What s New in this Version 2018R1 Release This section provides a high-level overview of the enhancements included in the 2018R1 release that affect the functionality described in this document. Password Retrieval via Email (GDPR Alignment) In an effort to fully protect personal data and support GDPR, users will no longer be able to request their ComplianceWire password via email. Note: We recommend that clients utilize an existing feature that allows users to reset their passwords through security questions or by having their users submit a request to their System Administrator outside of the system. Self-Registration Screen With 2018 R1, the usability of the self-registration screen has been enhanced to include a calendar picker for selecting values for custom date fields. Login Screen Launch Microsoft Internet Explorer by selecting the shortcut on the desktop or from the program menu. Enter the supplied web address in the Address field and press Enter. The Login screen displays. The Login screen is split into 3 separate areas: Logo Header, Login Body, and Footer. Login Header contains the following. ComplianceWire logo. The user s company graphic (if any). Login Body contains the following. Welcome to ComplianceWire. Login fields (User ID, Password, and Company Code). Note: In order to further assist clients with achieving Code of Federal Regulations (CFR) Part 11 compliance, we have prevented browsers from auto-completion of Username and Password fields in ComplianceWire for native login, change password, and e-signature pages. Forgot password link. ComplianceWire provides two methods for users to get their passwords if they forget their existing passwords. Users can have: their password e-mailed to them. their password reset, thereby eliminating the need to have their password e- mailed to them. Clicking on this link brings up the Forgot Password screen. This allows you to request forgotten passwords via e-mail or reset forgotten passwords. Footer contains the following. Copyright link. Note: The recommended hardware configuration and software components necessary for users to access the system are maintained as a separate training aid document on ComplianceWire. Once logged in, click the Tools menu, click the Platform Documentation link and select the System Requirements document for reference. Multiple log-in and logos on home page (available upon request) For clients with multiple and/or distinct companies, divisions, departments, or projects, a log-on page within ComplianceWire can display logos or taglines to differentiate between those entities. This capability is especially valuable for companies that use one learning portal to serve more than one user base. Additional login page text will display between the login body and footer for companies that utilize the corporate communications program. ComplianceWire Login Credentials IMPORTANT! Using multiple open browser sessions simultaneously can cause session information to be shared between the windows. Access to ComplianceWire is protected by requiring the user to enter three distinct identification components (User ID, Password, and Company Code). Enter the User ID, Password, and Company Code in the appropriate text boxes. Only authorized individuals with a valid User ID, Password, and Company Code can log into the system. If the User ID, Password, or Company Code is missing or invalid, an appropriate error message displays and the user is returned to the Login screen without gaining access to the system. The rules governing usable passwords are defined on the Password Policies screen. See the Password Policies section in Chapter 9. Note: UL offers interoperability for ComplianceWire to use user network User IDs and Passwords. At initial login Click I Accept to accept the Terms of Use statement. A Processing, please wait message displays while the system validates the User ID, Password, and Company Code entries and, if valid, grants the user access to the system. The application opens and brings up the Knowledge Center screen. The User ID, Password, and/or Company Code are verified against the information in the database. This includes login and electronic signatures. The system checks to see if the user s password is marked as expired or not. If a password has expired, the system will notify the user that his/her password is expired and prompt the user to change his/her password immediately. The user will be returned to the Login screen and NOT be allowed into the system until the user successfully changes his/her password. ComplianceWire System Admin Guide - Login (Version 2.4) 7

