LESSON 3 ENTER STUDENT PREFERENCES There are a number of ways that student subject preferences can be entered. They can be entered individually, globally or imported. STUDENT PREFERENCE SUMMARY The Student Preferences Summary screen provides a summary of the student option choices. Open the file: C:\Users\Public\Documents\V8.1 Training Data\ Students Yr 11.sofx Click Preferences The number in the Assign column indicates the number of units (or subjects) to be assigned to that student. The number in the Nominated column indicates the number of units (or subjects) that a student has chosen. Timetabling Solutions Pty Ltd Page 2 of 20

ENTER INDIVIDUAL STUDENT PREFERENCES There are 3 ways that individual student preferences can be entered: In the Preferences - Mouse (1) screen, the mouse is used to double click on subjects in preference order, with the options displayed in one column. In the Preferences - Mouse (3) screen, the mouse is used to double click on subjects in preference order, with the options displayed in three columns. In the Preferences - Keyboard screen, the keyboard is used to enter numbers corresponding to the option name on the accompanying list. PREFERENCES - MOUSE (1) On the Task Tree click Preferences - Mouse (1) On this screen, student names are listed in the Select box on the left and all the options are listed in 1 column to the right. Select BECKHAM Victoria by either clicking on her name in the Select box or by typing the first few letters of her surname at the top of the Select box Note: Victoria BECKHAM s name is displayed at the top of the screen. To enter Religion and Society Yr11 as Victoria s 1 st preference, double click in the cell to the left of Religion and Society Yr11 Note: The 1 in the Pref # column indicates that Religion and Society is Victoria s 1 st preference. Repeat this process with English Yr11 to enter it as her 2 nd preference and Homeroom Yr11 to add it as her 3 rd preference Timetabling Solutions Pty Ltd Page 4 of 20

Repeat this process to add the following preferences for Victoria: 4 th Preference: Maths General Yr11 5 th Preference: Geography Yr11 6 th Preference: Physics Yr11 7 th Preference: Systems Technology Yr11 8 th Preference: Art Yr11 9 th Preference: Economics Yr11 1 st Reserve: Legal Studies Yr11 Note: A preference can also be removed by double clicking on it. Note: The reserve preference is highlighted blue. Timetabling Solutions Pty Ltd Page 5 of 20

It is also possible to insert a new preference in any position without having to delete any existing preferences. To add Biology Yr11 as Victoria s 5 th preference, single click next to Biology Yr11 and click Insert Preference Type 5 and click OK Note: Biology is now preference 5 and all lower preferences have been adjusted automatically. There are now 2 reserves. Click Save Timetabling Solutions Pty Ltd Page 6 of 20

PREFERENCES - MOUSE (3) Student preferences are entered in the same way on the Preferences Mouse (3) screen as the previous example but the options are displayed in 3 columns. On the Task Tree click Preferences - Mouse (3) Note: The options are displayed in 3 columns and only the option name is displayed. Change the Display to Option Names and Codes Note: Both option names and codes are now displayed. Student preferences can be entered on this screen by double clicking on an option. PREFERENCES - KEYBOARD Student preferences can also be entered by using the keyboard. The list of options can be displayed in a supplementary list and preferences are entered by typing the number of the option. On the Task Tree click Preferences Keyboard In the Select box, click on CRUISE Tom Note: He has no preferences entered. Note: The red text in the top right hand corner indicates the Supplementary List is OFF. Click above the red text to turn on the display. Timetabling Solutions Pty Ltd Page 8 of 20

Note: The Supplementary List is now displayed with a list of all option names and codes. Preferences are entered by typing the option number in the text box on the top left hand side of the screen. To enter Religion and Society Yr11 as Tom s 1 st preference, type 2 and press Enter Repeat this process to add the additional preferences listed above Click Save Timetabling Solutions Pty Ltd Page 9 of 20

ENTER STUDENT PREFERENCES BY GROUPS In some situations all students or a specific group of students have to nominate a particular option. These can be entered globally or by copying nominations from one class to another. GLOBAL NOMINATIONS In this example, all Yr11 students have to nominate Homeroom, Religion and Society and English. On the Task Tree click Student Preferences Summary Note: Changes to the display that were made on other screens carry over to this screen. Change the Display to Option Codes To hide the Supplementary List click hand corner of the screen in the right Timetabling Solutions Pty Ltd Page 10 of 20

Note: Victoria BECKHAM has already nominated Homeroom as preference 3 but Tom CRUISE has not nominated it. Click Global Nominations Note: All options are in the Available box. To move Homeroom to the Selected box single click on 11HRM1 and click or double click on 11HRM1 Click OK Leave the default as 1 and click OK Timetabling Solutions Pty Ltd Page 11 of 20

Note: All students now have 11HRM1 as Preference 1 except Victoria BECKHAM. No change was made to Victoria BECKHAM s preferences as she had already nominated Homeroom as Preference 3. The program inserted 11HRM1 as Preference 1 for Tom CRUISE and adjusted all his other preferences. Click Global Nominations Timetabling Solutions Pty Ltd Page 12 of 20

Ensure the Sort box is not checked which allows the user to define the order of the preferences. Move 11REL1 then 11ENG1 to the Selected box Click OK Note: Global Nominations can be used to assign options as any preference number. In this case type 2 and Click OK Note: Students now have Religion as preference 2 and English as preference 3. Click Save Timetabling Solutions Pty Ltd Page 13 of 20

GLOBAL NOMINATIONS FOR SELECTED STUDENTS It is also possible to enter the same subject selection for a group of students. For example, if all students from the same Home Group 11A were to study Accounting, this can also be added using Global Nominations. Click the link Students selected: All 103 Students Note: A list of all 103 students appears in the Selected box. Tick the Sort box. Click More Options Timetabling Solutions Pty Ltd Page 14 of 20

Click the Home Group tab Note: All 4 Home Groups are in the Selected box. Use the arrows to move the Home Groups so that only 11A is in the Selected box Click OK Timetabling Solutions Pty Ltd Page 15 of 20

Note: Only students from Home Group 11A are now in the Selected box. Click OK Note: The number of students selected is displayed in the link. Click Global Nominations Timetabling Solutions Pty Ltd Page 16 of 20

Make sure Sort is checked Move 11ACC1 to the Selected box Click OK To enter Accounting as their 4 th preference, type 4 and click OK Note: Students in 11A have now been assigned to 11ACC1 as Preference 4. Click the link Students Selected: 26 of 103 Timetabling Solutions Pty Ltd Page 17 of 20

Click to move all students into the Selected box Click OK COPY NOMINATION It is also possible to copy students who have nominated one option into another. For example, if all students who nominated Accounting also need to choose Biology, students can be copied from Accounting into Biology. Note: All students are selected. Click Copy Nomination Timetabling Solutions Pty Ltd Page 18 of 20

Select Accounting Yr11 from the Copy Nominations from drop down list Select Biology Yr11 from the Copy Nominations to drop down list Click OK If the information is correct click Yes Note: All students who had nominated Accounting Yr11 have now also nominated Biology Yr11.
