INTRODUCTION Introduction This user assistance gives an overview on the user interface, its elements and the functions. NOTE: The actual appearance of depends on the configuration settings specified by the administrator and may not fully match the screenshots provided in this document. THE USER INTERFACE The User Interface The following sections provide information on the user interface elements and how to work with them. NOTE: The availability and appearance of some of the elements depends on whether you are just a visitor (guest) or a logged in user. Usually, logged in users can use Cumulus in a different way than simple visitors can, e.g. they may have more rights to perform actions on the items contained in the collections. User Interface Language In general, this Cumulus website portal uses the same user interface language as the browser. However, if the browser uses a language not supported by Cumulus, the default language for Cumulus is English (may be changed by the administrator). Alternatively, the administrator may specify a user interface language to be used by Cumulus regardless of the language of the browser. Furthermore, users may select a different user interface language via the language chooser icons (on the bottom of the page by default). Whether language chooser icons are displayed at all, and which ones, is defined by the administrator. In contrast to these user interface elements there are items provided by the catalogs) that are displayed, such as categories, filters, and metadata. The display language of such items depends on the settings of the respective catalog and on further settings defined by the administrator.

User Interface Elements on the Main Page The main page sports different areas for different purposes: THE USER INTERFACE The page header area providing functions for logging in and logging out as well as general functions available to the current user. The collection area displaying the thumbnails or a list of the files in the current collection. It contains elements for navigation and modification of the display of the thumbnails. The search and filter area providing several means to reduce the number of files in your collection: entering a dedicated search term, selecting a category or applying filter conditions. These means can be combined in any order and number, allowing you to narrow down the collection most efficiently. Elements of the Page Header To log in, enter your user name and password, then click Login. To end your session as a logged-in user, click Logout. Click to open a pop up with information on the company and how to get in contact.

THE USER INTERFACE Header for the list of collections sent via email (if any). To get information about a collection, click on the info icon. To send a collection again, e.g. to different recipients, click on the info icon and then on the Edit as New Link button. See Sending a Collection Link, below. To delete a collection, click on the trash can icon. Note that this does not only delete the list entry, but the collection itself, i.e. it will no longer be accessible for the recipients. Click to open a dialog for uploading files and adding them to a catalog. (Logged-in users with appropriate permissions only!) Header for information during a download process. NOTE: Users of the Internet Explorer must start the download manually by clicking the Start Download link that is displayed here as soon as Cumulus has finished the preparation of the file(s). With all other browsers, the download starts automatically. Click to open a dialog for sending an upload link. (Logged-in users with appropriate permissions only!) Click to open the active collection basket.

THE USER INTERFACE Elements of the Collection Area The collection header indicates the selected category. If a category below the topmost level is selected, the path to that category is displayed above the header ( breadcrumbs navigation ). The home icon indicates the topmost level. Click on any item in the category path to change the collection to that category. Hovering the mouse on any item in the path evokes a menu with all categories one level below the selected one, allowing for easy changing to one of these categories. The row below the heading shows the total number of files in the current collection and indicates if the collection is filtered. To display the currently applied filters in the Filter Conditions area, click on the filtered link. Click icons to switch between Thumbnail View and Report View. NOTE: Depending on the settings specified by the administrator, hovering the mouse over a thumbnail in each view may evoke a pop-up window with selected information or a tooltip preview of the file. THE USER INTERFACE Arrows to jump to the first, the previous, the next or the last page. The numbers in the center show the current page / the total number of pages of the current collection. Click on the numbers opens an entry field to specify a page number to jump to directly. Click to add all files displayed on the current page to the Collection Basket. Click to add all files contained in the current collection to the Collection Basket. (At the bottom of the page) Indicates the number of items displayed per page; drop-down list to change this value. The values you can select from depend on the thumbnail size and size of the browser window. Icons for handling individual files Click to show a preview of the file. From the preview, you may start a slide show of the files in the current collection. Click to show the Info window with detailed information on the file.