The system checks to see if the user s account is marked as locked out or not. If the account is marked as locked out, the system will notify the user that his/her account is locked and NOT allow the user to enter the system. Locked accounts may not gain system access until unlocked by an administrator or automatically by the system. Note: Access to ComplianceWire can be limited to an established range of IP addresses. The authorized IP range can be established at any time by UL. The system will compare the IP address of the user s computer to the allowed range of IP addresses established by the user s company. If the IP address is not within the allowed IP set, the system will notify the user that he/she is not at an authorized workstation and NOT allow the user to enter the system. User IP functionality is controlled by company preferences (OFF by default). Company Preferences are available through UL, and not directly within the application. When the Authenticate User IP Address preference is turned ON, the system will validate the User Login IP Address against the valid IP Address ranges specific by the company. Because ComplianceWire is a web-based application, 128-bit Secure Socket Layer (SSL) is used to provide encrypted communications on the Internet. ComplianceWire stores records in a secure SQL server database. Security features such as User ID/Password and security roles protect the records stored in the system throughout the records retention period. Additionally, passwords and electronic signatures are stored encrypted in the database, the database connection string is stored and retrieved from a protected area on the server. One of two password related windows may display before gaining access to the system, depending on one of the following circumstances A password expiration period is set. The user will be notified that his/her password will expire in "x" days. Clicking Continue opens the application and brings up the Knowledge Center screen. The password has expired. Users will be prompted to change their password before gaining access to the system. The current "rules" governing usable passwords display (informational only). The user must know his/her Current Password before being allowed to change to a new password. ComplianceWire System Admin Guide - Login (Version 2.4) 8

The New Password must conform to the company defined password policies. These policies are defined on the Password Policies screen. See the Password Policies section in Chapter 9. The user must Confirm New Password. Clicking Change Password validates the password information and, if valid, presents a confirmation window. Continue Login brings up the Knowledge Center screen. See page 27. Note: Users accessing ComplianceWire via custom login screens will be unable to change passwords anywhere in the system. Single Sign On The Event log tracks unauthorized login attempts within the system, and reports when an account is locked or unlocked. ComplianceWire supports single sign-on capabilities. See diagram on following page. Note: By permitting the integration of ComplicanceWire with another user authentication system, the client assumes responsibility for ensuring that such user authentication system is included in and is governed by the client s quality system controls and that such user authentication system meets or exceeds the requirements of 21 CFR Part 11. Single sign-on (SSO) capability is directly and exclusively provided though custom interoperability projects on a company-by-company basis. ComplianceWire s user authentication credentials and e-signature functionality can be integrated with an internet protocol used to look up information from a server. Users will be able to enter their network ID and password to verify their ID/password combination as an authentication step and to record their e-signatures. ComplianceWire sends user credentials to client authentication component. Client authentication component authenticates user and sends response to ComplianceWire. ComplianceWire receives response from client authentication component. If the user is authenticated, ComplianceWire will grant access to the user and display the To-Do List. If the user is not authenticated, the standard ComplianceWire invalid User ID or Password message displays. All email sent by ComplianceWire containing a link to the standard ComplianceWire login page (www.compliancewire.com) will be modified to replace the standard link with the link to the custom login page. Single Sign-On (SSO) authentication allows users to login into ComplianceWire using their Network ID and Password. SAML SSO with e-signature In this diagram, Native Login refers to the usual ComplianceWire login. The Network Authentication (SSO) allows users to authenticate e-signatures using their Network User ID and Password. This eliminates the need to remember another system User ID and Password. Users will access the SAML SSO login URL and will enter their User ID and Password credentials. The standard system authentication error message will be displayed when a user tries to log in with invalid password. Upon successful authentication, the user will be directed to the ComplianceWire To-Do list. Users will launch any assigned training from the To-Do list and complete. Users will be able to e-sign for training item completions assigned to him. The user will select Reason for Signature and enter a Signature Comment and click Electronically Sign. A standard success message will be displayed on successful e-sign. The completion will be recorded in the user s History showing the e-signature details. User login through SSO login method will not have accessibility to manage their passwords in ComplianceWire. The Security Question Response screens will not be displayed for the user upon login and the Change Password link will not be available for the user to change the password. Users can only change their password for native ComplianceWire account. Users having the Personnel Code