Creating a New Custm Reprt 1. Frm the Start Menu select Reprts Standard Reprt Designer. a. (Als available frm the Manage Reprts interface). b. The Order Reprt Designer prvides the ability t custmize task and service rder reprts. c. In rder t use the Reprt Designer yu must be granted the permissin t custmize reprts frm yur D-Tls Administratr. 2. This pens the Reprt Designer interface. Frm here we can either create a new custm reprt r edit ur existing custm reprts. Nte: Standard D-Tls reprts cannt be mdified (edited); we must create a cpy f the standard reprt and mdify it. 3. Select Prpsal w/ Graphics frm the Reprts list 2. Click Next New Reprt Wizard Step 3 Define the Reprt 1. Name the Reprt (Required) a. Tip: Name yur custm reprts cnsistently s they are easily fund in the Reprts list. 2. Name the reprt Custm Prpsal 3. Set the Descriptin (Optinal) 4. Set the Categry: Sets the reprt categry where the reprt is gruped fr selecting reprts t run. This categry can be mdified later as well in Reprt Management. 5. Assign the Categry as Client Reprts 6. Select a Data Surce: there is always nly ne chice s d nt wrry abut this. 7. This is a Sub-reprt Checkbx: D nt check this ff a. All reprts can be a sub-reprt f anther reprt. b. A sub-reprt is run alng with a main reprt it is attached t. c. Marking a reprt as a sub-reprt makes it s it des nt appear in the main reprts list. d. Examples f sub-reprts will be shwn later in the curse. 8. Change Order Checkbx: D nt check this ff a. When this flag is checked, the reprt being created will nly be visible in the Change Order list f reprts lcated in the Prject Cmpare Editr. It will nt be used fr regular reprting. 9. Include Optins & Alternates: If this is checked, ptins and alternate items will be included in the reprt. If the reprt has the necessary script t identify them as ptins and alternates (such as with all f the latest stck D-Tls reprts shipped with SI 2015) they will shw up that way. Otherwise (such as with legacy reprts), they will shw up as regular items! On legacy reprts yu wuld want t leave this unchecked s thse types f items are excluded. 10. Changing the rientatin r the margins will nt autmatically affect the Width f the reprt. By default, all standard reprts (Letter paper size) that have the rientatin set t Prtrait have margins f 0.5 inches and a reprt canvas width f 7.5 inches. Changing the left and right margins will nt autmatically change the width f the reprt canvas. Fr example if yu make the margins wider this will require significant reprt design effrt t mve the varius data fields t fit n a smaller page size. New Reprt Wizard Step 5 Gruping/Srting/Filtering In this step we determine if a reprt shuld supprt Gruping, Srting, r Filtering. These settings determine cntrl hw reprt definitins can be created. 1. Supprt Srting: Determines whether the reprt srting tab is available when creating reprt definitins in the Reprting Center. a. Srting is nt used in prpsal reprts. The rder f items is determined by item level gruping later in the wizard. 2. Supprt Dynamic Gruping: Determines whether the reprt will use reprt definitins r nt. a. When checked, reprt definitins will be available as will the use f dynamic gruping ptins fr thse definitins. 3. Supprt Filtering: Determines whether the user will be able t Run Reprt With Filters 4. Assigned Prperties: These fields are available t be used fr gruping, srting r filtering. 5. Sme reprts require that data be gruped in a specific manner in rder t generate the desired results. Setting the required grupings accmmdates this necessity. Example: In the case f the Prpsal Reprts, regardless f hw the items are dynamically gruped at run time (the Reprt Definitin), in rder fr the reprt t aggregate prperly, the items must be gruped (ascending srt) by Manufacturer, Mdel and ItemHash. Gruping by Manufacturer and Mdel gets the like items in rder tgether; the ItemHash prperty differs n like items when the child items (items in a package r accessries f an equipment item) f the like items are different. D nt change these required grupings n the prpsal reprts therwise yu will nt be able t shw the details f a package r the accessry details f a parent prduct. New Reprt Wizard Step 7 Required Srts In this step we determine if a reprt needs t have any Required Srts. If the items in a reprt must always be rdered in a specific way, the user can define a Required Srt. This wrks well fr items that are nt already using required grupings. Nte: Required Srts d nt wrk well n the prpsal reprts they are best used n reprts that are nt gruping and aggregating the data as heavily as the prpsal reprts are. The items in a prpsal are always srted by