POWERPOINT Creating a Professional PowerPoint Presentation PowerPoint is a software program that allows the user to create slide shows and presentations in order to teach, train, or share ideas. PowerPoint software is simple to learn and use for the novice computer user to a user with advanced programming skills. ICON KEY Valuable information FYI 1

Designing a PowerPoint Slideshow Designing a presentation by applying themes and formatting can enhance your PowerPoint presentation. Changing themes, adding pictures, using web content, and creating SmartArt are design elements to choose from when formatting your presentation. Some designs focus on images while others place the focus on the headline with or without supporting visuals. Choosing a Theme When opening a new file in PowerPoint it automatically displays a default theme. 1. Click on the Design Tab. Figure: Design Tab The tabs are all found in on the Ribbon located at the top of the page. 2

1. Right click on the Slider and a complete list of slide themes will be displayed. Figure: Theme Slider 2. Choose a theme by clicking on it. Figure: List of Themes 3

1. Click on the Layout Tab to review the theme applied to each slide. Figure: Applied Theme Review 5

If you are satisfied with the theme, you can click the Title text box and name your presentation. Figure: Text Box Choosing a Layout 1. Click the Home Tab. 2. Find slide types by clicking on the Layout section. 6

Designs and Themes allow you to coordinate presentations with Word templates and offer your slide show a distinctive mood. Changing Designs At any point, you can change your theme by clicking on the Design Tab and using the cursor to highlight your desired theme. Figure: Previewing Themes 1. Place your cursor over a theme without clicking, it allows you to preview the design theme. 2. Click on a new Theme to choose it and your work will be saved. 9

Adding Graphics to PowerPoint Slides Applying PowerPoint graphics adds visual interest to presentations. Inserting Graphics 1. Create a new file. 2. Click on New Slide. 3. Click the tab Layout. 4. Choose the Title and Content Slide Figure: Slides with graphics icons 11

The Title and Content Slide Contains icons in its center. Inserting tables onto slides 1. Click the Insert Table icon found in the middle of the slide. 2. An Insert Table window will open. Choose the number of columns and rows in the pop-up window. 3. When the table appears on the slide choose the Design tab under Table Tools and choose your table design. 12

Inserting Pictures from your files onto your slide 1. Click on the Insert Picture Icon. 2. When the Insert Picture popup window appears you will be directed to choose from your stored pictures. 3. Click on Open after you make your picture selection and it will automatically appear. Figure: Picture Selection 14

Figure: Viewing Chart Types 4. Click on a new Chart in the pop-up window. Choose to use the information that remains in your Excel spreadsheet and it will automatically transfer into the new chart. To change the Chart s information click on Edit Data 18

Inserting SmartArt onto your slide 1. Click on the SmartArt Graphic Icon. 2. When the SmartArt pop-up window appears choose your graphic by Figure: SmartArt pop-up window Clicking on it. 21

When the Insert Picture window pops-up choose a picture from your computer s file, click Open, and the picture will automatically appear. 22

Under the file click on Options. 3. Click on Customize Ribbon. Ribbon Customization There are a number of ways to customize the Ribbon: 1. Change the order of the tabs 2. Import tabs 3. Reset the Ribbon to default settings 24

Preparing a PowerPoint 2010 Presentation This document is designed for the beginning to advanced user with the purpose of learning about various PowerPoint applications that are used for the actual presentation. Presentation Hints: Practice your entire presentation before your speech. Review the graphics and colors in addition to proofing the text. Use your PowerPoint slide show as a guide for speech, do not read from the slides. The Notes application allows you to keep track of your speech slide by slide. It is possible to send notes to Microsoft Word to format and print from there. You can type notes directly into the text box beneath the slide. The notes do not show up during the slideshow. 35

Sending PowerPoint Notes to Word 1. Click the File tab. 2. Click Create Handouts. Figure: Creating Handouts 39

1. When the Send to Microsoft Word pop-up box opens, click on your preference. Figure: Sending notes to word When your notes are sent you can manage them as a word document and print from Word as well. 40

4. Choose size and orientation in the pop-up box. Figure: Size and Orientation 5. Click the Slides Per Page tab. 6. Choose from the scroll box. 1-9 slides per handout are offered. Figure: Slides per page 7. Click Close Master Window to exit the Handout Master. 42

Reference THEMES To access additional themes click on the Design Tab. Choose a theme from Microsoft word by clicking Browse for Themes. Figure: Browse for Themes FONTS Change the font or customize your own. 47
