, r click Enter Size t enter yur wn dimensins Resize select a size frm the drp dwn menu, r click Enter Size t enter yur wn dimensins Rename rename the image r file Cpy cpy the image r file Delete delete the image r file Page 10 f 27

Recipients Step This is where yu select wh will receive yur campaign. Check the bx next t a grup t add the cntacts in that grup as recipients t yur campaign. Or yu can click the Cntacts tab t select individual cntacts by checking the bx next t their name. Nte that CampaignBreeze will de-duplicate the cntacts and grups added t yur campaign t ensure that each cntact receives the email nly nce. Als all cntacts that are classified as pted ut r bunced will nt be added t yur campaign. Refer t Sectin 4 Cntacts fr additinal infrmatin abut managing cntacts. Preview and Send Step Here yu can preview each page f yur campaign, including print friendly and plain text. Click the Preview Campaign buttn t preview the campaign in a new windw. There yu can als test any links that were included in yur campaign. Preflight Reprt A preflight check will be run n every campaign based upn the settings in yur accunt. If there are any issues that need attentin befre yur campaign can be sent, yu will see a text link t Fix Prblems. Yu can click the View Reprt text link t review all f the elements f the preflight check. By default, the preflight check will cnfirm that yu have: Recipients at least ne recipient is required Frm a sending prfile with address details cmpleted Dmain a sending dmain assigned r selected Subject a subject entered Subscriptin an active CampaignBreeze accunt In the preflight reprt windw, each preflight check is represented n a separate tab. Additinal preflight checks include: Spelling runs a spell check and flags any wrds deemed t be misspelled Spam runs a spam check t flag any issues that may trigger spam filters Nte: A scre greater than 5 culd be classified as spam by yur recipients email applicatins and shuld be reduced. Plain Text runs a check t see if the default plain text cntent has been custmized fr this campaign Page 11 f 27

Sending Optins Once the preflight checks have been passed, yu will see the ptins fr sending yur campaign. Send a Test Campaign preview the campaign befre sending the final campaign t recipients Maximum f five recipients Include a nte t be displayed at the tp f the test campaign (ptinal) Campaign will remain in In Prgress after the test has been sent N reprting data is cllected fr test campaigns Send Campaign Later schedule the campaign fr sending at a later date Select the schedule date and time Send t up-t-date cntact grups (ptinal) refreshes the grups that are included in yur campaign prir t sending t ensure that any new cntacts added t the grups since the riginal time f scheduling will receive the campaign Repeat scheduled send (ptinal) resend the same campaign t the same cntacts and grups based n a prescribed time factr Every: Resend n a specific amunt f days, weeks, mnths, and years On the: Resend n a specific day f the mnth Each: Resend n a specific day f the week Stp repeat sending (ptinal) stp the repeat sends based n a prescribed factr: After: Stp repeat sending after a certain number f sends Ends by: Stp repeat sending after a certain date Send Campaign Nw immediately send the campaign Nte that nce a campaign has been sent, it cannt be recalled r canceled. Be sure t make any changes needed befre clicking the Send Campaign Nw buttn. Page 12 f 27

4. Cntacts This sectin f CampaignBreeze stres all f yur cntacts. They are stred as individual cntacts and can als be rganized in grups. Cntacts can be stred in as many grups as yu like. Cntacts Tab The Cntacts tab lists yur cntacts and their key details (e.g. First Name, Last Name, Email Address, Cmpany) in a table. Yu can click a clumn name t srt the cntacts based n that field. Click the dwn arrw icn next t a cntact s name t access additinal ptins: Edit mdify the cntact s specific details Cpy cpy the grups stred fr a cntact and pen a new cntact recrd t enter their specific details Campaign Histry view the list f campaigns sent t a particular cntact Stream view a list f interactins this cntact has had with all yur campaigns (e.g. sent, clicked, viewed, frwarded) Delete delete the cntact Reset Delivery Status (if bunced) reset the delivery status fr the cntact s they are nt classified as bunced and campaigns can be sent t them again Opt Out unsubscribe the cntact, preventing them frm receiving any future campaigns Opt In (if pted ut) view details fr hw t pt the cntact back in This menu bar is at the tp f the Cntacts table and is used t manage yur cntacts. Add Grup Click the Add Grup text link t add a new grup. Enter a name fr the grup and click the Add Grup buttn. Add Cntact Click the Add Cntact text link t add a single new cntact. Email address is the nly required field t add a cntact. Click the Other Details tab t enter additinal details including name and address infrmatin. Click the Custm Fields tab t enter details fr any custm fields yu have created in yur accunt. Click the Grups tab t select which grup(s) the cntact shuld be added t. Imprt Cntacts Click the Imprt Cntacts text link t quickly and easily imprt cntacts t yur accunt that are stred in a CSV r XLS file. An email address is required fr every cntact that is imprted int CampaignBreeze as it is each cntact s unique identifier. If a cntact recrd in yur CSV r Excel file des nt have an email address stred fr a cntact, that cntact will be skipped. Prceed thru the five steps t cmplete the imprt prcess: Find Cntacts click the Brwse buttn t lcate yur CSV r Excel file Map Fields assign the fields in yur CSV r Excel file t the fields in system Nte sme fields may be pre-selected fr yu. Cnfirm thse mappings, and add r mdify using the drp dwn menus. Handle Duplicates determine hw the system will deal with duplicate email addresses (a duplicate email address will ccur if the same email address is listed in yur CSV r Excel file twice, r if the email address already exists in yur accunt recrds) Append: Add any additinal infrmatin t the existing cntact that is nt already stred. Leave: Leave the existing cntact and their details unchanged. The cntact will be added t any grups selected. Replace: Replace all f the cntact's existing details with the infrmatin yu are imprting. Select Grups select the grup(s) the cntacts in yur file shuld be added t and/r click Add Grup t add a new grup t stre the cntacts in Cnfirm and Imprt displays a cnfirmatin f the settings yu selected fr the imprt Click the Imprt buttn when yu are ready t perfrm the imprt. A cnfirmatin f yur results will display after the imprt citing the number f cntacts that were added (inserted), updated and discarded because they were invalid. Advanced Drp Dwn Menu Advanced Search Use this feature t search fr cntacts based n specific criteria. Each advanced search is created using cnditins. Each cnditin is made up f three parts: field, match and value. A set can als be created t link multiple cnditins tgether using an Or r And peratr. By default the Advanced Search windw will be setup with ne cnditin. Select a field frm the drp dwn menu, select the match type, and enter a value. If desired, yu can add additinal cnditin(s) and/r set(s) t query based n yur specific parameters. Click the Run Search buttn t find the cntacts matching the criteria yu entered. The results will display in the bx n the left. Yu can view the cntacts and/r add them t grup(s). Yu als have the ptin t save the search criteria as a new dynamic grup. When dynamic grups are added t campaigns, they are updated with the latest cntacts matching the search criteria. Manage Custm Fields Use this feature t create and edit custm fields t stre specific data fr yur cntacts. Yu can chse whether yur custm field is free text, multiple chice r date based. Opt Outs View the list f email addresses and dmains pted ut frm yur accunt. Yu can als add email addresses and/r dmains t this list t prevent campaigns frm being sent t them in the future. 5. Surveys Surveys are a pwerful tl fr develping nline questinnaires. They can be used fr things like client satisfactin surveys r registratin and RSVP frms. Yu can easily create a list f questins and view respnses t that survey all frm within yur accunt. The Surveys page is similar t the Campaigns page, displaying a list f yur surveys and key statistics fr each.
