Purpose This guide contains step-by-step instructions on how to set up and begin using Cox Business Online Backup as part of your Internet service. Cox Business Online Backup encrypts data locally before backing it up to off-site data centers over a 128-bit SSL connection. Backups are stored in state-of-the-art data centers with 448-bit Blowfish encryption to ensure the data is protected. Select Cox Business Internet customers can receive up to 25GB of free storage space to back up your important business information. The backup storage space can be shared by all of your business computers and servers, and be used as your primary backup service, or as a secondary backup solution to provide additional redundancy. Overview Overview This chapter provides an overview of the major concepts you should know about when using Cox Business Online Backup. The overview contains the following sections: Using the Cox Business Online Backup Admin Console Working with Windows About the Dashboard About the Client Using the Cox Business Online Backup Admin Console Managing your Cox Business Online Backup account online is simple and straightforward. If you manage many complex accounts, you will find the Cox Business Online Backup Admin Console to be very user-friendly and flexible. Figure 1. Dashboard 1. In your browser's address bar, type https://myaccount.coxbusiness.com and press Enter. 2. From MyAccount, click Online Backup. 3. Click the Online Backup Administration Console. Overview The Admin Console opens to the Dashboard View. Using the menu on the left, you can navigate to the different functions of your account management: Users Configuration/Alerts Graphs and Reports Restores Support Working with Windows When you click one of the links in the Admin Console, the information for the link displays in the middle of the screen. These windows can be opened, minimized, and refreshed. Figure 2. Open Window 1. To refresh the information in a window, click the refresh icon. About the Dashboard The Dashboard page displays two windows by default: the Backups window and the Machines window. The Backups window displays a graphical representation of your users' backup history. The Machines window displays a list of machines that users have registered successfully. 2 Cox Business Online Backup Administrator Guide

Overview Figure 3. Dashboard Backups The Backups window displays two graphical representations of your backup history. The Backup Overview pie chart displays the number of successful backups within the last 24 hours, one week, and over one week. The backups made in the last week graph display the number of backups made during that timeframe in addition to the days they were performed. Backups performed in the last week display the maximum number of backups performed simultaneously and the average number of backups performed. If you click the links for Backup within 24 hours, Backup within 1 week, or Backup over 1 week old, the Machine list shows only the machines that meet that criteria. Overview About Machines The Machines window displays a list of machines that are currently registered to the account. The list displays the following information: Machine name, User Amount of storage used and amount available Creation date Date of last backup 1. To see additional information about a machine, click the machine name. A new window displays the following information: owner of the machine client version number of files requested space used license key used restore size time of last backup last requested restore download status machine's encryption type completed restore date/time 2. To close the window, click the X in the upper right corner of the window. 3. To see additional information about the user, click the name of the user. A new window displays the following information: user name the origin of the user time of last backup for each computer user creation date list of computers assigned to the user license key used for each computer quota (in GB) computer encryption type spaced used and available for each computer email address 4. To close the window, click the X in the upper right corner of the window. From the Machines window, you can search for machines. Follow the steps to search for machines in the Machines list. 1. Enter the name of the user or machine in the Search field, 2. Click Search. A list of available users and machines matching your search criteria appears. Administering Users Administering Users This chapter includes information on how to administer your users. Viewing a New User Report Viewing User Accounts Logging In as a User Searching the User List Filtering the User List Exporting the User List Viewing a New User Report The New User report shows the number of users who have signed up per hour, per week, per month, or per year. Follow the steps to view a New User report. 1. Under Graphs and Reports, click New Users. 2. Select the interval for the report. The options are: The number of users who have signed up each hour for the last 24 hours The number of users who have signed up in the last week The number of users who have signed up in the last month The number of users you have signed up in the last year 3. Click Advanced to configure a custom report interval. (Optional) Viewing User Accounts You can view the following information about a user: Name of the machine that each user has backed up with Cox Business Online Backup Method of encryption Amount of space that users have used of their allotment Most recent time the machine was backed up License key for the user's account per machine Cox Business Online Backup Administrator Guide 5

Administering Users Follow the steps to view User Accounts. 1. Click Search/List Users. 2. Click the email address of the user whose information you want to view. A window appears at the bottom of the Users page. Figure 4. User Accounts Logging In as a User When you log in as a user, you are logged in to that the Admin Console as that user with the same rights and privileges as the user you logged in as. Any open browser session will act as that user as well. Follow the steps to log in as a user. 1. Click Search/List Users. 2. Click the email address of the user who you want to log in as. 3. Click Log in as User. A new browser window appears and you are logged in as the selected user. Searching the User List Follow the steps to search through the user list. 1. Click Search/List Users. 2. In the Search field, enter the text you want to locate. 3. Click Submit. 4. Click Search to see the full list again. (Optional) Filtering the User List Follow the steps to filter a user list. 1. Click Search/List Users. 2. In the Filter drop-down list, select the desired filter. 3. Click Submit. 6 Cox Business Online Backup Administrator Guide