will be able to login to the ComplianceWire thru SAML SSO. Users with the Personnel Code field blank will not be able to login to the ComplianceWire through SAML SSO and a standard custom error message will be displayed. The Standard logout page will be displayed upon logout for user logged into ComplianceWire either through SAML SSO login or via custom login. Users with Network Authentication (SSO) credentials will be able to e-sign during Curriculum Vitae completion. The user will upload a valid Curriculum Vitae and e-sign by selecting Reason for Signature and enter Signature Comment. The user will enter Enterprise ID and Password in e-sign window. The Status of the Curriculum Vitae will change to Effective. The completion will be recorded in the user s History. ComplianceWire System Admin Guide - Login (Version 2.4) 12

Single sign-on capability is directly and exclusively provided though custom interoperability projects on a company-by-company basis. The self registration page will appear when logging in using a specific Login ID. It will: contain the company logo. allow users to enter fill out a registration form to enter the data necessary to create a user profile in ComplianceWire. contain a link to open a window to another web address. place users into user groups based on their responses on the registration form. create a new user profile. should be useable as renewal page when it is determined that the user is clicking on a link in a CICS (Control Document) document. Each user who self registers will be given a confirmation on the screen, logged into ComplianceWire, and brought to his/her To-Do List. The system will subsequently send an email notification of pending training assignments to the newly registered user. Biometric Integration ComplianceWire supports biometrics integration. Biometrics integration capability is directly and exclusively provided though custom interoperability projects on a company-by-company basis. Biometrics integration allows the usage of a biometrics framework component to login to ComplianceWire, as well as to record training item completion e-signatures. Users who are logged into ComplianceWire through the Biometric Component will be offered the option to use the Biometric Component when prompted to e-sign a completion or activity within ComplianceWire The system will subsequently send an email notification of pending training assignments to the newly registered user. Browser Auto-Complete Prevention Today, ComplianceWire does not restrict a browser s ability to auto-complete a user s stored User ID and Password. If a user elects to utilize their web browser s auto-complete capability, their authentication data (User ID and Password) can be pre-populated at login or e-signature completion in ComplianceWire. Clients have historically relied on their company s browser policies to disable the auto-complete feature and maintain Code of Federal Regulations (CFR) Part 11 compliance. This new ComplianceWire feature will help make it easier for clients to adhere to the requirement in Part 11 that states: subsequent signings shall be executed using at least one electronic signature component that is only executable by, and designed to be used only by, the individual. (21 CFR Part 11, Subpart C, Sec. 11.200). Although industry standards that govern search engines and website design dictate that auto-population is preferred, we recognize that it presents our clients with challenges maintaining (CFR) Part 11 compliance. In addition to the SOP s, Guidelines and Browser policies that a company may have in place, we are taking measures to prevent browsers from auto-completion of Username and Password fields in ComplianceWire for native login, change password, and e-signature pages. After the R1.2017 release, Learners and Administrators will be forced to manually type in their User ID and Password login credentials in the areas described below. Note: It is recommended that clients continue using their SOP s, Guidelines & Internal policies to support CFR Part 11 compliance. More Information - Browser Auto-Complete Prevention The SAML SSO Login and Custom Login pages are not impacted and will continue to function as is with existing capabilities. The auto-complete prevention feature does not prevent third party tools that may be used to store and populate login and e-signature pages. The Clients with Custom Login pages who are interested in applying the auto-complete prevention feature should contact their Account Director. The browser will present a suggestions drop-down list for the User ID field as shown in the example below. However, it is necessary to enter the password. System Security Because ComplianceWire is a web-based application, Secure Socket Layer (SSL) is used to provide encrypted communications on the Internet. 