IMI Training Request lists and automatic emails in IMI
Agenda 1. Request lists for Competent Authorities 2. Request lists for Coordinators 3. Automatic E-Mails
1. List for Competent Authorities - Overview a. Action list b. All requests sent or received by my authority c. Requests of other authorities (linked) d. Search all requests
a. Action List requests where the authority must take an action, either as a Requesting Authority or as a Responding Authority This list is only available to users with Request Handler rights
b. All requests sent and received by my authority All requests where the CA is acting as requesting or responding authority, irrespective of the request status
c. Requests of other authorities List of all incoming and outgoing requests of other authorities that are linked to my CA and have granted my CA a monitoring view of their requests
d. Search all requests By choosing the option Search all requests, the user can use different search criteria (e.g. request number, request status, partner authority) to look for a particular request, either of its own CA or of linked authorities.
2.a. Action List for Coordinators In addition to its role as an IMI Coordinator, a Coordinator may sometimes act as a competent authority (i.e. it can submit or receive a request for information) When a Coordinator logs on to the IMI system, its Action list will display all requests where the authority must take an action, either as a Competent Authority or as a Coordinator (e.g. to approve a request for additional information)
2. b. Additional list for IMI Coordinators This list will include those requests where the respective authority plays a coordinating role. User must have referral handler rights.
Filtering and sorting the lists All of the lists shown can be filtered by entering search criteria shown at the top of the list (e.g. date, status, partner authority) All of the lists shown can be sorted by clicking on the column headings of the list
3. Automatic E-Mails: basic principles (1) When involved in an exchange of information in IMI, the Competent Authority will receive automatic email notifications when the partner authority or a Coordinator has taken an action that has an impact on the course of the request workflow This means that a CA will always receive an automatic email when it has to take any action related to a request All emails are received in the official language(s) of the Competent Authority and of the users taking an action in a request
3. Automatic E-Mails: Basic principles (2) When receiving a new request, the Responding Competent Authority is notified only via its functional email In principle, all email notifications are sent to the email address of the Request Handler who has last taken an action with Copy to the authority s functional email
Automatische E-Mails: Inhalt Each email includes three main parts: Request details, i.e. request number, legislative area, and name of the Competent Authorities involved Core message, i.e. notification of an action to be taken and/or information about an action taken by the partner authority or by a Coordinator Direct link to the request.