Exporting the User List You can export the user list and either search results or filter results to a.csv file that can be opened by a spreadsheet application. Follow the steps to export a user list. 1. Click Search/List Users. 2. Click Export to Excel (CSV). 3. Click Save to Disk and OK. Administering Users 4. Select Open with to open the file immediately with the associated application and click OK. OR 5. If you selected Save to Disk, browse to the location on your computer where you want to save the file and click OK. Cox Business Online Backup Administrator Guide 7

Managing the Client Managing the Client The client software is the software that resides on user machines and allows them to configure their backups, restore files, and track their backup histories. This chapter contains the following information to help you manage the client software: Downloading the Cox Business Online Backup Client Client Configuration Downloading the Cox Business Online Backup Client The Download Cox Business Online Backup Client window allows you to download the latest version of Cox Business Online Backup, as well as older versions. It also includes the MD5 string, the date the client was generated, and the release notes. Follow the steps to download the client. 1. Click Download Cox Business Online Backup Client. 2. Click the link for the client you want to download. 3. Save the file to your hard drive and launch it when you are ready to install. 4. Click Release Notes to view additional information about the client version. Client Configuration The Client Configuration window allows you to customize your client software configuration extensively. The client software is the software that resides on user machines and allows them to configure their backups, restore files, and track their backup histories. All of the settings below can be cascaded down to your users. In order for the settings to be cascaded, the client configuration must be set to use the default user group. The Client Configuration window has five tabs that you can use to customize the client: Tab Name Preferences Scheduling Bandwidth Throttling Backup Sets Description allows you to set or lock the options available to machines using the local client allows you to schedule backups for all the machines assigned this configuration allows you to enable and customize bandwidth throttling for all the machines assigned this configuration allows you to customize all the backup sets available to all the machines assigned this configuration, as well as create new backup sets Cox Business Online Backup Administrator Guide 9

Managing the Client Additionally, from the main page of this window, you can rename or delete custom configurations. Creating a Custom Client Configuration When you create a custom client configuration use the Preferences, Scheduling, Bandwidth Throttling, and Backup Sets tabs to set the preferences for the client settings. Follow the steps to create a custom client configuration. 1. Click Client Configuration. 2. Type the name of the custom client configuration in the Name field and click Next. 3. In the License Type drop-down list, select the type of license and click Next. 4. Click the Preferences tab to configure your preferences. 5. Click the Scheduling tab to configure scheduling options. 6. Click the Bandwidth Throttling tab to configure bandwidth throttling options. 7. Click the Windows Backup Sets tab to configure backup sets. 8. Click Save Changes. Setting Preferences Follow the steps to set preferences. 1. Click Client Configuration. 2. Select the appropriate settings from the Settings list. For information about any of the preference settings, click More next to the setting. Additional text displays underneath the setting with a short explanation of what the setting does. To hide the text, click Less. 3. If you want the setting to override the setting for admins and users below you, click the Cascade checkbox next to the setting. (Optional) 4. If you want to lock any of the settings, select the Lock checkbox next to the setting. (Optional) 5. Scheduling Backups Managing the Client In the Scheduling tab, you can set the parameters or timing for the backups on all the machines within a designated configuration. There are two options to select from: Automatic backups : Automatically backup your data whenever your machine is not in use. Scheduled backups : Backs up your data at a specified time. Setting Automatic Backups In the Scheduling tab, you can set the parameters or timing for the backups on all the machines within a designated configuration. Follow the steps to set automatic backups. 1. Click the Scheduling tab. 2. Select Automatic. 3. Enter a value for Don't back up if the CPU is over this % busy. 4. Check if you want to Lock this feature so that users cannot change this setting. 5. Check if you want to Cascade this feature so that it applies to all admins and users. 6. Enter a value for Don't back up unless the computer has been idle for at least this many minutes. 7. Check the box if you want to Lock this feature so that users cannot change this setting. 8. Check the box if you want to Cascade this feature so that it applies to all admins and users. 9. Enter a value for Don't back up more than this many times per day. 10. Check the box if you want to Lock this feature so that users cannot change this setting. 11. Check the box if you want to Cascade this feature so that it applies to all admins and users. 12. Check the box if you want to Force users to use these scheduling options to force the users to use these scheduling options. 13. Check the Cascade box to force all the options on this page to apply to all admins and users. 14. Check Don't allow users to suspend backups to prevent users from suspending backups. 15. Managing the Client Setting a Scheduled Backup You can schedule backups to begin at a specified times. Follow the steps to set a scheduled backup. 1. Click the Scheduling tab. 2. Select Scheduled. 3. Select Daily or Weekly. 4. If you select Weekly, the Enter (day of the week) parameter displays. Specify the day when you want the backup to occur every week. 5. Enter the time of the backup. 6. Enter the frequency of the backups. (Note: The frequency for the Weekly parameter is set at 1 Week by default. The maximum frequency is either 7 days or 7 weeks, depending upon the parameter you use. If you select anything longer than 30 days, only the last version is retained.) 7. Select Force users to use these scheduling options to force the users to use these scheduling options. 8. Select Cascade to force all the options on this page to apply to all admins and users. 9. Select Don't allow users to suspend backups to prevent users from suspending backups. 10. Select if you want to Cascade this feature so that it applies to all admins and users. Bandwidth Throttling The Bandwidth Throttling tab allows you to set how much of your users Internet connection is used during a backup. Bandwidth ranges allow for faster backups during slow bandwidth times. Follow the steps to set bandwidth throttling. 1. Click the Bandwidth Throttling tab. 2. Select Enable bandwidth throttle. 3. Enter the number of kilobits per second permitted for backups in the field provided. (Note: The higher the number of kilobits the faster the backup.) 4. Select the time frame for the bandwidth throttling. 5. Click Force users to use these bandwidth options to force users to use the specified bandwidth throttling options. 6. Select Cascade to force all the options on this page to apply to all admins and users. 7. To hide the use of bandwidth throttling from users, check Enforce hidden bandwidth limit. Select Cascade to force all the options on this page to apply to all admins and users. 12 Cox Business Online Backup Administrator Guide