128-bit SSL encryption is used to protect all transactions transmitted over the Internet. Logging into ComplianceWire Login Step 1: The Client Browser initiates an SSL connection with the Web Server. Login Step 2: The Client Browser sends the User ID, Password, and Company Code to the Web Server via the SSL Connection. Login Step 3: The Web Server sends the password through the ComplianceWire encryption routine. The encryption routine runs a 128-bit encryption algorithm on the password using a combination of a specific character string and the internal company id. Login Step 4: The Web Server compares the encrypted password to the encrypted password stored in the MSSQL database to verify the user login. User Data Step 2: The Client Browser sends user data to the Web Server via the SSL Connection. User Data Step 3: The Web Server sends the password through the ComplianceWire encryption routine. User Data Step 4: The Web Server stores the encrypted password and the remaining user data in the MSSQL database. Reset Forgotten Password Based on company policy, users may be forced to answer up to three of their personal questions when they login. When all questions have been answered correctly, the users will be logged in with a temporary password, forcing them to change his/her password before continuing (see following page). The rules governing the use of password security questions are defined in the Reset Forgotten Password section on the Classroom Options/Company Preferences screen. Security Questions Encrypted Responses Clicking Answer Questions brings up the Passwords Questions. Question responses are stored as encrypted in the database (instead of clear text). Screens that exist when setting up forgotten password security questions for the first time during the login process have been updated to the new screens that are already available to the user when managing forgotten password questions from their user profile. The user will not be able to delete responses unless the requirements for minimum Number of Questions to Answer are met when set to be forced. Change Password The current "rules" governing usable passwords display (informational only). The New Password must conform to the company defined password policies. The rules governing usable passwords in the system are defined on the Password Policies screen. The user must Confirm New Password. Forgotten User ID Clicking the Forgot your User ID link on the Login screen brings up the Forgot your User ID window. The user must enter his/her Email address and Company Code in the appropriate text boxes and click Continue. User IDs will only be provided to users who request it who have an E-mail address that is correct, valid and unique. Based on the information provided, and the configuration of this feature in ComplianceWire set by the System Administrator, one of the following messages will be returned. Knowledge Center Click I Accept on the Login screen to bring up the Knowledge Center. The Knowledge Center is available to all users and provides links to the basic features available to all users and comprises the "classroom" functional areas of the system. These areas present you with the tools needed to participate in training over the Internet. The Knowledge Center is used to access to training and compliance-related tasks. Note: Administrative screens will display in a tabbed format (previous version of the user interface). Administrative links from the Tools menu correspond to these tabs. Clicking on the Support tab from the Administrative view will return the user to the User Profile preferences on the Knowledge Center screen. Clicking on the Knowledge Center tab from the Administrative view will return the user to the Knowledge Center screen (new user interface shown above). A Masthead (another name for a header/banner) displayed at the top of each screen. Note: It can be changed to match any corporate or program branding. A Navigation Pane offers simplified navigation. Most options will be accessible from the console. On the Administrative Screens the navigation pane uses a hierarchical tree-like structure to organize and present the functions. Functions will basically be categorized into two main areas: View and Modify. Additional options will appear as necessary. The body of the screen will reflect whatever option has been selected from the console. The To- Do List initially displays. User Profile and Tools menus appear at the top-right of the Knowledge Center screen. These are used to navigate through the specific areas of the system. The available menu items that appear are dependent upon Learners have access to the Knowledge Center screen. The User Profile menu (accessible by clicking on the user s name) is used to access to system-based support and references. The Tools menu is used to access the Connection Test, Job Aids, Platform Documentation, System Information and the Help link for Learners. In addition to the Tools menu items accessible to Learners, users with appropriate rights have access to the Administrative links (Users, Training, Assignments, Reports, Options, Logs and Dashboards). The User link/tab is used to access all user information. The Training link/tab is used to access all training information. The Assignments link/tab is used to access all assignment information. The Reports link/tab is used for information retrieval and reporting. Reports functionality is controlled by a company preferences (OFF by default). When the Management Reports preference is turned ON, the company will be allowed to view the Reports tab. The Options link/tab is used to access setup options and support tools. The Logs link/tab is used to access system update and usage information. The Dashboard link/tab is used to access links to instant snapshots