1. Introduction Intelligence2day is a unified information access platform that provides a single point of access to information from multiple sources. The software platform can be viewed as a funnel that connects information sources with information users. It is a search-based application that automates: Aggregating content from multiple sources Classifying both documents and people using topic maps (taxonomies) Searching full text documents Analyzing trends and patterns Delivering content in a relevant format to authorized users Intelligence2day helps provide structure and meaning to large volumes of unstructured content. The application automatically unifies internal and external sources into one role based portal, so that knowledge workers can do their jobs without having to move from one information source or application to another. Two Options: Professional vs. Enterprise Intelligence2day is available in two options; Professional A standardized service available via internet that includes basic information access functionality and is normally for 1-20 users. Enterprise A customizable solution that includes more advanced information access functionality and is normally for more than 20 users, scaling up to thousands of users. It is easy to start with Professional and migrate to Enterprise if and when this is needed. Delivery Intelligence2day can be delivered either as: Public Cloud (i.e. Software as a Service) Private Cloud (i.e. hosted by Comintelli) Private On Premise (i.e. behind customer firewalls) Security User authentication is done through login. 3. Responsive and Personalized 3.1 Intelligence2day Professional Responsive Interface Intelligence2day applies responsive web design to create systems that provide an optimal user experience, i.e. easy reading and navigation across a wide range of devices (from desktop computer monitors to mobile phones). Personalization My Alerts - Notification when new information about a topic or saved search is published. Users are notified via e-mail, a start page channel or via RSS. Users set the format and frequency of the alerts, either an immediate alert or a daily, weekly or monthly alert. It is possible to select at which time of the day the alert should arrive. My Basket - Users can select which articles they want to work with by adding them to My Basket. From My Basket, articles can be E-mailed, Saved to My Library, Printed, Exported or used in Reports. History of recently read articles is shown in My Basket. My Library - Saves articles to a personal work area, where articles can be sorted in personal directories and reports can be created. My Reports - Can quickly be created, saved and distributed in different formats. Four different Report templates are available for different purposes. Once a user has created a report, it can either be exported to MS Word or PDF or be edited and published as an article in the system for others to read. My Settings - Enables personal settings, e.g. Google translate language settings and assigning default Dashboard. My Profile - Makes it possible for a user to view and edit user information, e.g. contact details and each user s published articles (including statistics). 3.2 Intelligence2day Enterprise In addition to the above functionality in Intelligence2day Professional, Intelligence2day Enterprise includes the following: Customizable Design of Dashboards An Intelligence2day Enterprise system is configurable in many ways and can easily be customized to match the look and feel of your organization s visual identity. A Dashboard is like a personalized Start Page where you can display the content you want. The system can have many Dashboards designed for different purposes by using various templates. A Dashboard is created by dragging and dropping objects selected by the administrator. The following objects can be placed on a Dashboard: Article list: Lists all latest articles according to pre-defined information types Content Channel: Lists articles on selected topicsaccording to pre-defined information types Popular Topics: Most browsed topics Topic Map: All first level topics in an overview (map) in order to browse one topic Alerts: Placeholder for users personal alerts Shortcuts: Placeholder for users personal shortcuts Top Experts: List of top rated experts in the system Charts: Possible to display information in different chart graphs (e.g. Line, Pie, Column, Area, Signal Spotter) Message/Image: Communicate with users by typing a welcome message; add an image or logo, report about current events etc. Chat: Message Board function. 4. Content Aggregation 4.1 Intelligence2day Professional All information aggregated into Intelligence2day is converted into one common format. All articles in Intelligence2day will have the same look and feel, regardless of source or origin. The system is content neutral allowing customers to connect to exactly the sources and content that suits them best. Content Aggregation enables automatic, scheduled retrieval of information and news from a wide range of sources, external as well as internal, including: RSS Feeds Retrieval and import of content using RSS feeds. Most RSS versions and formats (including ATOM) are supported. RSS feeds can also be created based on content in Intelligence2day and be linked or sent to other portals. Google News Feed Ready-made interface for automatically retrieving news from Google News by adding the keywords you are interested in monitoring. Disclaimer: Since this is an integration with a third party service and not controlled by Comintelli, we cannot guarantee that this function will always remain. Web Monitoring This is an add-on service that allows for automatic key-word monitoring of websites. Intelligence2day can be integrated with any web monitoring tool that crawl the internet. 