USER MANUAL Online Empanelment of Visiting Team Members Application Form NATIONAL COUNCIL FOR TEACHER EDUCATION (NCTE) (A Statutory Body of the Government of India) HANS BHAWAN, (WING II), 1, BAHADUR SHAH ZAFAR MARG, NEW DELHI - 110 002. 0

Background The National Council for Teacher Education (NCTE) is a statutory body established under an Act of Parliament to work for the planned and coordinated development of Teacher Education in the Country. To monitor the functioning of recognised Teacher Education Institutions (TEIs) from time to time and to grant recognition to new TEIs/Programmes the NCTE has to cause inspection with the help of experts for which the council maintains a Panel/VT Database. As per Regulation 2014, there shall be a Centralised VT Database at NCTE Headquarter which shall be utilised by all the Regional Committees and the Headquarter for causing any inspection. The Council is presently in the process of developing a Panel of Experts for this purpose. Experts working or retired as Professors/Associate Professors of Education in Universities (Including Deemed Universities)/TEIs/Research Organizations, Principals of Teacher Education Institutions (TEIs) and Educational Administrators with a minimum of 10 years of experience and are eligible for empanelment. The experts willing to undertake such inspections may submit their application online using the features available at NCTE Website. This User Manual is to facilitate interested applicants in submission of their online application. NCTE requests the applicants to read the manual before entering the information online. General Instructions Candidates are required to visit at http://www.ncte-india.org to access the home page of the Online Application for Empanelment of Visiting Team Members. Before filling up the online form applicants are advised to read carefully the related Notification/ Advertisement available in the Website and also ensure that he/she is eligible in terms of the conditions/provisions mentioned in the Advertisement/Notification. Before filling up the online form, the applicants are advised to go through the instructions carefully, which are available at the link User Manual on Online Application for Empanelment as Visiting Team Members webpage http://ncteindia.org/ncteweb/www/#/vtprofile Applicants are required to provide information through Online Mode only, there are no physical submission. Please follow the STEPS determined for filing Online Applications. The web link to fill up online application form will remain active for limited period. Applicants are advised to fill up the online application well in advance, without waiting for the last date, to avoid the last minute hassle. Applicants are advised to provide/fill correct and complete details, as these information s will get recorded and will be used for further evaluation, communication and references. Applicants are advised to keep all relevant documents (including CV, Scanned Photograph and Scanned Signature), ready before starting with the form filling process. When the applicant clicks on Online Visiting Team Members banner, available at the home page, he/she will be redirected to a new page for filling Online Application Form. Spaces (fields) in online forms are of two types: One, in which the applicant can enter the information manually, and another, in which the applicant can select one or more of the available options. 1

Selective fields are of three types - some fields are to be selected from Dropdown Menu, some are to be selected by clicking on the Radio Button/Box and for entering the date, select Year, Month & Date one by one. In addition there are fields for uploading scanned document. While filing up the online application form, applicant may press Tab button or use Mouse click to move to the next column/field in the application form. The online information submitted by the Applicants will be verified by competent authority at the NCTE Headquarter. Post study and approval of the online application the applicant will be communicated in their Registered Email ID and Mobile Number. Applications which are not in conformity with the requirements laid down in the advertisement and applications which are not in the prescribed form or incomplete or improperly filled in or are not accompanied by relevant documents etc. shall be rejected. Canvassing by a candidate directly or indirectly in respect of his/her candidature shall be treated as a disqualification. Steps for filling up of Online Application Form STEP ONE At the home page, applicants are required to click on Visiting Team Member banner to access the Online Application page. 2