Manufacturer, Mdel and ItemHash this any srting yu d happens after these required grupings and typically has little r n effect. Details regarding this reasning: Required Srts can have minimal effects n the rdering f items depending n a number f things. Fr example, in a Prpsal, the sectin that represents the details f prpsal is actually a grup header sectin that is tied t the ItemHash data field. This allws the reprt engine t aggregate items (sum the quantity f each item and create a single entry in the reprt). Many f the D-Tls prpsal reprts have parameters built in t them that we can use t pre-set ur preferences fr the reprt s display ptins. In this step we can predefine the parameters fr the reprt template. While parameters are named and defined at this pint, simply defining a parameter des nt mean that it has any effect n the behavir f reprt. In rder fr these parameters t run, there needs t be entry made int the actual script (cde) fr the reprt. This is a very advanced feature set and will nt be cvered in this curse. Parameters have the fllwing parts: 1. Name - a shrt string used as the key) 2. Descriptin User prmpt displayed in the Reprt Definitin UI. 3. DataType The value type f the parameter (String, Duble, Integer, Blean) 4. Valid Values Values that the user can select frm in the UI. 5. Default Value The value selected by default in the UI if nt previusly set. In rder t create and use paramaters yu need t define the parameter here, and then reference the value f the parameter in the script, where yu will write a script t tell the reprt what t d based n the value f the parameter. Beynd the child cmpnents (Sectins, Fields, Sub-reprts) and their specific prperties, the reprt itself has a number f prperties that may be set. By selecting the Reprt prperty in the Reprt Explrer yu are presented with the Reprt s prperties in the Prperties windw. Sectins The reprt is made up f varius different types f sectins that behave differently and allw the reprt t display the data in predictable ways. As stated abve, this sectin represents a single recrd in the reprts data and will repeat fr every instance f any recrd. (Quantities will nt aggregate here). Every item in the reprt will get its wn line in the reprt utput. This is why the details sectin is nt used in the prpsal reprts. Detail sectins are used fr reprts such as a wire r equipment checklist where each item is displayed n its wn line. Reprt Header and Fter The reprt header and fter sectins will print nce per reprt. The header will be the first sectin rendered fr the reprt and the fter will be the last sectin. If yu want smething always at the very beginning (Cver Page) r at the very end, use a reprt header and fter. Page Header and Fter The page header and fter sectins will print nce per page. The page header will always be the very first sectin rendered t a page in the reprt and the page fter will be the very last sectin rendered at the bttm f the page in a reprt. Grup Header and Fter The Grup header and fter sectins represent the mst pwerful sectins in the reprt. Grup sectins allw users t aggregate data int subttals, cunts, etc. Every Grup Header in a reprt has a prperty called a DataField. This prperty is set t the field in the data set the reprt is iterating ver. Every time the value changes in this field, a new instance f the reprt grup is created. Example: If the grup is set t Lcatin, the data recrds are first srted by lcatin and then a new grup entry is created each time the lcatin changes. If Dynamic Gruping has been enabled, the reprt allws the user t create dynamic grup settings in the reprt s definitin and cntrl hw the reprt data is gruped and displayed. This gives yu the effect f a grup header sectin described abve, but the DataField prperty is dynamically set via the reprt s definitin. Reprt Explrer The Reprt Explrer gives us a rad map fr the reprt we are editing. It shws all f the varius sectins in the reprt as well as the varius cntrls in each sectin. Selecting a cntrl r sectin in the Reprt Explrer selects that cntrl r sectin in the reprt designer and will als bring up the prperties fr that bject in the Prperties windw. Data Explrer The Data Explrer gives us a rad map fr the data fields available t us frm the D-Tls Prject XML file. The data in the Data Explrer is gruped in sectins as it is rganized in the XML File. This is where we can find database fields fr use in the reprt design. dtr:dtlsreprt this sectin hlds all f the infrmatin available fr the reprt. It has tw sub elements: dtr:reprtcriteria this stres all f the data entered fr the reprt in the reprt creatin wizard that guides hw it will be run. We d nt use this infrmatin here. dtr:prject