Overview 5 Overview Lexmark TM Cloud Platform (referred to as Cloud Platform) is a fully featured and integrated cloud based website that supports access, configuration, and management of the Print Release solution. Lexmark Print Management Cloud is a solution offering on the Cloud Platform that provides Print Release technology with convenient printing options. It maximizes the capabilities and benefits of cloud computing by using a framework for managing and tracking document output throughout your organization. Send print jobs from anywhere and release them securely at any supported Lexmark printer. The solution is composed of the following core functions: Print Release An enterprise grade printing solution for managing print jobs from the printer. As an administrator, you can also monitor and control print usage and enforce print rules that minimize the total cost of printing. For more information, see the Print Release Administrator s Guide. Document Accounting A feature for viewing and exporting reports of system usage. You can generate reports on print, copy, scan, e mail, FTP, and fax jobs performed at the printer. Note: Some options may require the Device Usage application. For more information, see the Device Usage Administrator s Guide. Lexmark Mobile Print An application for sending documents and images directly to network connected Lexmark printers and servers from an Android TM or ios mobile device. You can also add Lexmark Print Management servers to access jobs and release them from your mobile device. For more information, see the Lexmark Mobile Print User s Guide for your mobile device. Cloud Authentication An application for securing a printer using a card reader. When users badge in, their credentials are authenticated using a cloud based identity service provider. For more information, see the Cloud Authentication Administrator's Guide. This document provides instructions on how to configure and troubleshoot the solution. A working knowledge of Cloud Platform is preferred. For more information, see the Cloud Platform Administrator s Guide. This document is intended for use by system administrators who are responsible for setting up and deploying the Lexmark Print Management Cloud solution.

Deployment readiness checklist 6 Deployment readiness checklist Make sure that: You have any of the following web browsers to access the Cloud Platform website and its web portals: Microsoft Edge TM version 40 or later Internet Explorer version 11 or later Mozilla Firefox version 54 or later Google Chrome TM version 60 or later Safari version 10 or later You have the "LPM Cloud for Chrome" plug in installed for the Google Chrome browser. You have any of the following operating systems to install the Lexmark Print Management Client: Windows 10 Windows 8.1 Windows 7 macos High Sierra version 10.13 macos Sierra version 10.12 OS X El Capitan version 10.11

Getting started 7 Getting started Accessing the Cloud Platform home page 1 Open a web browser, and then type cloud.lexmark.com. Note: To change the language shown on the website, on the upper right corner of the page, select a language. 2 Type your e mail address and password. Note: If the system is configured to have federated access, then you are redirected to the login page of your organization. 3 Click Log In. Available options Depending on the permissions associated with your user account, the web portal icons are shown in the Cloud Platform home page. Clicking a web portal icon opens a new web browser tab to the selected web portal. To open another web portal from your current web portal, click on the upper-right corner of the page.

Configuring User Accounts 8 Configuring User Accounts Use the User Accounts web portal to organize and manage the users within your organization, and the features that they are permitted to access. The web portal also lets administrators register and manage badges and passwords for non-federated organizations. For an organziation that is federated to a separate identity provider, the web portal lets you configure the SAML SSO Authentication for the organization. For more information, see the Cloud Platform Administrator's Guide. Accessing the User Accounts web portal Open a web browser, and then do either of the following: From the Cloud Platform home page, click User Accounts. If necessary, select an organization. Note: If only one organization is assigned to your account, then it is preselected. From your current web portal, click on the upper right corner of the page, and then click User Accounts. Setting the password requirements 1 From the User Accounts web portal, click Organization > Password Requirements. 2 Set the minimum length, and then select the password complexity. 3 From the Password Change Policy section, set the number of previous passwords that cannot be used. 4 Click Update Password. Assigning organization roles Organization roles are specific roles assigned to an organization. All users that belong to the organization inherit the organization roles. For example, if an organization is assigned with the Print Release Management User role, then all users in the organization can access the Print Release features. For more information, see the Cloud Platform Administrator s Guide. 1 From the User Accounts web portal, click Organization > Organization Roles. 2 Click Assign Roles or Assign. 3 From the Custom Roles section, select any of the following roles: Print Release Management Document Accounting Lets Lexmark Print Management Cloud users generate the My Document Accounting Summary showing their own print usage. Print Release Management Document Submission E Mail Lets Lexmark Print Management Cloud users submit print jobs through e mail. Print Release Management Document Submission Mobile Lets Lexmark Print Management Cloud users submit print jobs from a mobile device.

