Introduction This User s Guide contains information to help you when using your VeriFone terminal(s) with the Port of Subs Eat & Earn Rewards card using the Paytronix application to add points, redeem rewards, and more. The Paytronix application works with IP and dial-up connections, although IP is highly recommended due to the quicker transaction speed. VeriFone terminal Model Supported The Paytronix application can be used with the following VeriFone terminal model: Vx570 and Vx520 Terminal Screen on Power-Up When the terminal is initially powered up it will display a screen that shows the different applications that are installed. An example of a screen with multiple applications is displayed on the right. To use the Paytronix application, simply press the function key to the right of Paytronix. In the example, this would be the F4 key. If you have more than 3 applications on your terminal and don t see Paytronix, press the first purple button on the farthest left, below the down arrow, to scroll to the next page of applications to find the listing for Paytonix. PAYTRONIX Your terminal has been setup to automatically allow access by all your employees to the application. 5

OVERVIEW OF PAYTRONIX TERMINAL FUNCTIONS Within the Paytronix Guest Rewards application, you will see 6 different options on screen 1 of the main menu. Screen 1: 1. Balance Inquiry 2. Add Points 3. Redeem Rewards 4. Report Functions 5. Media Exchange 6. Manager Functions There are 2 more options on screen 2. Simply press the purple button under the downward arrow to go to screen 2. Screen 2: 1. Void Points 2. Logout EXITING OUT OF PAYTRONIX APPLICATION When using the Paytronix application, you can go back to the previous screen at any time by pressing the red X button on the bottom left of the terminal. When anywhere in the Paytronix application, you can return to the main menu of applications on your terminal by pressing the * key (located above the red X button). 6

TERMINAL FUNCTIONS This section will describe in detail how the various Paytronix terminal functions work. Most of the functions below print a receipt from the terminal. In a case of redemption of any item the receipt from the terminal should always be stapled with the receipt from the register to track what was redeemed, same as you do with our current stamp card. Port of Subs recommends that you follow the same procedure when adding or voiding points to the Port of Subs Eat & Earn Rewards card. Each time you add points to the Port of Subs Eat & Earn Rewards card, print a terminal receipt, attached it to the register receipt and keep in your drawer for daily reconciliation. Default Swipe Function: If you swipe the rewards card before selecting one of the terminal functions, it defaults to perform function 2 Add Points. This is the most common transaction that is used to operate the Paytronix program. Screen 1: 1. Balance Inquiry This option allows you to obtain and provide a guest their point balances. a. From the Paytronix main menu, press 1 from the numeric keypad to select Balance Inquiry. b. You will be prompted to Swipe the card. c. Once the card is swiped the guest s point balance appears on the screen. The picture on the right shows a sample balance screen showing card number, cardholder s name, rewards available, and points accrued on the card. d. To print the balance for the guest, press the purple button farthest to the right under the word print. 2. Add Points This option allows you to add points to a guest s rewards card after they have completed a qualifying transaction. The guest may already have an activated rewards card, or this can be used to activate the card when a rewards card is first issued to a guest. a. From the main menu, press 2 from the numeric keypad or simply swipe the card to Add Points. b. If you have not yet swiped the card, you will be prompted to Swipe.. c. Once the card is swiped, enter the points that the guest has earned. 7

For example: If a guest spent $11.99, you would enter the dollar amount spent today using the numeric keypad, then press enter. d. After you have entered the points earned, if the card has rewards, it will show another screen to allow you to redeem them. To redeem rewards, enter the number of rewards they want to redeem and press enter. You will be prompted for each available reward individually, with each reward on a unique screen. For each reward, ask your guest if they would like to redeem it. Enter the number of rewards the guest would like to redeem, and then press enter. Continue this process for each reward screen. If the guest does not want to redeem any rewards, simply press enter. e. The final screen will show you the balance on the card after the loyalty transaction has completed. f. To print a receipt for this transaction, press the purple button on the far right directly below the word Print. For auditing purposes print a receipt from this transaction and attached to the sale receipt from the register. If a guest request a receipt simply press reprint. 3. Redeem Rewards This option allows you to redeem rewards from a guest s rewards card. a. First do a Balance Inquiry (described above) to obtain information about the rewards available for redemption. b. From the main menu, press 3 from the numeric keypad to Redeem Rewards. c. You will be prompted to Swipe. d. Once the card is swiped, the screen will display the reward types on the card, and the current value will initially display 0. The current value represents the number of rewards requested for redemption and defaults to 0 upon first presentation. At this point you can enter the number of rewards that the customer wishes to redeem for the particular reward type. e. If there is more than 1 reward type available, you will be prompted for each available reward individually, with each reward on a unique screen. For each reward, ask your guest if they would like to redeem it. Enter the number of rewards the guest would like to redeem, and then press enter. Continue this process for each available reward. 8