4.2 Intelligence2day Enterprise In addition to the above Content Aggregation functionality in Intelligence2day Professional, Intelligence2day Enterprise includes the following: E-mail Feeds Retrieval and import of content using e-mail. All e-mails sent to a specific e-mail box (using POP3, IMAP or Secure IMAP (SSL)) are converted into Intelligence2day articles. SharePoint Import This is an add-on service that enables both one time document transfers and SharePoint Search integration. FTP Download Scheduled transfer of information from FTP (File Transfer Protocol) sites. XML Import Import of XML based feeds downloaded with FTP. LAN Import Import or replication of files from a designated folder (UNC or absolute path) or shared drive on a Local Area Network (LAN). Database Import This is an add-on service that enables one time transfers from existing databases (e.g. Lotus Notes, SQL). 5. Content Management Information can be published into Intelligence2day either as: Articles - Allows users to publish their own information through a user-friendly test editor to create articles. Users can also add files, images and links to the article. An article in Intelligence2day consists of a headline, summary, text and attachments (e.g. Microsoft Office documents, PDF files). Profiles - Customized forms (or templates) for publishing specific information in a standardized and structured format, e.g. competitor or country profiles (only available in Enterprise). 5.1 Intelligence2day Professional Publish Articles Publishing information is done by: Writing the Article in a rich text editor - The editor is used to create articles, allowing formatting of fonts, sizes, colors, bullet lists, tables, images, symbols etc. It is easy to copy-and-paste graphics in the original format, e.g. HTML-pages and images. Uploading Files & Links Assigning Topic(s) - Users can choose to automatically classify the information into topics or to manually assign topics. Publication and/or archive date is set by default, but can be changed by the author. Articles can be edited by the author and/or administrator. Read and Edit Articles All articles, both internal and external, are converted into a uniform XML-format and presented in the same format. Attachments are stored in their native format. Users have several options for managing articles: Sharing via e-mail Printing in a printer-friendly format Exporting to Word, PDF Saving to My Basket and My Library Adding comments to the article Displaying assigned Topics More Like This (displays similar articles) Every article in Intelligence2day can be automatically translated into more than 50 languages using integrated Google Translate (Disclaimer: Requires Internet Explorer 10 and above. Since this is an integration with a 3 rd party application and not controlled by Comintelli, it is not guaranteed that this function will always remain as is). 5.2 Intelligence2day Enterprise In addition to the above Content Management functionality in Intelligence2day Professional, Intelligence2day Enterprise includes the following: Read and Edit Articles Flag Articles (Enterprise edition only) Using online voting to give feedback (Enterprise edition only). Access Groups and Rights Users can have access to different types of information, depending on which Access Group the user belong to. The publisher can select which access groups should be able to read the article. Access Groups are set up by the administrator and can be e.g. departments, project groups, communities and partners. There is no limit to the number of Access Groups. All articles are securely stored and protected. Articles will only be available to the users that belong to a specific Access Group. Articles published to the Everyone Access Group are available to anyone who has the link to the article. Approve Articles An editorial review function where appointed Editors must approve incoming articles (per user group) before they are published to other users. This editorial review function is turned on or off for each Access Group. When it is in use, all articles targeted to that Access group will be queued, pending approval (or deletion) from an Editor or Administrator. Only once it has been approved, it will become visible for any Access Group (NB! even those not requiring approval). Queued articles can be filtered by Access Group or Dashboard. Profiles Profiles are a structured form of entering information in a similar way, making it easy to compare and benchmark. They can be searched separately and are managed using the same options as in articles. The system is delivered with a number of standard profiles (e.g. Company profile, SWOT). 