of designated key performance indicators (KPIs). "Dashboard" is a separately licensed (purchased) feature that is enabled/disabled by company. Dashboard functionality is controlled by a company preference (OFF by default). Company preferences are available through UL, and not directly within the application. When the Dashboard preference is ON, the company will be allowed to view the Dashboard Tab and consequently the menu. See Chapter 12 for details. Note: For the most part, screen captures in the documentation will reflect the Administrative tabs (without the Dashboard tab). In addition to the Instruction and Support tabs, users with the Executive View have access to the Executive View tabs (Compliance Center, Compliance Library, Ask the Expert, and Reports). "Executive View" is a separately licensed (purchased) feature that is enabled/disabled by company. Executive View functionality is controlled by company preferences (OFF by default). Preferences are available through UL, and not directly within the application. When Compliance Center preference is ON, the company will be allowed to view the Compliance Center Tab. When Ask the Expert preference is ON, the company will be allowed to view the Ask the Expert Tab. When Company Library is ON, the company will be allowed to view the Compliance Library Tab. When the Management Reports preference is turned ON, the company will be allowed to view the Reports tab. The Compliance Center tab is used to access a centralized, at-a-glance location for company news, information about the user s assignments, and compliance-based news and information. The Compliance Library tab provides access to government and private-sector media related to compliance issues and regulations. The Ask the Expert tab provides access to information and access to experts within the company, and (when applicable) UL internal experts and partners. The Reports tab is used for information retrieval and reporting. Companies can choose to have UL create a Custom Tab that links to any web-based system or URL within it. Companies can link to their company website, extranet, internal communications news site, document management system, etc. from within the system. This capability will be available through UL, and not directly within the application. Companies can decide whether the Knowledge Center screen, or the web-based system or URL within it will display during Login. Logout link appears at the top-right of every screen. Clicking the Logout link closes the current session of the application and returns the user to the Login screen. See page 4. Note: Users accessing the system via custom login screens will be directed to a custom page to perform a company specific action during logout or a session timeout. Comments link is available under the Tools menu on the Knowledge Center screen. On the Administrative screens, it is available at the top of the screen next to the Logout link. Comments link only appears if Comments are enabled for your company. This allows users to submit their current system information (including Course and Topic if applicable) along with their comments, suggestions, complaints, etc. to UL. The footer appears on all screens. The footer will include the Copyright, UL logo, Terms of Use, Privacy Statement, and System Information (Knowledge Center screen only). Clicking on the Copyright link displays UL s copyright notice. Clicking on the Terms of Use link displays legal information. Clicking on the Privacy Statement link displays UL privacy policy. Clicking on the System Information link displays the system information for the user s computer. The Action Center appears on the Knowledge Center screen. It provides quick access to training items as well as links to Administrative actions. The Action Center can be hidden or un-hidden by clicking on the Action Center box in the Navigation Pane. User Self Edit User Self Edit functionality enables users to view/edit their personal information. User self edit functionality is controlled by company preferences. Company preferences are available through UL, and not directly within the application. User Profile Self Edit - Enable editing of Personal, Contact and Custom Field Information The User Self Edit Enable editing of Personal, Contact, and Custom Field Information preference indicates whether users will be allowed to edit their personal information. When this preference is set to When the Prompt for update preference is turned on, users will be forced to edit their User Profile. When this option is set to: 0 Self editing capability will not be available. 1 Self editing capability will be available for the entire company. 2 Self editing capability will be based on user group membership. This preference indicates whether users will be forced to edit their personal information. When this preference is turned ON, users able to review and update their personal information. User Self Edit Review Frequency Prompt in Days This preference indicates the review frequency. Users will be able to review and update their personal information at regular intervals (1-999 days). Only the First Name, Middle Name, Last Name, Suffix, Home Phone, Fax, e-mail address and all custom fields can be edited. The user will not be able to edit User ID, Organization and Password.