As a logged-in user, you may decide to have the download prepared in background and then receive an email with a download link. Click to add the file to the active collection basket. Elements of the Search and Filter Area NOTE: Which of these elements are visible to you depends on the settings defined by the administrator. Entry field for a quick search. The current collection is adjusted to the search result. Hovering the mouse over the search field evokes an icon to clear the entry field. Additionally, the collection is adjusted accordingly. Filter conditions area. Click the + icon to select a predefined search as filter option. The current collection is adjusted accordingly.

Click on the home icon to reset the categories view to the topmost level. The collection is adjusted accordingly. Click on the back arrow to move up one level in the category. The collection is adjusted accordingly.

THE USER INTERFACE The Filters area shows metadata values which can be used for filtering the current collection. These values are subdivided in different sections according to the metadata field or query on witch the filter is based. You can expand/collapse the sections. Only values derived from the current collection are shown. For example, the Rating section in the screenshot is expanded, showing that the collection contains records rated with 3, 4 or 5 stars, but no records rated with only 1 or 2 stars. This screenshot shows examples for different kinds of filters: Multi-select filter (such as Orientation): You can select multiple values as filtering options. List filters (such as Rating and File Format): You can select just one value per filter as filtering option. Hierarchical filters (such as Date Time Original). You can select a value as filtering option, then you can further narrow down the resulting collection. In this example, from year, to month, to day. Input filters (such as Author): You can enter one or more characters to define the value used for filtering. Click on any value to reduce the current collection to records that fit the selected option. Click on the icon next to a filter s name to remove that filter. With hierarchical filters, click the back arrow in front of a selected value to move up one level in the metadata hierarchy. NOTE: Which metadata fields can be used for filtering and which kind of filters are available depends on the settings specified by the administrator.

Info Window THE USER INTERFACE The Info Window displays information (metadata) about the selected file. Which information is displayed, and in which order, depends on the settings for the Information view of the currently used Record View Set. Click to show a preview of the file. Click to generate and download a PDF of the file. You can select between several templates for the PDF. As a logged-in user, you may decide to have the PDF prepared in background and then receive an email with a download link. Click to download the file. You can select between different options for the download. As a logged-in user, you may decide to have the download prepared in background and then receive an email with a download link. THE USER INTERFACE Additionally depending on the settings of the administrator and the permissions of the Cumulus user -- the Info window may provide the following collapsible/expandable sections: Comments, for the display of comments to the file. Related Files List, for the display of files related to the selected (if any), such as files contained in or referenced by the current file, or variants or alternates of the current file. Find Similar Files, for the display of the categories the current file is associated with. Clicking on such a category name changes the current collection to display all files belonging to that category. Depending on administrative settings, the categories may be visualized as a tag cloud. Use in Social Media, for the display of links to social media services (e.g. Twitter or Facebook). NOTE: If a field contains more text than can be displayed within the Info Window, a [ ] icon is shown. Hovering the mouse pointer over that icon reveals the entire text in a pop up window.

Preview Window THE USER INTERFACE The Preview Window displays a preview of the selected file. Additionally, comments may be displayed. or Click to start a slide show of all files in the collection. Comments THE USER INTERFACE Files can have comments. A comment can apply to a file in general, or it can refer to a specific area on a preview. Whether comments are visible at all depends on the permissions a user is granted. With visibility of comments granted, they can displayed or entered in the Preview window or the Information window of a file. The display of comments can be switched on or off by clicking the comments icon in the toolbar of the window ( ). All comments are displayed in the comments column on the right side of the Preview or Information window. Area-specific comments are additionally be displayed as slightly highlighted areas on the preview of the file. When the mouse pointer is moved over such an area, the respective comment text is displayed as a tool tip. For information on how to use comments, see Use Comments NOTE: Whether the commenting function is fully or partially available depends on the configuration and your user permissions. In case of doubt, contact the administrator.

Collection Basket THE USER INTERFACE The collection basket enables you to gather and sort records for further processing. You can have as many collection baskets as you need, but only one active basket at any given time. Files can be added to the active collection basket only. If logged in, your collection baskets are stored between your sessions. Elements of the Collection Basket Click to close the collection basket and go back to the main window. Click to replace the collection in main window with the contents of the collection basket. Click to send a link to the current collection (i.e., the content of the collection basket) via e-mail. Recipients, who don t even need to be Cumulus users, can open the link and view the collection in any web browser. See Sending a Collection Link, below. NOTE: Collections for which a link has been sent are saved and listed under the My Collections Header on top of the page Click to generate a PDF of the items in the collection basket and to download it. You can select between several templates for the PDF. As a logged-in user, you may decide to have the PDF prepared in background and then receive an email with a download link.