6. Classification 6.1 Intelligence2day Professional and Enterprise Classification functionality is included in both Intelligence2day Professional and Enterprise. All text information that is retrieved by the Classification Engine will be automatically and/or manually sorted into topics according to a customized map of your business environment. The Classification Engine is scalable, robust and can handle thousands of documents every hour. Browsing is based on the classification process and will retrieve information that has been classified into one or more topics. Automatic Classification Triggers on key words in the content retrieved and uses this to determine which topics the content should be tagged to. Each topic is associated with a set of search algorithms or rules (using key words together with operands AND, OR, Phrase, Exact Match). If incoming content feeds already contain relevant hidden Meta data that defines the content, this can be re-used for classification. Manual Classification The classification of an article can be manually edited and refined by adding or removing topics. There is a special Flag Topic that allows users to quickly classify or tag articles directly from the article page. Topic Navigation Users can easily find information through a browsable list of topics; so called Topic Navigation. Using familiar point-and-click navigation, users can drill down through topics and sub-topics to locate documents of interest. 7. Search 7.1 Intelligence2day Professional and Enterprise Search functionality is included in both Intelligence2day Professional and Enterprise. Example of a search of Audi Full Text Search Users can easily find all information that has been published and stored in Intelligence2day by using an embedded version of the market leading search engine Apache Solr. It is one of the fastest and most scalable search engines available. Text based content (including attached files in all common formats) is indexed and searchable immediately. Free Text Searching will retrieve information available in the system with any reference to the search query. Search results display a short summary and highlight the search word in the contextual text. Results are sorted by date, relevance and filtered by type of information. Search results can be saved to My Basket and subscribed to via My Search Alerts. A simple and user-friendly search box is available directly on the start page. Date range searches are possible. Multiple language support using the Unicode character set. The following languages are supported: Danish, Dutch, Finnish, French, German, Italian, Norwegian, Spanish, Portuguese, Russian, Swedish, Chinese, Japanese, Korean, Czech, Greek, and Thai. The search engine indexes content on the fly, so that it is searchable almost immediately. It indexes file attachments (covering most file formats such as MS Office, Adobe PDF and HTML). Faceted search picks out the most common topics, sources and file types which allow users to refine searches by drilling down into the results. Field Search Intelligence2day Enterprise has Field Search for more precise search in Title, Summary, Body, Source, File or Link. Intelligent Search In addition to the simple, internet type search, the search engine allows advanced Boolean query language, e.g. AND, OR, NOT, NEAR, phrase search and stem search. Intelligence2day provides a user-friendly interface to perform advanced searches and filtering of results. 8. Collaboration 8.1 Intelligence2day Professional The Collaboration features in Intelligence2day are designed to motivate and increase active knowledge sharing between users. Collaboration includes the following features: Add Comments Comments can easily be added to all articles and users can tag other users for attention. Articles containing comments are clearly marked. It is possible to list articles with comments, as well as the most commented articles. In Enterprise this can be configured, so that only users with access rights are allowed to add comments. Share to Social Media Each article can easily be shared to various Social Media platforms (e.g. Twitter, LinkedIn). Note that this function is only available in Professional. Distribution Lists Possible to create e-mail distribution lists that can be used to share articles. Note that this function is only available in Professional. 8.2 Intelligence2day Enterprise In addition to the above Collaboration functionality in Intelligence2day Professional, Intelligence2day Enterprise includes the following: Chat Messages and responses appear in chronological order that are easy to follow over time and respond to. Each Dashboard can have its own Chat/Message Board. Calendar Events can be added to a calendar using date and time. Possible top add events of different categories. The calendar is viewable per day, week, month, year. Each Dashboard can have its own Calendar. Give Feedback Each article contains an online voting function that gives users the possibility to give vote on the article. The average of all votes is shown in an informative way. Expertise Location Intelligence2day makes it possible to locate subject matter experts with specific competence areas. Each user can be designated as experts for specific topics using the same classification taxonomy as for articles. It is possible to search for expertise using the search engine. The most active users, i.e. that publish the most articles, are easily accessible