Backup Sets The Windows Backup Sets tab allows you to customize the predefined groups of specific file types (backup sets) to search for on the client machines. You can perform the following functions on the Windows Backup Sets tab: Select a backup set View and edit a backup set Create a Windows backup set Delete a backup set Managing the Client 1. To select a backup set for backup, select an empty checkbox next to the name of the options you want to set. 2. If you want to lock any of the settings, check the Lock checkbox next to the setting. (Optional) (Note: By locking a backup set, users cannot modify the setting in the client.) 3. Check the Cascade checkbox next to the setting if you want it to override the settings for admins and users below you. (Optional) Selecting Backup Sets Follow the step to select a backup set. 1. Check the Settings check box next to the backup set to backup. 2. Check the Lock check box next to the item. (Optional) 3. By locking the backup set, the user cannot edit or turn on or off the backup set. 4. Click another tab to make further changes or click Save Changes. Viewing and Editing a Backup Set Follow the steps to view and edit a backup set. 1. Click View/Edit next to the backup set you want to view or edit. ( 2. Click Done. Creating a Windows Backup Set Follow the steps to create a Windows backup set. 1. Click Create Backup Set. 2. Enter the name of the new backup set in the Name field. 3. Check Files matching this set will be excluded from the final backup set. (Optional) 4. Check the box based on whether you want to Include or Exclude the file location. Managing the Client 5. In the Search Location field, enter the desired matching criteria. (Note: You can use special key words such as %My Documents% to search standard file system locations.) 6. To select one of the predefined special file system locations, click the name and it will appear in the field. 7. Click Add Search Location to add additional search locations. 8. Click Delete to delete a search location. 9. Click Add Rule to add rules to your backup set. (Optional) 10. Click Done. Creating Rules There are many possible rule combinations for backup sets. However, they are all based on either including or excluding certain files according to your specifications. Follow the steps to create rules. 1. Click the drop-down and select either Include to contain data or Exclude to reject data. 2. Use the second drop-down menu to select a file attribute for the backup set. The options are File Type, Size, Last Modified, Created, File Name, and Folder Name. 3. Click Done to save the rule. Deleting a Backup Set To delete a backup set, click Delete to the left of the set. 14 Cox Business Online Backup Administrator Guide

