Fill Short Notice Cancellations via SMS Text Short Notice Cancellations are unavoidable as they are costly. Filling in these spots is difficult and time consuming. Let eservices contact your Short Notice Overdue Recall List in seconds to fill those spots like never before! Dormant Reactivation If you have let your dormant patient list slide a little (you know who you are), don t fret! Tracker can contact each and every one of those people who have an email or mobile phone number and let them know you have an appointment waiting for them. Happy Birthday SMS Previously limited to Email, Automated Birthday Greetings are now SMS capable. Bulk Text Merges Previously limited to Email, Tword Bulk Merges can now be sent via SMS. So for example, if your schedule is behind because of a power outage, you can bulk text all the patients scheduled in the afternoon to let them know with just a few clicks. Treatment Plan Automated Email Follow-Up Tracker can electronically follow up on unbooked Treatment plans for you. Insurance Carriers are sending approvals to the patient, bypassing the office. Often patients get the approval and don t bother notifying the office. An email reminder 30 days after the estimate is sent to insurance is a great way to motivate that patient to reply back to commit to the treatment plan. Tracker eservices Improvements Link to Outstanding Forms on Confirmation Page When a patient confirms an appointment, they will get notification of any outstanding forms such as Medical History, Consent, New Patient etc.

Appointment Template Configuration Appointment Templates can now be linked to appointment reasons. For example, you might have one template for consultations, and another for surgeries where you can link to the pre-op instructions. Video Part 1 Video Part 2 Same Day Reminders Reminders can now be set to go out the morning of the appointment. Days Ahead Option to Consider Office hours With this option, the Days Ahead setting for automated confirmations will not consider any days the office is closed. Customized Message for Online Booking Online Booking Message to patient prior to Booking 5 Star Review. Customize Landing Page Message 2_way Texting Auto Responder. Customize Text A whole host of options to put you in control of how you communicate with your patients. Online Booking Via SMS Previously limited to Email, Online Booking invitations can now be sent via SMS Text Messaging. Option To Set Form Expiry for In-Office Forms Allows the office to send all forms for the day to the tablet without worrying about them expiring when the patient arrives.

REPORTING & MANAGEMENT TOOLS Reports with Subtotals for Dentists, Hygienists and Specialists Production reports such as the Daily and Monthly Summary of Fees and Payments will now subtotal based on Dentist, Hygienist and Specialist so you can understand better where your practice s revenue is generated. Here is how Tracker identifies each type. - A Dentist is a provider who is their own Responsible provider (as per the Configuration Providers window). Dentists are Indicated in the report as Responsible - A Specialist is a provider who is their own Responsible Provider and who has the Specialist checkbox enabled in Configuration Providers. - A Hygienist is a provider whose Responsible is set to a Dentist or Specialist as defined above. Hygienists are indicated in the report as Non Responsible Detailed Billing By Procedure Shows code usage by % as well as count. Previously this report provided the % usage of a code relative to all codes for the period, and has been expanded to show a count of how many times that code was billed during the period. Treatment Plan List New Optional Column: Created By User Allows staff to review their own treatment plans and for management to report on who is creating which treatment plans. Patient Sidebar now updates when selecting patient in Online Appointment Manager. Dormant Patient Report has Optional Column for Recall Interval and Next Recall Next Recall displays when their next recall appointment is due based on the patients last recall and recall interval. Dormant Patients By Last Appointment This report provides a list of patients who no booked appointments after a certain date. So if the report is run with a date of Jan 1, 2017, it will provide a list of patients who have no booked appointments after that date. It can filter the results to include only recall appointments. With this setting, any patients who have resto appointments since the date but no recall appointments will show up. The report can further filter to include any patient, recall patients only, or non-recall patients only.

Deposit Report has Filter for Direct Deposit Only Insurance Payment Report Now Includes Treatment date Receipts Report now shows Count of each Payment Type. Adjustment Summary Report Found under the Payments Reports. It shows every adjustment reason (as typed into the comments textbox in the adjustment screen) and indicates the $ amount of all the adjustments with that reason. So if 3 adjustments are done for the reason Failed Restoration for $100, $150, and $150 then the report will show Failed Restoration for $400. This report enables you to see not only the value of all your adjustments but track which types of adjustments account for what percentage of total adjustments. Fixed Reports Reports that stay the same for Past Periods. The Fees and Payments Ledger and the Receivables Report now have an exciting new option to run the reports as fixed. When running these reports as a Standard Report, any modifications made to past financial information (i.e., billings, payments, adjustments, discounts, etc.) impact current report numbers and totals. For example, if treatment was billed for $100 in January and in February that same billing is changed to $25, the January reports will change and the numbers will longer be the same as the original reports run in that month. The production and receivable totals will also be different and

