IMPORTANT NOTES 1. The System Date on your computer must be up to date. If it is not, change it to the current date as follows : - On desktop click Start / Settings / Control Panel. - Double click on icon Date and Time in Control Panel. - Select the Current Month, Year and Day in window Date and Time Properties. - Click on button Apply. - Click on button OK. 2. Pre-vocational candidates who will sit for the PSAC Examination should also be input in this application, even if the candidate is above 12 years old. If the date of birth of such a candidate is entered, a message is displayed to lay emphasis on the candidate s age. Press Enter to continue with the input. Note that for Pre-vocational candidates option Prevoc. Cand should be Yes. 3. When submitting entries by email, the name and code of the school should be clearly stated in the title of the email. Note that the email address to be used is psacentries@mesonline.mu. 4. As in previous years, certificates are issued with French Accents wherever appropriate. Kindly input each candidate s name as it appears on his/her birth certificate, with French accents if any, (e.g. MICHAËL, L ÉVÊQUE,, etc.) A list of common accents and their corresponding key strokes are given on the next page. 9

Before installing the application If the application already exists in your computer, it must be uninstalled and a fresh copy installed. To uninstall the application, proceed as follows :- 1. On desktop click Start / Settings / Control Panel. 2. Click on option Add or Remove Programs. 3. Select program PSAC Candidate Entry by clicking on it. 4. Click on button Remove. 5. The following message is displayed : Are you sure you want to remove PSAC Candidate Entry from your computer? 6. Click on button Yes. The application is removed from your computer. 7. Close window Add or Remove Programs by clicking on the cross (X) found on the top right hand corner of the window. 8. Close window Control Panel by proceeding same as step 7 above. Now you can begin with a fresh installation as described on the next page. 11

Installing the application If you have downloaded the program from our website, you must also download the instructions for installation to be able to correctly install the application. If you are installing the application from the CD given to you by the MES, proceed as follows : 1. Insert the CD in your CD Drive (it may be either drive D or drive E or any other drive depending on your computer). 2. On desktop click Start / Run. 3. Type d:\setup.exe OR e:\setup.exe as appropriate in the box next to Open. 4. Click on button OK. 5. An installation wizard namely PSAC Candidate Entry Installshield Wizard will help you in the installation process. - In window Welcome to the Installshield Wizard for PSAC Candidate Entry click on button Next. - In window Ready to Install the Program click on button Install. - In window Installshield Wizard Completed click on button Finish. 6. A new icon named PSAC Grade 6 Candidate Entry 2018 is added to your desktop. Note : If the new icon is not found on your desktop, it implies that the application has not been properly installed. Go back to the previous page and repeat all the steps to remove the application before installing it again. 12

Running the application Double click on icon PSAC Candidate Entry 2018 on your desktop. A Welcome window is displayed. 13

After a few seconds another window is displayed. This is known as a Quick Start menu. If your screen is minimized, maximize it by clicking on the square found at the top right hand side of your window (i.e the second icon) Maximise icon The following submenus are available : - Candidate Form - Reports Form Another way to display the Quick Start menu is as follows : - Click File which is found on the toolbar on the top left side of the window, and choose Quick Start. 14

Adding a candidate 1. In the Quick Start menu select submenu Candidate Form by clicking on it. 2. Click on button OK. The following window is displayed. Navigation Toolbar 3. Click on button Add to input the first candidate. Button Add is found on the Navigation Toolbar at the bottom of the form. 15

4. The following message is displayed : Please choose your school code from the list which will appear next Note that this message is obtained only when you click on button Add to input the first candidate. 5. Click on button OK. A list of schools ordered alphabetically is displayed. 6. Select your school code by clicking on it and then do one of the following : - Press button Esc on the keyboard OR - Click on the cross (X) found on the top right hand side of the window. 7. If you have selected school e.g ALPHA COLLEGE, the following message is displayed : All entries will be for school : 1035 ALPHA COLLEGE Confirm? 16

8. If the school name is correct click on button Yes, otherwise click on button No. 9. If you have chosen No the following message is displayed : Please choose again - Click on button OK. The list of schools appears once again. Repeat steps 6-8 on the previous page to re-select your school. Note : If your school does NOT appear in the list, select school 9999 UNKNOWN from the list and input all candidates under this school code. Please inform the MES when submitting entries for your school. 10. After having selected the school, click on textbox Surname. Type the candidate s surname in this textbox. Note that the maximum number of characters that can be entered in this textbox is 35. Press Enter to go to the next textbox. 11. The cursor goes to textbox Othername. Type the prenames of the candidate. The maximum number of characters that can be entered in this textbox is 40. Press Enter. 12. The cursor goes to textbox Date of Birth. Type the date of birth of the candidate. Please note that the date of birth must be entered in the following format : Day followed by month followed by year. e.g If you typed 190807, this will be displayed as 19/08/2007 in the application. If the candidate is above 12 years old, a message is displayed because normally school candidates should not be above 12 years old. Only prevocational candidates can be above 12 years old. The maximum age limit that the program will accept is 15. Press Enter. 13. Please note that textbox Eligibility is for display only. Its value cannot be modified. 14. The cursor goes to Radio Button Sex. Here you have two options: Male and Female. Choose the correct option by clicking once on it. Press the Tab key to go to the next textbox. 15. Enter the candidate s phone number in textbox Phone No. and press Enter. 16. Enter the candidate s mobile number in textbox Mobile No. and press Enter. 17. The cursor goes to textbox NIC. Type in the Identity Card Number of the candidate and press Enter. Note that the NIC must be 14 characters long. If the first letter of the NIC does not match the first letter of the candidate surname or the first six digits in the NIC does not correspond to the date of birth of the candidate then a message is displayed. 17

