Story The purpose of the Event Venue Planner is to create an application that allows for an overview of possible event venues available within a region, listing the venue details, the facilities available at each venue, venue capacity, and associated cost in order to give an event planner a comparative overview of venue options, at a glance. The application will ensure that the most suitable venues can be selected for each event, relative to budget constraints. The application will also allow a busy event planner, such as Emma, to view her current bookings and their associated venues on the go. This is handy since most event planners tend to be out of the office most of the time. Emma tends to book mostly conference and business-related events for companies in the Mid-West, in the US. She currently uses Google and her online diary to search for and keep track of event venues and bookings. This process is suboptimal since all the vital information is stored in separate locations, in separate media. The proposed Event Venue Planner application is intended to allow her to source event venue information in advance and merge a list of frequently-used and suitable venues, with their associated details and information, into a single functionality. This will allow her to choose the most suitable venue as well as allowing her to keep track of current bookings. This way Emma can easily communicate booking details with third parties, such as caterers, accountants and the like, and keep track of what is happening where, and when. 2. Point of View Emma needs a way to view potential event venues at a glance and check their facilities information so that she can book the most suitable event location relative to the event budget available. Persona Emma The Event Planner I want to view event venue options at a glance, on the fly, knowing which facilities are available, and checking the bookings made. 32, single, 5 years of event planning experience Being the person who makes key event planning decisions, I need to decide which venue will be the most suitable for a particular event, and which venues I have already booked. It is also important that I remain within budget when deciding on a venue, whilst maximising the event experience for my clients. Very mobile and flexible, travelling from city to city and needing to keep up with current bookings. Clients, Marketing Staff, Caterers, Accountants. I am responsible for event planning decisions, of which venue finding and booking is the most important. I am responsible for multiple events per month and each event is tied to a specific venue. I spend more than half of my time out of the office, but I also do work in my office, on the computer. Being the person who makes the event venue decision, I have to keep the balance between staying in budget and finding the most suitable venue for any specific event. Ensuring professional and smooth-running event experiences for attendees, with suitable facilities for each event. I need to communicate venue decisions to third parties. I always need the venue details at hand in order to check on facility descriptions and contact details. I need to be able to compare different venues with each other. Currently I take notes on paper or on my tablet. I need the ability to check bookings instantly since I am away from my desk most of the time. Can t get an overview of possible venues on the go. I currently use my online diary for this but this is not ideal since the venue details are not instantly accessible and comparable. A lot of the venue information is hidden inside PDF documents and not readily available. Using Google searches to locate venues can be all over the place, and very time consuming. Need the ability to keep track of and view my bookings. NOTE: The opensap website provided two persona templates for the design challenge. If you click on the Icon filter for Facility and Bookings it will take you to these pages). Note, as my knowledge of event planning, the sap.m library and SAP Fiori improved, so did the development of the application. As a result, the final submission has an extra icon tab so that the maps can be located on a page of their own, thereby freeing up the Information page for more relevant venue-specific data. It also became clear to me that there is a number of different ways on which seating is calculated for conference venues. The developed application shows two of the typical forms, theater and banquet-style seating, something the initial prototype had not taken into account. This process of development from the initial concept sketches is typical during the iterative process of design development, however, at heart, the final submission is still fairly close to the initial prototypes. The venues indicated in this project are real. Some of the mockdata was taken from conference brochures made available online, some was fabricated where such information was incomplete. All pricing information shown here is purely fictional. Please note: the opensap website makes it clear that a Build study was NOT mandatory and that hand drawings are therefore acceptable. SAP Web IDE Developed Application https://www.youtube.com/watch?v=mbvbw39y1q0&feature=em-upload_owner Venue location (initial prototype shows the rating here - in hindsight it seemed more appropriate to have the location visible throughout the icon tab set so that the user is always aware of where each venue is). Hyperlinked contact information - on a phone the venue can be called directly by clicking on the phone number. Likewise, the email address and website are instantly accessible. Tiles with salient bits of information about each venue, and a small reminder image. In future, these tiles could be expanded to contain newsfeed content. Google Maps inclusion for each venue. This map shows both the location marker and label. All maps in the application are zoomable.