This stres all f the Prject related data that we may want t use in custmizing ur reprt. Cntrls are the elements used in the reprt t display infrmatin, whether it is a picture, static text r a data field, they are all represented n the reprt using ne f the Reprt Cntrls. In this curse we highlight the main cntrls typically used in D-Tls reprts. Text Bx - The Textbx cntrl is the primary cntrl used t represent Prject Data in a reprt. Label This cntrl is used t display fixed Text Rich Text Bx This cntrl can be used t lad text frm a Rich Text File Picture This cntrl stres a picture laded frm a file Line This allws yu t draw a line Page Break This allws yu t insert and frce a page break Sub-reprt - This allws yu t bind any reprt marked as a Sub-reprt int the main reprt. Crss Sectin line: Allws fr a line t be drawn that crsses thrugh the varius sectins f the reprt, example: t have a line run dwn the side f every page regardless f which sectins print n that page. Crss Sectin bx: Allws fr a bx t be drawn that crsses thrugh the varius sectins f the reprt, example: t have a bx run dwn the side f every page regardless f which sectins print n that page. Nte: Each f these tls will be demnstrated later in the curse when we mdify a reprt. Design & Script Views The Design Tab is the tab that displays the graphical reprt layut and editing screen. The script tab cnsists f the Visual Basic cde that gverns many f the internal functinalities f the reprts and the reprt s parameters. Mdificatin #1 Increase the Size f the Cver Page Canvas 1. Preview the reprt as it is right nw 2. Ntice that the Cmpany Name & Address appear very high n the page. a. We are ging t make them appear further dwn tward the bttm f the page. 3. In the Reprt Header1 Sectin f the reprt (this is the part string the cver page elements) lcate the Cmpany Name and Address Fields at the bttm f the sectin. 4. At the bttm f the sectin yu can see that the sectin is nly 7.5 inches in height. We want t make it 8.5 inches high. 5. Hver the muse ver the sectin divider and mve the sectin dwn until it is next t the 8.5 inch mark n the ruler. a. Nte: If we g t far dwn the Reprt Header will span tw pages (which we d nt want). Yu have t take int accunt the page header and page fter as well as any fields that grw in size such as the addresses. 6. Exact sectin height mdificatins can be made using the prperties windw. a. Select the Reprt header frame at the tp f the sectin (where it says ReprtHeader1 ) b. Lk at the prperties bx which nw shws the sectin s prperties. c. Mdify the height prperty = 8.5 7. Select bth the Cmpany name and address fields and mve them dwn the page. 8. Click Preview t shw that the nw appear further dwn n the Cver Page. 9. Select Cntract frm the list and click Next 4. Name it Training Cntract 5. Set Categry = Client Reprts and Click Next 6. When using Sub-reprts, the Page Header/Fter are ignred frm the Sub-reprt and nly the page header/fters frm the main reprt are used. S in this case we can d ne f tw things with ur Page Header Sectins: We can make them invisible r we can delete them frm the reprt. Making them invisible allws yu t use them again in the future withut recreating. 1. Select the Page Header sectin 2. In the Prperties windw, find the Visible prperty 3. Set Visible Prperty in the Prperties windw t False 4. D the same fr the Page Fter. 5. Nw we need t mdify the Grup Header sectin. It currently has the cmpany lg and all prject infrmatin displaying. Since this infrmatin is already shwing n the frnt page f the Prpsal we can remve it frm ur Sub-reprt 6. We will g ahead and make this invisible as well. Set the visible prperty = false. Nw we need t add a page break cntrl n t the page after the Prject Summary Sub-reprt - this will insert a new page befre ur cntract is displayed s that it starts at the tp f its wn page after the prject pricing summary. 7. Drag a Page Break ut n the page and place it beneath the Prject Summary Sub-reprt. 8. Drag a Sub-reprt cntrl nt the reprt. It appears large by default we will resize. 9. Select the Sub-reprt cntrl. 10. In the Prperties windw find the Size Field -- Set the Size t 7.5, 0.25 in (7.5 width, 0.25 height). 11. Mve the new subreprt s that it is underneath the page break cntrl we inserted earlier. 12. Reduce the height f the grpsummarydetail sectin by dragging frm the bttm f the sectin. 13. Select and Right Click n the Sub-reprt. 14. Select the ptin Bind t D-Tls Reprt. 15. Select the Training Cntract Sub-reprt and Click OK. 16. Nw preview the reprt. Nte: It may take sme fine tuning t get yur Sub-reprt created in just the right way s that the page breaks wrk prperly when it is inserted t the main reprt.