STEP TWO On click, the system will redirect you to the next page for filling Online Application Form. Here the system asks for Institutional Information. Applicant is required to fill up the following information. 1. Upload Scanned digital passport photo: The scanned photograph of the applicant need to be uploaded here. The photograph scanned has to be of passport size. How to create and upload scanned photograph: a. You need a scanner to do this. b. Photograph must be a recent passport style colour picture. c. Scan the photograph and save it on your computer in a jpg file format. d. The size of the file should be within 1MB. e. Click Choose File button. f. A new window will open. Select the image file you have saved in your computer. Click the button. The selected file will be uploaded with the image showing in your screen as below. g. If you have uploaded the wrong image, click the Choose File button again. The uploaded file will get deleted and you can select the new file by repeating the steps from sl. (e) above. 2. First Name: Enter your First name in the space provided. 3. Middle Name: Enter your Middle name (If applicable) in the space provided. 4. Last Name: Enter your Last name (If Applicable) in the space provided. The name should be the same as mentioned in the PAN Card/Voter ID/Aadhaar Card/Passport. First name is mandatory. 5. Date of Birth: Click on the box provided and you can select the date, month and year from the calendar. 6. Father s/husband Name: Enter your Father/Husband's Name as applicable. 7. Sex (M/F): Select the appropriate gender from the drop-down menu. 8. Category: Select the social category from the drop-down menu. 9. Nationality: Type in Indian. Foreign national candidates are not eligible for this empanelment. 10. Mobile Number: Enter your 10 digit mobile number (Don't append 0 or +91 before your No.). All SMS Alerts related to your Online Application will be sent to this mobile number. 11. E-Mail ID: Enter your personal Email ID. All communications related to Visiting Team Members including your Online Application will be sent to this email ID. 12. PAN Card No: Enter your 10 character alpha-numeric unique PAN Card. 13. Passport No: Enter your valid alpha-numeric Passport Number if available, else type NA. 3

14. Aadhaar No: Enter your 12 digit individual identification number issued by the Unique Identification Authority of India if available, else type NA. 15. Voter ID: Enter your voter ID card number issued by the Election Commission of India. It is also known as Electoral Photo ID Card (EPIC). If not available type NA 16. Current Status: If you are presently serving in any organization select option Working else select Retired. If you are working fill in the following details: a. Pay Scale: Enter your current graded scale of wages or salaries drawn in the present organization. b. Name of Institution: Enter the complete name of the organization presently serving. c. Present Designation: Enter your designation in the present organization. d. Type of Institution: Select the Type from the drop-down menu. e. Address of Institution: Enter the postal address of the organization presently serving. If you are retired fill in the following details a. Last Salary Drawn: Enter the Gross Salary drawn by you prior to retirement. 17. Whether Associated with NCTE in past?: If you were associated with NCTE in the past, select the Radio Button Yes and fill in the nature of association/engagement in the space Capacity. If you are not associated with NCTE then select Radio Button No. 18. Do you have computer skills for uploading and filling up online digital data?: If you are conversant of using computers including preparing of reports using standard Office tools, email communications, uploading and downloading files, then select Yes else select No. 19. Correspondence Address: Enter your complete postal address for communications including plot no/house no, name of road/locality, landmark etc. a. Address Line 1 & 2: Type in your house no, locality, landmark etc in the address line. 4

b. City: Mention your City/Town/Tehsil/Village name. c. State: Select your State/Union Territory name from drop-down list. d. District: Select your District name from drop-down list. e. PIN Code: Mention your valid pin code no. f. Landline Telephone Number: Enter your Landline Phone Number (including STD Code). If the STD Code is 011 and the Phone number is 23370178 then type in 01123370178. 20. Permanent Address: Enter your Permanent Address in the same format as described above. 21. Academic Qualification: Enter your academic qualifications from Post-Graduation onwards in descending chronological order. a. Examination: Mention the name of the examinations from graduation onwards. b. University: Mention the name of the University from where you have graduated. c. Year: Mention the year of graduation/passing the said examination. d. Specialization(s): Mention the academic specialization (may be a course of study or major at an academic institution or may refer to the field that a specialist practices in) e. Subjects Studied: Mention the names of the Stream/Subject(s) you have studied. f. For each academic qualification use a separate row. The rows can be added/deleted by pressing the or icons. 22. Work Experience: Enter your professional experience in working with Teacher education Institutes (TEIs), Other Educational Institutions, Universities, State Education Departments. a. Designation: Select your Designation name from drop-down list. b. Employer Name and Address: Enter the complete name of the employer/ organization with complete postal address. 5

