Queen Square Neurophysiology Referral Portal This portal provides a quick and efficient way to make referrals to the Department of Clinical Neurophysiology at the National Hospital for Neurology and Neurosurgery at Queen Square. Here is a short description of the registration process, some tips for the referral and a short description of future developments. Registration Follow this link https://nrps.igspectrum.net/login.aspx 1.) When you use the service for the first time you need to register. All referrals are linked to a consultant or GP. Secretaries, Allied Health Professionals or Junior Doctors can make referrals on behalf of a consultant or GP once all parties have registered. Consultants and GPs can registr for more than one hospital or practice by repeating the registration process for the same or different email address and selecting additional practices. 2.) Your email ID needs to be from one of three safe domains: @nhs.net; @???.nhs.uk or @mod.uk 3.) If you hover with the mouse over a question mark you can see context sensitive helpful tips..
4.) During registration you need to fill out all fields marked with a red star 5.) Hospital staff can select their trust by starting to type the name and select from a drop down menu the name of the main trust. For example the National Hospital should be listed under UCLH NHS Foundation Trust. 6.) Staff from GP surgeries need to select their practice code. 7.) Please email cnp@uclh.nhs.uk if you cannot find your practice or hospital. 8.) Once you have completed the registration you will receive a temporary password which will allow you to log in to the portal. You will then be asked to create your password. 9.) All referrals are linked to a referring consultant or GP. They can add up to 5 email addresses (from the three trusted domains: @nhs.net; @???.nhs.uk or @mod.uk) which we will use to email the results of the investigations or treatments. These reports are automatically emailed to you shortly after they have been signed off by the Neurophysiology consultant and you should generally receive them within 5 working days of the investigation. If you need them earlier, please, say so using the booking suggestion box (vide infra). Once you have logged in you can see these email addresses in the menu MY PROFILE. Before an email is used it requires validation. We do this by sending an appropriate email message to the nominated address whenever you add or edit one. These addresses will also be used to inform you, if a patient has DNA s or cancelled appointments.
Making a referral 10.) We need some information to make an appointment for your patient: We require on patient ID number. The NHS number alone is sufficient and our preferred information. If you do not have this add the local hospital number instead. 11.) We prefer to contact patients by email and mobile. You can help us very much by adding the patient s email address and mobile number and ask them to respond to calls or texts and to check their email accounts. We aim to contact patients and send the appointments on the day we receive the referral. This is particularly important when you make an urgent referral and you will get a reminder to do so when you fill out the referral. Your help by adding this information will significantly speed up the appointment. We will not use these contact details to transmit clinical information 12.) When entering the patient demographics you can search for the postal details using the postcode 13.) When you select a test you will be asked to make at least one broad classification (for EEG we use the SCORE system) of the differential diagnosis which helps us to plan our work. If the available selection of non EEG diagnoses does not fit please tick other (bottom of the third column). If your referral is straight forward and a typical clinical presentation e.g.?cts we do not need more information, but you are welcome to provide more detail and you can type or cut&paste additional clinical information into the abstract box. 14.) It is possible to add booking relevant information. This is useful, if your referral is e.g. for a specific clinic or date or consultant. This information should not be entered into the text box of the clinical abstract as our booking team does not regularly read this. 15.) You can upload documents (clinic letters etc.) in several formats (Word, PDF, jpg, png) by following a link at the left bottom of the portal.
16.) When you are ready to submit a referral you have three options. If you press Send the request will be sent to the right place. Please, note that if a request has been submitted it can never leave the system and it is always possible for us to track its status. If you press Send and download you will be able to display the request as PDF (and you need to have a suitable viewer installed on your PC) which you can then download or print. Your trust or you may have activated pop up blockers which may prevent this display. In this case you can choose the option of Send and copy email to referrer and you will be receiving the referral by as attachment to a secure email. 17.) When you submit a request for BoTox therapy it is important to set out very clearly the reasons that the therapy needs to be delivered under EMGor ultrasound guidance. This service is heavily oversubscribed and we can only accept referrals with compelling clinical indications described in the referral. It is obligatory to attach a recent clinic letter. Future developments We plan an upgrade in October 2017. This will include the possibility to look up and import patient demographics and contact details from the NHS spine by entering NHS number and DOB. As we are using this principal for our internal referrals at the National Hospital we know that this will save you a lot of time. Another feature of the future upgrade will be the possibility to securely display (and download or print) all clinical neurophysiological reports of patients at your hospital or GP surgery irrespective of who has made the referral. The referrer will still receive the report by email, but referrer and other staff will be able to see the report at that time in the portal.
Further future developments will include the ability to see the status of your patient s journey through our department by providing dates for bookings, appointments, re scheduling, patient arrival and reporting of results.