will cause a discrepancy with balancing on a monthly basis. Although it is highly recommended to implement policies and increase security to avoid making past financial changes, we realize there are situations where it is unavoidable. The new option to run the reports in as a Fixed Report will ensure any changes made to past financial information will be reflected in current reports and not change previous report numbers and totals. Configuring Tracker to run the Fees and Payments Ledger and the Receivables Reports as Fixed Reports To change the report configuration run the 2 reports as Fixed Reports simply click Configuration Tracker Options Financial and place a checkmark in Allow Fixed Reporting. When this is done, the Receivables Reports will all run as Fixed Reports. The Fees and Payments Ledger only will have an option to run both the Standard Report or the Fixed Report at the time of running the report. You can set a default to run the report as a Fixed Report by completing the above steps and selecting Fixed Report as the Default Format. This option enables the Receivables Reports to run as Fixed and gives the option to run the Fees and Payments Ledger as Fixed as well. Select the default setting for the Fees and Payments Ledger. This setting can be changed when running the Fees and Payments Report.

1110 Finch Ave. West, Suite 600 AUDIT REPORT Changes made to a Patients First and Last Name, Phone number and Address are now audited. For the patient above, John Smith, We change the Last name, Address and Phone Number The audit report now reflects these changes. Successful & Failed login attempts by users are now also included in the Audit report. The example below shows audits of the user Ken and Admin making both failed and correct logins in the report.

Admin Birthdate on Patient Search Screen You can now search by birthdate, and all searches now show Date of Birth and Patient Age in the search results. Referral Source Lookup The Patient s Referring Dentist now shows on the patient sidebar (pictured below). Clicking on the name of the referring dentist opens their contact information screen. On the right-hand side is the Referred By Report button. Clicking on this button will open the Referred By Report for the referring dentist. There you can customize the dates etc if you choose. So, when a patient comes in, you can identify the referring dentist right away, and with 2 more clicks you can review all the patients ever referred by that Referral source! Appointment & Treatment Plan Status Linking Appointments can be linked to treatment plans. If you have a pending appointment linked to a treatment plan, Tracker will now prompt you to open the linked treatment plan when you book the appointment. This allows the user to update the status of the treatment plan for example from recommended to patient approved. Basic & Major Combined Max Insurance Plan Coverage Details now includes a new maximum for Basic & Major combined Maximum. It does not include any preventative. Ability to Discount Selected Fees Previously you could apply a discount to a single fee, or all fees. Now you can select multiple fees on the invoice (hold down Ctrl on your keyboard while clicking on the desired fees). When you go into the discount screen, select the option Selected Fees and the discount will be applied only to the fees selected.

Auto Update ins status when Ins payment is entered When an insurance payment is entered onto an invoice, the Insurance Status (found in the Insurance Info tab of the invoice) will be updated to Payment Received ). The Insurance Submissions report will be able to utilize this information to exclude invoices where payment has been received. Checkout Checklist improvements Invoices can now be emailed using the checkout checklist. Option to Show category in patient sidebar To enable the option click on Configuration Tracker Options, then click on the Quick Info tab. There you will find the Side Bar (Patient Info) section at the top right. Enable the Display Contact Categories checkbox. Once enabled, the patient categories will display on the sidebar as shown below: Complete Exam Insurance Coverage Eligibility on Appointment You can now see when a patient is eligible to have a complete exam covered by insurance if the information is entered into the plan details. Plan allows Complete Exam (NPE Interval) every 24 months. When entering the next recall appointment Tracker will put Next(NPE) to let you know you can bill a Complete Exam.

Complete Exam can be billed on Aug 2 in place of a regular recall exam. Bulk / Family Pending Appointment Handling You can now select multiple appointments and move the follow-up date and add a note to all the appointments with a few clicks. This functionality is available in the Appointment Manager as well as the View All Appointments window. For example, if you had a family of 5 pended to come in for a cleaning all on the same day. When you call, you find that they are out of town, so you want to indicate this information in all 5 appointments and move the follow up date forward by 14 days. Previously, this had to be done individually for each appointment. Now, you can highlight all 5 appointments (by holding the Ctrl key on your keyboard while selecting the appointments with your mouse) and then click on Advance Follow Up Date button on the right side. The following window appears: All 5 appointments will be advanced to the date shown and have the Comment entered to the appointments!