Configuring User Accounts 9 Print Release Management Document Microsoft Office Conversion Lets the system use the Microsoft document conversion tools on the Microsoft Office documents submitted directly to the Print Management web portal. Microsoft Office documents cannot be printed in their original format, and must be converted to PDF before they can be sent to the printer. Note: The organization of the user must have the appropriate Microsoft licenses before this role can be provided. Print Release Management User This role must be assigned to any user that requires access to Print Release basic features. Users can manage their own print queue, delegate their own print jobs to other users, and view their own document accounting data. Users can also download the default print driver packages. Serverless Print Management Administrator Grants access to the Lexmark Print Management Serverless administrative menus in the Print Management web portal. This role lets the administrator manage the list of users and workstations that have print jobs ready for release using Lexmark Print Management Serverless. Administrators can also generate custom Lexmark Print Management Client and Universal Print Driver packages. Serverless Print Management Helpdesk Lets Lexmark Print Management Serverless users view the list of users and workstations that have print jobs ready for release using Lexmark Print Management Serverless. Serverless Print Management User The default user role for Lexmark Print Management Serverless. This role grants users the basic Print Release permissions, such as managing their own serverless workstations. Note: To view the role information, click the role name. 4 Click Assign Roles. Managing users 1 From the User Accounts web portal, click Users. 2 Do any of the following: Create a user a Click Create User or Create. b Type the user e-mail address and user information. c Set the password manually, or enable the system to e-mail a link to the user to change the password. d Click Create User. Edit a user a Click a user e mail address. b Do any of the following: Edit the personal information. Change the user password. Assign user roles. Register a badge. Add the user to a group.

Configuring User Accounts 10 Delete users a Select one or more users, and then click Delete. Note: You can also search for users using the search bar. b Click Delete Users. Import users The Import feature lets you create, update, and delete multiple users in an organization using a CSV or TXT file. You can also create user groups, and then assign a user to those groups. For information on creating a CSV file, see Sample CSV format on page 10. a Click Import Users or Import, and then browse to the CSV or TXT file. b If necessary, enable the system to e mail a link to the user to change the password. c Click Import Users. Note: To view the import log, click Export Results. EMAIL values that are in uppercase in the file are converted to lowercase before the operation is performed. For example, JDOE@company.com is converted to jdoe@company.com. OPERATION Required for all users. Valid OPERATION values CREATE Creates a user identified by the EMAIL value with the corresponding properties on the line. UPDATE Updates the existing user identified by the EMAIL value with the corresponding properties on the line. DELETE Deletes the existing user identified by the EMAIL value. PASSWORD Not required for any OPERATION, and can be empty only when E-mail a link to change the password option is selected when importing. Note: Enable the E-mail a link to change the password option only when importing files with the CREATE operation. FIRST_NAME Not required for any OPERATION, and can be empty. The first name of the user. For example, John. LAST_NAME Not required for any OPERATION, and can be empty. The last name of the user. For example, Doe.

Configuring User Accounts 11 DISPLAY_NAME Not required for any OPERATION, and can be empty. The name of the user that is sometimes used in display prompts or log reports. The DISPLAY_NAME value can be the full name with middle initial or any string. For example, John A. Doe. The DISPLAY_NAME value is not directly associated with the FIRST_NAME and LAST_NAME values. SHORTNAME Not required for any OPERATION, and can be empty. The SHORTNAME value is used when the organization has a shortname string that also identifies the user in the organization. For example, jdoe. GROUPS Not required for any OPERATION, and can be empty. There are no predefined groups. One user can be added to multiple groups. Separate multiple groups by using commas and enclosing them in double quotation marks. For example, "Group1,Group2,Group3". GROUPS values that do not exist in the organization are created, and then added to the organization automatically. CUSTOM_ATTRIBUTES Not required for any OPERATION, and can be empty. The CUSTOM_ATTRIBUTES value is a specially formatted JSON string for user metadata that is stored with the user. The value must be enclosed in double quotation marks. For example, "{'key1':'value1','key2':'value2'}" Notes: All lines must have the same number of values as the header, including the commas. Follow empty values with commas. For example, jdoe@company.com,delete,,,,,,, The CSV or TXT file can have a maximum of 1000 lines, and a minimum of two lines. The file size must not exceed 1MB. UTF-8 characters are supported. Importing a file with CREATE and UPDATE operations with more than one group assignment may take a few minutes. If any line value contains a comma, such as the names, password, groups, or custom attributes, then the value must be enclosed in double quotation marks. For example, llane@company.com,update,"pass,word2",lois,lane,"lois,lane",llane,"group1,gr oup2", Managing groups A group is a collection of users that can be managed with a common set of roles or permissions. Note: Groups created in the User Accounts web portal have no association with groups created in the Print Management web portal. 1 From the User Accounts web portal, click Groups. 2 Do any of the following: Create a group a Click Create Group or Create, and then type a unique group name. b Click Create Group.

