In the following lab instructions, you will be setting up groups, users, and passwords to require password-protected login to Kofax Capture modules. Rights will be assigned to the groups and users that allow access to specific modules and batch classes. Additionally, you will be running the Report Viewer to view system activity. Lab 11-1 Lab User Profiles and Tracking 1. Open Administration. 2. Click on the Tools tab, opening the Tools panel. Click on Profiles from the Users & Groups subpanel. Enable User Profiles by clicking in the checkbox at the top of the User Profiles window. 3. In the Groups window, click on (Everyone) and the [Edit] command button to change the setup by removing (Everyone) s permission to everything. You do this by making sure the check boxes on the General tab are unchecked. 4. On the Assigned Batch Classes tab select [Remove All] to move all batch classes from Assigned on the right side of the screen to Available on the left side of the screen. 5. On the Assigned Modules tab select the [Remove All] button to move all of the Assigned Modules from right pane to the left. Note that because (Everyone) really is everyone, you cannot remove members. Click [OK]. 6. Making sure you still have focus on the Groups pane, click [New] and create three new groups called Administrators, Scan Operators and Validators. Click [OK] to complete each Group setup. Grant permissions as follows: Group Name General Batch Classes Modules Members Administrators All boxes checked All All Leave blank Scan Operators No boxes checked All Scan, QC Leave blank Validators No boxes checked All Validation, Verify Leave blank 7. Click [Close] when you are done. 8. We will set up five users. The user Admin already exists by default. But, we need to modify this user s properties. Highlight Admin in the Users window and click [Edit]. Change the Password to password (without the quote marks) on the General tab. Confirm it by entering a second time on the line below. 9. Administrative privileges are all checked and grayed out. Admin is a default user, and you are not able to change these check boxes. Click on the Assigned Batch Classes tab. Leave Assigned Batch Classes blank. Click on the Assigned Modules tab. Use the Remove All to move to the Available side. Click on the Group Members tab. Add Administrators by using the [Add] command button and moving it from the left pane to the right pane. What you ve done is add the user, Admin to the Administrators group. Admin inherits all rights belonging to the group (which has rights to all Batch Classes and all Modules). So, even though Assigned Batch Classes and Assigned Modules remain blank, the user, Admin has rights to them by virtue of his/her group membership! Click [OK]. 10. By clicking on [New], add four new users using the table below. All will use the word, password as their password. UserID [Your Name] Bsmith Mlopez Swong User Name [Your Name] Bill Smith Mary Lopez Sally Wong Description General Batch Modules Members Classes Administrator None None None Administrators Scan Operator Validator with QC Rights Validator with Export Rights Allow Batch Editing in Validation & Verification Allow Batch Editing in Validation & Verification Allow Batch Editing in Validation & Verification None None Scan Operators None Quality Control Validators None Export Validators 11. Click on [Close] when you are finished. 12. Remember, users automatically inherit the rights and permissions of the groups of which they are members. You can grant additional rights not already inherited by virtue of group membership. 13. Now let s use the [Copy] button to duplicate Groups and Users. 14. Highlight the Scan Operators Group and click on [Copy]. Enter the Name Scanners with Batch Manager. 15. Click on the Assigned Batch Classes tab. All of the batch classes are already selected. Remember, this is a copy of the Scan Operators Group that has access to the batch classes. 16. Click on the Assign Modules tab. Move Batch Manager to the Assigned column. 17. 18. Close the Group window and return to the User Profiles window. 19. Select [your name] in the User window and click on the [Copy] command button. Enter the User ID as Admin 2. Enter the Name as Liz Thomas. Enter the Description as another Power User. Enter the Password as password. 20. Leave all of the boxes unchecked for Administration rights. Click on the Assigned Batch Classes tab. Leave the Assigned column blank. 21. Click on the Assigned Modules tab. Leave the Assigned column blank. Click on the Group Members tab. Administrators should be listed in the Assigned column. Click on [OK]. Click on [Close] to close the window. 22. Now Liz is setup exactly the same as you, with all the same access and rights. 23. In the Default user group for new batch classes field, select Administrators from the dropdown list. 24. Click on [Save] to save the changes. 25. Close Administration. Now, reopen open Administration and log back in using your UserID and password (passwords are case-sensitive). 26. On the Batch tab, highlight the Product Orders batch class. Right mouse click and select Assigned User Profiles. Available and assigned users are listed on the Users tab and groups are listed on the Groups tab. Remember, users inherit the rights from the group they are assigned to. Don t change anything for now. Select [OK] when you ve finished reviewing this function. Lab 11-2 Lab Single Sign-on In this lab, you ll be selecting a Windows administrator to be a user in Kofax Capture User Profiles and assigning rights to the new user. You will no longer be required to log into Kofax Capture once Single Sign-on is setup. 1. From the Tools tab, once again select Profiles. We are going to use the single sign-on feature to allow the Windows System Administrator (you on this machine) to access batch classes and Kofax Capture modules without having to sign onto each one of them. Your Windows sign-on when you first logged into the system is all that s required! 2. Click on the [Link] command button in the lower right corner of the User Profiles window. 3. Click on [Advanced]. 