This report displays Absence entries by department for the requested time period, and will show if the entry has been approved. There are two ways in which the report can be generated: to show employees for a specific department or to show employees that report directly to a manager (whoever is generating the report). Please be advised that from the fourth week of February 2012, we are using the new version of PeopleSoft (HCM 9.0) and you may experience a difference in the way the new pages look and feel. In the new version of PeopleSoft (HCM 9.0), the format of how the Main Menu expands has changed, but the actual navigation path and functionality has not changed. See the sample page shot. Run the Report Navigate to My CSUEB (my.csueastbay.edu) 1. Enter your NetID and password 2. Click Sign in Your home page displays. Depending on the roles you play on campus, you may see multiple tabs: Student Applicant Faculty Manager Timekeeper Employee 3. Click the Timekeeper or Manager tab if it is not displayed already The Timekeeper page displays. 4. Click the Absence Activity Detail link Business Process Guide Page: 3
The Manager page displays. 5. Click the Absence Activity Detail link You may also log in via the administrative PeopleSoft page and get to the same information. Navigate to Absence Activity Detail > East Bay HR > Reports A-M > Absence Activity Detail The screen shots for this process guide will be shown from the MyCSUEB perspective, but they are identical to the pages you will see if you log in via the administrative PeopleSoft page. The Absence Activity Detail run control displays. 6. Click Search to use an existing run control or click Add a New Value to create one Business Process Guide Page: 4
The Add a New Value page displays. 7. Enter a Run Control ID name 8. Click Add A Run Control is used to save parameters for running a report so they don t have to be entered each time. Run Control names can be upper or lower case and cannot contain spaces. Use dashes or underscores to separate words. The Absence Activity Detail parameter page displays. 9. Enter the Business Unit always HW001 10. Enter the Begin Date and End Date these dates should be the date range in which you wish to view absences 11. Select which option to run the report: a. By Department: View absences of employees from a specific department: i. Enter the Department number (DeptID) ii. Check the Sub Departments checkbox to include departments that report up to the selected department (optional) OR b. By Direct Reports: View absences of employees that report directly to you, regardless of department: i. Enter your EmplID (click the magnifying glass search icon to have the system default your EmplID) Business Process Guide Page: 5
NOTE: Option b only works for employees that have direct reports. 12. Click Save A completed page might look like this. 13. Click Run The Process Scheduler Request page displays. 14. Enter PSUNX as the Server Name 15. Click OK No other data needs to be changed. Running the report in this fashion means it will run to an Adobe PDF file. Business Process Guide Page: 6
You are returned to the Absence Activity Detail page. The Process Instance number is displayed. 16. Click Process Monitor The Process List is displayed. Your report will typically be at the top of the page and may have a status of: Queued Initiated Processing Success No Success 17. Click Refresh to see if the report is finished processing 18. Click the Details hyperlink once the Status is Success/Posted Note: If your report runs to No Success, please log a service desk ticket for assistance. Business Process Guide Page: 7

Regardless of how the report was generated (to be viewed by Dept or by Direct Reports), the report format will be the same, sorted by Department, then by EmplID. Columns: Emplid / Rcd The employee and record number of each employee in the department Name The name of the employee Begin Date The date of the absence entry, or the begin date if the absence was entered for multiple days End Date The date of the absence entry, or the end date if the absence was entered for multiple days Duration Displays the number of hours being calculated for the absence (selected absences show # of days instead of hours) Absence Type The type of absence Date Submitted The date when the absence was entered into the system Approved If approved, a Y will display; if not, Not Approved will display Whom to Contact for Help?