THE USER INTERFACE Click to download the content of your collection basket. You can select between different options for the download. As a logged-in user, you may decide to have the download prepared in background and then receive an email with a download link. Click to clear all items from the collection basket. To give your basket another name, enter the new name and click Rename. To create a new collection basket, enter a name for it and click Create. The new collection basket is automatically the active basket. You can add as many baskets as you need.

THE USER INTERFACE Your collection baskets are listed. The currently active basket is bolded. Click on any basket s name to make it the active basket. Inactive baskets may be deleted via the trashcan icon. Icons for handling individual files in the collection basket Click to download the file. You can select between different options for the download. As a logged-in user, you may decide to have the download prepared in background and then receive an email with a download link. Click to remove the file from the collection basket. Click to move the file to another collection basket (only if you have more than one collection baskets created).

How-Tos This section provides short instructions on how to achieve different tasks with Cumulus. NOTE: You may not be able to perform all tasks described in this guide. Which tasks you are actually allowed to perform depends on your user permissions which are defined by the administrator. HOW-TOS

Use Comments HOW-TOS NOTE: Whether the commenting function is fully or partially available depends on the configuration of Cumulus and your user permissions. In case of doubt, contact the Cumulus Administrator. Adding comments To add a general comment: 1. Click the general comments icon in the Comments toolbar ( ). A new section is added to the Comments column. The entry field is activated. 2. Enter the text for the comment, then click Post comment. Your comment is saved and is immediately visible to other Cumulus users. To add a sticky note comment: 1. Click the sticky note icon in the Comments toolbar ( ). 2. Click the location where you want to place the note on the preview. As soon as the note is set, a new section is added to the comments column. The entry field is activated. 3. 3. Enter the text for the comment, then click Post comment.

HOW-TOS Your comment is saved and is immediately visible to other Cumulus users. To add a rectangle comment: 1. Click the rectangle icon in the Comments toolbar ( ). 2. Draw a rectangle wherever you want it to appear on the preview. As soon as the rectangle is set, a new section is added to the comments column. The entry field is activated. 3. Enter the text for the comment, then click Post comment. Your comment is saved and is immediately visible to other Cumulus users. To add a polygon comment: 1. Click the polygon icon in the Comment toolbar ( ). 2. Draw a polygon wherever you want it to appear on the preview. Clicking adds a corner, double clicking closes the polygon. As soon as the polygon is set, a new section is added to the comments column. The entry field is activated. 3. Enter the text for the comment, then click Post comment. Your comment is saved and is immediately visible to other Cumulus users. Editing Comments You can edit your own comments (but not comments of other users).

HOW-TOS You can edit the comment s text and modify size, shape and position of the markers placed on a file s preview. NOTE: As an administrator, you may have the permission to edit the comments of any user. To edit the text of a comment: 1. On the comment that you want to edit, click the edit icon ( ). The comment is displayed in edit mode. 2. Edit the text as needed, then click Save. Your modified comment is saved and is immediately visible to other Cumulus users. To modify size, shape and position of a marker on a file s preview: 1. Click on a marker to activate it. 2. Drag the marker to a different position. OR Use the handles (little squares) at the corners of activated rectangles or polygons to resize or reshape them. Modifications to markers are saved implicit and are immediately visible to other Cumulus users.

HOW-TOS Replying to Comments You can reply to existing comments. To reply to a comment: 1. On the comment that you want to reply to, click Reply. A new entry field is added below the comment. The entry field is activated. 2. Enter the text for the reply, then click Save. The reply is saved and is immediately available to other users. Deleting User Comments You can delete your own comments (but not comments of other users). NOTE: As an administrator, you may have the permission to delete the comments of any user. If you delete a comment that has replies, the whole thread is deleted (i.e. the original comment including all replies). For deleting comment, the Comments column must be displayed. The visibility of the comments column can be toggled with the User Comment tool in the Preview toolbar.

