It is also the location where personal distribution lists are created. Create a contact card from an incoming email message You can create Contact items directly from an email message. To do this: Open the email by double clicking on it. Right click on the email address. Choose Add to Outlook Contacts. A new window will pop up, a contact card. Create a contact card from scratch Click on Contacts under the Outlook navigational area. Click on New button (or click File-New-Contact from the menu bar). Fill in contact information. Click on Save and Close. Note: There are different tabs (General, Details, Activities, etc) to record various information. Fill in as much info as you desire. Click Save and Close when finished. Click on this icon to add a picture of your contact! You will need to browse to the location on your computer where the picture is stored. Make sure to enter an email address for your contact, or they will not show up in the address book entries! Send email to contact See below for two options for sending email to a contact. Option 1 Click on Mail from the Outlook navigational area Click on the New button Click on the To button to use the Address book Office of Technology, Bloomsburg University Page 2 of 5
Click on the drop down next to Global Address Book and choose Contacts You will now see any contacts. Choose the one you wish to send to, complete your email, and send the message. Option 2 Be in the Contacts navigation area Right click on contact Choose Create New Message to Contact Remembering important dates for your contacts This is a fun feature to use for personal contacts to help you remember dates such as birthdays or anniversaries. Click on the Details tab of your contact card and you will see spaces to add birthdays or anniversaries. Add a date to either space and click Save and Close. Automatically these entries will be added to your outlook calendar (complete with an automatic reminder, indicated by the bell icon). The arrows icon indicates this is a recurring event and it will be posted for every year! Note: If you want to edit the reminder default (normally 15 minutes before an event), double click on the calendar entry (choose open the series) and edit the reminder, maybe something like 3 days before the event! Click Save and Close if you change something. Displaying in LastName, FirstName Format By default, Outlook stores contacts in FirstName LastName format which may be different than you care for. Follow these three steps if you wish them to be stored in LastName, FirstName format. Set the default sort order Click on Tools Options Preferences tab Click Contact Options Edit settings as you wish Office of Technology, Bloomsburg University Page 4 of 5
Manually correct any previously created contacts if they are not displaying correctly In the Contacts list, double-click any contact that does not appear in the LastName, FirstName format. Change the File As area as appropriate. Click Save and Close. Note: Cannot change display of names in the Global Address Book You cannot change the display format of names in the Microsoft Exchange Server Global Address List.