4. Click [Object Types]. 5. Uncheck Groups. Click [OK]. 6. Click [Find Now]. TECHNICAL TRAINING LAB INSTRUCTIONS 7. Select the account you are logged in as on your system (for classroom students, select Trainee ) and click [OK]. Your local system administrator is now listed in the Object Names window. Click [OK]. 8. Click on [OK] to close the Link window. (Please wait for this selected user to appear in the User list.) Now we will need to edit this user s rights. In the User window, scroll down the list and highlight the new linked user that s been added to the list. Click on [Edit]. 9. Go to the Group Members tab. Add Administrators and you will have inherited all of the rights of the Administrators group. Click on [OK] to save. 10. Click on [Save] to save your changes and click on [Close] to close the User Profiles window. NOTE: If [Save] is disabled (grayed-out) then your changes have already been saved automatically for you. Simply click [Close] to exit. 11. Close Administration and then open Administration. Notice that NO log in is required BUT, ADMINISTRATION WILL REQUIRE A FEW SECONDS TO OPEN, AS WILL ANY OF THE KOFAX CAPTURE MODULES. BE PATIENT, PLEASE. Within 10-15 seconds Administration opens. Lab 11-3 Lab Processing with User Profiles Enabled In this lab, you ll be processing a batch using different log in users with rights that may or may not include the modules that are required for processing. 1. From the Tools tab, once again select Profiles. In the User ID list, highlight the Windows Administrator that was setup for Single Sign On and click on [Delete]. Select [Yes] in the Are you sure. Message box. Click [Close] and Close Administration. 2. Open Batch Manager. Log on using your log in and password. You have rights to all of the functions in Kofax Capture. 3. Create a batch using the Product Orders batch class. Process the batch. 4. Import or scan in five Northwest Products forms and close the batch. 5. Process the batch through Export. You will not need to log on again because you are running the batch from Batch Manager. Close Batch Manager when finished. Lab KC10 11.doc Last Revision: 04/01/14 4

6. Open Batch Manager and log on as Bsmith using password. The Kofax Capture Batch Manager window has an error message: You do not have rights to this module. Click [OK]. Because Bill Smith does not have rights to Batch Manager the operation is not available. 7. Open Administration and log on using Admin and password. From the Tools tab, select Profiles select User Profiles and uncheck the Enable User Profiles check box. This will disable User Profiles. Click [Save] and [Close]. 8. While republishing batch classes is not required following User Profile changes, a best practice is to republish after making any changes to batch classes. In keeping with this best practice, right mouse click on one batch class and select Publish. In the Publish window, click [Select All] and click [Publish]. All of the batch classes will be successfully published. Click [Close] when finished. Lab 11-4 Lab Using the Report Viewer In this lab, you ll be installing the necessary components and using Report Viewer to view the user activity and system performance of your Kofax Capture network. 1. Since we have not yet installed the components required to run the Report Viewer, we will be need to do this first. (Remember: Installing the necessary components can be done at installation time instead.) 2. Insert the flash drive and navigate to and open the following directory: KC10.1Software Double-click on Autorun.exe. This action will open the installation menu. 3. Click on the Install Report Viewer Components menu item when the Kofax Capture installation menu is displayed. 4. The Report Viewer Installation Wizard opens. Click [Next]. 5. The Updating System window opens and the installation progress bar is displayed. 6. The wizard will finish and Installation Successful will be displayed. Click [Finish]. 7. Double click on the Report Viewer icon from the Kofax Capture program group. The Kofax Capture Report Viewer will open on the screen along with the option to select from the five standard reports provided in Kofax Capture. 8. Select the second report (Batch Summary) from the list and click [OK]. You will be presented with a date range. Click [OK]. The report will be displayed in the Report Viewer, containing data extracted from your Kofax Capture database. Lab KC10 11.doc Last Revision: 04/01/14 5

9. Highlight File from the menu bar. Notice that you have the option to print or export the report. 10. Click on Export Report Examine the Save as type drop down at the bottom of this window. You ll see that you can output and save your reports in a variety of file formats. Cancel that screen. 11. Again from the menu bar, highlight and click on Reports. The drop down lists the reports available to you. Click on each report one by one to view their contents and layout. 12. When you have looked at all the reports, close and exit the Kofax Capture Report Viewer. 13. Open Windows Desktop Explorer and navigate to the C:\Program Files(x86)\Kofax\Capture\Bin\Reports folder (or C:\Program Files\Kofax\Capture\Bin\Reports if using Windows 7 32 bit). This is where you can add, delete, or reorder your reports. By simply changing the digits in the name of the report, you can reorder their appearance in the list of reports available in the Kofax Capture Report Viewer. You can modify any report by replacing the logo.bmp file with your logo (with the same file name). You can also modify or add new reports if you have Crystal Reports. Close Windows Desktop Explorer. 14. [Optional Step] If you would like to customize your reports, follow these steps: a. Launch your browser and browse out to your corporate Web site. b. Right mouse click on your company logo file and save the image ( Save Picture As ) to this path: the C:\Program Files(x86)\Kofax\Capture\Bin\Reports\logo.bmp. Click [Yes] when prompted to replace the existing file. c. Close your browser. d. Open the Kofax Capture Report Viewer and select any report from the menu. e.