HOW-TOS To delete a comment: 1. On the comment that you want to delete, click the wastebasket icon ( ). A confirmation window is displayed. 2. Click OK to confirm the deletion of the comment. The comment is deleted and is no longer available to other users.

Sending a Collection Link HOW-TOS NOTE: To be able to send collection links, you must have the Create Shared Collections permission. Fields marked with a star must be filled. Depending on the settings of the administrator and the permissions of the Cumulus user, there may be an additional field Base URL for Web Access, allowing for the selection between different base URLs (e.g., internal or external URLs). Collection Name Prefilled with current date. You can overwrite this with any other name. Tracked Collection Usage If activated, every recipient gets an individual link (the CC and BCC fields are disabled). The information window of the respective collection provides details about the last time a user has accessed the collection. From Prefilled with the current user s email address. You can overwrite this with a different address. NOTE: If your Cumulus administrator has defined a From address to be used with all sent mails, the content of the From field is ignored. To You can enter as many recipients as you like. Their email addresses must be separated by commas. Embargo Date The collection will not be accessible before this date. Default is the current date. Expiration Date The collection will be deleted after this date. Default is two weeks ahead of the current date. You may change this value.

HOW-TOS Require Password (optional). If you require a password, you must not forget to communicate it to the recipients. Otherwise they won t be able to view the collection. Permissions Displays the permissions that you have as a logged in Cumulus user. You can grant these permissions to the recipients by activating or deactivating the respective check boxes. Click Send. The recipients get an email with a link to the collection.

Sending an Upload Link HOW-TOS An upload link gives the recipients (which don t have to be Cumulus users) the opportunity to upload files to Cumulus. Fields marked with a star must be filled!

HOW-TOS Depending on the settings of the administrator and the permissions of the Cumulus user, there may be an additional field Base URL for Web Access, allowing for the selection between different base URLs (e.g., internal or external URLs). Require Password (optional) If you activate the require password option, you must not forget to communicate it to the recipients. Otherwise they won t be able to use the upload link. Permissions Recipients get thumbnails displayed of the files they have uploaded. With the Permissions settings you can allow recipients to additionally view related information windows and/or previews of these files Destination The catalog to which the uploaded files will be added. Asset Handling Set / Permissions Template Can be specified optionally. Click Send. The recipients get an email with an upload link.

HOW-TOS NOTE: Every recipient gets an individual upload link. The information window of the respective collection provides details about the last time a user has opened the link and uploaded files.

Upload Files and Add to Catalog HOW-TOS Only available for logged-in users with the appropriate permissions! To upload and add files to a catalog, select the catalog (if more than one catalog is open) and a category to which you want to add the file(s), then select the Asset Handling Set and the Permissions Template to be used, and finally the files themselves. If at least one file is selected, the Upload button is displayed. Click Upload to start copying the file(s) to the server and to create respective records in the catalog.

Download / Image Editing HOW-TOS Cumulus offers various options when downloading files. Activate an appropriate option to be applied when downloading selected files. Clicking Download Now saves the file(s) to your default download location. Clicking Send Download Link (only available to users with a valid email address) results in an email sent to you containing a download link to the selected file(s). Thus you can perform the download at a later date.

HOW-TOS NOTE: Such download links only work once. After a successful download, they are no longer valid. If Edit before Download is activated, clicking on Download Now opens a dialog that offers various options to edit an image before it is downloaded: Crop provides tools to reduce the visible area of an image. Transform provides tools for resizing, rotating and flipping the image. Adjust provides tools to adjust the tonal range of your images through brightness and contrast, the gamma value and colors. These adjustments may be previewed before they are finally applied

HOW-TOS Download provides tools to adjust the filename, file format and color space of an image and finally to start the download.

Creating a New Account HOW-TOS To create a new user account, click Create Account (in the Page Header). Creating a new account requires some information to be filled in: Fields marked with a star must be filled. Depending on the configuration, it may take a while until your new user account gets active.

Resetting the Password HOW-TOS As a registered user you may reset your password anytime. To reset your password, click Reset Password (in the Page Header). Enter your user name and click Send Request. An email with further instructions is sent to the email address specified in your account settings.