Configuring User Accounts 12 Delete groups Deleting a group does not delete the users from the organization. The users are disassociated from the group, and then the group is removed from the system. a Select one or more groups, and then click Delete. Note: You can also search for users using the search bar. b Click Delete Groups. Add members to a group a Click a group name. b From the Members tab, click Add, and then select one or more users. Note: You can also search for users using the search bar. c Click Add Members. Remove group members a Click a group name. b From the Members tab, select one or more users, and then click Remove. Note: You can also search for users using the search bar. c Click Remove Members. Assign group roles All users in the group inherit all the roles assigned to the group. a Click a group name. b From the Group Roles tab, click Assign Roles or Assign. c If necessary, select an organization, and then select one or more roles. d Click Assign Roles. Note: If a parent organization user is a member of the group, then depending on the group role, the user can also manage the child organizations. Remove group roles a Click the group name. b From the Group Roles tab, select one or more roles, and then click Remove. c Click Remove Roles. Managing badges The User Accounts web portal lets you register badges to the system. If badges are not registered using the User Accounts web portal, then users must register when they first log in to the printer. 1 From the User Accounts web portal, click Badges. 2 Do any of the following:

Configuring User Accounts 13 Register a badge a Click Register Badge or Register, and then type the user e mail address and badge ID. Note: To register the badge as temporary, select Temporary Badge. Temporary badges expire after 24 hours. b Click Register Badge. Delete badges a Select one or more badges, and then click Delete. Note: You can also search for badges using the search bar. Make sure to type the complete e mail address or badge ID. b Click Delete Badges. Import badges For information on creating a CSV file, see Sample CSV format on page 13. a Click Import Badges or Import, and then browse to the CSV or TXT file. b Click Import Badges. Note: You can also register or delete badges for users. For more information, see Managing users on page 9. Sample CSV format BADGE,OPERATION,EMAIL,TEMPORARY 20171a,CREATE,jdoe@company.com,true 20172b,CREATE,llane@company.com,true 20173c,DELETE,ckent@company.com,false The import file header line must be either of the following and is case sensitive: BADGE,OPERATION,EMAIL BADGE,OPERATION,EMAIL,TEMPORARY Line values and their conditions BADGE Required in every line. If a BADGE value contains commas, then the value must be enclosed in double quotation marks. For example, 20171a,2a,3a OPERATION Required for all badges. Valid OPERATION values CREATE Creates a badge identified by the BADGE value for the user specified by the EMAIL value. DELETE Deletes the existing badge identified by the BADGE value. EMAIL Required for the CREATE operation. Badge import does not create a user. The user must exist before a badge can be created. EMAIL values that are in uppercase are converted to lowercase before the operation is performed. For example, JDOE@company.com is converted to jdoe@company.com. TEMPORARY Determines whether the badge is temporary or permanent. The TEMPORARY value is either true or false.

Configuring User Accounts 14 Notes: All lines must have the same number of values as the header, including the commas. For example, 20171a,DELETE, The CSV or TXT file can have a maximum of 1000 lines, and a minimum of two lines. The file size must not exceed 1MB. UTF-8 characters are supported.

Configuring Print Management 15 Configuring Print Management Use the Print Management web portal to do the following: Manage print queues and user quotas. Delegate print jobs. Generate document accounting reports. Configure document retention. Manage serverless clients. Create a custom Print Management Client package. For more information, see the Cloud Platform Administrator's Guide. Accessing the Print Management web portal Open a web browser, and then do either of the following: From the Cloud Platform home page, click Print Management. From your current web portal, click Management. Importing users on the upper right corner of the page, and then click Print Manage users in the Print Management web portal after importing them to the database. 1 From the Print Management web portal, click Administration > Users. 2 Do either of the following: Import users from the User Accounts web portal Click Import from User Accounts > Import from User Accounts. Note: To include groups created from the User Accounts web portal, use a CSV file. Import users using a CSV file You can also set the user s group and quota. a Click Import from CSV file. b Browse to the CSV file. Notes: The file must not exceed 1MB. You cannot create groups using the CSV file. Make sure that the group already exists. To view a sample, click Download a sample file. c Click Import from CSV file. 3 Click Done.