Holidays for Individual Providers Previously, holidays were used to close the entire office. Now holidays can be used to book individual providers off for specific times. Using this feature ensures that these dates cannot be accidentally opened for those providers through office hours. Ability to Assign Memos to Multiple Users When creating a memo, the Additional Copies button allows you to specify any number of users to get a copy of the same memo. Each user will get their own memo that they can complete on their own. Therefore, if one user completes the memo, other users memos remain active until they complete their Memo. Book Same Day Only flag appears Immediately when Creating Appointment Patients flagged as Book Same Day Only will show a! icon next to the date as soon as the appointment window is opened so time is not wasted. Option on Handling Expense Fees on Insurance Forms. Some specialties require their expense fees (99555) to be listed separately on the CDA form instead of showing under the Lab Fees column. Click on Configuration Tracker Options, then select the Insurance / EDI tab. There you will see the option pictured below which will allow you to show expense fees (99555) as labs when checked, or to show them as separate line items when not checked.

Clinical Lab Case Indicators in Clinical A new Lab Case button makes labs easily available from clinical New Conditions Supernumerary Teeth Space Maintainer Lingual Wire Structurally Weak Tooth Marking a crown as structurally weak will result in the Treatment Plan Wizard recommending a Crown for the tooth Search Codes by Description in Charting Ability to flip sequentially through images in the image editor Using the left and right arrow keys on the keyboard will allow you to flip through images in the Image editor screen.

Differentiate Bewteen Questions & Answers When viewing form data, questions and answers are now differentiated by bold vs non-bold font, as pictured below: Treatment Plan wizard Auto Sequencing Tracker can now make Phases in Treatment Plans with a simple click of the Sequencing button on the right of the Treatment Plan screen. You can make phases for each Quadrant, Sextant, or Arch. You can also group by Treatment Order which will sort based on types of treatment. This is an example of a Treatment Plan sequenced by Quadrant.

1110 Finch Ave. West, Suite 600 Autosize button for notes tab In Clinical, when viewing notes, sometimes long notes/forms result in a horizontal scroll bar. The Resize Columns To Fit button quickly organizes the notes column for optimized viewing Ability to highlight or alert questions in Tracker that are marked Yes in eforms Consider a form with many medical conditions. The vast majority are marked No, but you want to highlight the Yes answers to identify conditions affecting your patient. The form designer has a Highlight Question property with options of Never, Always, and Has Answer. If set to Has Answer then a condition with a Yes/No question type will be highlighted when answered Yes. A checkbox group question will be highlighted if any of the checkboxes are selected. Attach File to Medical History You can now attach / scan documents into your forms. An example of this can be offices looking to scan in a list of medication or allergies provided by the patient. Unlike the Image data type, this is not a static document that will exist on every form and will be different per form, per patient. To use this feature, you will need to add a new question to your form with the data type Attach Document. This can be accomplished using the following steps 1. Edit your form by going to Configuration Form Templates from your main Tracker window 2. Create a New form or select an existing form and choose Edit 3. On the section below, highlight the section in which you want to add the question and choose the Add button 4. On the newly added line change the data type to Attach Document. In the question column, you can add a description for the document if desired

Note If your office uses eforms, you can select the PublishOnlineLocation to restrict this field from showing online if desired. Attaching the Document When using your newly edited form, you can now click on the Attach button to browse and add an existing file to the form or click the dropdown arrow and use Attach TWAIN to open your scanner interface and attach a brand new document. This document can also be viewed in the patient correspondence tab for whom it was scanned under. Note The TWAIN function will require the office to use a TWAIN compatible scanner.

Ortho Ortho Contracts Can Calculate Assigned Benefits TWord Insert Question from Form into Tword Document Take the following example: You have an ortho exam template and there are some conditions or questions that do not always apply to that patient. In the merged letter, you have to remove the question because there is no answer. With this new feature, the letter can be designed so that the question and the answer come from the form template. If the question is unanswered, then the question will simply not show up on the letter. If the question is answered, then the letter will generate the question and the answer from the form. The result is a significant decrease in time for editing clinical letters, particularly for Ortho. Click here to watch a video demonstration. Tword Document Output can now be changed in Document Queue In the past, this was selected prior to queuing and could not be altered. With 11.28, you can change from email to printer or vice-versa from within the document queue. Simply select the document, then click Edit Queue Item to change the document output. Ability to Edit and Send to the Queue Previously, editing and queuing a document was a 2-step process. With the added Queue and Edit Output action, you can review the document and make edits to it, and then upon saving the document, it is sent to the Document Queue. Tword Ducument Queue Shows Which User Created the Document New Contact Fields in Tword: Category and Patient ID
