Welcome to Insignia Software Thank you for choosing Insignia Library System for your library. This training will provide you with the knowledge and the hands-on experience needed to learn the key components of the Insignia Library System that you will use to manage your library. Training format consists of a lecture followed by hands-on practice. For each module we have defined the objectives and the tasks that we would like you to complete during the hands-on period. Step by step instructions for tasks to be completed during the hands-on portion of the training are in the second half of the training guide. Please pay attention to the lecture as it is the best way to get the most out of the training. You will have plenty of time to explore Insignia Library System during the hand-on session. Login IDs will be provided during the hands-on exercise. There is a summary of tasks at the end of this document. Please make sure you can perform those tasks by the end of this training. If you have any questions during the training, please let me know. System Requirements The computers in the training lab and the computers in the library for cataloging and circulation should meet the following requirements: 1. Windows XP+ (Recommended Windows 7). 2. PIV+ with 1 GB RAM (Recommended 2 GB). 3. Resolution 1024x800. 4. Adobe Reader 9.0+. 5. Internet Explorer 8.0 (recommended IE9), Firefox, Chrome. 6. Microsoft Silverlight. 7. Microsoft Critical update in last six months. For student and staff search, the requirement is: 1. Any computer with leading browser 2. Resolution 1024x800. Part II: Hands-On To start using Insignia Library System 1. Start IE or Firefox. 2. Go to the ILS URL. Search: 10 min Simple Search 1. Click on menu Search > Simple or click on in the Quick Toolbar. To view item details double click on the desired item in the grid. 5. Holding information is provided in the bottom grid. 5.1. If it is out, it will show whom it is checked out and when it is due. 6. Reserve an item. 6.1. Select the title and click on Reserve to reserve by patron barcode. 6.2. Select the title and click on Reserve By Name to reserve by patron name. Click on menu Circulation > Checkout or click on in the Quick Toolbar. 6.2. Enter a few letters of patron s last name then space and then a few letters of their first name and press enter or just enter/scan the patron barcode. 7. Select the checkbox left of the item to be marked lost. 8. Click on Lost. Renew an item If not in Checkout screen. 8.1. Click on menu Circulation > Checkout or click on in the Quick Toolbar. 8.2. Enter a few letters of patron s last name then space and then a few letters of their first name and press enter or just enter/scan the patron barcode. 9. Select the checkbox left of the item to be renewed. 9.1. Click on Renew. 9.2. To renew all items, click on checkbox right below Items on Loan tab and click on Renew. Reserve an item If not in Checkout screen. 9.3. Click on menu Circulation > Checkout or click on in the Quick Toolbar. 9.4. Enter a few letters of patron s last name then space and then a few letters of their first name and press enter or just enter/scan the patron barcode. 16. Click on Collect Fines tab. 17. Select the checkbox left of the item for which fine is being collected or waived. 18. Click on Collect or Waive button. 18.1. If you are waiving fines, you will need to specify a reason. 19. Specify the amount collected or waived. 19.1. When waiving an amount you can specify either the value or %. 20. Click Ok. Check in Items 1. Click on menu Circulation > Check in or click on in the Quick Toolbar. Step 2/3.2 Step 3.4 Step 3.1 Step 3.3 2. Scan the barcodes. 2.1. If an item is on Reserve, a popup message will show up requesting confirmation for the reserve. 3. To check in the damaged book: 3.1. Select the Check in Damaged Books checkbox. 3.2. Scan the barcode. 3.3. Specify a fine, a new location, and comments if needed. 3.4. Click on the Check In button. Renew By Scanning Book Barcode Step 6 Step 6 Step 2/5 Step 4 1. 2.1. If the item is not on reserve and the loan constraints are not exceeded the system will automatically renew the items for the patron based on the loan parameters. 2.2. If patron has breached any constraints, a popup message will require an override password 3. To renew the items for a different date other than the date based on circulation type, click on Renewal Due Date checkbox. 4. Specify the date. 5. Scan in the items to be renewed. 6. To open Checkout and load the profile of the current patron whose books are being checked in, click on Checkout 7. To check in textbooks, select the checkbox if textbook barcodes are not unique Homeroom Checkout 1. Click on menu Circulation > Homeroom Checkout or click on in the Quick Toolbar. Click on next patron picture 7. Scan the book barcode 8. You can also adjust rows and columns (we recommend 9x3) 9. To change default due date, select the checkbox and specify a date Patrons: 10 min Add a Patron All student and staff have been added, you only need to add non-district patrons such as volunteers or parents. 1. Step 2 Step 8 Step 4 Step 5 2. Click New. 3. Enter the patron s information in the available fields. 3.1. Required information is last name, first name, group and circulation type 4. Select the proper Circulation Type and Patron Group from the dropdown list. 5. If this patron will help you catalog/circulate books in the library then select the checkbox Can Use Desktop and Silverlight. 6. If this patron works in more than one library, select all the libraries they work in. If no libraries are selected, the patron will be able to work in all of the district s libraries. 7. Click on Save 8. 9. When adding a student/staff, it is recommended you wait until next day when automated process imports it automatically. If you have to add student/staff right away, do the following: 10. Search for any student in the district by selecting the Union checkbox 11. If you find the patron, select it 12. Click on Change Library 12.1. Select your Library, Group Type, and Circulation Type, the rest is optional 13. If you cannot find it add as shown above 14. You must enter the student id or staff id as patron id/student id, if you do not have student id/staff id please do not enter it. Step 10 Step 22 Step 10/16/20 Step 18 Step 12 Delete a Patron Only non-district patrons such as volunteers or parents need to be deleted, others will be archived automatically. 15. Click on menu Patron > Find/Add Patron or click in the Quick Toolbar. 16. Search for the patron by selecting search criteria from the dropdown list and enter a search term in the search field. 17. Select the patron from the list. 18. Click Delete. Reset Patron Password: 19. Click on menu Patron > Find/Add Patron or click on in the Quick Toolbar. 20. Search for the patron by selecting search criteria from the dropdown list and enter a search term in the search field. 21. Select the patron from the list. 22. Click Set Password: 22.1. Enter the new password and confirm password and click on Change. 22.2. To automatically generate and send a confidential password to the patron by email click on Reset and Send. Reports: 10 min Print Common Reports 1. Click on menu Reports > Circulation tab or click on in the Quick Toolbar. 2. Select Items in Circulation for a List of overdue books: 2.1. Select the parameter(s) from the right. 2.2. Click on Preview. 3. Select Overdue Message to generate overdue letters. Add Reports in Favorite List 1. Click on Circulation tab (any other tab). Repeat above steps to add your important reports to the favorites list. 6. Next time the report is needed, simply go to My Favorites tab. Search for a title. 3. Select the title and click on Add Copy: 3.1. If entering more than one copy specify the quantity and Click OK. 3.1.1. Select how you like to generate the barcodes and Click OK. 3.1.2. Specify price and Call No and circulation type, everything else is optional. 3.2. 3.2.1. If you have a preprinted barcode scan it into the barcode field or leave it blank to let system generate a barcode automatically. 3.3. Click on Save. Insignia recommends that you let the system generate the barcodes for you. Quick Cataloging 1. Start internet explorer 2. Go to this url: https://insignia.tcdsb.org/ils 3.