18. Enter the candidate s full address in the Address textboxes. Here you have four lines to enter the full address. Please note that the full address of each candidate is required for Admission to Form I purposes. Press Enter to move down from one textbox to another. 19. Enter the candidate s email address or the responsible party s email address in textbox Email Address of Cand. / Resp. Party if it is available. 20. Click on any one of Optional Core subject to select it. The options available are Hindi, Urdu, Tamil, Marathi, Telugu, Modern Chinese, Arabic and Kreol Morisien. If the candidate will not take any Optional Core subject then select Nil. 21. If the candidate has sat for the CPE Examinations previously, select options Second or Third for Sitting, otherwise choose option First. However, if options Second or Third is selected, the previous qualifications obtained by the candidate in his/her first or second sitting for the CPE Examinations must also be entered. This is done by selecting an option from Radio button Previous Qualification. The options available here are Pass, Fail and Absent. 22. Click on Prevoc. Cand. to choose either Yes or No. If the candidate is a prevocational candidate then choose Yes, otherwise choose No. 23. After having entered all the above information you must save it. This is done by clicking on button Save found on the Navigation Toolbar. If for any reason, you do not want to save the information entered (i.e you want to cancel an entry) click on button Revert. Note : - The information in textbox Eligibility is for display purposes only. It cannot be modified. - Use the Tab key to move from a Radio Button to another Radio Button or from a Radio button to a textbox. 18

Modifying a candidate To modify a candidate record proceed as follows : 1. Select the particular candidate. This is done as follows : - Click on button Browse, which is found on the Navigation Toolbar. - A window appears with the following title : List of Candidates. A list of all the candidates, which have already been input is displayed in alphabetical order. - Use the scrollbar to locate the candidate and place the cursor on it. Click on his/her surname and do any one of the following : Click on the cross (X) found on the top right hand corner of window List of Candidates OR Press the Esc key. The selected candidate is displayed. 2. Next click on button Edit found on the Navigation Toolbar. 3. Now you are able to modify the information concerning this particular candidate. 4. After having performed the necessary changes, click on button Save to save the record. IMPORTANT : If you do not click on button Edit (i.e step 2 above) after having selected a particular candidate, you will not be able to modify the record. 19

Deleting a candidate 1. You must select the particular candidate first. To do this repeat step 1 on the previous page. 2. Click on button Delete found on the Navigation Toolbar. 3. The following message is displayed : Do you want to delete this record? 4. If yes, click on button Yes, otherwise click on button No. Closing Form Candidate Entry Form Click on File / Exit on the toolbar found on top of the screen. 20

Reports To get a list of candidates entered, proceed as follows: - In Quick Start menu click on submenu Reports Form. - Click on button OK. The following form is displayed. Three options are available here, namely: 1. Candidates Entry Report (Order by Gender, Name) 2. Candidates Entry Report (Order by Name) 3. Candidates Entry Report (Order by Asian Language) To print a report, do the following : - Select any one option by clicking on it e.g Candidate Entry Report (Order by Name). - Click on button Run Report. 21

Option 1 Select option 1 i.e Candidate Entry Report (Order by Gender, Name) to get a list of all male candidates followed by female candidates in alphabetical order. Option 2 Select option 2 i.e Candidate Entry Report (Order by Name) to get a list of all candidates in alphabetical order. Option 3 Select option 3 i.e Candidates Entry Report (Order by Asian Language) to get a list of all candidates order by Asian Language. IMPORTANT : All listings must be printed on A4 Paper with the orientation set to landscape. The listings should not be sent to the MES. Only soft copies need to be sent. 22

Making a copy on CD or Pen Drive - Right click on icon PSAC Candidate Entry 2018 on desktop. - Select Open File Location. - Windows Explorer is opened. Double click on folder Data. - Select file Candidate.dbf and copy it to a CD or pen drive. NOTE : You will notice that there are 2 files named Candidate under folder Data. One file has extension.dbf and the other.cdx. The file that should be sent to the MES is Candidate.dbf. If the extension is not visible in your computer, right click on the file and select Properties. The full name of the file will be displayed. If you are not able to determine which file should be sent to the MES then you can send both files named Candidate. We will choose the correct one. 23

Sending Data by Email - Kindly specify the school name and school code in the title of the email. - Please note that the email address on which file Candidate.dbf should be sent is psacentries@mesonline.mu. Files sent to other email addresses will not be considered. 24