Configuring Print Management 16 Managing groups Use the Groups feature to manage the quota of multiple users by adding them to a group. Groups are also used to collect usage information for Document Accounting reports. Note: Groups created in the Print Management web portal have no association with groups created in the User Accounts web portal. 1 From the Print Management web portal, click Administration > Groups. 2 Do any of the following: Create a group a Click Create. b Type a unique group name. c Click Create Group. Edit a group a Click a group name. b Do any of the following: Add or remove members. Set group quotas. Allow users to print in color. c Click Save Changes. Delete groups a Select one or more groups, and then click Delete. b Click Delete Group or Delete Groups. Setting retention policies for documents Delete jobs and accounting data automatically. 1 From the Print Management web portal, click Administration > Document Retention Policy. 2 From the Print Release section, specify when to delete released and unreleased jobs. 3 From the Document Accounting section, specify when to delete records. 4 Click Save Changes.

Configuring Print Management 17 Downloading the Lexmark Print Management Client Lexmark Print Management Client is a software package deployed to computers to provide secure releasing of print jobs. The software captures the print jobs from the print spooler, authenticates the user, and then submits the print job to the Print Management server. Print jobs are stored on the Print Management server until they are released from a printer with the Print Release application. 1 From the Print Management web portal, click Client Download. 2 Do either of the following: Download the default package for your operating system. The default package includes the following settings: The "display notifications" option is enabled. The "delete unused client folders" option is disabled. The cloud print release server is lsp.lexmark.com/lexmark using port 443. The capture service loopback port is 9168. The identity provider server is idp.iss.lexmark.com using port 443. Create a custom package. To customize a package, do the following: a Click Create custom package for your operating system. b From the Global Configuration Settings section, specify the following options: Whether to show the print submission status notification Whether to delete unused client folders after a specified number of days c If you have a Lexmark Print Management Cloud environment, then do the following: 1 From the LPM Print Release SaaS section, select Enable LPM Print Release SaaS. 2 In the "Cloud print release server" menu, type https://lsp.lexmark.com/companyid, where companyid is the unique name or ID assigned to the company. 3 In the "Capture service loopback port" menu, enter the port where the capture service communicates for incoming print jobs. d If you have a Lexmark Print Management Serverless environment, then do the following: 1 From the LPM Serverless Print Release section, select Enable LPM Serverless Print Release. 2 In the "Cloud registration server" menu, type api.iss.lexmark.com/lpm-gateway. 3 In the "Capture service loopback port" menu, enter the port where the capture service communicates for incoming print jobs. 4 Specify the following options: When to delete unprinted and printed jobs Whether to allow users to change the print settings when releasing jobs at the printer Whether to track deleted jobs 5 If deleted jobs are tracked, then do the following: a In the Document Accounting Server menu, type the accounting server. b In the "Site Name ( optional )" menu, type the name of the accounting server. c In the Reporting Interval menu, select when to send the deleted job data to the accounting server. e From the Print Driver Type section, select a print driver to include in the package. f From the Set Default Printer section, select which printer to use by default.

Configuring Print Management 18 g Click Create. h Download the package. Installing the Lexmark Print Management Client For Microsoft Windows operating system 1 From your computer, run the package. 2 Follow the instructions on the screen. Notes: The executable files are saved in the Program Files folder. For the custom package, the configuration file is included in the downloaded compressed file. Make sure that the installer and the configuration file are in the same folder. For the default package, the configuration and the log files are saved in the %allusersprofile%\lpmc folder after installation. 3 If necessary, verify the installation. a At the command prompt, type services.msc, and then press Enter. b Check that the following services are running: Lexmark Print Capture Service Lexmark Print Release Service For Mac OS operating system software 1 From your computer, run the package. 2 Follow the instructions on the screen. Notes: The executable files, the configuration file, and the SSL certificates are saved in the /Library/Lexmark/LPMC folder. The log file is saved in /var/tmp as lpmc.log. For the custom package, the configuration file is included in the downloaded compressed file. Make sure that the installer and the configuration file are in the same folder. 3 If necessary, verify the installation. The identity provider server is idp.iss.lexmark.com. Check that the print job is submitted successfully Cannot use badge to log in to the printer Make sure that the client ID and client secret of the Cloud Authentication application and the organization are a match For more information on Cloud Authentication, see the Cloud Authentication Administrator s Guide.