Follow the steps to search for machines in the Machines list. 1. Enter the name of the user or machine in the Search field. 2. Click Search to see a list of available users and machines matching your search criteria. Viewing Machines You can view or edit an individual machine from a user account. Figure 5. Administering Machines Follow the steps to view or edit a user s machines. 1. Click the machine's name from the Search/List Machines list. A window appears at the bottom of the Users page. 2. Click an individual machine in the first column to view and edit the information about that machine. The window shows the following information for backups: Start date and time for backups Type of backup (Automatic or Manual); this column also shows restores Duration of backup Result of backup (Success or Failure) Total number of files backed up The window shows the following information for restores: Total size of files backed up (in bytes) Number of files encoded (compressed) Total size of files encoded Total number of files transferred (may not match total number of files backed up due to encoding) Total size of files transferred Unique ID for restores Date restore finished Total size of files retrieved (in bytes) Date restore was requested Number of files retrieved Download status (Expired or Downloaded) For additional information, refer to Editing a Machine. The following options are available when you choose to make changes to a machine, Search/List Machines After a machine is activated, it is listed when you click Search/List Machines. Figure 6. Administering Machines Searching for Machines Follow the steps to search for a machine 1. Click Search/List Machines. 2. In the Search field, enter the text to search. 3. Click Submit. Filtering Machines Use the following steps to apply a search filter. 1. Click Search/List Machines. 2. In the Filter drop-down list, select the appropriate filter. There are four options for filtering the list of machines: None Backed up within 24 hours Backed up within 1 week Backup over 1 week old When there is no filter selected, the Filter drop-down list is set to None. 3. Click Submit. Exporting the Machine List to a Spreadsheet You can export the Machine list and either search results or filter results to a CSV file that can be opened in a spreadsheet. Follow the steps to export a machine list to a spreadsheet. 1. Click Search/List Machines. 2. Click Export to Excel. 3. Select Save to Disk and click OK. 4. Navigate to the location on your machine where you want to save the file and click OK. OR 5. Select Open with to open the file immediately with the associated application and click OK. Viewing a Machine's Backup Log File Follow the steps to view a machine s backup log file. When a machine is not backing up its files correctly, you can use the backup log file to troubleshoot the cause. 1. Click Search/List Machines. 2. Click the name of the machine you want to view. 3. Administering Machines Restore Files Follow the steps to restore files. 1. Click Search/List Machines. 2. Click the name of the machine that you want to restore. 3. Click Restore Files. Although users can restore files from their individual clients, if you need to restore files for them (in the case of computer failure, loss, etc.), you can replace their lost files with Cox Business Online Backup restored files. Restoring Files Follow the steps to restore files. 1. Click the Restore Files link in the left-had navigation. 2. Click the name of the machine from which you want to restore files. 3. Click the Restore Files link in the upper right corner. 4. Click the Restore Files link in the upper right corner. The Web Restore window appears. 5. In the drop-down menus, select the date and time that correspond to the backup you want to restore. 6. Select the backup set you want to restore. 7. Select or deselect individual files, if necessary. 8. To select all the files, click the check box above the top of the file list. OR 9. To deselect all the files, click the empty check box above the file list. 10. Click Continue to start the restore process. 11. Select Web Restore. (Note: After you click Restore Files, you will receive an email informing you that your restore is complete. The time to restore depends on the number of files you have.) If you selected Web Restore, your email will include a link to use when you retrieve your restored information. Restoring Files from the Web Using Backup Sets Restoring Files When you restore files using backup sets, you can select files to restore according to the file type. Click the Backup Sets tab. 2. From the drop-down menus in the top-right corner, select the date and time that correspond to the backup you want to restore. 3. Select the backup set you want to restore. To view the files in the backup set, click the folder's name. 4. Select or deselect individual files, if necessary. (Conditional) 5. To select or deselect all files in the list, use the Select All checkbox. (Note: The number of files and size of all the files selected are displayed at the bottom of the page.) 6. Click Continue to start the restore process. The number of files you are restoring will impact the time it takes for the restore process to complete; therefore, you may not receive an email quickly. If you selected Web Restore, your email will include a link to use when retrieving your restored information. Your files are available to be downloaded for seven (7) days. Restoring Files Downloading Restored Files Before you download the restore request, it is suggested you use a download manager to ensure the entire package downloads. Follow the steps to download restored files. 1. Log into your account at https://myaccount.coxbusiness.com. 2. Under Web Restores, click Download. 3. Save the file. 4. Extract your files. 5. Copy your files to the desired location. List Restores The List Restores window allows an administrator to see all the pending and completed restore requests for the account. The following information is displayed: The date and time a restore was requested The user requesting the restore The date and time the restore finished The number of files in the restore Additionally, you can filter the restore list to exclude completed restores or requests within a maximum number of days. Listing Restore Requests Follow the steps to list requests to restore files. 1. Click List Restores. The List Restores window appears. 2. To shorten the list of restores, enter the number of days or hours you want to set as the limit in the Maximum age field and click Submit. 3. To see only restores that have not completed, click Exclude completed restores. In the results list, if you click the day or time of a restore, a Restore Details window appears with the details for that specific restore. Managing Backup Reports Managing Backup Reports Cox Business Online Backup provides reports that let you quickly view information about backup history and backup health. This chapter contains the following sections: Backup History Backup Health Graph Backup History The Backup History graph displays an overview of the number of backups that have occurred in your account during the last 24 hours, week, month, or year. You also can specify a custom time range for the graph. For example: Date range: July 1, 2012 to July 31, 2012 Hours in the past: -12 hours to -6 hours Days in the past: -100 days to now Months in the past: -3 months to now Years in the past: -2 years to now Creating a Custom Time Frame Graph Follow the steps to create a custom timeframe graph. 1.