as a search engine facet. User activity is tracked using the unique Knowledge Points system. Users are awarded points based on their activity level different activities will render different number of points. Types of activities that render Knowledge Points can be: Reading or commenting on an article Someone else reads an article written by you Publishing profiles From the result lists, it is easy to send an e-mail to selected users to e.g. ask a subject matter expert a question. This function can easily be integrated with employee directories. Employee ledger entries can be retrieved automatically from an employee directory via an LDAP interface. The function handles users of the system, but a user can be set as an external expert (without access to the system) to allow for all types of people expertise to be found. These external users are clearly marked and do not consume any user licenses. My Network Keep track of what your favorite users (experts) are doing in the system (publishing, commenting) with options for filtering on author and comments. Multiple Dashboards Dashboards allows communities or groups of users to have their own customized information views, yet still retain the secure and centralized control of a single system essentially building collaborative workspaces. An unlimited number of different Dashboards can be set up, each completely separated from each other. The Dashboard Manager can e.g. manage articles displayed in the Dashboard, add/delete Access groups that are part of the Dashboard, write web logs to the group, define the Dashboard taxonomy, set up news channels and manage start page layout/theme. Signal Spotter Tag Clouds Signal Spotter is an advanced form of tag cloud or weighted list in visual design. It is a visual representation for text data. Tags are single words, and the importance of each tag is shown with font size and color. It s possible to set to set time options, number of results to show and minimum word frequency as well as block unwanted words. Benchmarker Benchmarking is a common method of comparing different metrics against each other or against industry best practice. This function uses data included in a selected Profile type. You can select exactly which fields in a Profile you wish to compare. The results can easily be exported to Microsoft Excel to further processing. Matrix Heat Maps A unique tool that brings powerful and dynamic analysis to the world of unstructured information, something that has previously only been associated with structured database content. System Administration 10.1 Intelligence2day Professional Intelligence2day includes a powerful, yet simple administration interface that allows the system administrator total control of the system. The administration functions in Intelligence2day Professional are limited to managing a Dashboard: Users List all users in a Dashboard Set up e-mail alerts for users Edit user profiles Topics Adding, deleting, editing topics in one taxonomy (with the exception of first level topics in Professional). Testing topic rules. Feeds Adding, deleting and editing RSS Feeds and Google News Feeds (input form only available in Professional). 10.2 Intelligence2day Enterprise In addition to the above System Administration functionality in Intelligence2day Professional, Intelligence2day Enterprise includes the following: Users A new user can be created either by self-registration or by the system administrator. Automatic registration via NT authentication (i.e. Single Sign On) is also possible to set up. The system administrator can easily create targeted user lists and send messages to users. The portal allows the system administrator to set up alerts for other users. It is possible to manage batches of very many users (e.g. to edit access groups or roles) and of very many articles (e.g. change topics) at once. Topics Creation and maintenance of the topic hierarchy is simple and straightforward, and is done by the System Administrator and/or Dashboard Manager. Each topic can have a simple text description associated with it. As new topics are added, new content will be classified according to the new topic rules. All content can be re-classified to take changes into consideration, although this can be very time-consuming. The taxonomy hierarchy can contain up to four levels. The Classification Engine allows you to import and use pre-made taxonomies. The Test Topic Rules feature quickly applies the search algorithm and rules of a topic on selected text which allows for immediate evaluation and verification of the classification. Roles The system administrator assigns each user a role and an access group(s) that defines what the user is allowed to do. There are 8 roles available in the system by default and these cannot be deleted. Every user must be assigned one role. Role Description 1. The sophisticated user identification enforces a very high security level. A User must belong both to one or more Access Group(s) and have one Role. Access Groups control what content a user is allowed to see. By default, all users belong to the Access Group called Everyone. When content is presented, it can be filtered based on Access Group(s). Access Groups can be connected (and made sub-ordinate ) to one or more Dashboards. A User can only have one Role.