Examples are: If the guest: Enter 1 for 1 available free small, medium or large sandwich. Enter 1 for a free cookie or brownie (available only to guest who registered online) Enter 1 for a free small cold sandwich on guest birthday (available to guest who registered online) Chooses not to redeem rewards for a particular reward type, simply press enter to proceed to the next reward type Does not have time to complete the redemption process for multiple available rewards or would like to keep their reward(s) for a future visit, you may skip redeeming certain rewards by pressing the enter button. Would like to cancel their request to redeem any of their rewards, press the red X button to return to the main menu. f. If you type a number larger than the number of available redeemable rewards, the system will only redeem the available rewards. (Also note, if the value of redeemable rewards is equal to zero and you attempt to enter a number greater than zero, you will receive an error message.) g. Two receipts will automatically be printed; one for the guest and one to be attached to register receipt. It is a good practice to check the receipts for accuracy, and to attached the terminal receipt with the register receipt for your end of day reconciliation process. If receipts were not printed, you can reprint them by pressing the purple button on the far right, underneath the word Reprint. h. Enter the value of redeemed items as a payment into your POS register system so that the guest gets credit for the rewards redeemed. The POS system should reduce the amount accordingly to be paid by your guest. For example, if one free sandwich was redeemed, enter the value of the sandwich into your POS register system using the same button as with our current reward card program. When the transaction is complete you can return to the main menu by pressing the enter button. 4. Report Functions This option allows you to run basic reports on the terminal to verify that the rewards redeemed for the day match the discounts in your POS register system. a. From the main menu, press 4 from the numeric keypad for Report Functions. b. The following report options appear: 1. End of day report 2. User report 3. Back to Main Menu 9

1. End of Day (EOD) Reports This report shows the activity on your issued rewards cards. It shows points added and rewards redeemed. This will help you match reward redemptions with register/pos discounts applied. You can choose results for the current period or last period. The current and last period are defined by when and how often you run the end of day report and Close the Day. There is no fixed time period for the EOD reports. The reporting period will always be from the last time you Close the Day. So, if you do not Close the Day after running an EOD report, the next time you run an EOD report, the reporting period will still be from the last time you Closed the Day. For example: If you run an End of Day report and Close the Day each night, then The current period will be today and The last period will be yesterday. If you run the End of Day report and Close the Day each week, then The current period will be this week and The last period will be last week. After running the EOD report, the terminal screen will ask you if you d like to close the day. Your options are: 1. Yes, close day 2. No, go back The terminal will close the day and the following message will appear: Day closed Press enter It is recommended that you Close the Day in your terminal at the same time that you close the business day in your POS register system. This will make it easier to reconcile rewards redeemed with the POS/register discounts. Transactions run after Closing the Day will appear in the next reporting interval and are considered in the new or current day or time period. The terminal keeps two time periods worth of transactions, the current day and the prior day. The EOD report prints out automatically when you make this selection. 10

Below is a sample report: Port of Subs # 5365 Mae Anne Ave Reno, NV 89523 (775)747-0555 End of Day Report Report Period Start: 2011-06-28 10:12 Report Period End: Now Report Date: 2011-06-28 10:12 Wallet/Activity Count Amount Dollars Spent 12 343.67 Add 12 343.67 Wallet/Activity Count Amount Free small, medium or large sandwiches 2 Redeem 2 To read the report: Items with the row Add represent points accrued Items with the row Redeem represent rewards redeemed The column Count represents the number of receipts, transactions, or instances The column Amount represents the total number of items, including transactions where multiple items/points are accrued or redeemed Thus, in the sample report, there were 12 receipts/transactions/instances where qualified menu items were bought and earned points, and 343.67 total menu items were bought/earned points. Similarly, Free Sandwiches were redeemed in 2 transactions, for a total of 2 Free Sandwiches redeemed. Screen 2: Void Points This option allows you to remove points from a reward card if they were added in error. a. Press 1 from the numeric keypad to Void Points b. The menu will ask for the number of items or dollar amount to void. Some examples are: Example: With Port of Subs program where a guest gets a point for every dollar spent, and the cashier entered an amount larger that the check amount by accident, then you would enter the dollar amount to void of Dollars Spent. The screen would first display: Enter void Dollars Spent: (cur. value: 0) c. Enter the amount to be voided and press enter. d. It will then ask to Swipe e. A receipt will be printed at the end. We recommend you check it for accuracy. 11

Phone Lookup Phone look up is a feature available to us when a guest has forgotten, misplaced or lost their card. Rather than swiping their card, you can use Phone Lookup to access the guest s reward account. While this is a good feature we recommend that when a guest forgets their card you provide them with a new card that can be merged online. Please note a guest must first register the card online and entered phone number information in order for the system to find the guest. If the guest has not registered their rewards account online, the phone lookup feature will not work for them. 1. Press the purple button farthest to the right under the words Phone Lookup. 2. You will be asked for the guest s phone number. Type in the 10-digit phone number without dashers or spaces. Than press enter 3. The terminal will return a list of guests that have a matching phone number. The following guest personal information will be displayed on the screen, including: First, Name Last, Name Date-of-Birth, Zip This information is helpful to properly identify the guest. Usually there will be just one individual identified with the phone number. But sometimes there might be multiple individuals registered under the same phone number. Using the numeric keypad, press the number listed next to the appropriate guest to select that guest s account. The screen can display two guests at a time. If more than two guests are identified, you can scroll down using the purple button under the arrow. 4. When you re using this to perform one of the terminal functions, you will be returned to that function s work flow, right where you left off, as if you had entered the guest s card number. Return to Process Payment Card Transactions After you have completed your Paytronix activities and would like to ready the terminal to perform your next Credit Card transaction, simply: Ensure you are at a menu screen for the Paytronix Program, and then Press the * key (located above the red X button) to return to the Main Menu of applications on your terminal. Select First Data by pressing the Function button next to this option (this will vary depending on how many applications are on your terminal). 12