c. Type Institution: Select the type of Institution from drop-down list. d. Name of teacher Education Program worked for: Select the Teacher Education Program for which you have worked for in the mentioned organization from dropdown list. e. Start date: Click on the box provided and select the joining date. f. End Date: Click on the box provided and select the relieving date g. For each professional experience use a separate row. The rows can be added/deleted by pressing the or icons. 23. Experience of conducting Inspections: Enter your experiences in conducting inspections of educational institutions on behalf of NCTE/NAAC/University/UGC/Any Other. Select Yes if you have any relevant experience, else select option No 24. Teacher Education Programmes you are interested to visit: NCTE recognizes selected Teacher Education Programmes. Basis your domain expertise you can select the programs you are interested to inspect. a. Name of Program: Select the Teacher Education Program from the drop-down list. b. If you are interested to inspect more than one programmes you can use the or icons to add additional programs. 25. Declaration: a. Place: Enter the place you reside. b. Date: Enter the date of submitting the application. c. Upload your CV: Prepare your comprehensive CV in Microsoft Word and upload it as a PDF File. If you want to enclose credential documents you need to compile it as one PDF file. Multiple pdf files cannot be uploaded. The size of the file should be within 2MB and has to be in pdf format. Other file formats will not be accepted. 6

d. Upload your Scanned Signature: Your scanned signature need to be uploaded here. The signature should be handwritten. The steps below details how to prepare and upload the scanned signature of the authorized person. How to create and insert a handwritten signature: a. You need a scanner to do this. b. Write your signature on a piece of white paper. c. Scan the page and save it on your computer in a jpg file format. d. Click Browse Button button. e. A new window will open. Select the image file you have saved in your computer. Click the button. The selected file will be uploaded with the name of the file showing in your screen as below. f. If you have uploaded the wrong file, click the button. The uploaded file will get deleted and you can select the new file by repeating the steps from sl. (e) above. g. The size of the file should be within 1MB and has to be in jpg format. Other file formats will not be accepted. STEP THREE The applicant while filling the Online Application Form can save and preview the partial filled form and continue latter. At the bottom of the application form there are three buttons Save, Preview and Submit. By clicking the button the partial filled form will be saved in the database. The system will generate an Application Reference Number which will be shown at the top. The applicant should record the reference number for continuing the entry process latter. The same reference number will also be used for future communication from NCTE related to Online Application for Empanelment of Visiting Team Members. After saving the form the browser can be closed. If the browser is closed without saving the form all the information entered will be lost and the process has to restart fresh. Once the application form is saved, the remaining entry can be completed at a later date and time. To start the process at a later date and time the applicant has to click Visiting Team Member banner as detailed in Step One. The system will redirect the user to the Online Application for Empanelment of Visiting Team Members page with blank entries. Now to open the saved application click the Track Your Online Application button. A new window 7

will open for entering the application reference number. Type in the recorded reference number and click Submit button as shown below. On clicking the Submit button, the system will retrieve your saved application form and you can continue the data entry for the remaining sections. The Submit button at the bottom panel is to submit the complete form. If any mandatory information are not provided the Submit button will not function. The Submit button will only function when the application is completely filled along with the mandatory attachments. The Download button will remain disabled till the application is submitted. Once the application is submitted the applicant can download the filled in application by clicking the Download button. On clicking the Submit button if any information are not provided the system will show the fields with red colour instruction as shown below. The user needs to provide the information and then click Submit button. On successful submission the system will send a confirmation email to the applicant email ID provided in the application form. The email will be from NCTE e-governance email ID with the subject Online Application for Empanelment of Visiting Team Members Submitted with Reference ID: 9999999 as shown below: 8

The format of the email will be as follows: In addition to the email confirmation a SMS confirmation will also be send in the registered mobile number. The online information submitted by the Applicants will be evaluated by competent authority at NCTE Headquarter. Post completion of selection and empanelment process the results will be communicated through email.
